What the Lua Legal Zapier integration is for
Lua Legal takes notes on your phone calls, video calls and in-person meetings, then writes a summary and a list of action items. On Zapier it works both ways: one instant trigger that fires when a meeting is processed, and one action that feeds it a call recording to transcribe.
Three outcomes show what that buys you. Action items that become tasks: Meeting Completed starts the Zap and the next step creates a task per meeting in your task manager, so the follow-ups do not stay buried in a note. A summary where the team reads it: the same trigger can post the meeting summary to a shared document or a chat channel. Recordings that become notes: Transcribe Recording takes a recording link from your phone system and returns a meeting note in Lua Legal, without anyone uploading the file by hand.
What Zapier does not do here matters just as much. There are no searches, so a Zap cannot look up an earlier meeting or note. Transcribe Recording only takes a link to the audio, coming from a VoIP provider (an internet phone service); it is not a way to edit an existing note. And Meeting Completed only sees meetings processed after the Zap is switched on, never the ones already in your account.

Zapier words in one minute
Seven terms come back on every Zapier page. Here they are in plain words, once.
- Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Here, a meeting Lua Legal has finished processing.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you, in Lua Legal or elsewhere.
- Task
- The unit Zapier bills. One action that completes successfully is one task; your plan counts those, nothing else.
- Polling vs instant
- A polling trigger is checked on a timer by Zapier. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What a meeting costs you in tasks
Meeting Completed never costs a task, and Zapier waiting for the next meeting costs nothing either. Only successful actions count, Transcribe Recording included. Lua Legal is not a premium app, so it runs on the free plan.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, two-step Zaps
- Trigger cost0 tasks
- Transcribe Recording1 task when it succeeds
The free plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. A filter or a second action makes the Zap multi-step, which needs a paid plan. One meeting that feeds a task and a chat message uses two tasks; a failed action is not counted. The interval grid below is for polling triggers only: Meeting Completed is instant, so it does not apply to this app's trigger: a meeting never waits for a check.
Connect Lua Legal to Zapier in three steps
- 01
Open your connections
In Zapier, open the Apps page of your account and click + Add connection. A connection is your Lua Legal account linked once, then reused by every Zap that touches it.
- 02
Pick Lua Legal
Type Lua Legal in the search box of the dialog, select it, then click Add connection. The same connection serves both Meeting Completed and Transcribe Recording.
- 03
Sign in and allow access
A tab opens on Lua Legal. Sign in and grant Zapier access to the account. If the Zap will touch notes you do not own, make sure you have read or write access on them.
Your first Zap: action items straight into your task list
GoalEach processed Lua Legal meeting that passes your condition creates a follow-up task with its action items, and the rest stay out.
- 01
Create the Zap
Start a new Zap in the Zapier editor. Choose Lua Legal as the app that starts it, Meeting Completed as the event, then select the connection you just added.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent processed meetings; pick one with action items so the next steps map onto real content.
- 03
Add the filter
Click the plus icon and add Filter. Set the field to look at, the rule and the value. Use a text rule on text fields and a number rule on numbers.
- 04
Add the task action
Add your task manager as the action app, choose the event that creates a task, then drop the meeting summary and action items into its fields.
- 05
Test and publish
Test the action and open the task it created. If it reads right, click Publish. With the filter this is a multi-step Zap, so it needs a paid plan.
The Lua Legal trigger
1 event starts a Zap when something happens in Lua Legal, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Meeting Completed
Instant triggerIn Zapier“Triggers when a meeting recording is completed and processed, including the transcript, summary, action items, and time entries.”
Starts your Zap once Lua Legal has finished processing a recorded meeting, and passes along the transcript, the summary, the action items and the time entries it produced. Everything the notetaker wrote is then available to map into the next step.
The Lua Legal action
Lua Legal gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Transcribe Recording
ActionIn Zapier“Accepts an audio recording URL from a VoIP provider and transcribes it into a meeting note.”
Hands Lua Legal the link to an audio recording from your VoIP provider and gets back a meeting note built from its transcription.
When a Lua Legal Zap breaks
Zapier attaches no help article to Lua Legal and lists no limit of its own for it. What breaks here is what breaks on any Zap, applied to meetings and recordings.
Four cases come up, each with a plain fix. For everything else, start with Zapier troubleshooting.
Past meetings never show up
A Zap reacts only to what happens after it is switched on. Meetings already processed in Lua Legal are not picked up; moving that history is a separate job.The Zap keeps setting itself off
A Zap that writes into the very place its own trigger watches restarts again and again and drains your tasks. Send the output somewhere else.A big batch gets held back
If a bulk import suddenly produces a large pile of items at once, Zapier's flood protection can hold the batch back instead of running all of it.The filter never passes
Filter rules are typed: a text rule only works on text, a number rule only on numbers. The wrong type is the usual reason nothing gets through.
