What the MemoMeister Zapier integration does

The MemoMeister Zapier integration connects your MemoMeister project files to other tools through Zaps, the automations you build on Zapier. MemoMeister documents projects with memos: photos, videos, plans or forms, each with a description, kept in a structured digital project file. On Zapier it can start a Zap, file new memos and folders, and look them up.

Three results worth building, each on a real step. A heads-up when something lands in a project: New Memo Inside a Specific Folder watches one folder, and the next step tells whoever follows that project. A project file set up from elsewhere: Create Folder opens a folder by name, and Move Folder puts it where it belongs. And notes filed without opening the app: Create Text-Memo turns a text from another tool into a memo, while Create Memo does the same with a file.

Picture a project folder that several people feed from their phones. Each new memo in it can post a line in the team chat, so nobody has to check the folder to know something arrived (and nobody misses the photo that changes the plan).

What Zapier does not do here. Its triggers are not instant: Zapier checks for new memos and folders at your plan's interval. The folder-specific triggers ignore subfolders, so a memo dropped one level deeper does not count. And there is no step to delete, rename or comment on a memo from a Zap.

Only completed actions are billed: each Create Memo, Create Folder or Move Folder that succeeds counts as one task, and one that fails does not. The free plan stops at one trigger and one action, so a search or a filter makes the Zap multi-step and paid.     Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your MemoMeister account linked once, then reused by every MemoMeister step in your Zaps.

    Pick MemoMeister

    Search MemoMeister in the dialog, pick it, then click Add connection. You need a MemoMeister account first, plus read or write access on anything you do not own yourself and want the Zap to touch.

    Start a new Zap in the editor. It will have three steps: the new memo, a filter and the chat message. The filter makes it a multi-step Zap, which needs a paid plan.

    Choose MemoMeister, then New Memo Inside a Specific Folder, and pick the folder to watch. Memos added to its subfolders will not start this Zap.

    Run the test. Zapier brings back the three most recent items of the connected account, so map the next steps on a real memo and read which fields come with it.

    Add a Filter step and fill its three boxes: the field to look at, the rule and the value to compare with. A text rule only works on text, so pick the right kind.

When to use it
a project changes status and its folder should leave the active area for an archive folder.
Watch out
Folder and Destination Folder are both required, so the Zap must know both; Find a Folder placed just before is one way to get the destination.

Find a Memo

Finds a memo by its description and hands it to the steps that follow.

When to use it
a later step needs a memo you filed earlier, and you know how it was described.
Watch out
Memo Description is required; Find or Create Memo in MemoMeister is the same search with creation switched on, so a missing memo gets created rather than stopping the Zap.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this box turns the search into a find-or-create: the setting above disappears, and the step asks for the fields needed to create the missing item.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a MemoMeister Zap breaks

Zapier ties no help article to MemoMeister and lists no limit of its own. What goes wrong is what goes wrong on any Zap, applied to folders and memos.

  • Existing memos are not picked up

    A Zap only reacts to what happens after it is published. Memos and folders already in the account stay out; moving that backlog is a separate job.
  • A folder Zap that restarts itself

    A Zap that writes where its own trigger looks can set itself off again and again and burn through tasks. Keep what a Zap creates away from what it watches.
  • A bulk upload can be held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold that batch back.
  • No double start on the same memo

    On a polling trigger, Zapier keeps track of what it has already seen, so the same memo or folder does not start the Zap twice.

Yes, for Zaps of two steps. MemoMeister is not a premium app, so it runs on Zapier's free plan, which gives 100 tasks a month and unlimited Zaps, each made of one trigger and one action. New Memo followed by one chat message fits there. A filter that keeps only some memos, a Find a Folder step before Move Folder, or a second action makes the Zap multi-step, and that needs a paid plan. The free plan also checks for new memos at its slower interval.
02How many tasks does a MemoMeister Zap use?
One per action that succeeds. The four MemoMeister triggers cost nothing, and Zapier checking for new memos or folders is free however often it runs. A Zap that posts one message per new memo spends one task per memo. A Zap that finds a folder and then moves it spends a task on each completed step. An action that fails is not counted. On busy project folders, watch the count: every memo filed is one more run.

No. All four MemoMeister triggers are polling ones: Zapier goes to look for new memos and folders at a fixed interval, set by your plan. That is every 15 minutes on Free, every 2 on Professional, and every minute on Team and Enterprise. On paid plans, you can also change how often a trigger checks, or run a check by hand from the editor. The type is set by the app, so no setting turns it instant.
04What does it take to connect MemoMeister to Zapier?
A MemoMeister account, plus read or write access on anything you do not own yourself and want the Zap to touch, such as a project folder shared with you. In Zapier, open the Apps page, click + Add connection, search MemoMeister, click Add connection, then sign in in the tab that opens and grant access. The connection is made once and every MemoMeister step reuses it. For Move Folder, that access covers both folders involved.
05Why does a memo in a subfolder not start the Zap?
Because New Memo Inside a Specific Folder only watches the folder you picked, not its subfolders. A memo filed one level deeper is invisible to it. Two ways out: point the trigger at the subfolder where memos actually land, or use New Memo, which covers every folder, and add a filter on the folder to keep only the ones you want. The second route makes the Zap multi-step, so it needs a paid plan.
06What if the MemoMeister step you want is not on Zapier?
Then the editor will not offer it. The MemoMeister page on Zapier shows the current list: four triggers, four actions and two searches, with find-or-create variants on both searches. There is no step to delete, rename or comment on a memo. Check first whether a pair covers it, for example Find a Folder then Move Folder to archive a project, and test the combination on a real folder before you switch it on.
