What the Octoboard Zapier integration actually does
Octoboard turns cloud data into dashboards for office screens, client portals and reports. Through Zapier, an automation service that links apps without code, another tool can write straight into an Octoboard data source, so the figure on the screen follows what happens in your other tools, without anyone retyping it.
Three results people build with it. A live KPI tile: a sales app closes a deal and Update Number sets the revenue figure to the new total. A running tally: each new signup or support ticket fires Change Counter, which adds one to the counter without you having to know its current value. A status banner: Update Text swaps the message shown on the office TV, say the name of the last client onboarded.
Now the limits. Octoboard exposes no trigger in Zapier, so it can never start a Zap: something else always has to happen first, and Octoboard sits at the end of the chain. There is no search either, so a Zap cannot read a value back from Octoboard to reuse it. And every action works on a data source you pick from a list, which means the source has to exist in Octoboard, with the right type (number or text), before you build anything.
If you compare tools, the same app has a page on the other side: the Octoboard Make integration. For a wider view of the trade-offs, read Make vs Zapier.
Zapier vocabulary in one minute
Seven words come back all over this page. Here they are in plain English.
- Zap
- The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Octoboard has none, so another app plays that role.
- Action
- What the Zap does once it has started: here, writing a number or a text into an Octoboard data source.
- Task
- The unit Zapier bills: one action that completes successfully. Your plan's allowance is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer; an instant trigger reports the event itself, so nothing waits for the next check.
- Filter
- A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
- Connection
- Your Octoboard account linked to Zapier once, then reused by every step that writes to Octoboard.
What an Octoboard Zap really costs
Octoboard is not a premium app, so it works from the free plan. What you pay for is tasks, and only actions create them.
- Premium appNo, available on the free plan
- Free plan100 tasks a month, two-step Zaps
- What countsEach successful Octoboard action
- What is freeThe trigger and every check for new data
The trigger never costs a task, and checking for new data costs nothing however often it happens. Each Octoboard action that succeeds counts as one task; one that fails is not counted. A Zap that updates two tiles uses two tasks per run. The free plan gives 100 tasks a month and builds two-step Zaps only: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan.
Connect Octoboard to Zapier in three steps
- 01
Open your Apps page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box at the top: type Octoboard and pick it from the results.
- 02
Sign in to Octoboard
Click Add connection. A new tab opens on Octoboard: sign in with the account that owns the dashboards you want to feed, or one with write access to them.
- 03
Grant access
Allow Zapier to use the account. The connection now shows on your Apps page, and any Zap step that writes to Octoboard can reuse it without asking you to log in again.
Your first Octoboard Zap
GoalPut the latest deal amount from a spreadsheet on an Octoboard tile.
- 01
Pick the starting app
Create a Zap and choose the app and event that will start it. Octoboard cannot fill this slot, so pick the tool where the figure is born, here a spreadsheet row.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items from the connected account, so you map the next step on a real row rather than on a guess.
- 03
Add Update Number
Add an action, choose Octoboard, then Update Number. Pick the number data source behind your tile and map the amount column into the Number field.
- 04
Test the action
Run the action once and check the dashboard. If the tile shows the test amount, the mapping is right; if not, check that the source you picked is the one the tile reads.
- 05
Add Update Text
Add a second Octoboard action, Update Text, and map the client name to a text source shown under the tile. This makes the Zap multi-step, so it needs a paid plan; skip it on Free.
- 06
Publish
Click Publish to switch the Zap on. From then on, each new row updates the tile, and each successful update counts as one task.
The 4 Octoboard actions
Octoboard gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Update Number
ActionIn Zapier“Update numeric value in Octoboard data source.”
Replaces the value of a numeric data source with the figure you map in, and every tile reading that source shows it.
Change Counter
ActionIn Zapier“Change counter in Octoboard numberic data source. Decrease or Increase current value”
Adds to or takes away from the current value of a numeric source, without you sending the total.
Remove Content
ActionIn Zapier“Delete content from selected Octoboard data source.”
Empties the data source you select, so the widgets that depend on it start from blank.
Update Text
ActionIn Zapier“Update text value in Octoboard text data source.”
Writes a new string into a text data source, replacing whatever the screen was showing.
When an Octoboard Zap breaks
Zapier attaches no help article to Octoboard, and no app-specific limit is documented. What breaks comes from how Zaps work in general.
Four cases cover most surprises. If none of them fits, the Zapier troubleshooting guide goes further.
The past is not replayed
A Zap only reacts to what happens after you switch it on. Figures that already existed never reach Octoboard; loading the backlog is a separate job.A loop eats your tasks
A Zap that writes where its own trigger watches sets itself off again and again. Keep the source app and the destination clearly apart.A bulk import gets held back
When the starting app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can pause it instead of updating your tiles. No duplicates on polling
On a polling trigger, Zapier remembers what it has seen, so the same row does not start the Zap twice. A counter jumping twice points to a different cause.
