What the MemberVault Zapier integration does for you

The MemberVault Zapier integration connects your courses and memberships to the rest of your tools. MemberVault reports seven events to Zapier on its own (lessons, modules, points, leads, actions, signups, consent), and Zapier can add a user to a product or take them out of it.

A course path that unlocks itself. A student finishes a module; Completed Module fires and Add User to Product grants access to the next product. If they have no login yet, MemberVault creates one for them.

Hot leads flagged without watching a dashboard. Hot Lead fires when a user crosses the number of views you set. Send that person to the place where you follow up on leads, so the warmest contacts never wait for someone to notice them.

Consent kept in step everywhere. User Email Consent fires when someone approves or refuses email contact. Pass that answer on to the tool you send email from, so both sides agree on who can be contacted.

What Zapier doesn't do here. There is no search, so a Zap can't look up a user or a product first. There is no action to create a product, a lesson or a module either: the two actions only move people in and out of products that already exist. And a user you add to a product by hand never fires User Added to a Product.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. MemberVault offers seven of them.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, in MemberVault or elsewhere.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of these.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for a check. All seven MemberVault triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. MemberVault has none of these.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.

MemberVault isn't a premium app, so it works on the free plan: 100 tasks a month, unlimited Zaps, two steps each. A filter or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below is the polling one of Zapier: it does not apply to MemberVault, whose seven triggers are all instant and fire straight away on any plan. A few apps and actions take more than one task when they complete, so read the count after your first test.

Connect MemberVault to Zapier in three steps

    Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. A dialog with a search box appears: type MemberVault and pick it from the results.

    Sign in to MemberVault

    Click Add connection. MemberVault opens in a new tab: sign in with the account that holds your products. You need an account on the app, plus read or write access on anything you don't own yourself and want the Zap to touch.

    Grant access

    Grant Zapier access to the account. The connection is saved once; every MemberVault step in every Zap then picks it from a list, so the sign-in is not repeated for each new Zap.

First Zap

Your first Zap: finish a module, unlock the next product

GoalWhen a student completes a chosen module, add them to the follow-up product in MemberVault, with a filter to keep only the cases you want.

    Create the Zap on Completed Module

    Create a Zap, pick MemberVault as the trigger app and Completed Module as the event. Choose the module to watch in the Module field; it is required.

    Test the trigger

    Run the trigger test. Zapier brings back the three most recent items of the connected account, so you map fields on a real completion rather than on an empty example.

  3. 03

    Add a filter

    From the plus icon, add a filter and fill its three boxes: the field to look at, the rule, the value. Pick a text rule for text. The filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add Add User to Product

    Pick MemberVault again and Add User to Product. Map Email from the trigger step and choose the Product to open. Both fields are required.

  5. 05

    Test, then publish

    Test the action and check in MemberVault that the user now has the product. Then publish the Zap to switch it on. Modules completed before that moment are not picked up.

Instant trigger

Starts on each signup to the product you specify. It is the natural start for anything that should follow a new registration: a welcome, a record in your contact list, a first task for the team.

Action

Takes a user out of a product, identified by their email address. It is the reverse move of the action above and closes the access it opened.

When to use it
an event in another tool means a person should lose access to a product.
Watch out
Email is the only required field; check at the test step how you choose which product to remove the user from.
When it breaks

When a MemberVault Zap breaks

Zapier documents no rate limit or error message specific to MemberVault. What goes wrong comes from the general rules of Zapier, plus two quirks written in the trigger settings themselves.

Read these four cases before switching a Zap on. Two come from the general rules of Zapier, two from the settings of the MemberVault triggers.

  • No backlog from before the Zap

    A Zap only reacts to what happens after you switch it on. Lessons completed earlier are not picked up; moving that history is a separate job.
  • EP thresholds look backwards

    Earned X EP is the exception: MemberVault applies it to current users who already meet the number, so a new Zap can fire for people who crossed it long ago.
  • Manual adds do not start the Zap

    User Added to a Product reacts to signups only. A user you add to the product by hand does not start the Zap, so that person never reaches the next steps.
  • A Zap that sets itself off

    A Zap that writes into the very place its own trigger watches can start itself again and burn through tasks. Keep the trigger and the target apart.

MemberVault and Zapier: questions people ask

01Is the MemberVault Zapier integration free?
Yes. MemberVault isn't a premium app, so its seven triggers and two actions all work on the free plan of Zapier. That plan gives 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. Completed Module followed by Add User to Product fits that frame exactly. Adding a filter or a second action turns the Zap into a multi-step Zap, and that needs a paid plan.
02How many tasks does a MemberVault Zap use?
One task per action that succeeds, nothing for the trigger. A Zap that fires on Hot Lead and adds the person to a product costs one task each time it runs. If Add User to Product or Remove User From Product fails, nothing is counted. Put two actions in the same Zap and each one that works counts separately, so the bill follows the number of successful actions. A few apps and actions take more than one task, so read the count after your first test.
03Is MemberVault on Zapier real time?
Yes, on every trigger. All seven MemberVault triggers are instant: MemberVault tells Zapier itself the moment the event happens, so the Zap starts straight away. The polling interval of your Zapier plan does not apply to them at all, which is why a free plan gets the same reaction time as a paid one here. In the editor, a Zap built on an instant trigger shows a lightning bolt. That type is set by MemberVault itself and can't be changed from the editor.
04What does it take to connect MemberVault to Zapier?
A MemberVault account, plus read or write access on anything you don't own yourself and want the Zap to touch. On the Apps page of Zapier, click + Add connection, search for MemberVault, click Add connection, sign in in the new tab and grant access. The connection is saved and reused by every MemberVault step. Create the lessons, modules and products you plan to use first, since most triggers and Add User to Product ask you to pick one.
05Why does Earned X EP fire for users who reached the points long ago?
Because MemberVault applies EP triggers retroactively. The Number of EP field notes that any EP-based trigger takes effect for current users who already meet the number you set. So a fresh Zap on Earned X EP can run for people who crossed the threshold before it existed, unlike every other trigger here. Count on that before you connect an action that sends something or opens a product, and test with a threshold you have checked first.
06What if the MemberVault operation you want isn't in Zapier?
Then it isn't available in this integration today. Zapier offers seven triggers and two actions for MemberVault, and no search. Creating a product, editing a user profile or looking someone up are not part of it. The two actions cover access only: Add User to Product and Remove User From Product. If the missing move happens elsewhere, start the Zap on a MemberVault trigger and let the other app do the work in the action step.
