Overview

What the Easyship Zapier integration does for an online store

Connecting Easyship to Zapier lets the life of a shipment (label paid, parcel handed to the courier, status changed, parcel delivered) start an automation by itself, and lets a Zap create a shipment or look one up. Easyship is the shipping platform merchants use to reach a long list of couriers for international orders.

Three results worth building. A refill that ships itself: when Shipment Delivered fires for a subscriber, Create a Shipment prepares the next box, with accurate shipping quotes. A support desk that knows where a parcel is: Find a Shipment pulls every current detail of a shipment from its Easyship ID, inside any Zap that carries it. A warehouse that sees new labels: New Shipping Label fires once a label is paid and generated, with the documents and tracking that come with it.

What Zapier does not do here: no action edits, cancels or deletes a shipment, and none buys the label. Create a Shipment opens the shipment and returns quotes; the rest stays in Easyship.

Also, none of the four triggers is instant. Zapier checks Easyship on a timer, every 15 minutes on the free plan, so a delivered parcel can wait that long before your Zap hears of it.

Vocabulary

Zapier vocabulary in one minute

Seven words you will meet below, defined once in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like creating a shipment.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer and keeps only what is new. An instant trigger is reported by the app as it happens.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Cost

What an Easyship Zap really costs

Watching Easyship costs nothing. Acting on what you see is what gets counted.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeOne trigger and one action
  • Easyship triggers4, all polling
  • Premium appNo

The trigger never costs a task, however often Zapier checks for new shipments. Every action that succeeds counts once, and a failed one is not billed. Easyship is not a premium app, so the free plan accepts it: 100 tasks a month, unlimited Zaps, a check every 15 minutes, and two steps per Zap. Add a filter, a second action or a Find a Shipment step and the Zap becomes multi-step, which takes a paid plan. Paid plans also check more often.

Connect

Connect your Easyship account to Zapier

  1. 01

    Open the Apps page

In Zapier, go to Apps and click + Add connection. A connection is your Easyship account linked once, then reused by every Zap that touches Easyship. You only do this once.

  2. 02

    Pick Easyship

Search for Easyship in the dialog, select it and click Add connection. You need an Easyship account already; Zapier will not open one for you. The sign-in comes next.

  3. 03

    Sign in and allow access

Log in to Easyship in the tab that opens and grant Zapier access. If the shipments you want to track sit in a store someone else owns, check your login can see them first.

First Zap

Your first Zap: ship the next subscription box

GoalCreate the next shipment in Easyship when a subscriber's parcel is delivered and meets your condition.

  1. 01

    Build: pick the trigger

Create a Zap, choose Easyship as the app and Shipment Delivered as the event, then select the Easyship connection you made above.

  2. 02

    Test the trigger

Zapier brings back the three most recent delivered shipments of the account. Read what one carries: that tells you which recipient details you can reuse.

  3. 03

    Add a filter

Click the plus icon, add Filter, pick, among the fields the test brought back, the one that tells a subscription parcel apart, then set rule and value. A text rule for text, a number rule for numbers.

  4. 04

    Add Create a Shipment

Pick Create a Shipment, map what the delivered parcel carries, and type the rest: country as a two-letter code, SKU, category, currency, customs value, quantity.

  5. 05

    Test, then Publish

Test each step once and check the quote that comes back. Then click Publish. With the filter this is a multi-step Zap, so it needs a paid plan.

Triggers

The four Easyship triggers

4 events start a Zap when something happens in Easyship. Zapier checks for them at the interval your plan allows.

1

Shipment Delivered

Polling trigger

In Zapier“Triggers when a shipment is delivered to recipient.”

Picks up shipments that have reached the recipient. Each delivered parcel starts your Zap once, which makes it the natural end point for anything that should follow a delivery.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
sending the next box of a subscription, or asking for a product review once the order is in the customer's hands.
Watch out
the delivery is only noticed at the next check, so a message sent on it can lag the courier's scan.
2

Shipment In-Transit

Polling trigger

In Zapier“Triggers when a shipment is handed over to a courier and is in-transit.”

Fires when a parcel leaves your hands: the courier has it and it is on the road. That is the moment a customer starts asking where the order is.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
telling the buyer that the order has shipped, or letting a wholesale client's purchasing team know their pallet is moving.
Watch out
a parcel handed over just before a check and one handed over just after reach your Zap up to one interval apart.
3

New Shipping Label

Polling trigger

In Zapier“Triggers when a new shipping label is paid & generated. Provides documentation & tracking information.”

Starts the Zap once a shipping label has been paid for and generated in Easyship. It comes with the shipping documents and the tracking details, so the next step has everything needed to prepare the parcel.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
handing the warehouse its packing list, or logging tracking numbers in the sheet your customer service team checks.
Watch out
a label that is created but not paid has not fired yet.
4

Shipment Updated

Polling trigger

In Zapier“Triggers when a shipment has changed a status as defined by user.”

Watches status changes on your shipments, following the statuses you define in Easyship. It is the broadest of the four: one trigger for the whole journey instead of one per stage.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
keeping an order dashboard current with the last known status of every parcel.
Watch out
it fires on each status change, so pair it with an action that updates a record; creating one on every firing builds duplicates.
Actions

The Easyship action

Easyship gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Shipment

Action

In Zapier“Create a shipment and receive accurate shipping quotes.”

Opens a new shipment in Easyship and gives you accurate shipping quotes for it. You can mark it as insured.

When to use it
turning an order that lives in another tool, or a delivered subscription box, into a shipment ready for a courier.
Watch out
the form is long and strict: recipient name, address, city, phone, a two-letter country code, item description, SKU, category, currency, declared customs value and quantity are all required.
Searches

The Easyship search

1 search step looks for data that already exists in Easyship, so a later step can use it.

A search step finds something that already exists so later steps can use it. Searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not what you expected.

1

Find a Shipment

Search

In Zapier“Find a shipment by Easyship Shipment ID and retrieve all current shipment details.”

Looks up one shipment by its Easyship Shipment ID and returns every current detail of it, so a later step works from fresh data rather than what the trigger saw earlier.

When to use it
in a support Zap, to answer a where-is-my-parcel request with the latest state of the shipment.
Watch out
it needs the Easyship Shipment ID, the one given when the shipment was created and shown in the Easyship dashboard; an order number will not do.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there. Switched on, the Zap carries on without the result.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Easyship offers no such variant, so Find a Shipment only ever finds.
  3. If multiple search results are found?
Keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When an Easyship Zap breaks

Zapier attaches no help article to Easyship, so these are Zapier's own rules applied to this app.

Each of these is easy to spot once you know it. If one persists, the Zapier troubleshooting page is the next stop.

  • Last month's parcels are missing

A Zap only reacts to shipments that change after you publish it. Parcels already delivered stay out; moving that history is a separate job.
  • The same parcel never fires twice

Zapier remembers which shipments it has already seen on each check, so a parcel does not start the Zap a second time. A missing run means the check has not happened yet.
  • A bulk import is held back

When Easyship suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it.
  • A Zap that triggers itself

If the shipment your Zap creates is the kind its trigger watches, the Zap can set itself off again and again and burn through tasks.

FAQ

Easyship Zapier integration: common questions

01Is the Easyship Zapier integration free?
Yes, Easyship is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month, unlimited Zaps and a check every 15 minutes, but each Zap is capped at two steps: one trigger and one action. A filter, a second action or a Find a Shipment step turns it into a multi-step Zap, which needs a paid plan. A simple delivered-then-create Zap fits in the free plan.
02How many tasks does an Easyship Zap use?
Only completed actions count. The Easyship trigger is free, and so is every check Zapier makes for new shipments, however often it looks. Each Create a Shipment that goes through costs one task, and a Find a Shipment step counts as a step of your Zap. A Zap with three actions costs three tasks per run. An action that fails, for example on a bad country code, is not billed.
03Does Easyship update Zapier in real time?
No. All four Easyship triggers are polling triggers: Zapier asks Easyship for news at a fixed interval. That interval depends on your plan: 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor. If a customer email must leave the second a parcel ships, count on that delay. For anything less urgent, the delay rarely matters.
04What do you need to connect Easyship to Zapier?
An existing Easyship account and a Zapier account. Open the Apps page in Zapier, click + Add connection, pick Easyship, sign in in the tab that opens and grant access. If the shipments you want belong to a store managed by someone else, your login needs access to them. The connection is made once, and every Easyship step in every Zap reuses it from then on, so a second Zap on the same account starts straight at the trigger.
05Why does Create a Shipment keep failing?
Usually because a required field is empty or in the wrong format. The action asks for the recipient's name, address, city, phone and country, plus item description, SKU, category, currency, declared customs value and quantity. The country must be a two-letter code such as US, AU or CA. Test the step with a real order and read the error before publishing; a failed run costs no task. Fix the field in your store data rather than patching it in each Zap.
06What if the Easyship action you need is not on Zapier?
Then it is not there: Easyship offers one action, Create a Shipment, and one search, Find a Shipment. There is nothing to cancel, edit or delete a shipment, or to buy a label from a Zap. Those steps stay in Easyship. What Zapier covers well is reacting to labels, pickups, status changes and deliveries, then passing that information to the tools around your store. Check the editor list before you design a flow around a missing step.
07Zapier, Make or n8n for Easyship?
Pick by criterion, not by ranking. If you want the quickest setup and your Zaps fit in two steps, Zapier works on the free plan, with a check every 15 minutes. If timing matters, compare how fast each platform can poll Easyship on the plan you would pay for. If you need to self-host, that criterion rules Zapier out. In every case, check that the Easyship operations you need exist on the platform first.
