Overview

What the Octane AI Zapier integration gives a Shopify store

Octane AI is a marketing platform for Shopify merchants, built on the data shoppers choose to share about themselves, and it keeps a customer record for each of them. On Zapier, it works as a source only: two events leave Octane AI and start automations in your other tools, and nothing goes back in.

Three results that stores set up first. A CRM that knows about every new shopper: Customer Created copies each new Octane AI customer into your CRM, so sales or support see them without an export. A profile kept in sync: Customer Updated fires when a customer record changes in Octane AI, and the change is pushed to the record in your other tool. A daily read for the team: each new customer lands as a row in a shared sheet the marketing team can read at any time.

What Zapier does not do with Octane AI: there is no action, so a Zap cannot write anything into Octane AI, create a customer there or change a profile. There is no search step either. And a Zap only sees customers created or updated after it is switched on; the people already in your account stay out of reach, so plan a one-off import for them.

Vocabulary

Zapier vocabulary in one minute

Eight words from the editor, explained once here and then used plainly.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, here a customer created or updated in Octane AI. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, in another app here.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan counts those, nothing else.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app the moment it happens. Octane AI has only instant ones.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
Connection
Your Octane AI account linked to Zapier once, then reused by every Zap that listens to it.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it needs a paid plan.
Cost

What an Octane AI Zap really costs

Listening to Octane AI is free; you pay for what the Zap does next.

  • Paid plan requiredNo, Octane AI works on the free plan
  • Free plan100 tasks a month, Zaps of two steps
  • Trigger cost0 task, on every plan
  • Octane AI triggers2 instant, 0 polling

The trigger never costs a task, so a busy day of new customers costs nothing on its own. Each successful action in another app counts as one task, and a failed one is not billed. Octane AI is not reserved to paid plans, so it works on the free plan: 100 tasks a month, unlimited Zaps, two steps per Zap. A filter or a second action needs a paid plan. The polling grid (15 minutes on Free) does not apply here, since both Octane AI triggers are instant.

Connect

Connect Octane AI to Zapier in three steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. Search for Octane AI in the dialog and pick it. You need an Octane AI account before starting.

  2. 02

    Sign in to Octane AI

Click Add connection and sign in to Octane AI in the tab that opens. Use the account tied to the store whose customers you want to send out, or one with read access to it.

  3. 03

    Grant access

Accept the access request. The tab closes and Octane AI joins your connections, ready to be picked from a menu in every Zap without you signing in again.

First Zap

Your first Octane AI Zap: new customers into your CRM

GoalWhen a customer is created in Octane AI, keep only those with an email, then create a matching contact in your CRM.

  1. 01

    Pick the trigger

Create a Zap, choose Octane AI as the app and Customer Created as the event. Select the Octane AI connection you set up earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent customers of your account, so the rest of the Zap is mapped on a real profile.

  3. 03

    Add the filter

Click the plus icon and add Filter. Set the field, the rule and the value so the Zap stops when no email came in. That makes it multi-step, on a paid plan.

  4. 04

    Create the contact

Add your CRM as the action and map the name and email from Octane AI into the contact fields. Test the step and check the contact it created.

  5. 05

    Publish

Click Publish to switch the Zap on. Only customers created from now on go through; existing ones are left where they are.

Triggers

The 2 Octane AI triggers

2 events start a Zap when something happens in Octane AI, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Customer Updated

Instant trigger

In Zapier“Triggers when a customer is updated.”

Starts your Zap whenever an existing customer's profile changes in Octane AI. Whatever changed on that person, the Zap gets the news and can pass it on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keeping the matching record in your CRM or email tool in step with what Octane AI knows, without a weekly export.
Watch out
it can fire several times for the same person, so the action after it should update a record rather than create a new one each time.
2

Customer Created

Instant trigger

In Zapier“Triggers when a new customer is created.”

Runs once for each new customer that appears in Octane AI. It is the natural starting point for anything that should happen when a shopper first shows up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
creating the contact in your CRM, adding a row to a shared sheet, or posting a line in the team chat when a customer joins.
Watch out
customers who existed before the Zap was published are never sent, so import them separately if you need them elsewhere.
When it breaks

When an Octane AI Zap breaks

Zapier lists no help article and no documented limit specific to Octane AI. What can go wrong is what goes wrong on any Zap.

  • Existing customers are not sent

A Zap only reacts to customers created or updated after it is switched on. Everyone already in Octane AI needs a separate import.
  • Duplicates pile up

Customer Updated can fire several times for one person. Pair it with an action that creates a record each time and you get duplicates.
  • A big import is held back

After a bulk import of customers, a huge batch can reach Zapier at once, and its flood protection may hold the batch back.

FAQ

Octane AI Zapier integration: frequent questions

01Is the Octane AI Zapier integration free?
Yes, within the free plan. Octane AI is not reserved to paid plans, so you can use it with Zapier's free plan, which gives 100 tasks a month and unlimited Zaps. The limit is the size of each Zap: two steps, one Octane AI trigger and one action in another app. As soon as you add a filter, for example to skip customers without an email, or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does an Octane AI Zap use?
Only the actions count. The Octane AI trigger never costs a task, so a new or updated customer that starts your Zap is free. Each action that succeeds in another app counts as one task, and one that fails is not billed. A Zap with one action uses one task per customer event; with three actions, three. Customer Updated can fire more often than you expect, so watch it on a tight monthly budget.
03Does Octane AI send customers to Zapier in real time?
Yes. Both Octane AI triggers are instant: Octane AI tells Zapier as soon as a customer is created or updated, and the Zap starts right away. The plan intervals, 15 minutes on the free plan, apply only to polling triggers, and Octane AI has none. That matters most on the free plan, because a new customer reaches your CRM at once without paying for a faster plan. In the editor, an instant Zap shows a lightning bolt.
04What does it take to connect Octane AI to Zapier?
An Octane AI account and a Zapier account. From the Apps page of Zapier, you add a connection, pick Octane AI, sign in in the tab that opens and grant access. If the store belongs to someone else, you also need read access to it, since both triggers read customer data. The connection is set once, then reused by every Zap that listens to Octane AI, so there is no need to sign in again for each new automation.
05Why does Customer Updated create duplicate contacts?
Because it fires every time a profile changes, and one shopper can change several times. If the action after it creates a new contact each time, you end up with copies of the same person. Use Customer Created to create the contact once, and let Customer Updated drive an action that updates an existing record instead. If your other app has no update action, a filter on the fields you care about at least cuts the noise.
06What if the Octane AI operation you need is not in Zapier?
Then Zapier cannot do it with Octane AI today. The integration covers 2 triggers, Customer Created and Customer Updated, and nothing else: no action to write into Octane AI, no search to look up a customer. The workable route is to treat Octane AI as a source, starting Zaps that act in other apps, and to manage anything else directly inside Octane AI. If writing back is essential, compare what other automation tools offer for it.
07Zapier, Make or n8n for Octane AI?
Choose on criteria rather than a ranking. On Zapier, Octane AI gives you two instant triggers that work on the free plan, in an editor that a marketer can handle alone. Look at another tool if you need operations Zapier does not expose, if your customer volume makes per-task billing heavy, or if you would rather host the automation yourself. Check which Octane AI operations each tool exposes before deciding.
