Otofi Zapier integrationAutomate Otofi with Zapier.

The Otofi Zapier integration gives you 4 triggers and 1 action, and no search. Every trigger is instant: an ended call, a new contact, a form filled during a call or a warm lead can start a Zap, and one action sends a calendar invite by email.

Beta app Zapier still marks this integration as beta.

Overview

What the Otofi Zapier integration actually does

Otofi is an AI calling platform that handles lead outreach, scheduling and follow-ups. Connected to Zapier, it reports four moments of a calling campaign to your other tools, and it can send a calendar invite by email when another app asks for one. It is still flagged as a beta app on Zapier.

Three results you can build. A warm lead that reaches sales: New Warm Lead starts the Zap, and an action in your CRM or team chat hands the lead to a person before it cools down. A call log that fills itself: Call Ended starts the Zap after each call, and a spreadsheet action keeps a trace of it. A meeting booked from another tool: a booking or a signed form elsewhere starts the Zap, and Create Calendar Invite emails the invite.

Good news for a free plan: all four triggers are instant. None of them waits for a timed check, so speed costs nothing extra here.

What Zapier does not do with Otofi. There is no search step, so a Zap cannot look up an existing contact or call before acting. There is no action to create a contact, start a call or update a lead either: Otofi talks out, and only takes invites in. And since the app is in beta on Zapier, its operations may still change.

Vocabulary

Zapier words, in plain English

Seven words carry this whole page. Read them once and the rest flows.

Zap
An automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, like a call ending in Otofi. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like emailing an invite.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is counted in tasks.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it happens, as with Otofi.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. Otofi offers none.
Cost

What an Otofi Zap really costs

Otofi is not a premium app, so it works from the free plan onward. You pay for actions, never for the four triggers.

  • Free plan100 tasks a month, unlimited Zaps, two steps per Zap
  • Otofi triggersFour, all instant, outside the interval grid
  • Premium appNo, available on the free plan
  • BilledEach successful action, one task

A trigger never uses a task, and Zapier waiting for calls, contacts or leads costs nothing either. Each action that goes through counts as one task, whether it is Create Calendar Invite or a step in another app. An action that fails is not billed. The free plan caps every Zap at two steps, one trigger and one action: add a filter or a second action and the Zap turns multi-step, which needs a paid plan. The interval grid below only concerns polling triggers; none of the Otofi triggers polls.

Connect

Connect your Otofi account to Zapier

  1. 01

    Open your connections

In Zapier, go to the Apps page and click + Add connection. A connection is your Otofi account linked once to Zapier, then reused by every Otofi step across all your Zaps.

  2. 02

    Pick Otofi

Search for Otofi in the dialog, select it and click Add connection. A new tab opens on Otofi's sign-in; use the account that runs your calling campaigns, not a spare one.

  3. 03

    Sign in and grant access

Log in to Otofi in that tab and allow Zapier to reach the account. You need an Otofi account, plus read or write rights on anything you do not own but want a Zap to touch.

First Zap

Your first Otofi Zap, step by step

GoalSend a calendar invite by email to each new warm lead that passes your condition.

  1. 01

    Pick the trigger

Build a new Zap, choose Otofi as the app and New Warm Lead as the event, then select your Otofi connection. No other setting is needed on this trigger.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent warm leads of the account, so you map the next steps on a real lead.

  3. 03

    Add the filter

From the plus icon, add Filter: the field to check, the rule and the value. A text rule only works on text, so pick it to match the field.

  4. 04

    Add the invite

Add Otofi again with Create Calendar Invite, then fill the step with details mapped from the lead that started the Zap.

  5. 05

    Test, then publish

Test the action on a lead you control and check the email arrives. Then click Publish. With its filter, this Zap needs a paid plan.

Triggers

The Otofi triggers

4 events start a Zap when something happens in Otofi, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Call Ended

Instant trigger

In Zapier“Triggers when the call ended.”

Fires once a call placed through Otofi is over, which makes it the natural hook for anything that should happen after the conversation: logging, a follow-up task, a note to the account owner. Each finished call is one new Zap run.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your team wants a row per call in a shared sheet, without anyone copying outcomes by hand.
Watch out
every finished call runs the Zap, so a busy campaign can spend tasks quickly on each action.
2

Contact Created

Instant trigger

In Zapier“Triggers when there's a new contact.”

Starts your Zap whenever Otofi gets a new contact, before any call has necessarily taken place. It is the earliest point in the funnel you can catch from Zapier, useful to keep a second contact list in step with Otofi.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
marketing keeps its mailing list in another tool and wants every new Otofi contact added there too.
Watch out
contacts that existed before you publish the Zap are not sent, so copy your current list over separately.
3

New Form Submission

Instant trigger

In Zapier“Triggers when a form is submitted through live call.”

Reacts to a form filled in during a live call, so the answers gathered on the phone travel to your other apps without retyping. This is the trigger that carries the most context out of the conversation.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a qualification form completed while talking to a prospect should land in the CRM record the sales rep opens next.
Watch out
run the trigger test on a real submission, so you map actual answers rather than guesses.
4

New Warm Lead

Instant trigger

In Zapier“Triggers when there's a new warm lead.”

Goes off when Otofi marks a lead as warm, which is the moment a salesperson usually wants to step in. Of the four triggers, this is the one that most directly turns calls into meetings.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a warm lead should ping the right rep in team chat, or receive a calendar invite through the Otofi action.
Watch out
on the free plan, one action per Zap means choosing between the alert and the invite; doing both needs a multi-step Zap.
Actions

The Otofi action

Otofi gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Calendar Invite

Action

In Zapier“Create and send an invite through email”

Creates a calendar invite and sends it by email, so a meeting set up elsewhere reaches the guest without manual scheduling. Each invite sent counts as one task.

When to use it
a demo booked through your website form or a warm lead in Otofi should end with an invite in the prospect's inbox.
Watch out
test it on your own address first, because the email really leaves.
When it breaks

When an Otofi Zap breaks

Zapier attaches no help article and no documented limit to Otofi. What breaks is general Zapier behavior, and it shows up in three places with this app.

  • Existing calls and leads are not replayed

A Zap only reacts to what happens after you switch it on. Calls, contacts and warm leads already in Otofi are never picked up; moving that history is a separate job.
  • A Zap that sets itself off

A Zap that writes into the very place its own trigger watches starts itself again and again, and burns through the task count fast. Keep the action away from what the trigger watches.
  • A campaign burst gets held back

When a trigger suddenly sends a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back instead of running every item.

FAQ

Otofi Zapier integration: frequent questions

01Is the Otofi Zapier integration free?
Yes, it works on the free plan, because Otofi is not a premium app. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. That covers New Warm Lead followed by Create Calendar Invite, or Call Ended followed by a row in a sheet. A filter or a second action makes the Zap multi-step, and that needs a paid plan.
02How many tasks does an Otofi Zap use?
One task per action that completes. The four Otofi triggers cost nothing, and neither does Zapier waiting for calls, contacts, forms or leads. A Zap that sends one invite with Create Calendar Invite costs one task per run. A Zap on Call Ended runs once per finished call, so a busy campaign multiplies the count. An action that fails is not billed. The free plan's 100 tasks are shared by all your Zaps.
03Do Otofi triggers start the Zap instantly?
Yes. Call Ended, Contact Created, New Form Submission and New Warm Lead are all instant triggers: Otofi itself tells Zapier when the event happens, and the Zap starts right away. The polling interval of your plan, 15 minutes on Free, does not apply to them. The type is fixed by the app and cannot be changed in the editor. A Zap built on an instant trigger shows a lightning bolt there.
04What do you need to connect Otofi to Zapier?
An Otofi account, plus read or write rights on anything you do not own but want a Zap to touch. From the Apps page of Zapier, click + Add connection, search for Otofi, confirm with Add connection, then sign in to Otofi in the tab that opens and grant access. The same connection then serves every Otofi step in every Zap. Note that Otofi is still marked as beta on Zapier.
05Why are existing Otofi leads not showing up in the Zap?
Because a Zap only reacts to what happens after it is switched on. Contacts, calls and warm leads already in Otofi when you publish are never sent to Zapier, even though the trigger test shows the three most recent ones so you can map fields. Only new events from then on start the Zap. Moving your existing list to another tool is a separate job, outside the Zap, and it should be done before you rely on the new flow.
06What if the Otofi operation you want is missing?
Then Zapier does not offer it for Otofi today. The integration has four triggers and one action, Create Calendar Invite, and no search. You cannot create a contact, launch a call or update a lead in Otofi from a Zap. What does work is the other direction: any Otofi event can feed actions in other apps. Since the app is in beta on Zapier, its list may still grow or change.
07Zapier, Make or n8n for Otofi?
Decide by criteria. On Zapier, Otofi gives four instant triggers, one invite action, no search, and a free plan limited to two-step Zaps. If your need is to push Otofi events into other tools with one action each, Zapier covers it on the free plan. If you need to write contacts or calls into Otofi, or chain several steps without paying, check first whether the other tool offers Otofi with those operations: this page only documents Zapier.
