What the MessageBird Zapier integration is for
Connecting MessageBird to Zapier lets your other tools send texts and voice calls without anyone typing a phone number. An event happens somewhere else (a booking, a signed deal, a form), and MessageBird does the talking. It runs on the free plan, since MessageBird is not a premium app.
Three results worth building. Reminders that leave on their own: an appointment booked in your scheduling tool fires Send SMS to the client's phone. Alerts you cannot miss: a critical event in your monitoring tool triggers Send Voice Message, which reads the text aloud to the person on call. A contact list that fills itself: each new customer elsewhere becomes a MessageBird contact through Create Contact, phone number included.
Now the limits. MessageBird has no trigger on Zapier, so nothing that happens inside MessageBird (an incoming text, a reply) can start a Zap. There is no search either, so a Zap cannot check whether a contact already exists before creating it. Every Zap therefore starts in another app and uses MessageBird as the output.

- A polling trigger is checked by Zapier on a timer; an instant one is reported by its app straight away. It depends on the app before MessageBird.

- A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.

The trigger in the other app never costs a task. Each MessageBird action that succeeds counts once, and an action that fails is not counted. A Zap that creates a contact and then sends a text uses two tasks per run. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. How fast the Zap reacts depends on the trigger app, checked every 15 minutes on the free plan when it polls.
Connect MessageBird to Zapier in 3 steps

Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. Search for MessageBird in the dialog and select it. A connection is your MessageBird account linked to Zapier once, for every Zap.

Sign in to MessageBird
Click Add connection. A tab opens on MessageBird: sign in with the account that will send the messages, the one your team actually uses for texts and calls.

Grant access
Allow Zapier to use the account. The connection is saved once, and every MessageBird step of every Zap reuses it from then on, without a new sign in. Nothing else to set up here.
Your first Zap: text the customer when a deal is won

Create the Zap and pick the trigger
Start a new Zap and choose your CRM with its won deal event. MessageBird has no trigger, so the starting point always lives in another app.

Test the trigger
Run the test: Zapier brings back the three most recent items from the connected account. Pick a real deal, it will feed the mapping later on.

Add the filter
Add a Filter step so that only deals with a phone number go further. This makes the Zap multi-step, which needs a paid plan.

Add Send SMS
Add MessageBird with Send SMS. Fill the sender, the text and the recipients, mapping the phone number from the trigger with its country code.

Test, then publish
Run the action test with your own number first to read the message as the customer will. Then click Publish to switch the Zap on.

When a MessageBird Zap breaks
Zapier attaches no help article to MessageBird, so the failures worth knowing are the ones every Zap shares, plus the phone number format above.

Past events are never sent
A Zap only reacts to what happens after it is switched on. Customers who booked before that get no text; reaching them is a separate job.Loops burn your task count
