Overview

What the Planning Pod Zapier integration actually does

The Planning Pod Zapier integration links your event management account to the other tools you run the business on. Zapier checks Planning Pod for what happens in it (a new lead, a paid invoice, a signed contract) and carries that information to another app. In the other direction, two actions let Zapier create a lead or a contact inside Planning Pod.

Three results show what it is good for. First, a sales pipeline that fills itself: New Form Response or any outside form feeds Create Lead, so an inquiry lands in Planning Pod with its tentative event name and start date already filled in. Second, a finance team that stops chasing payments: New Invoice Payment, New Deposit and New Ticket Payment can post each incoming payment to your accounting sheet or team chat. Third, a signed deal that moves on without anyone copying it: New Contract Signature and New Proposal Signature can tell the planner, open a folder or update a CRM once Zapier's next check finds the signature.

Now the limits, because they shape what you can build. All 13 triggers work by polling, none is instant, so nothing reaches the next app before Zapier's next check. Only two actions exist: Zapier can create contacts and leads, but it cannot update an event, mark an invoice paid or close a to-do. And there is no search step, so a Zap cannot look up an existing Planning Pod record before writing.

If those limits matter for your setup, the comparisons Make vs Zapier and n8n vs Zapier are worth a read before you commit.

Vocabulary

Zapier words, in plain English

You do not need to know Zapier to follow this page. These are the only words it uses.

Zap
The automation you build: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan counts how many you get.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only what it has not seen.
Instant trigger
A trigger the app reports itself, the moment the event happens. Planning Pod has none, which matters for timing.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it quietly otherwise.
Connection
Your Planning Pod account linked to Zapier once, then reused by every step of every Zap that touches Planning Pod.
Cost

What a Planning Pod Zap really costs

Planning Pod is not reserved for paid plans: it works on the free plan. What you pay for is tasks, and only actions make them.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Trigger and checksNever billed
  • Planning Pod accessFree plan included

The trigger never costs a task, and neither do Zapier's checks for new leads or payments, however often they run. Each action that succeeds counts once; an action that fails is not counted. A Zap with three actions eats three times more than one with a single action. The free plan stops at two steps, one trigger and one action: add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan.

Connect

Connect Planning Pod to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need a Planning Pod account first, plus access to any events or records you do not own and want the Zap to touch.

  2. 02

    Pick Planning Pod

Type Planning Pod in the search box of the dialog, select it, then click Add connection. Zapier opens a separate tab where Planning Pod asks you to sign in.

  3. 03

    Sign in and grant access

Log in with the Planning Pod account the Zaps should act on, then grant Zapier access to it. The connection is saved once and every later Planning Pod step reuses it.

First Zap

Your first Zap: website inquiries become Planning Pod leads

GoalEvery new form response that carries a real inquiry becomes a lead in Planning Pod, ready for the sales team.

  1. 01

    Pick the trigger

Create a Zap, choose Planning Pod as the app that starts it, and pick New Form Response as the event. Select your Planning Pod connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent form responses of your account, so you can pick a real one to map from in the next steps.

  3. 03

    Add the filter

From the plus icon, add a Filter step. Choose the value to look at, the rule and the value to compare with. This makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add Create Lead

Add Planning Pod again as the action and pick Create Lead. Map first name, last name, email, the tentative event name and the tentative start date from the response.

  5. 05

    Test, then publish

Test the action once and check the lead in Planning Pod. If it looks right, publish the Zap to switch it on. It will only react to responses that arrive after that.

Triggers

The 13 Planning Pod triggers

13 events start a Zap when something happens in Planning Pod. Zapier checks for them at the interval your plan allows.

1

New Appointment

Polling trigger

In Zapier“Triggers when a new appointment is created in the calendar.”

Starts your Zap when someone adds an appointment to the Planning Pod calendar, such as a venue tour or a tasting.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
push each booked site visit into the shared calendar or chat channel your coordinators actually watch.
Watch out
Zapier remembers the appointments it has already seen, so the same one never starts the Zap twice.
2

New Attendee

Polling trigger

In Zapier“Triggers when a new attendee is created in an event.”

Fires each time a person is added as an attendee on one of your events, so your guest list can travel outside Planning Pod.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
copy every new guest of a conference into a spreadsheet the catering or badge team works from.
Watch out
attendees imported in one big batch can be held back by Zapier's flood protection.
3

New Contact

Polling trigger

In Zapier“Triggers when a new contact is created.”

Picks up every contact created in your Planning Pod account, whether a planner typed it in or another tool added it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keep your newsletter tool or CRM in step with the address book your venue team builds in Planning Pod.
Watch out
never pair it with Create Contact in the same Zap, or each new contact creates another one.
4

New Contract Signature

Polling trigger

In Zapier“Triggers when a contract has been signed.”

Goes off when a client signs a contract in Planning Pod, the moment a booking turns from a promise into a commitment.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
alert the operations lead so the date is blocked and the planning work can start.
Watch out
contracts signed before the Zap was published are never picked up afterwards.
5

New Deposit

Polling trigger

In Zapier“Triggers when a new deposit is created.”

Reacts to each new deposit recorded in Planning Pod, the first money a client puts down to hold a date.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
log deposits in the sheet your bookkeeper reconciles, without anyone retyping amounts.
Watch out
deposits and invoice payments are separate triggers, so a finance Zap built on one will miss the other.
6

New Form Response

Polling trigger

In Zapier“Triggers when a new form response is captured.”

Catches every response captured by a Planning Pod form, which makes it the natural entry point for inquiries and questionnaires.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
route each wedding or corporate inquiry to the right salesperson by email or chat.
Watch out
testing it shows only the three latest responses, so submit a fresh one if those are too old.
7

New Invoice Payment

Polling trigger

In Zapier“Triggers when a new payment is created for an invoice.”

Runs when a payment is recorded against one of your Planning Pod invoices.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
post a short note in the team channel so nobody sends a reminder to a client who already paid.
Watch out
one invoice paid in several installments starts the Zap once per payment, and each run costs its actions.
8

New Invoice

Polling trigger

In Zapier“Triggers when a new invoice is created.”

Picks up each invoice newly created in Planning Pod, before any money has changed hands.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
mirror every invoice into the accounting tool your accountant prefers, so the books match the events.
Watch out
edits to an invoice after creation do not start the Zap a second time.
9

New Lead

Polling trigger

In Zapier“Triggers when a new lead is created.”

Fires for each lead added to Planning Pod, the earliest sign that someone is thinking about booking your venue or services.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
send new leads to your CRM or sales chat so follow-up starts the same day.
Watch out
a Zap that uses Create Lead on its own output will loop, so keep this trigger away from that action.
10

New Ticket Payment

Polling trigger

In Zapier“Triggers when a new ticket payment is created.”

Watches ticket sales: each new ticket payment recorded in Planning Pod starts a run.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keep a running sales log for a ticketed gala or workshop in a sheet the organizer can share.
Watch out
the moment tickets open, a rush of sales can come back as one big batch and get held by flood protection.
11

New Proposal

Polling trigger

In Zapier“Triggers when a new proposal has been created.”

Starts a Zap when a planner creates a proposal in Planning Pod, the quote a prospect will review before signing.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
track every proposal sent in a pipeline board so managers see what is waiting on a client.
Watch out
proposals that already existed before you published the Zap are never picked up.
12

New Proposal Signature

Polling trigger

In Zapier“Triggers when a proposal has been signed.”

Tells Zapier that a prospect has signed a proposal, which is usually the moment a lead becomes a client.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
mark the deal as won in your CRM and let the sales rep know it is time to hand over.
Watch out
proposal signatures and contract signatures are two different triggers, so pick the one your process really uses.
13

New To-Do

Polling trigger

In Zapier“Triggers when a new to-do is created in an event.”

Fires whenever a to-do is added to one of your events, the checklist items that keep a production on track.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
copy event to-dos into the task manager your freelancers or suppliers already use.
Watch out
ticking a to-do as done in Planning Pod does not start anything, only a new one does.
Actions

The 2 Planning Pod actions

Planning Pod gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact.”

Writes a new person into your Planning Pod contacts, outside any event or sales pipeline.

When to use it
add suppliers, partners or newsletter sign-ups to the address book your planners work from.
Watch out
first name, last name and email are required, and with no search step Zapier cannot check whether that contact already exists.
2

Create Lead

Action

In Zapier“Creates a new lead.”

Adds a new lead to Planning Pod from whatever started the Zap, with its tentative event already attached.

When to use it
turn inquiries from your website form, ads or booking marketplace into leads without retyping them.
Watch out
it needs a tentative event name, a tentative start date, first name, last name and email, all five, or the step fails.
When it breaks

When a Planning Pod Zap breaks

Zapier does not attach any help article to Planning Pod, so these are the general limits that hit this app hardest.

Most surprises come from timing and from loops, not from the connection itself. If a Zap stops behaving, the Zapier troubleshooting page is a good next stop.

  • The backlog is never picked up

A Zap only reacts to leads, invoices or payments created after you publish it. Everything already in Planning Pod stays where it is, and moving it is a separate job.
  • New Contact plus Create Contact loops

A Zap that creates a contact in Planning Pod while its trigger watches new contacts sets itself off again and again, and burns through your tasks fast.
  • Bulk imports get held back

After an import of attendees or contacts, a trigger can suddenly return a huge batch. Zapier's flood protection can hold it back instead of running every item.
  • The same item never runs twice

Zapier remembers what it has already seen on a polling trigger. A lead edited later does not count as new, so it will not start the Zap a second time.

FAQ

Planning Pod Zapier integration: common questions

01Is the Planning Pod Zapier integration free?
Yes, Planning Pod works on Zapier's free plan because Zapier does not reserve it for paid plans. The free plan gives you 100 tasks per month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. A Zap that sends new leads to another app fits. As soon as you add a filter or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Planning Pod Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier checking Planning Pod for new invoices or leads costs nothing, however often it looks. A Zap with one action costs one task per new item; with three actions it costs three. An action that fails is not counted. Watch payments in installments: each payment is a new item, so each one runs the Zap and spends its tasks.
03Does Planning Pod send data to Zapier in real time?
No. All 13 Planning Pod triggers are polling triggers, none is instant. Zapier goes and looks at regular intervals, and the interval depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor when you are testing. Planning Pod has no instant trigger, so this delay applies to every Zap you build with it, whatever event it watches.
04What does it take to connect Planning Pod to Zapier?
A Planning Pod account, and access to the records you want the Zap to read or write. In Zapier, open the Apps page, click + Add connection, search for Planning Pod, click Add connection, sign in to Planning Pod in the tab that opens, and grant Zapier access to that account. Read or write access is needed on anything you do not own. You do it once: every Zap that reads or writes Planning Pod then picks that same connection from a list.
05Why does Create Lead fail in a Zap?
Usually because a required field is empty. Create Lead needs five values: a tentative event name, a tentative event start date, first name, last name and email. If the app that starts the Zap does not provide an event date, the step has nothing to send. Map every one of the five from the trigger, or type a fixed value for the event name when your source has none. Testing the action once before publishing shows the missing value straight away.
06What if the Planning Pod operation you need is not available?
Then Zapier cannot do it with Planning Pod today. The integration only offers 13 triggers and two actions, Create Lead and Create Contact, with no update, no delete and no search step. Updating an event or marking an invoice paid stays a manual job in Planning Pod. A different automation platform is only worth comparing if it offers that exact operation for Planning Pod. Check the list of 13 triggers and two actions on this page first, since the operation may simply carry another name.
07Zapier, Make or n8n for Planning Pod?
Decide on criteria, not on reputation. Check first which tool offers the Planning Pod operations your process needs; on Zapier that means 13 triggers and two create actions. Then look at timing: on Zapier every Planning Pod trigger waits for the next check of your plan. Finally, compare how each tool bills a run against the volume of leads and payments you expect each month. None of these criteria names a winner in advance: the right choice depends on your own process and volume.
