Overview

What the NUACOM Zapier integration does

The NUACOM Zapier integration connects NUACOM, a business phone system that brings your calls and communication into one platform, to the rest of your tools. You build a Zap: an automation with one trigger and one or more actions that runs on its own every time the trigger event happens.

Three results come up most often. No missed caller left hanging: New Incoming Missed Call posts the call to your team chat or creates a callback task, so someone rings back. A call log your CRM fills itself: New Call catches every call, in or out, answered or not, and records it against the right deal. Sales activity you can actually count: New Outgoing Answered Call only fires when a prospect picked up, which is the number a sales manager wants.

All five triggers are instant, so even on the free plan the Zap starts the moment the call event happens. For a phone system, that means your team hears about the call straight away, not at the next 15-minute check a polling trigger would wait for.

What Zapier does not do here: NUACOM has no actions on Zapier. A Zap can't place a call, send an SMS or add a contact to the NUACOM phone book. The only thing it can do inside NUACOM is look up a contact with Find Contact. Our Zapier review and the n8n vs Zapier comparison help you weigh the platforms.

Vocabulary

Zapier vocabulary in one minute

Seven words cover the whole page. Each is explained once, here, then used as is.

Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, for example a missed call on NUACOM.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you. With NUACOM, actions run in other apps.
Task
The unit Zapier bills: one action your Zap completed successfully. Your plan's allowance is a count of those.
Polling vs instant trigger
Polling: Zapier checks the app on a timer. Instant: the app reports the event itself as it happens. All five NUACOM triggers are instant.
Filter
A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists, here a contact in the NUACOM phone book, so later steps can reuse it.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Cost

What a NUACOM Zap really costs

NUACOM is not a premium app, so it runs on the free plan. You pay in tasks, and only for actions that succeed.

  • Free plan100 tasks a month, two-step Zaps
  • TriggerCosts nothing
  • Failed actionNot counted
  • Trigger speedInstant on every plan

The trigger never costs a task, however many calls come in. Each successful action counts once, and a failed one is not billed. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger, one action. The moment you add Find Contact or a filter, the Zap becomes multi-step and needs a paid plan. Count your call volume before you choose a trigger: New Call on a busy line spends tasks far faster than New Incoming Missed Call.

Connect

Connect your NUACOM account

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. A connection is your NUACOM account linked once, then reused by every step that uses NUACOM.

  2. 02

    Pick NUACOM

Type NUACOM in the search box of the dialog, select it, then click Add connection. Right after, a new browser tab opens straight on the NUACOM sign-in screen.

  3. 03

    Sign in and grant access

Log in with your NUACOM account and let Zapier use it. You need your own account, plus access to the lines and contacts you don't own but want the Zap to watch or look up.

First Zap

Your first Zap: never leave a missed call unanswered

GoalEach missed incoming call posts a message to your team channel, with the caller's name when NUACOM knows it.

  1. 01

    Create the Zap

Start a new Zap, choose NUACOM as the app that starts it and New Incoming Missed Call as the event. Select your NUACOM connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent missed calls on the account, so you map the next steps on a real call. Miss one on purpose first if needed.

  3. 03

    Look up the caller

Add Find Contact and map the number from the call into the search field. If the caller is in the phone book, the next step gets the name.

  4. 04

    Post the message

Add your chat app as the action and build a short message from the call and the contact found. The search step makes this Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then publish

Test each step and read what came back. Then click Publish to switch it on. On the free plan, drop the search and keep two steps.

Triggers

The 5 NUACOM triggers

5 events start a Zap when something happens in NUACOM, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Incoming Call

Instant trigger

In Zapier“Triggers when a new incoming call is received (includes answered and missed calls).”

Starts your Zap on every call coming into your NUACOM lines, answered or missed. It's the full picture of inbound demand, from a quiet morning to a launch-day rush.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log every inbound call in your CRM so support and sales see who called before they pick up the next one.
Watch out
it also covers missed calls, so pairing it with New Incoming Missed Call in two Zaps runs both on the same call.
2

New Incoming Missed Call

Instant trigger

In Zapier“Triggers when a new incoming call is missed.”

Only reacts when an inbound call goes unanswered. That narrow focus makes it the cheapest trigger of the five to run, and often the most valuable one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a missed call from a customer should land in your team chat or your task list, so someone calls back before they try a competitor.
Watch out
a Zap can't call back for you, since NUACOM has no actions; the callback stays a human job.
3

New Call

Instant trigger

In Zapier“Triggers when there is a new call (includes incoming, outgoing for answered and missed).”

The widest of the five: it fires on any call, incoming or outgoing, answered or missed. One trigger, the whole call history of your account from the moment the Zap is on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
feed a single spreadsheet or reporting tool with every call, so call volume is visible without opening NUACOM.
Watch out
on a busy line each call spends the tasks of every action behind it, which empties a free plan quickly.
4

New Outgoing Answered Call

Instant trigger

In Zapier“Triggers when a new outgoing answered call is made.”

Goes off when someone on your team makes a call and the other side picks up. It ignores dials that rang out, which keeps your data honest.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
count real conversations per sales rep, or move a deal to the next stage once the prospect has actually been reached.
Watch out
New Outgoing Call also includes these calls, so don't run both on the same pipeline.
5

New Outgoing Call

Instant trigger

In Zapier“Triggers when a new outgoing call is made (includes answered and unanswered calls).”

Catches every call your team places, answered or not. It shows effort rather than results: how many dials it took to reach people.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
track call attempts per lead in your CRM, to see which prospects need another try and which are being chased too often.
Watch out
a Zap only sees calls made after it is published; earlier dials never come through.
Searches

The NUACOM search

1 search step looks for data that already exists in NUACOM, so a later step can use it.

Searches sit at the bottom of the action list in the editor, under the SEARCH heading of Action event. Some action fields in other apps also offer + Add search step, which inserts the search just before the current step and wires what it finds into the field for you.

1

Find Contact

Search

In Zapier“Find a contact in NUACOM phone book.”

Looks up a person in the NUACOM phone book from a name, an email or a phone number, and hands what it found to the steps that follow.

When to use it
a call arrives with just a number and your message or CRM entry should show who it was.
Watch out
unknown callers return nothing and stop the Zap unless you switch on the first setting above.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. NUACOM offers no such variant, so you won't see it on Find Contact.
  3. If multiple search results are found?
Three ways out when several contacts match: keep the first (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a NUACOM Zap breaks

Zapier attaches no help article to NUACOM, so the failures below are Zapier's general limits, applied to a phone system.

Each case below names the trap and how to avoid it. If a Zap still won't behave, our Zapier troubleshooting service picks it up.

  • Past calls are never picked up

A Zap only reacts to what happens after it is switched on. Calls from before stay in NUACOM; moving that history elsewhere is a separate job.
  • The same call runs twice

New Call includes incoming and outgoing calls. Run it next to New Incoming Call or New Outgoing Call and one call starts two Zaps, spending tasks twice.
  • A call peak is held back

When a trigger suddenly sends a huge batch at once, Zapier's flood protection can hold it back instead of running the Zap for every call.
  • The free plan stops at two steps

Add Find Contact or a filter and the Zap becomes multi-step. On the free plan you can't publish it until you switch to a paid plan.

FAQ

NUACOM Zapier integration: frequent questions

01Is the NUACOM Zapier integration free?
Yes, within the free plan. NUACOM is not a premium app, so you can connect it without paying. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. A Zap that posts every missed call to your team chat fits. Add Find Contact, a filter or a second action and it becomes multi-step, which needs a paid plan. Only actions that succeed are counted.
02How many tasks does a NUACOM Zap use?
One task per successful action, nothing else. The trigger is free, however many calls come in. Since NUACOM has no actions of its own, the tasks are spent in the apps that follow, and a Zap with two actions counts two tasks for every call it catches. The real lever is which trigger you pick: New Call fires on every call, while New Incoming Missed Call fires only on the ones nobody answered. A failed action is not counted.
03Does NUACOM trigger Zaps in real time?
Yes. All five NUACOM triggers are instant: the app tells Zapier the moment a call event happens, so the Zap starts right away, whatever your plan. The plan grid of check intervals, 15 minutes on Free down to 1 minute on Team and Enterprise, only applies to polling triggers, and NUACOM has none. In the editor, an instant trigger shows a lightning bolt. The type comes from NUACOM itself and cannot be changed from Zapier.
04What do you need to connect NUACOM to Zapier?
A NUACOM account of your own, plus access to the lines and contacts you don't own but want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for NUACOM, sign in on the tab that opens and grant access. If you plan to use Find Contact, check that your contacts are saved in the NUACOM phone book: the search needs a name, an email or a phone number and only looks there.
05Which NUACOM trigger should you pick for calls?
Pick the narrowest one that does the job, because the triggers overlap. New Call covers every call, in and out, answered or missed. New Incoming Call covers all inbound calls, including missed ones, and New Incoming Missed Call only the missed ones. New Outgoing Call covers all outbound dials, and New Outgoing Answered Call only those that were picked up. Running two overlapping triggers starts two Zaps on the same call and spends tasks twice.
06What if the NUACOM operation you want doesn't exist?
Then Zapier can't do it for this app. NUACOM offers no actions on Zapier, only five triggers and one search. A Zap can't place a call, send a text or save a new contact into NUACOM; those stay manual in NUACOM itself. What Zapier can do is carry call events to your other tools and look up a contact in the phone book. If the missing step is essential, check whether Make or n8n offers it for NUACOM.
07Zapier, Make or n8n for NUACOM?
It depends on your criteria rather than on a winner. Zapier has NUACOM ready to use, with 5 instant triggers and 1 search, no code needed, and the free plan covers simple two-step Zaps. That makes it fast to set up. If you expect high call volumes or many steps per call, compare pricing and what Make and n8n offer for NUACOM first, since every successful action costs a task on Zapier.
