What the NextPhone AI Zapier integration is for
NextPhone AI is an AI phone assistant built for service businesses and law firms: it picks up calls around the clock (24/7), qualifies the people calling, takes messages and books appointments. On Zapier it exposes one event, a completed call, which lets every call that ends start work in your other tools.
With a single trigger, the value is in where each call goes next. Three results people set up. A team that hears about every call: Call Completed starts a Zap that posts a message in your team chat. A call log in a spreadsheet: the same trigger adds a row per call, so the history stays readable in one place. A contact in your CRM: an action in your CRM records the call with the values you saw at the test, so follow-up does not depend on someone's memory.
Here is the good news for a free plan: Call Completed is an instant trigger. NextPhone AI tells Zapier itself when a call ends, so the Zap does not wait for the next check and the plan's interval grid does not apply.
What Zapier does not do here. NextPhone AI has no action and no search on Zapier, so no Zap can change anything inside NextPhone AI: the flow only goes out. A Zap also ignores calls that ended before it was switched on.

Zapier vocabulary in one minute
A handful of Zapier words come back on this page. Here they are in plain English, once.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap, here a call that ends on your NextPhone number. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you in another tool.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant one is reported by the app the moment it happens. NextPhone AI's trigger is instant.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.
What a NextPhone AI Zap really costs
Zapier bills tasks, not Zaps. The Call Completed trigger never costs a task, however many calls your number takes.
- TriggerInstant, never billed
- Successful action1 task each
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
Only the actions in your other tools count: each one that goes through is one task, and one that fails is not counted. A Zap that logs each call in a sheet and posts in chat uses two tasks per call. The free plan gives 100 tasks a month and unlimited Zaps, each limited to one trigger and one action. A second action or a filter makes the Zap multi-step, which needs a paid plan. NextPhone AI is not a premium app, so it works on the free plan. The grid below gives Zapier's polling interval per plan; it does not apply to Call Completed, which is instant.
Connect your NextPhone AI account to Zapier
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. In the dialog that opens, type NextPhone AI in the search box and pick it from the results.
- 02
Sign in to NextPhone AI
Click Add connection, then sign in to NextPhone AI in the tab that opens. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.
- 03
Grant access
Allow Zapier to reach the account. The connection is saved once and reused by every Zap that starts from a NextPhone AI call, so you do it a single time.
Your first NextPhone AI Zap, step by step
GoalEach completed call gets a row in your call log spreadsheet, then a message in your team chat.
- 01
Create the Zap
Start a new Zap, choose NextPhone AI as the trigger app and Call Completed as the event. Connect your account if Zapier asks for it.
- 02
Test the trigger
Run the test: Zapier brings back the three most recent calls of your account, so you map a real one. Read what came back to see which values you can pass on.
- 03
Log the call
Add your spreadsheet as the action and map the values from the test into its columns. With just these two steps, the Zap runs on the free plan.
- 04
Alert the team
Add a second action that posts in your team chat. The Zap becomes multi-step, so it needs a paid plan, and each call now uses two tasks.
- 05
Test, then publish
Run each step once and read what came back before going on. When the row and the message look right, publish the Zap to switch it on.
The NextPhone AI trigger
1 event starts a Zap when something happens in NextPhone AI, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Call Completed
Instant triggerIn Zapier“Triggers when a call is completed on your NextPhone number.”
Starts a Zap each time a call ends on your NextPhone number. It is the only operation the app offers on Zapier, so every NextPhone AI Zap begins here and does its work in other tools.
When a NextPhone AI Zap breaks
Zapier attaches no help article to NextPhone AI, and no limit specific to the app has been recorded. What follows are the general Zapier limits that still apply to an instant trigger.
Keep these three cases in mind before you publish. When a Zap does stop, see our Zapier troubleshooting guide.
Past calls stay behind
A Zap only reacts to what happens after it is switched on. Calls that ended earlier are not sent; moving that history is a separate job.A Zap that restarts itself
As a general rule, a Zap that writes into the place its own trigger watches can set itself off again and burn through the task count.A sudden flood held back
When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
