Overview

What the Nitro Zapier integration does with your documents

Nitro is a PDF and e-signature tool for everyday document work. Connected to Zapier, it can send a signature request when something happens in another app, tell your other tools as soon as a request is signed, and turn the forms and tables trapped in a PDF into a spreadsheet you can actually use.

Three results people set up first. Contracts that go out on their own: a deal is won in your CRM and Request Signature Using a Template sends the matching Nitro Sign template. A follow-up that starts the second it is signed: Signature Request Completed fires immediately, so onboarding or invoicing can begin without anyone checking an inbox. PDF data you can work with: Extract Tables From PDF Document(s) and Extract Forms From PDF Document(s) turn a PDF into a spreadsheet file.

The best news for a free plan: this trigger is instant. Nitro tells Zapier itself, so the plan's check interval does not apply and nothing waits. What Zapier does not do here matters too. There is no search step, nothing to cancel or edit a request, no trigger for a request that is declined or simply sent, and nothing to create a template, which has to exist in Nitro first.

Choosing a tool first? The Make vs Zapier comparison sets the two tools side by side, and the Zapier review looks at the platform on its own.

Vocabulary

The Zapier words you need for this page

Seven terms, one line each. Once read, they are not explained again.

Zap
The automation you build on Zapier: one trigger, then one or several actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, here a Nitro signature request being completed. Once on, Zapier waits for it.
Action
What the Zap does once started: the step that sends, writes or converts something for you, like extracting a table.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's quota is a count of those.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app calls Zapier the moment it happens. Nitro's trigger is instant.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and that needs a paid plan.
Cost

What a Nitro Zap really costs

Nitro is not a premium app: it works on the free Zapier plan. You pay in tasks, and only successful actions count.

  • Paid plan requiredNo, free plan works
  • Free plan100 tasks a month, two-step Zaps
  • TriggerInstant, never billed
  • Filter or second actionMulti-step, paid plan

The trigger is free, every time. Each action that works is counted separately, so a Zap that extracts the forms of a PDF and then files the spreadsheet somewhere uses two tasks per run. A failed action is not counted. The free plan gives you 100 tasks a month and two-step Zaps only: one trigger, one action. Add a filter or a second action and the Zap is multi-step, which needs a paid plan. The interval grid below only matters for polling triggers; Nitro's trigger is instant and ignores it.

Connect

Connect your Nitro account in three steps

  1. 01

    Open the connections page

In your Zapier account, go to Apps and click + Add connection. A connection is your Nitro account linked once, then reused by every step that works with Nitro.

  2. 02

    Choose Nitro

Type Nitro in the search field of the dialog that opens, pick it from the results, then click Add connection. A new browser tab opens on the Nitro side.

  3. 03

    Sign in and grant access

Log in to Nitro in that tab and allow Zapier into your account. You need a Nitro account, plus access to any document or template you did not create yourself but want the Zap to use.

First Zap

Your first Zap: log every signed agreement and tell the team

GoalEach time a Nitro signature request is completed, a row is added to a tracking spreadsheet and a message goes to the team channel.

  1. 01

    Create the Zap

In Zapier, start a new Zap. It is built from top to bottom: the event that starts it, then each action in the order it runs.

  2. 02

    Set the trigger

Pick Nitro and Signature Request Completed, choose your connection, then test: Zapier brings back the three most recent completed requests to map from.

  3. 03

    Log the request

Add Google Sheets and Create Spreadsheet Row, pick your tracking sheet, and map into its columns the details of the request that the trigger passed on. Run a test.

  4. 04

    Tell the team

Add Slack and Send Channel Message, pick the channel and write a short message that reuses the same details. This second action makes the Zap multi-step, so a paid plan is required.

  5. 05

    Test, then publish

Run the last test, then check the new row in the sheet and the message in the channel. If everything is right, click Publish to switch the Zap on.

Triggers

Nitro trigger

1 event starts a Zap when something happens in Nitro, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Signature Request Completed

Instant trigger

In Zapier“Triggers when a Signature Request has been completed.”

Starts your Zap as soon as a Nitro signature request reaches the completed state. The request becomes available to the following steps, so the next app can act on the signed deal without someone forwarding a confirmation email.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an agency wants the kickoff task created in its project tool the minute a client signs the statement of work.
Watch out
requests completed before the Zap was published never come through; moving them is a separate job.
Actions

Nitro actions

Nitro gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Extract Forms From PDF Document(s)

Action

In Zapier“Takes document(s) and extracts forms into an excel file.”

Pulls the filled-in form fields out of one or more PDFs and puts them in an Excel file, one place instead of a pile of documents. PDF File(s) is required here too.

When to use it
collecting answers from application forms that candidates return as completed PDFs.
Watch out
sending that Excel file on to another tool adds a step, and a paid plan.
2

Request Signature Using a Template

Action

In Zapier“Sends a Signature Request using an existing Nitro Sign Template.”

Sends a signature request built from a Nitro Sign template you already saved, filled with details passed by earlier steps.

When to use it
an HR team wants every new hire added in its staff tool to receive the same onboarding agreement.
Watch out
no template in the connected account means nothing to choose in the step.
3

Extract Tables From PDF Document(s)

Action

In Zapier“Takes document(s) and extracts tables into an excel file.”

Reads one or more PDFs and returns the tables they hold as an Excel file, ready to sort or import elsewhere. The PDF File(s) field is required.

When to use it
a finance assistant receives supplier statements as PDFs and needs the lines in a spreadsheet for reconciliation.
Watch out
the earlier step must hand over the file itself, not just a link or a file name.
When it breaks

When a Nitro Zap breaks

Zapier lists no help article and no rate limit specific to Nitro. What goes wrong is the general set of Zapier limits, and document workflows hit them in their own way.

Three cases cover most problems. If a Zap is still stuck after these, the Zapier troubleshooting guide goes further.

  • Earlier signatures never show up

A Zap only reacts to what happens after you switch it on. Requests signed before that stay out of it, and moving that backlog is a separate job.
  • A Zap that keeps restarting itself

If a Zap writes back into what its own trigger watches, each run starts the next. A completed request that sends a new one can loop and drain your tasks fast.
  • A big batch gets held back

Close a large batch of requests at once, after a migration for instance, and Zapier's flood protection can hold the sudden wave back instead of running it.

FAQ

Nitro Zapier integration: frequent questions

01Is the Nitro Zapier integration free?
Yes. Nitro is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. Signature Request Completed followed by one message to your team fits. Add a filter or a second action, such as filing the spreadsheet, and the Zap becomes multi-step, which needs a paid plan. The plan grid changes often, so check it before scaling up.
02How many tasks does a Nitro Zap use?
One task for each action that completes, and nothing for the rest. The Signature Request Completed trigger never costs a task. A Zap that extracts tables from each incoming PDF uses one task per document run; one that also saves the spreadsheet uses two. Failed actions are not billed. Keep in mind that a few apps and actions take more than one task when they complete, so read your task history after the first real runs.
03Does Nitro trigger Zaps in real time?
Yes. Signature Request Completed is an instant trigger: Nitro itself tells Zapier as soon as a request is completed, so nothing waits for a scheduled check. That holds on every plan, including the free one, where polling triggers in other apps are only checked every 15 minutes. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from the app and cannot be changed from Zapier.
04What does it take to connect Nitro to Zapier?
A Nitro account, plus access to any document or template you did not create yourself and want the Zap to use. The link is made once from the Apps page of your Zapier account with + Add connection: search for Nitro, sign in on the tab that opens and grant access. After that, every Nitro step reuses the same connection. For signature requests, the Nitro Sign template must already be saved in that account.
05Why does Extract Tables From PDF Document(s) fail?
Most often because it did not receive an actual PDF. The PDF File(s) field is required and expects the file itself, so mapping a link, a file name or an email body leaves the step with nothing to read. Map the attachment or file field from the earlier step and test with a real document. The same rule applies to Extract Forms From PDF Document(s), which needs the same field filled.
06What if the Nitro operation you need is not there?
Then Zapier cannot do it with Nitro today. The editor offers 1 trigger and 3 actions for this app: Signature Request Completed, Request Signature Using a Template and the two PDF extractions. There is no search step, no way to cancel or edit a request and no trigger for a declined one. In that case, see whether another app in your Zap covers the gap, or compare what Make or n8n offer for Nitro.
07Zapier, Make or n8n for Nitro?
It depends on what you weigh most. On Zapier, Nitro works on the free plan and its trigger is instant, which suits a simple signed-then-notify flow. Chaining extraction and filing needs a paid plan. Make often suits longer document flows with branches. n8n suits teams ready to host the tool themselves. None wins on every criterion, so start from your document volume, your budget and who will maintain the Zap.
