Overview

What the Calendly Zapier integration actually does

It links your Calendly account to Zapier so that something happening in your scheduling (a booking, a cancellation, a no-show, a routing form answer) can start an automation, and so that Zapier can book, cancel or file things in Calendly for you. You set it up once, then it runs on its own.

Three results come up again and again. A clean contact list: every new booking, caught by Invitee Created or Rescheduled, turns into a Calendly contact through Create Contact, so nobody retypes a name from an email. A no-show follow-up: when someone is flagged with Invitee No Show Created, the Zap can hand them a fresh link built by Create One-Off Meeting Link. Bookings made from elsewhere: a lead qualified in another tool gets a real slot through Book Meeting for Invitee, and Calendly sends its usual confirmations as if the person had clicked themselves.

Now the part the official listing skips. Zapier cannot edit an event type, change your availability or reschedule a meeting in place: there is no operation for that. Anything about contacts or meeting recaps needs a paid Calendly plan, on top of whatever you pay Zapier. And a Zap never goes back in time, so meetings booked before you switch it on stay where they are.

Watching Calendly costs nothing, however often Zapier checks. Each action that succeeds counts as one task, and a failed action is not counted. A Zap with three actions uses three tasks for every single booking it handles. The free plan gives 100 tasks a month and builds two-step Zaps only: one trigger, one action. Add a filter or a search and the Zap becomes multi-step, which needs a paid Zapier plan, whatever Calendly plan you have.

Connect your Calendly account in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. Type Calendly and pick it from the list. You only need a Calendly account to start.

    Sign in to Calendly

    Click Add connection. A new tab opens on Calendly's sign-in screen. Log in with the account whose bookings you want the Zap to see. If a teammate owns the event types, make sure your account can read them first.

    Grant access

    Calendly then asks you to let Zapier use the account. Accept. The connection is now linked once, and every Calendly step in every Zap you build reuses it without asking again.

First Zap

Your first Calendly Zap: rebook every no-show

    Create the Zap

    Click Create, then pick Calendly as the app that starts things. Choose Invitee No Show Created as the event and select the connection you set up earlier.

    Set the webhook subscription scope. Choose user to catch only your own meetings, or organization to catch the whole team, which requires an owner or admin account.

    Test the trigger

    Run the test. Zapier brings back the three most recent matching items from your account, so you can map fields from a real no-show rather than an empty sample.

    Add the filter

    Click the plus icon, add Filter, then set the field to watch, the rule and the value. Text rules only compare text, so pick the matching type or the filter never passes.

    Add the action

if speed matters, start the Zap with Invitee Canceled instead: it is instant and covers the case where the guest backs out.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips what depended on it. Switch it on to carry on empty-handed.
  2. Create X if it doesn't exist yet?
    Turns a search into a find-or-create. None of the Calendly searches offer it, so this box does not show up here.
  3. If multiple search results are found?
    Keep the first match (the default), stop the Zap, or pass every match along at once.
When it breaks

Six ways a Calendly Zap can go wrong, each tied to this app or to how Zapier works.

  • Old bookings are never picked up

    A Zap only reacts to what happens after you publish it. Meetings booked last week stay out; moving that backlog is a separate job.
  • The Zap keeps firing itself

    Book Meeting for Invitee creates a booking, which fires Invitee Created or Rescheduled, which books again. Writing where your trigger watches burns tasks fast.
  • Contact and recap steps refuse to run

    Every contact and meeting recap operation requires a paid Calendly plan. A free Calendly account cannot use them, whatever your Zapier plan.
  • Organization scope rejected

    The organization scope on triggers and on Find Invitee by Email is reserved for Calendly owners and admins. Members must use the user scope.
  • A burst of events is held back

    After a bulk import, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection.
  • Users of version 1.0.2

    Zapier published a notice titled Action required for Calendly (1.0.2) users. If your old Zaps were built on that version, read it before editing them.

01Is the Calendly Zapier integration free?
Yes, on the Zapier side. Calendly is not a premium app, so you can connect it on the free plan, which gives 100 tasks a month. The catch is the shape of the Zap: the free plan only builds two-step Zaps, one trigger and one action. As soon as you add a filter, a search or a second action, you need a paid Zapier plan. And separately, every contact and meeting recap operation requires a paid Calendly plan, so check both subscriptions before you design anything around those features.
02How many tasks does a Calendly Zap use?
One per action that succeeds, and nothing for the trigger. A Zap that turns each booking into a contact uses one task per booking. Add a second action, such as booking a follow-up, and each booking costs two. An action that fails is not counted, and Zapier never charges for checking Calendly, however often it looks. A few apps and actions can take more than one task when they complete, so watch your task history in the first days after you publish.
03Is Calendly on Zapier real time?
Almost entirely. Ten of the eleven Calendly triggers are instant: Calendly tells Zapier as soon as something happens, so the Zap runs straight away whatever your plan, and the editor shows a lightning bolt. The exception is Event Canceled, a polling trigger that Zapier checks on a timer: every 15 minutes on the free plan, every 2 on Professional, every minute on Team and Enterprise. When speed matters for cancellations, Invitee Canceled is the instant alternative to use as your starting point.
04What does it take to connect Calendly to Zapier?
A Calendly account and a Zapier account, nothing else. You open the Apps page in Zapier, click + Add connection, pick Calendly, sign in on the tab that opens and grant access. If your Zap needs to see bookings that belong to colleagues, use the organization scope, which only an owner or admin of the Calendly organization can select. For contacts and meeting recaps, the Calendly account must also be on a paid plan, otherwise those steps stay unavailable.
05Why does a Calendly Zap create duplicates?
One cause: Invitee Created or Rescheduled fires twice for the same person: once when they book, once when they move the meeting. A Zap that creates a record at every run ends up with two. The fix is a search before the action, for example Find Invitee by Email, or a filter that lets only first bookings through. Another cause is a loop: a Zap that books a meeting with Book Meeting for Invitee sets its own trigger off again. Both fixes make the Zap multi-step, so a paid plan is needed.
06What if the Calendly action you need does not exist?
Then it is simply not on Zapier for now. The integration has 8 actions and 7 searches, and none of them edits an event type, changes availability or reschedules a meeting in place. One workaround is to combine what exists: cancel with Cancel Scheduled Event, then book again with Book Meeting for Invitee. If that is not enough, check whether the Calendly n8n or Make integration covers the missing step before building anything more complicated on Zapier.
07Zapier, Make or n8n for Calendly?
It depends on three criteria rather than on a winner. On Zapier, ten of the eleven Calendly triggers are instant, but the free plan stops at two steps and every successful action is billed. Make and n8n also cover Calendly: compare them on the operations your flow needs, not on reputation. Look at how many steps your flow needs, how many bookings you expect per month, and who will maintain it, then pick accordingly.
