Otter.ai Zapier integrationAutomate Otter.ai with Zapier.
The Otter.ai Zapier integration gives you 1 trigger, 1 action and 0 searches. A Zap (an automation you build on Zapier) can start the moment a recording is ready in Otter, or push an audio file from another tool into Otter, with no manual upload.

What the Otter.ai Zapier integration actually does
The Otter.ai Zapier integration links your Otter account to the other tools you use, without code. It works in two directions: Otter can start a Zap each time a new recording shows up, and a Zap built on another app can send a recording file into Otter for you.
Three results people build with it. A recording archive: New Recording starts the Zap and a second app stores or files what Otter produced, so nobody downloads meetings one by one. A team heads-up: the same trigger feeds a chat or email step, so the people who missed the call know a recording is waiting. An inbox for audio: Import New Recordings Into Otter picks up files that land somewhere else, like a shared folder, and drops them into Otter with the name you chose.
Now the limits, because they shape what you can plan. The app has a single trigger, so nothing starts a Zap when a recording is edited, renamed or deleted. It has a single action and no search step, so a Zap cannot look up an older recording in Otter or update one that already exists. If your idea depends on any of that, Zapier will not do it with this app as it stands.
One more thing to keep in mind: the trigger is instant, which matters a lot on a free plan (more on that in the cost section). If you are still choosing a platform, Make vs Zapier and n8n vs Zapier are worth a look before you build.
Zapier vocabulary in one minute
Eight words you will meet in the editor, in plain English. Each one comes back in the rest of the page.
- Zap
- The automation itself: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app itself, the moment the event happens.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
- Search step
- A step that looks up something already stored in an app, so later steps can use what it found. Otter.ai has none.
- Connection
- Your Otter account linked to Zapier once, then reused by every step that talks to Otter, in every Zap you build.
What an Otter.ai Zap really costs
Otter.ai is not one of the apps Zapier keeps for paid plans: it works on the free plan.
- TriggerNever billed
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps only
- New RecordingInstant, no interval
The trigger never costs a task, and neither does waiting for new data. You pay for each action that succeeds; an action that fails is not counted. A Zap with three actions uses three times what a one-action Zap uses. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter, a search or a second action and it becomes a multi-step Zap, which needs a paid plan. The interval grid below only concerns polling triggers; New Recording is instant, so it fires straight away on every plan.
Connect your Otter.ai account in three steps
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. You need an Otter account first, plus access to any recording you do not own yourself but want the Zap to touch.
- 02
Pick Otter.ai
Type Otter in the search box of the dialog, select Otter.ai, then click Add connection. A new browser tab opens on the Otter side so you can sign in with the account the Zaps should use.
- 03
Grant access
Sign in to Otter in that tab and allow Zapier to reach the account. The connection then appears on your Apps page, and every Zap that uses Otter can pick it without asking you again.
Your first Otter.ai Zap, step by step
GoalCopy every new Otter recording that meets your condition into a Google Drive archive folder.
- 01
Set the trigger
Create a Zap, choose Otter.ai as the app that starts it and New Recording as the event. Select the Otter connection you added earlier.
- 02
Test with real data
Run the trigger test. Zapier brings back the three most recent recordings of the account, so you can pick a real one and see exactly what it carries.
- 03
Add the filter
From the plus icon, add Filter, then set the value to check, the rule and the value to compare with. This turns the Zap into a multi-step Zap, so it needs a paid plan.
- 04
Add the action
Add Google Drive with Upload File, pick the destination folder and map what the Otter test returned into its fields. Keep the mapping simple for a first run.
- 05
Test, then publish
Test each step once and read what came back before going further. When the result looks right, click Publish to switch the Zap on.
The Otter.ai trigger
1 event starts a Zap when something happens in Otter.ai, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Recording
Instant triggerIn Zapier“Triggers when a new recording is available in Otter”
Starts your Zap each time a fresh recording becomes available in your Otter account. The steps after it can file that recording, announce it to a team or pass it to another tool.
The Otter.ai action
Otter.ai gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Import New Recordings Into Otter
ActionIn Zapier“Import recordings from external sources to Otter”
Sends an audio or video file stored somewhere else into your Otter account, where it sits next to the recordings you made in the app. You give it a link that downloads the file and the name it should carry.
When an Otter.ai Zap breaks
Zapier attaches no help article to Otter.ai and lists no app-specific limit, so the traps below are the general ones. They still catch most first builds.
Each case is a situation you can spot before it costs you tasks. Read them once before you publish, and keep Zapier troubleshooting at hand for the day a Zap stops.
Old recordings are never picked up
A Zap only reacts to what happens after you switch it on. Recordings already in Otter stay out; moving that backlog is a separate job.A Zap that keeps setting itself off
If New Recording starts a Zap that imports a file back into the same Otter account, each import can start it again and burn through your tasks.A sudden flood of recordings
When a trigger returns a huge batch at once, after a bulk import for example, Zapier's flood protection can hold the Zap back.A filter on the free plan
The free plan builds two-step Zaps only. Adding a filter or a second action makes the Zap multi-step, and it needs a paid plan to run.
