Ninja Forms Zapier integrationAutomate Ninja Forms with Zapier.
The Ninja Forms Zapier integration gives you 1 trigger, 0 actions and 0 searches. One event, a submitted form, and it arrives instantly on every plan. Everything else happens in the other apps your Zap reaches, and that is where the planning goes.

What the Ninja Forms Zapier integration really does
Ninja Forms is a form builder for WordPress. Plugged into Zapier, it does exactly one thing: it tells Zapier that someone just filled in one of your forms, and hands over the answers. A Zap (the automation you build on Zapier) then carries those answers to another tool. Ninja Forms is always the start of the story, never the destination.
Three results people usually build from that single event. First, a lead log: every contact form answer lands as a new row in a spreadsheet, so sales stops copying emails out of the WordPress dashboard. Second, a team alert: a quote request posts a message in your chat tool, with the name and the request already filled in. Third, a CRM record: a sign-up form creates a contact in the CRM your team already uses. All three ride on the same operation, New Form Submission.
Now the part the app page does not spell out. Zapier cannot write into Ninja Forms. It cannot create a form, edit an entry, delete a submission or look one up later: the integration lists 0 actions and 0 searches. If your plan is to push data back into WordPress forms, this connection will not do it. It also only sees new submissions (more on that in the breaks section below).
The upside is real, though. Because the trigger is instant, the free plan delivers each submission without waiting for a timer. If you are weighing tools before committing, our Zapier review and the Make vs Zapier comparison put the same question to other platforms.
Zapier vocabulary in one minute
Seven words come back on every Zapier page. Here they are in plain English, once, so the rest reads easily.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Here, a visitor submitting one of your Ninja Forms forms.
- Action
- What the Zap does once it starts: the step that writes, sends or moves something in another app for you.
- Task
- The unit Zapier bills. One action that completes successfully counts as one task on your monthly allowance.
- Polling vs instant
- Polling means Zapier checks the app on a timer. Instant means the app calls Zapier itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
- Connection
- Your account of an app linked to Zapier once, then reused by every step and every Zap that needs that app.
What a form submission costs you
The submission itself is free. Zapier never bills a trigger, and waiting for new data costs nothing either. You pay for what happens next.
- TriggerNever costs a task
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps only
- Premium appNo, works on the free plan
Each action that succeeds counts as one task. A Zap that sends every submission to one spreadsheet uses one task per form filled in; add a chat alert as a second action and it uses two. An action that fails is not counted. Ninja Forms is not a premium app, so it works on the free plan, which gives 100 tasks a month. The catch: the free plan only builds two-step Zaps, one trigger and one action. Add a filter (say, only quote requests) or a second action, and it becomes a multi-step Zap that needs a paid plan.
Connect Ninja Forms to Zapier in three steps
- 01
Open your Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your Ninja Forms account linked once, then reused by every Zap that needs it. You need an account on the app first.
- 02
Find Ninja Forms and start
Type Ninja Forms in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens for the sign-in. That single connection is the one every Ninja Forms Zap will reuse afterwards.
- 03
Sign in and grant access
Sign in to Ninja Forms in that tab and allow Zapier to reach the account. If the forms belong to a site you do not own, make sure your login has access to them, otherwise the Zap will see nothing.
Your first Zap: route quote requests to sales
GoalEvery time someone asks for a quote through your site, the request lands in the sales spreadsheet, and nothing else does.
- 01
Build: pick the trigger
Create a Zap, choose Ninja Forms as the app and New Form Submission as the event. Then select the connection you just added.
- 02
Test with a real submission
Run the trigger test. Zapier brings back the three most recent submissions of the account, so you can pick a real one to map from. Submit a test form first if none shows up.
- 03
Add the filter
Click the plus icon, add a Filter, then set the field, the rule and the value. Use a text rule on a text field, or the filter never passes. This step makes the Zap multi-step, so a paid plan.
- 04
Add the action and map fields
Add the spreadsheet app as the action and drop each answer of the submission into the right column. Each row written costs one task.
- 05
Test, then publish
Run each step once and read what came back. When the row looks right, click Publish to switch the Zap on. From then on, quote requests flow in as they arrive.
The Ninja Forms trigger
1 event starts a Zap when something happens in Ninja Forms, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Form Submission
Instant triggerIn Zapier“Triggers when a form is submitted.”
A visitor fills in one of your WordPress forms and hits send: the Zap starts with every answer ready to map into the next step. It is the only door into Zapier this app offers, so every Ninja Forms Zap begins here (contact details, event sign-ups, support tickets).
When a Ninja Forms Zap breaks
With one trigger and no actions, the failures here are rarely inside Ninja Forms itself. They come from how Zapier treats time, volume and loops.
Zapier lists one help article for this app, How to get started with Ninja Forms on Zapier, and no limit specific to Ninja Forms. The cases below are the general rules that hit form Zaps most often. For a Zap that stopped and you cannot see why, our Zapier troubleshooting page walks through the usual suspects.
Past submissions never show up
A Zap only reacts to forms sent after it is switched on. The entries already stored in WordPress stay where they are; moving that backlog is a separate job.A loop that drains your tasks
If a later step writes back into the place the trigger watches, the Zap sets itself off again and again, and the task count empties fast.Spam waves get held back
When the trigger suddenly returns a huge batch (a spam burst, a bulk import), Zapier's flood protection can hold the Zap back. The filter never lets anything pass
Filter rules are typed. A number rule set on a text answer from the form never matches, so the Zap stops at the filter on every submission.
