Overview

What the Microsoft Outlook Zapier integration is for

This integration connects Microsoft Outlook, Microsoft's mail, contacts and calendar service, to the other apps you use, through Zapier. Outlook can start an automation when mail arrives, a contact changes or a meeting moves, and it can finish one: send, reply, file, tag, schedule or look something up.

A shared inbox that routes itself. New Email in Shared Mailbox watches the address your team shares, and Forward Email sends each message on to whoever should handle it, with a filter in between to keep only what matters.

Mail sorted before you open it. New Email Matching Search picks out the messages your search terms describe, then Set Categories on an Email, Set Email Importance or Move Email to Folder put each one where it belongs.

Meetings kept in step with your other tools. Create Event, Update Calendar Event and Add Attendees to Calendar Event mirror bookings made elsewhere, while Updated Calendar Event sends every change the other way.

The most useful thing to know: of the 13 triggers, Cancelled Calendar Event is the only instant one. It reacts right away, even on the free plan, while the other 12 wait for your plan's interval, 15 minutes on Free. What Zapier does not do here: no Zap goes back in time, Add User to Distribution List only works on Microsoft 365 Business accounts with an organizational directory, and online meetings need a Microsoft 365 Business account too. Outlook is not reserved for paid plans, so it runs on the free plan: 100 tasks a month and unlimited Zaps, each built of two steps, one trigger and one action. A second action, a filter or one of the nine searches turns the Zap into a multi-step Zap, which needs a paid plan. The grid below applies to the 12 polling triggers; it does not apply to Cancelled Calendar Event, which fires straight away on every plan. A few apps and a few actions take more than one task when they complete.

Connect your Outlook account

    Open the Apps page

    Go to the Apps page of your Zapier account and click + Add connection. You need an account on Outlook, plus read or write access on anything you do not own yourself and want the Zap to touch.

    Pick Microsoft Outlook

    Type Microsoft Outlook in the dialog, pick it among the results, then click Add connection. A new tab opens on the Microsoft sign-in page, where the rest of the connection happens.

    Sign in and grant access

    Sign in with the mailbox the Zap should work in, then grant Zapier access to that account. Every Outlook step in every Zap reuses this connection afterwards, so you only do it once.

First Zap

Your first Zap: a shared inbox that forwards the right mail

GoalWhen a new email reaches your shared mailbox, the Zap checks one condition, then forwards the message to the person who should handle it.

    Build: pick the trigger

    Create a Zap, choose Microsoft Outlook and New Email in Shared Mailbox, then type the address of the shared mailbox. You can also pick a specific folder instead of the inbox.

    Test the trigger

    Run the test. Zapier brings back the three most recent emails of that mailbox, so pick one that looks like the mail you want to route.

    Add the filter

    Add a step with the plus icon, choose Filter, then fill its three boxes: the field to look at, the rule and the value. Use a text rule on text, a number rule on numbers. A filter makes the Zap multi-step, so it needs a paid plan.

    Add Forward Email

    Add the Outlook action Forward Email, map the Email ID from the trigger, then type the addresses in To Recipients, separated by commas. Test the step once and read what came back.

    Publish

    Click Publish to switch it on. With a filter, this is a multi-step Zap that needs a paid plan, and new mail is picked up at that plan's interval.

9 search steps look for data that already exists in Microsoft Outlook, so a later step can use it.

A search step reads, it does not write. In the editor, Outlook searches sit at the bottom of the Action event list, under the SEARCH heading, and some action fields offer + Add search step to insert one right before. Three settings decide what happens when the result is not the one you expected.

Lists the events between a required start and end date and time, up to 500 events.

When to use it
a Zap has to know what is already booked over a period, for a report or before scheduling anything new.
Watch out
a wide range on a busy calendar can hit the 500-event ceiling, so keep the period tight.

Get Email by ID

Search

In Zapier“Retrieves one complete email using its ID.”

Retrieves one complete email from its required Email ID, which you pick or map from a previous Outlook step.

When to use it
Bulk Find Emails gave you summaries and a step needs the full message.
Watch out
either pick the email in the field or map an Email ID returned by an earlier Outlook step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing item. On Outlook, only Find Contacts offers it.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When it breaks

Zapier attaches a help article titled Microsoft Office: New emails won't trigger Zap to this app. Beyond it, six traps come straight from the fields and from Zapier's general rules.

  • Time Before set too short

    Calendar Event Start needs at least 16 minutes of Time Before on the free plan, and at least 3 minutes on higher plans.
  • Categories wiped out

    Set Categories on an Email replaces the categories already on the message. To remove only some, use Remove Categories From Email instead.
  • Guest list replaced

    With Merge with existing attendees? disabled, Add Attendees to Calendar Event and Update Calendar Event replace the current attendees instead of adding to them.
  • Business-only options

    Online meetings in Create Event need a Microsoft 365 Business account, and Add User to Distribution List one with an organizational directory.
  • Old mail is never processed

    A Zap only reacts to what arrives after you switch it on. Messages already in the inbox are not picked up; moving that backlog is a separate job.
  • A Zap that sets itself off

    A Zap that writes into the very place its own trigger watches can start again and again and burn through tasks. Keep the watched folder and the target apart.

So a Zap that forwards each matching email from a shared mailbox uses one task per forward. Add Mark Email as Read/Unread after it and each run costs two tasks, because every successful action is counted on its own. A few apps and actions take more than one task, so watch your count once the Zap runs.
03Is the Outlook integration real time on Zapier?

04What does it take to connect Outlook to Zapier?
An account on Outlook, plus read or write access on anything you do not own yourself and want the Zap to touch, such as a shared mailbox or a delegated calendar. Then, from the Apps page of your Zapier account, click + Add connection, search for Microsoft Outlook, click Add connection, sign in in the tab that opens and grant access. The connection is saved and every Outlook step reuses it, in this Zap and in the next ones you build.
05Why do new Outlook emails not trigger a Zap?
Start with the timing: the email triggers poll, so on the free plan a new message can wait up to 15 minutes before the Zap sees it. Then check the trigger itself: New Email in Personal Inbox ignores mail sent to a shared mailbox, which needs New Email in Shared Mailbox, and a folder picked in either trigger narrows what counts.
