Overview

What the Owwlish Zapier integration is for

The Owwlish Zapier integration links your course platform to the rest of your tools in both directions. Owwlish tells Zapier when someone enrolls or completes a lesson, and Zapier can, in turn, enroll a learner into a course or take one out. No code, no copy-pasting between dashboards.

Three outcomes it is built for, each tied to a real operation:

A welcome sequence that starts on its own. New Learner Enrollment fires and the learner lands in your email tool, so the onboarding emails go out without anyone exporting a list.

Access granted at checkout. A sale recorded in another app triggers the Zap, and Enroll Learner creates the learner if needed and puts them in the course. The buyer gets access without a manual step on your side.

A follow-up when someone makes progress. Lesson Completed fires and you can congratulate the learner, notify a coach, or enroll them in the next course.

What Zapier does not do for Owwlish matters too. There is no search step, so a Zap cannot look up an existing learner or course first. It can change exactly two things, enrollment and unenrollment; editing a course, a lesson or a learner profile stays inside Owwlish.

Owwlish has no page in our n8n or Make catalogs yet. For the tool choice itself, see Make vs Zapier or n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Seven terms, one line each. They are used as-is in the rest of this page.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event that starts the Zap, such as a new enrollment in Owwlish. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or changes something for you, like enrolling a learner.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app the moment it happens. Both Owwlish triggers are instant.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set, and stops it otherwise.
Connection
Your Owwlish account linked to Zapier once, then reused by every step that talks to Owwlish.
Cost

What an Owwlish Zap really costs

Owwlish is not a premium app: it runs on the free plan.

  • Premium appNo, free plan works
  • Free plan100 tasks a month, two-step Zaps
  • Trigger cost0 tasks
  • Enroll Learner1 task when it succeeds

The trigger never costs a task. Each action that succeeds counts as one, so enrolling a learner costs one task, and an action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. The polling grid below does not touch the Owwlish triggers, since both are instant.

Connect

Connect Owwlish to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page and click + Add connection. You need an Owwlish account, plus access to any course you do not own yourself but want the Zap to touch.

  2. 02

    Pick Owwlish

Search for Owwlish by name in the dialog, select it, then click Add connection. A new tab opens on the Owwlish sign-in screen, next to your Zapier window.

  3. 03

    Sign in and allow access

Log in to Owwlish in that tab and grant Zapier access to the account. The connection is saved in your list, and every later Owwlish step in any Zap picks it up.

First Zap

Your first Zap: move finishers to the next course

GoalWhen a learner completes a chosen lesson, Owwlish enrolls them in the follow-up course.

  1. 01

    Set the trigger

Start a new Zap, pick Owwlish as the app and Lesson Completed as the event, then select your Owwlish connection from the list.

  2. 02

    Test with real data

Run the trigger test. Zapier brings back the three most recent completions of the account, so pick one and build the rest of the Zap on it.

  3. 03

    Keep only the right lesson

Click the plus icon, choose Filter, then set the field to look at, the rule and the value, so only the last lesson of the course lets the Zap go on.

  4. 04

    Enroll in the next course

Add Owwlish again, choose Enroll Learner, and fill the required email, first name and last name from the trigger step above.

  5. 05

    Test, then publish

Test the action and check that the learner shows up in the new course. Then click Publish. With the filter, this Zap is multi-step and needs a paid plan.

Triggers

The 2 Owwlish triggers

2 events start a Zap when something happens in Owwlish, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Lesson Completed

Instant trigger

In Zapier“Triggers when a new a Lesson is completed”

Starts your Zap each time a learner finishes a lesson, which turns progress inside a course into something your other tools can react to.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want to send a congratulation, alert a coach, or open the next course once a key lesson is done.
Watch out
it fires on every lesson, so a Zap meant for one milestone needs a filter, which means a paid plan.
2

New Learner Enrollment

Instant trigger

In Zapier“Triggers when a new learner enrolls for a course.”

Fires when someone enrolls in one of your courses, so a new student can reach your email list, your CRM or your team chat without an export.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every enrollment should kick off a welcome email or appear in a shared roster.
Watch out
a Zap that starts here and ends on Enroll Learner can set itself off again, since the action creates a fresh enrollment.
Actions

The 2 Owwlish actions

Owwlish gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Enroll Learner

Action

In Zapier“Creates a Learner if the learner doesn't exist and enrolls the learner in a course.”

Puts a person into a course, creating the learner first when Owwlish does not know them yet. One step covers both cases.

When to use it
a payment, a form or a signup in another app should open course access with no manual work.
Watch out
email, first name and last name are all required, so the step before must provide the three.
2

Unenroll Learner

Action

In Zapier“Unenrolls a learner from a course.”

Takes a learner out of a given course, the reverse move of enrolling them.

When to use it
a refund, a cancelled subscription or an expired license in another tool should close access to the course.
Watch out
it needs the learner's email and the Course ID, and the ID has to come from somewhere earlier in the Zap.
When it breaks

When an Owwlish Zap breaks

Zapier attaches no help article to Owwlish and lists no limit specific to the app. The usual failures come from how Zapier works.

These four cases cover what goes wrong most often with a course app. When the cause is still unclear, our Zapier troubleshooting page goes further.

  • Past enrollments never show up

A Zap only reacts to what happens after it is switched on. Learners who enrolled or finished lessons earlier are not picked up; moving that history is a separate job.
  • An enrollment Zap loops on itself

Starting on New Learner Enrollment and ending on Enroll Learner writes where the trigger watches. The Zap sets itself off again and burns through tasks.
  • A bulk import gets held back

Importing a large batch of learners at once can trip Zapier's flood protection, which holds the trigger back instead of running every item.
  • Unenroll fails without a Course ID

Unenroll Learner requires the email and the Course ID. A Zap whose earlier steps carry neither stops at that step, and the learner keeps access.

FAQ

Owwlish Zapier integration: FAQ

01Is the Owwlish Zapier integration free?
Yes. Owwlish is not a premium app, so it works on the free Zapier plan. That plan includes 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. Sending each new enrollment to your email tool fits. Filtering for one specific lesson, or chaining a second action, turns the Zap into a multi-step Zap and requires a paid plan. The Owwlish triggers themselves are never billed.
02How many tasks does an Owwlish Zap use?
One per successful action, and nothing for the trigger. A Zap that enrolls a learner after a sale uses one task per sale. A Zap with two actions, say enroll then notify, uses two. An action that fails is not counted against your plan. A few apps and actions take more than one task when they complete, so look at the other apps in the Zap if the count looks high. On the free plan, the 100 monthly tasks go furthest with one action per Zap.
03Do Owwlish triggers work in real time?
Yes. Lesson Completed and New Learner Enrollment are both instant triggers: Owwlish reports the event to Zapier itself, so the Zap starts right away. This holds on every plan, the free one included, and the polling interval grid does not apply. In the editor, a Zap built on an instant trigger shows a lightning bolt. Owwlish decides the trigger type, and it cannot be switched from the editor, so there is no setting to hunt for.
04What do you need to connect Owwlish to Zapier?
An Owwlish account, plus access to any course you do not own but want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for Owwlish and click Add connection. Sign in to Owwlish in the tab that opens and grant access. The connection is reused by every Owwlish step afterwards. For the actions, plan ahead: Enroll Learner needs an email, a first name and a last name, and Unenroll Learner needs an email and a Course ID.
05Why does Unenroll Learner fail in an Owwlish Zap?
Usually because the Course ID is missing. Unenroll Learner requires two things, the learner's email and the Course ID, and Zapier will not run the step without both. Since Owwlish has no search step on Zapier, the ID cannot be looked up mid-Zap: it has to come from the trigger or from an earlier step, or be typed in once if the Zap always targets the same course. Check the test result of the earlier steps to see what they actually carry.
06What if the Owwlish operation you need is not on Zapier?
Then this integration cannot do it. Zapier offers two triggers, Lesson Completed and New Learner Enrollment, and two actions, Enroll Learner and Unenroll Learner. Editing a course, changing a lesson or finding an existing learner is not on the list. The realistic options are to rebuild the need from those four operations, to handle that part inside Owwlish by hand, or to ask Owwlish whether more operations are planned for its Zapier app.
07Zapier, Make or n8n for Owwlish?
Pick by criteria, not by ranking. Start with availability: on Zapier, Owwlish has two instant triggers and two actions and runs on the free plan, so first confirm the other tool lists Owwlish at all. Then look at the shape of the job: one trigger and one action fit the free plan, while filters or extra steps mean a paid Zapier plan. Finally, think about who maintains the automation and which editor that person already knows. That last point often decides more than the feature list.
