What the Loopion Zapier integration does for your follow-ups

The Loopion Zapier integration connects Loopion, a meeting accountability tool that transcribes meetings and tracks each action item until it is done, to the apps where the work actually happens. Loopion reports its events to Zapier as they occur, and Zapier can send one thing back: the order to mark an item completed.

Three results come out of it. Action items that land where the team works: New Action fires when Loopion captures an item, with its owner, due date and a link back, so a task can be opened in your project tool without retyping. Reminders in the channel people read: New Action Reminder fires when Loopion sends a follow-up for an open item, so the nudge can also appear in your team chat. Both sides closed at once: Action Completed closes the mirrored task elsewhere, and Complete Action does the reverse, closing the Loopion item when the task is done in another tool.

What Zapier does not do here matters just as much. Meeting Summary Ready does not carry the recap itself: it brings a notification with a link, and the summary stays in Loopion. There is no search step, so a Zap cannot find a Loopion item by its title. And Zapier lists the app as beta, which means its operations can still change.

The five Loopion triggers cost nothing, however many meetings produce items. Each action that goes through costs one task, whether it opens a task elsewhere or runs Complete Action in Loopion; a failed one is not counted. The free plan gives 100 tasks a month and Zaps of two steps: one trigger, one action. A filter on New Event, or a second action, makes the Zap multi-step, which needs a paid plan. The interval grid below is Zapier's grid for polling triggers; it does not apply to Loopion, whose five triggers are all instant.

    Open the Apps page

    In your Zapier account, open Apps and click + Add connection. You need a Loopion account first, with access to the meetings and action items you do not own yourself.

    Pick Loopion

    Type Loopion in the search box of the dialog that opens, pick it from the list of results, then click Add connection. A new tab opens on the Loopion side.

    Sign in to Loopion in that tab and grant Zapier access to the account. The connection then shows up in Apps, and every Loopion step of every Zap reuses it.

First Zap

    Build the Zap from Loopion and New Action. It is instant: Loopion reports each new item the moment it is captured, whatever your plan.

    Run the test. Zapier brings back the three most recent action items of the connected account, so you map the next steps on a real item with its owner and due date.

    Add the filter

    Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value. The Zap is now multi-step, so it needs a paid plan.

    Add the project task

    Pick your project tool and its create-task action. Map the item's text into the title, the due date into the due date, and paste the link back to Loopion into the description.

When it breaks

When a Loopion Zap breaks

Zapier ties no help article to Loopion and documents no rate limit for it. What breaks comes from Zapier's own rules and from how the triggers and the action meet.

Four cases come back most often. When a Zap stops for a reason not listed here, the Zapier troubleshooting page goes further.

  • The Zap closes items in a loop

    A Zap on New Event that runs Complete Action creates a completed event, which starts the same Zap again. Filter that event out, or use New Action instead.
  • Earlier meetings never arrive

    A Zap only reacts to what happens after you publish it. Items and recaps from meetings held before are not picked up and need a separate one-off job.
  • The recap text is missing

    Meeting Summary Ready carries a notification and a link, not the summary itself. A step that expects the text will find nothing to map.
  • A big batch is held back

    When a long meeting or an import produces many items at once, the trigger can return a large batch, and Zapier's flood protection can hold it back.

Loopion and Zapier: common questions

01Is the Loopion Zapier integration free?
Yes, as long as the Zap has two steps. Loopion is not a premium app, so the free plan accepts it, with 100 tasks a month. The limit is the shape: one trigger and one action, nothing more. New Action followed by one project task fits. Add a filter, for example to keep only some items, or a second action, and the Zap becomes multi-step, which needs a paid plan. The five Loopion triggers never cost a task. Note that Zapier lists Loopion as beta.
02How many tasks does a Loopion Zap use?
One task per action that succeeds, each time the Zap runs. A Zap that opens a project task for each new item uses one task per item. A Zap that also posts a message in team chat uses two per item. The triggers cost nothing, and an action that fails is not counted. Meetings that produce many items make the count grow quickly, so estimate how many action items your meetings generate in a month before picking a plan.
03Does Loopion work in real time with Zapier?
Yes. All five Loopion triggers are instant: Loopion tells Zapier the moment an item is created, completed or reminded, or a recap is ready, and the Zap starts right away, whatever the plan. The interval grid of the plans, from 15 minutes on Free down to 1 on Team and Enterprise, only concerns polling triggers, and Loopion has none. In the editor, these Zaps show a lightning bolt. The actions then run in order, each one as soon as the step before it is done.
04What does connecting a Loopion account take?
A Loopion account, plus access to the meetings and items you do not own. In Zapier, open Apps, click + Add connection, search for Loopion and click Add connection. A tab opens: sign in to Loopion and grant Zapier access. Every Loopion step then reuses that connection. For Complete Action, make sure the item you want to close is still open, or that an earlier New Action trigger brings its Action ID into the Zap.
05Why does Meeting Summary Ready not include the recap?
Because Loopion sends a notification with a link, not the summary itself. The recap lives in Loopion, and what reaches Zapier is the signal that it is ready plus the way to open it. That is enough to post the link in team chat or to email attendees. It is not enough to copy the summary into a document or a CRM note, since there is no text in the data to map. Plan the Zap around the link.
06What if the Loopion operation for the job is missing?
Then the Zap works with the six that exist: five triggers and one action. Zapier offers no step to create an item in Loopion, no step to edit one, and no search to look one up by title. Items enter Loopion through meetings or by hand, and Zapier picks them up from there. The only change Zapier can make in Loopion is Complete Action. For anything else, the work stays in Loopion itself.
