Overview

What the Nexvio Zapier integration does for you

The Nexvio Zapier integration connects your Nexvio support agent to the rest of your tools. Zapier sees four events (a contact created or updated, a ticket created or updated) and offers five actions on tickets, contacts and AI replies. All four triggers are instant: Nexvio tells Zapier itself, so nothing waits for a timer.

A ticket the team sees straight away. New Ticket starts the Zap and a message lands in your team chat. Nobody has to keep Nexvio open in a tab to notice a new request.

A first answer from your agent. New Ticket starts the Zap and Generate AI Reply asks the Nexvio agent you pick to answer a message, with that agent's own prompt and model. Check at the test what the step returns before you send it anywhere.

Contacts that stay in step with your other lists. Create or Update Contact matches people by email address, so a sign-up collected elsewhere either creates the contact in Nexvio or refreshes the one already there, without a duplicate.

What Zapier does not do here: there is no search step, so no Zap can look up a ticket or a contact that an earlier step did not carry. There is no action to delete a ticket or a contact, and the knowledge base that feeds Nexvio's answers is not among the operations. Updating or replying to a ticket always needs its Ticket ID from a previous step. If you are weighing other tools for this, see our n8n vs Zapier comparison.

Vocabulary

Zapier vocabulary in one minute

Eight terms carry this page. Here they are in everyday words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. Nexvio offers four of them.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, such as Create Ticket.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts exactly those.
Instant vs polling
Instant: the app calls Zapier the moment the event happens. Polling: Zapier checks on a timer. Every Nexvio trigger is instant.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app so later steps can use it. Nexvio has no search on Zapier.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Nexvio Zap really costs

Short answer: Nexvio works on the free plan, the triggers are free and each successful action costs one task.

  • Triggers (all four)0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Reserved for paid plansNo, Nexvio works on the free plan

None of the four triggers costs a task. Every action that goes through counts as one, and one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each held to two steps. A Zap that chains Generate AI Reply and a second action, or that adds a filter, is multi-step and needs a paid plan. The interval grid below is Zapier's general rule for polling triggers; it does not apply to Nexvio, whose triggers are all instant.

Connect

Connect Nexvio to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, open the Apps page and click + Add connection. Have a Nexvio account ready, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick Nexvio

In the dialog, type Nexvio, select it in the results, then click Add connection. A new tab opens for the sign-in. Pick the entry Zapier names exactly Nexvio; the sign-in itself happens in that new tab.

  3. 03

    Sign in and grant access

Sign in to Nexvio in that tab and grant Zapier access to the account. The connection is then reused by every Nexvio step, in every Zap you build later.

First Zap

Your first Nexvio Zap, step by step

GoalAsk a Nexvio agent to answer each new ticket, then alert the team chat so a person reviews it.

  1. 01

    Set the trigger

Create a new Zap, choose Nexvio as the app that starts it, then the New Ticket event. Select the connection you made earlier.

  2. 02

    Test with real tickets

Run the trigger test. Zapier brings back the three most recent tickets of the connected account, so you map on a real one and see which fields it actually carries.

  3. 03

    Add Generate AI Reply

Add an action, choose Nexvio, then Generate AI Reply. Pick the Agent and map into User Message a text from the test ticket; both fields are required.

  4. 04

Send the draft to the team

Add a second action in your team chat app. Check at the test what Generate AI Reply returned before you map anything from it into the message. Two actions make this a multi-step Zap, so it needs a paid plan.

  5. 05

    Test, then publish

Test each step once and read what came back. When the draft looks right, publish the Zap to switch it on. Tickets created after that start it; older ones stay out.

Triggers

The four Nexvio triggers

4 events start a Zap when something happens in Nexvio, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

New Contact starts the Zap each time a person is added to your Nexvio contacts.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a person who reaches your support agent should also appear in a mailing list or a shared sheet, without anyone copying the details across.
Watch out
only contacts created after you publish the Zap are sent; the ones already in Nexvio stay where they are.
2

Updated Contact

Instant trigger

In Zapier“Triggers when a contact is updated.”

Updated Contact reacts to a change on a contact that already exists in Nexvio, rather than to a new one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when another tool keeps its own copy of your contacts and needs the latest details each time someone edits them in Nexvio.
Watch out
a Zap that writes into the very place its own trigger watches can set itself off again; check at the test where each step writes.
3

New Ticket

Instant trigger

In Zapier“Triggers when a new ticket is created.”

New Ticket fires on every fresh support request opened in Nexvio.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when the team should hear about a request in its chat, or when Generate AI Reply should prepare a first answer to review.
Watch out
map fields from what the test brings back, not from what you expect a ticket to hold.
4

Updated Ticket

Instant trigger

In Zapier“Triggers when a ticket is updated.”

Updated Ticket watches tickets that already exist and starts the Zap when one of them changes in Nexvio.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a tracking sheet or a project board has to mirror the life of each ticket after its creation, not just the moment it was opened.
Watch out
a Zap that writes where its own trigger watches can loop; keep the destination of your actions apart from what you watch.
Actions

The five Nexvio actions

Nexvio gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Reply

Action

In Zapier“Appends a reply to an existing ticket thread.”

Add Reply writes a new message at the end of an existing ticket's thread in Nexvio.

When to use it
when an answer written elsewhere should be added to the right ticket, either for the customer or as an internal note.
Watch out
Ticket ID and Reply Body are required. Private Note is off by default, so the reply is public unless you set it to true.
2

Create or Update Contact

Action

In Zapier“Creates a new contact or updates an existing one matched by email address.”

Create or Update Contact adds a person to Nexvio, or refreshes the existing contact when the email address already matches one.

When to use it
when sign-ups from your site or a sheet should end up in Nexvio without creating the same person twice.
Watch out
Email Address is required, and it is the field the match runs on.
3

Create Ticket

Action

In Zapier“Creates a ticket in the system.”

Create Ticket opens a new support ticket in Nexvio from data that another app collected.

When to use it
when requests arrive through a form or a shared inbox and should land in Nexvio with the others.
Watch out
Subject, Requester Name and Requester Email are all required, so the step that feeds them must carry all three.
4

Generate AI Reply

Action

In Zapier“Generates an AI response using the selected Agent's system Prompt and Model.”

Generate AI Reply asks one of your Nexvio agents to answer a message, using that agent's own prompt and model.

When to use it
when a ticket or a chat message deserves a first draft that a person reads before it goes anywhere.
Watch out
Agent and User Message are both required. Check at the test what the step returns before mapping it into a later step.
5

Update Ticket

Action

In Zapier“Update a ticket in the system”

Update Ticket changes a ticket that already exists in Nexvio, picked by its Ticket ID.

When to use it
when an event in another tool means a known ticket must be edited, and an earlier step of the Zap carries that ticket.
Watch out
the required Ticket ID field accepts the ticket UUID, its display ID or the native display ID.
When it breaks

When a Nexvio Zap breaks

Instant triggers remove the waiting, not the general limits of Zapier. Three of them matter here.

Zapier attaches no help article of its own to Nexvio, so the cases below are the general limits that apply to any Zap. To look into a Zap that stopped running, see our Zapier troubleshooting guide.

  • Tickets from before the Zap stay out

A Zap only reacts to what happens after you switch it on. Tickets and contacts that already existed are not picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

A Zap that writes into the very place its trigger watches can start itself again and again, and it burns through your tasks fast. Keep what you write apart from what you watch.
  • A sudden wave after an import

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold that batch back.

FAQ

Nexvio and Zapier: common questions

01Is the Nexvio Zapier integration free?
Yes, it works on the free plan. Nexvio is not one of the apps Zapier reserves for paid plans, so you can connect it without a subscription. The free plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. New Ticket followed by a chat message fits. A Zap that runs Generate AI Reply and then a second action, so it is a multi-step Zap and needs a paid plan.
02How many tasks does a Nexvio Zap use?
One per action that succeeds, and nothing for the trigger. The four Nexvio triggers never cost a task. Each successful Create Ticket, Create or Update Contact, Add Reply, Update Ticket or Generate AI Reply counts as one. In a Zap with three actions, every action that succeeds counts on its own, so it uses three times more than a one-action Zap. An action that fails is not counted. With 100 tasks a month on the free plan, the number of tickets your Zap handles is the figure to watch.
03Does the Nexvio Zapier integration work in real time?
Yes. All four Nexvio triggers are instant: the app tells Zapier the moment the event happens, so the Zap starts right away, whatever your plan. The polling interval of Zapier's plans does not apply to them, which is why Nexvio behaves the same on the free plan as on Team or Enterprise. In the editor, a Zap built on one of these triggers shows a lightning bolt. That type comes from the app and cannot be changed from the editor.
04What do you need to connect Nexvio to Zapier?
A Nexvio account, plus read or write access on anything you do not own yourself and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for Nexvio, click Add connection, sign in in the tab that opens, then grant Zapier access to the account. That connection is then shared by every Nexvio step in every Zap you build, so you set it up once.
05Why can't the Zap reply to a ticket it did not start from?
Because Add Reply and Update Ticket both need a Ticket ID, and Nexvio offers no search step on Zapier to find one. The ticket must come from an earlier step of the same Zap. Run the trigger test and check whether what it brings back carries an ID you can map. If the ticket you want to touch only exists in another tool, Zapier has no way to look it up in Nexvio.
06What if the Nexvio operation you need is not offered?
Then this integration cannot do it on Zapier today. Nexvio shows four triggers and five actions there, with no search and no action to delete a ticket or a contact, and nothing that edits the knowledge base. The Nexvio page on Zapier shows the current list, so check it before you plan a Zap. Sometimes the need can be met by starting from another app and ending on Create Ticket or Create or Update Contact.
07Zapier, Make or n8n for Nexvio?
It depends on your criteria rather than on a winner. On Zapier, Nexvio brings four instant triggers, so the plan you pick does not change how fast a Zap starts. It works on the free plan for two-step Zaps and bills one task per successful action. If your flow needs an AI draft plus a second step, Zapier asks for a paid plan. Before comparing the three on price, check that Nexvio is actually offered in Make and n8n.
