Overview

What the Letterdrop Zapier integration does for your social selling

Letterdrop helps sales and marketing teams turn social activity into pipeline: it watches posts, spots engaged people and keeps the leads it finds. The Zapier integration pushes those signals into your other tools as soon as they appear, and lets you feed call transcripts back into Letterdrop.

Leads in your CRM before they go cold. New Lead Generated fires when an engaged lead meets the filter criteria you set in Letterdrop. A Zap turns it into a record in your CRM, with no export in between.

A heads-up on the accounts you follow. New Post From Account Monitoring reports each new post from an account you track, so a rep can react while the post is fresh.

Calls that become content. Add Transcript sends a meeting transcript to Letterdrop, which uses it for analysis and content creation.

What Zapier does not do here. There is no search step, so a Zap cannot look up a lead or a post in Letterdrop. There is a single action, and it only accepts transcripts: you cannot create a lead or a post from Zapier. Filters on what reaches you are set in Letterdrop itself, not in the Zap. If you would rather build the same flows on Make, open our Letterdrop Make integration page, or see our Make vs Zapier comparison.

Vocabulary

Zapier vocabulary in one minute

Seven words do most of the work on this page. Plain English, one line each.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event shows up.
Trigger
The event that starts the Zap, like a new lead in Letterdrop. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan counts those.
Instant trigger
A trigger the app reports itself, the moment the event happens. All four Letterdrop triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for anything new. Letterdrop has none on Zapier.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Cost

What a Letterdrop Zap really costs

Letterdrop is not a premium app, so it works on the free plan. You pay in tasks, and only finished actions count.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • TriggerNever costs a task
  • Letterdrop triggersAll instant, no waiting

A new lead or post arriving costs nothing: the trigger never uses a task. Each action that goes through is one task, and a failed one is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps, one trigger and one action. A filter or a second action makes it multi-step, and that needs a paid plan.

Since every Letterdrop trigger is instant, the plan interval grid below does not slow these Zaps down: a free plan gets the lead as fast as an Enterprise one.

Connect

Connect Letterdrop to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Letterdrop account first, with access to whatever you want the Zap to read or write.

  2. 02

    Find Letterdrop

Type Letterdrop in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on Letterdrop's side for your login.

  3. 03

    Sign in and allow access

Log in to Letterdrop in that tab and grant Zapier access to the account. The connection then shows on your Apps page, ready for every Letterdrop step you add.

First Zap

Your first Zap: engaged leads straight into your CRM

GoalEvery engaged lead Letterdrop finds becomes a CRM record, but only when it passes the condition you set.

  1. 01

    Create the Zap

Create a new Zap, pick Letterdrop as the starting app and New Lead Generated as the event, then choose your Letterdrop connection.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent leads of the connected account. Pick a complete one, so the rest of the Zap is set on real data.

  3. 03

    Add the filter

Click the plus icon, add a filter and fill its three boxes: the field to look at, the rule, the value. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the CRM step

Add your CRM as the action and map each of its fields to a field of the test lead. Check the email and the name first, since they matter most.

  5. 05

    Test and publish

Test each step, check the record that landed in your CRM, then click Publish. Leads Letterdrop found before that moment are not sent over.

Triggers

The 4 Letterdrop triggers

4 events start a Zap when something happens in Letterdrop, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Post From Account Monitoring

Instant trigger

In Zapier“Triggers when a new post from account monitoring meets filter criteria”

Starts your Zap when an account you track in Letterdrop publishes a post that passes your filter criteria. You get the post's details, ready to share with whoever owns that account.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a rep wants a ping each time a target account posts, so they can comment while it is still fresh.
Watch out
the criteria live in Letterdrop, not in Zapier; if nothing arrives, check the account monitoring settings there first.
2

New Lead Generated

Instant trigger

In Zapier“Triggers when a new engaged lead meets filter criteria”

Fires when Letterdrop flags a new engaged lead that meets your filter criteria. This is the trigger most sales Zaps begin with: the lead arrives with what Letterdrop knows about them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
engaged people should reach your CRM or your sales inbox without anyone copying them by hand.
Watch out
the same lead criteria decide what reaches Zapier, so tightening them in Letterdrop is often better than adding a filter step you pay for.
3

New Post From Keyword Monitoring

Instant trigger

In Zapier“Triggers when a new post from a monitored keyword meets filter criteria”

Kicks off when a new post matching one of your monitored keywords passes your criteria. Unlike account monitoring, it follows a topic rather than a person.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your marketing team keeps a running sheet of every conversation on a topic you care about.
Watch out
a broad keyword can send a lot of posts; each one that runs an action costs a task, so keep the keyword narrow.
4

New Scraped Lead

Instant trigger

In Zapier“Triggers when a new scraped lead meets filter criteria”

Runs when Letterdrop collects a new lead through scraping and that lead passes your criteria. It keeps these leads apart from the engaged ones, so you can treat them differently.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
scraped leads go to a review list first, while engaged ones go straight to sales.
Watch out
a scraped lead has not engaged with you yet, so a Zap that drops it straight into a sales sequence treats it like a warm one.
Actions

The Letterdrop action

Letterdrop gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Transcript

Action

In Zapier“Adds a transcript for analysis and content creation”

Sends the transcript of a meeting to Letterdrop, which then analyzes it and draws content from it. Speaker names, timestamps and the full text should all be in the text you send.

When to use it
your call recorder produces a transcript after each customer call, and you want Letterdrop to turn it into material.
Watch out
six fields are required, the start time must follow a format like 2025-05-02T15:57:43Z, and Format takes plaintext by default.
When it breaks

When a Letterdrop Zap breaks

Zapier links no help article to Letterdrop, so these cases come from the rules every Zap follows.

Most problems come from timing and volume rather than from the connection itself. When the cause is not obvious, open our Zapier troubleshooting page.

  • Older leads never show up

A Zap only reacts to what happens after it is published. Leads Letterdrop found before that stay out; moving them is a separate job.
  • A sudden flood gets held back

When a trigger suddenly sends a huge batch, for example after a bulk import or a migration, Zapier's flood protection can hold it back.
  • A transcript is refused

Add Transcript fails when one of its six required fields is empty or the start time is not in the expected format. A failed action costs no task.
  • A Zap that stays silent

Each trigger only fires for leads or posts that meet the filter criteria set in Letterdrop. If nothing arrives, check those criteria before suspecting the connection.

FAQ

Letterdrop Zapier integration: your questions

01Is the Letterdrop Zapier integration free?
Yes. Letterdrop is not a premium app, so it runs on the free Zapier plan. That plan gives you 100 tasks a month and as many Zaps as you want, with a limit few people mention: each Zap is two steps, one trigger and one action. Push new leads into your CRM and you stay free; add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Letterdrop Zap use?
One task per action that succeeds. The trigger itself never costs anything, so Letterdrop reporting a lead or a post is free. A Zap that sends each new lead to your CRM uses one task per lead; one that also posts to your team chat uses two. A failed action is not counted against your plan. Watch broad keyword monitoring: many posts mean many runs, and each run with an action is a task.
03Does Letterdrop send leads to Zapier in real time?
Yes. All four Letterdrop triggers are instant triggers: Letterdrop tells Zapier the moment a lead or a post meets your criteria, and the Zap starts right away. The plan interval grid, which is every 15 minutes on the free plan, does not apply to them, so a free account gets leads as fast as a paid one. The editor marks these Zaps with a lightning bolt, and that cannot be changed.
04What does it take to connect a Letterdrop account?
A Letterdrop account, plus access to what you want the Zap to read or change. In Zapier you open the Apps page, click + Add connection, search for Letterdrop, sign in in the tab that opens and grant access. The connection is then reused by every Letterdrop step. If you plan to use Add Transcript, also check that your call tool gives you a call ID, a start time and participant emails.
05Why would Letterdrop reject a transcript sent from Zapier?
Usually because one of the six required fields is missing or badly shaped. Add Transcript wants a title, a call start time in a strict date and time format, a call ID, the transcript text, the participants as comma-separated emails, and a format set to plaintext or array. The transcript should carry speaker names and timestamps. Test the step on a real call before publishing; a failed run costs no task.
06What if the Letterdrop step you need is not in Zapier?
Then the integration does not cover it today. The 4 triggers and 1 action on this page are everything Zapier shows in the editor. You cannot create a lead or look one up from a Zap, and the single action only accepts meeting transcripts, so everything else stays inside Letterdrop. The usual way forward is to keep that part in Letterdrop by hand, or to check whether another automation platform reaches more of the app first.
07Zapier, Make or n8n for Letterdrop?
It depends on your criteria rather than on a winner. Zapier gives you four instant triggers and one action that run on the free plan, with two-step Zaps unless you pay. Make has its own Letterdrop integration, and n8n is another option worth checking. Compare how each one bills runs, how many steps you get without paying, and which Letterdrop events each exposes, against the flows you plan to build.
