What the Linkly Zapier integration does for your links

Linkly shortens URLs and tracks the clicks they get. Through Zapier it can start a Zap (the automation you build on Zapier: one trigger, then one or more actions) when a link is clicked, created or deleted, and it can take orders to create, change or remove links coming from your other tools.

Three outcomes come up most. A click log you own: Any Link Clicked (Instant) sends every click in the workspace to a spreadsheet, so you can sort and chart it your way. A watch on the one link that matters: Specific Link Clicked (Instant) follows a single link you pick, which keeps a busy workspace from flooding the Zap. Links made where the work starts: Create Link builds a Linkly link from a URL that lands in another app, with options such as Cloaking or Block bots & spiders set at the same time.

Now the limits. The only search, Get Link, fetches one link you select; there is no visible step that lists all your links or pulls a click report for a period. Each click is also a separate Zap run, and every run that carries an action spends a task, so a link with heavy traffic adds up quickly.

The trigger never costs a task, and waiting for a click costs nothing either. Each action that succeeds counts once, so a three-action Zap uses three times more than a one-action Zap; a failed action is not counted. The free plan stops at two steps, one trigger and one action. A filter, the Get Link search or a second action turns it into a multi-step Zap, which needs a paid plan. The polling grid below does not apply to this app: its four triggers are instant.

    Go to the Apps page of your Zapier account and click + Add connection. A connection is your Linkly account linked once, then reused by every Zap step that needs it.

    Type Linkly in the search box of the dialog, select it, then click Add connection. The Linkly account has to exist before this step, with the workspace you plan to automate.

    A tab opens on Linkly. Sign in and grant Zapier access to the account. If the links you want to change belong to someone else, your login needs write access to them.

    Start a new Zap, choose Linkly as the app and Any Link Clicked (Instant) as the event, then pick the connection you added earlier.

    Run the test. Zapier brings back the three most recent items from your account, so you map fields from a real click rather than from blanks.

    Add the spreadsheet action

    Pick your spreadsheet app and its new-row action, then map the click details you care about into separate columns of the sheet.

    Run the step once and open the sheet to check the row. If a column comes out empty, fix the mapping now rather than after publishing.

Searches

The Linkly search on Zapier

1 search step looks for data that already exists in Linkly, so a later step can use it.

A search step fetches an existing link so later steps can use its details. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not one clean match.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns a search into a find-or-create. Linkly offers no such variant on Get Link, so this box will not appear here.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When a Linkly Zap breaks

Zapier links no help article to Linkly and documents no limit specific to the app. What breaks is general Zapier behaviour, plus the loops that link triggers make easy to build.

  • A Zap that keeps setting itself off

    A Zap that writes where its own trigger watches restarts again and again. New Link Created (Instant) followed by Create Link is exactly that loop, and the task count drains fast.
  • Old clicks and links are not picked up

    A Zap only reacts to what happens after it is switched on. Clicks and links from before stay out of reach; moving that backlog is a separate job.
  • A sudden flood gets held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration for instance, Zapier's flood protection can hold the Zap back.
  • The link list is empty

    Steps that ask you to select a Link only show what the connected account can see. A link in a workspace that account cannot reach will not appear.

Linkly Zapier integration: common questions

01Is the Linkly Zapier integration free?
Yes. Linkly is not a premium app, so it runs on the free Zapier plan, which gives you 100 tasks a month and unlimited Zaps. The limit is size: a free Zap has two steps, one trigger and one action. Add a filter, the Get Link search or a second action and the Zap becomes multi-step, which needs a paid plan. A simple pair, such as every click sent to a spreadsheet, stays free as long as your task count holds.
02How many tasks does a Linkly Zap use?
The trigger uses none. Zapier bills one task for each action that completes successfully, so a one-action Zap uses one task per run and a three-action Zap uses three. Failed actions are not counted. With Any Link Clicked (Instant), every click in the workspace is a run, so traffic drives the count. Specific Link Clicked (Instant) narrows that to one link, which is the easiest way to keep tasks in check without adding a paid filter.
03Do Linkly triggers fire in real time?
Yes. All four Linkly triggers are instant: Linkly reports the event to Zapier itself as soon as a link is clicked, created or deleted. The polling interval of a plan, 15 minutes on the free plan, does not apply to them, and a paid plan will not make them faster. The type comes from the app and cannot be changed in the editor. A Zap built on one of them shows a lightning bolt next to the trigger.
04What does it take to connect Linkly to Zapier?
A Linkly account and a Zapier account. From the Apps page in Zapier you click + Add connection, search for Linkly, click Add connection, sign in on the tab that opens and grant access. If the links you plan to change belong to someone else, your login needs write access to them. The connection is made once, and every Linkly step in any Zap then picks it from a list instead of asking again.
05Why can't a Linkly link be selected in a Zap step?
Because the connected account cannot see it. Specific Link Clicked (Instant), Update Link, Delete Link and Get Link all ask you to select a Link, and the list only shows links that account can reach. Check that you connected the right Linkly login and that it has access to the workspace holding the link. If several people share Linkly, the simplest fix is to connect the account that owns the links.
06What if the Linkly step that's needed isn't listed?
Then Zapier cannot do it with Linkly today. The integration offers Create Link, Update Link and Delete Link, plus the Get Link search for one link at a time, and Linkly sets that list, not Zapier. There is no visible step that lists every link or pulls a click report for a period. A workaround is to keep your own log, fed by the click and creation triggers, in a sheet you can query later.
