What the Opencals Zapier integration actually does
Opencals is a booking tool for service businesses: appointments, staff, locations and customers in one place. The integration connects it to Zapier, the tool that chains apps together, so every change in an appointment's life can set off work in another app, and a discount credit can be topped up or switched off from outside.
A calendar that matches the bookings. New Appointment Created, Appointment Rescheduled and Appointment Cancelled keep a shared calendar or a planning sheet in step with Opencals, without anyone copying times by hand.
A follow-up after each visit. Appointment Completed sends a thank-you email or adds the customer to a review campaign, and Customer Feedback Shared routes what they wrote to the team that can act on it.
Credits that follow the subscription. Manage Discount Credit replenishes a customer's credit when their subscription renews and deactivates it when a payment fails, driven by events from your billing tool such as Stripe.
What Zapier does not do here. It cannot book, move or cancel an appointment in Opencals: the only action works on discount credits. There is no search either, so a Zap cannot look up a customer or a booking. What Zapier gets is every appointment event, instantly.

Zapier vocabulary in one minute
Eight words come back on every Zapier screen. Here is what each one means for a booking tool like Opencals.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event that starts the Zap, such as a booking or a cancellation in Opencals. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once started: it writes, sends or moves something for you. Opencals has one, on discount credits.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The monthly count on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself; all five Opencals triggers are instant.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app so later steps can reuse it. Opencals offers none.
- Connection
- Your Opencals account, linked to Zapier once, then reused by every trigger and action that needs it.
What it really costs in tasks
Opencals is not a premium app, so it works on the free plan. Since every trigger is instant, the free plan loses nothing on speed either.
- Trigger0 tasks
- Instant triggers5 of 5
- Free plan100 tasks a month
- Free plan Zap size2 steps
The trigger never costs a task, so a booking, a cancellation or a piece of feedback reaching Zapier is free. Each action that succeeds counts once; an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each stopped at two steps: one trigger, one action. A filter, a search or a second action makes it a multi-step Zap (anything beyond a trigger plus one action), which needs a paid plan. The interval grid below applies to polling triggers only, and none of the Opencals triggers is one.
Connect Opencals to Zapier in three steps
- 01
Open Apps and add a connection
In your Zapier account, open the Apps page and click + Add connection. You need an Opencals account, with access to the bookings and credits you want the Zap to touch.
- 02
Pick Opencals
Type Opencals in the search box of the dialog, select it, then click Add connection. A new tab opens on the Opencals side so you can sign in there with your usual login.
- 03
Sign in and grant access
Sign in to Opencals in that tab and grant Zapier access to the account. The connection is saved, then reused by the five triggers and the credit action.
Your first Zap: each booking in a sheet and in the team channel
GoalLog every new Opencals booking in a planning sheet and announce it to the staff channel.
- 01
Set the trigger
Start a new Zap, pick Opencals as the app and New Appointment Created as the event, then choose the Opencals connection you just saved.
- 02
Test on a real booking
Run the test. Zapier brings back the three most recent bookings of the account, and you pick one as the sample that the next steps will read from.
- 03
Add the planning row
Add Google Sheets as the action and map the appointment details from the sample into your columns. Test the step and check the row it wrote.
- 04
Add the staff message
Add Slack as a second action and build the message from the same booking. The second action makes the Zap multi-step, so it needs a paid plan; on Free, keep one.
- 05
Publish
Publish the Zap to switch it on. Each booking then costs two tasks when both actions succeed, and bookings made before publishing are never sent.
The 5 Opencals triggers
5 events start a Zap when something happens in Opencals, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.
Appointment Cancelled
Instant triggerIn Zapier“Triggers when an appointment is cancelled.”
When a booking is cancelled in Opencals, this trigger hands the cancelled appointment to Zapier, which runs the rest of the Zap with it. Pair it with the booking trigger and a calendar or sheet never shows a slot that no longer exists.
Appointment Completed
Instant triggerIn Zapier“Triggers when an appointment is marked as completed.”
This one waits for an appointment to be marked as completed in Opencals. It starts the Zap after the visit, not at booking time, which makes it the right moment for anything that thanks, bills or follows up.
New Appointment Created
Instant triggerIn Zapier“Triggers when a new appointment is confirmed.”
Each new confirmed booking in Opencals reaches Zapier and starts the Zap once. It is the workhorse of the integration: calendars, planning sheets, CRM entries and staff alerts all start from here.
Customer Feedback Shared
Instant triggerIn Zapier“Triggers when a customer submits feedback for an appointment.”
Whenever a customer submits feedback on an appointment, Zapier receives it and runs the Zap. Opinions stop living only inside Opencals and reach the people who manage quality or reviews.
Appointment Rescheduled
Instant triggerIn Zapier“Triggers when an appointment is rescheduled.”
A booking moved to another time in Opencals is sent to Zapier with its new details, and the Zap runs once per move. Without it, every copy of the booking outside Opencals keeps the old time.
The Opencals action
Opencals gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Manage Discount Credit
ActionIn Zapier“Replenish, deactivate, or adjust a discount credit balance by its code — typically driven by Stripe subscription webhooks (e.g. replenish on renewal, deactivate on failed payment). Note: Adjust applies a signed delta and is NOT idempotent, so drive it from de-duplicated events.”
Works on a discount credit balance identified by its code. You pick what happens to it: replenish it, deactivate it or adjust it by a signed amount, up or down.
When it breaks
Zapier attaches no help article to Opencals, and no rate limit for the app is documented. What can go wrong comes from the credit action and from how Zapier works in general.
Four cases are worth knowing before you switch the first Zap on. If one still misbehaves after that, see Zapier troubleshooting.
An adjustment applied twice
The Adjust choice of Manage Discount Credit applies its amount on every run. If the same event reaches the Zap twice, the credit moves twice, so start it only from events that never arrive twice.A code the Zap does not have
The action finds the credit by its code. If the starting event does not carry that code, the credit step has nothing to work on, so check what the source app actually sends.Past bookings never come through
A Zap only reacts to what happens after it is switched on. Appointments, cancellations and feedback from before are not picked up; moving them is a separate job.A bulk import can be held back
When a huge batch of appointments reaches Zapier at once, after an import or a migration, Zapier's flood protection can hold it back instead of running the Zap for each one.
