Overview

What the Outfy Zapier integration actually does

Outfy is a social media tool for online shops: it turns your product photos into collages, animated GIFs and videos ready for social networks. Zapier connects it to your other tools through a Zap: one trigger (the event that starts the automation) followed by one or more actions (the steps that write, send or move something for you). On Zapier, Outfy offers a single event and nothing else.

That one event still covers three useful results. A heads-up for whoever posts: Instagram Post fires when a post is ready to share, and the next step pings the person in charge of the account so it goes out on time. A content log that keeps itself: the same trigger adds each ready post to a sheet, which gives the shop a running record of what was prepared. A review step before publishing: the post lands in an inbox or a project board where a teammate checks the caption before it goes live.

Now what Zapier won't do here. Outfy has no action and no search on Zapier, so a Zap can't create a post, schedule one, edit a caption or look up an older post in Outfy. The integration only works in one direction: out of Outfy, into your other tools. And a Zap only sees posts that become ready after you publish it, never the ones prepared earlier.

If you are still weighing the platform, read the Zapier review and Make vs Zapier before building.

Vocabulary

Zapier vocabulary in one minute

Seven words you'll meet in the editor, in plain English.

Task
What Zapier bills: one action your Zap completes successfully. Your plan's quota counts those and nothing else.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the unseen ones.
Instant trigger
A trigger the app reports by itself when the event happens, so nothing waits for Zapier's next check. Instagram Post is one.
Filter
A step that lets the Zap continue only when the incoming data meets the condition you set, and stops it otherwise.
Search step
A step that finds something already stored in an app so later steps can use it. Outfy offers none on Zapier.
Connection
Your Outfy account linked to Zapier once, then reused by every Zap that starts from Outfy.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search turns it into one, and it then needs a paid plan.
Cost

What an Outfy Zap really costs

Outfy is not a premium app, so it works on Zapier's free plan. You pay in tasks, and only for the steps that follow.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • Trigger cost0 task per ready post
  • Instagram PostInstant, the grid doesn't apply

Instagram Post never costs a task: the trigger is free however many posts get ready. Each action after it that succeeds counts one task, so a Zap that pings Slack spends one per post, and adding a sheet row makes it two. A failed action isn't counted. The free plan gives 100 tasks a month and two-step Zaps only. A second action or a filter means a paid plan. The interval grid below concerns polling triggers only; Instagram Post is instant on every plan.

Connect

Connect Outfy to Zapier in 3 steps

  1. 01

    Open the Apps page

In Zapier, go to Apps and click + Add connection. You need an Outfy account first, plus access to anything you don't own yourself that the Zap should read.

  2. 02

    Find Outfy

Type Outfy in the search field of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the Outfy side so you can sign in.

  3. 03

    Sign in and grant access

Log into Outfy in that tab and allow Zapier to reach the account. The connection then appears in your list, and every Zap starting from Outfy can reuse it.

First Zap

Your first Zap: alert the poster and log every ready post

GoalEach time an Outfy Instagram post is ready to share, ping the social media manager in Slack and add a row to the content sheet.

  1. 01

    Set the trigger

Create a Zap, pick Outfy as the app and Instagram Post as the event, then select the connection you made in the previous section.

  2. 02

    Test with real posts

Run the trigger test. Zapier brings back the three most recent ready posts of your account; pick one so the next steps map against real content.

  3. 03

    Add the Slack message

Add the Slack action and put the post details into the message. Test the step and read the message it sent before moving on.

  4. 04

    Add the sheet, then publish

Add Google Sheets as a second action. The Zap is now multi-step and needs a paid plan. Test it, check the row, then publish to switch the Zap on.

Triggers

The Outfy trigger

1 event starts a Zap when something happens in Outfy, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Instagram Post

Instant trigger

In Zapier“Triggers when your Instagram post is ready to Share.”

Fires each time a post you prepared in Outfy is ready to share on Instagram, and hands it to the next step of your Zap. It's the only Outfy event on Zapier, so every alert, log or review flow built around Outfy starts with it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a small online boutique wants the owner warned on her phone whenever a new product collage is waiting to go out.
Watch out
the trigger tells you a post is ready; it doesn't publish anything by itself, so the step you add decides what happens next.
When it breaks

When an Outfy Zap breaks

Zapier links no help article to Outfy and records no limit specific to it. What goes wrong comes from Zapier's general rules.

With a single trigger, three cases cover most of the trouble. If a Zap still behaves oddly, the Zapier troubleshooting page is the next stop.

  • Posts prepared earlier never show up

A Zap reacts only to posts that become ready after you publish it. Earlier posts stay in Outfy; nothing replays them through the Zap.
  • A large batch held back

Generate a big batch of posts at once and the trigger suddenly fires on many items. Zapier's flood protection can hold that batch instead of running every Zap.
  • The second step stops on the free plan

The free plan builds Zaps of one trigger and one action. Add a sheet row after the Slack ping, or a filter, and the Zap needs a paid plan to run.

FAQ

Outfy Zapier integration: FAQ

01Is the Outfy Zapier integration free?
Yes, on Zapier's side. Outfy is not a premium app, so it works on the free plan. That plan includes 100 tasks a month and builds Zaps of two steps: one trigger and one action. Instagram Post feeding a single Slack message or sheet row fits inside it. Add a second action or a filter and the Zap becomes multi-step, which needs a paid plan. Your Outfy subscription is billed separately by Outfy, and this page doesn't cover its pricing.
02How many Zapier tasks does an Outfy Zap use?
One per successful action, every time a post is ready. The Instagram Post trigger itself costs nothing, whatever the number of posts. A Zap that only sends a Slack message spends one task per post; one that also adds a sheet row spends two. An action that fails is not counted against the plan. Since Outfy has no action on Zapier, every task you spend comes from the other apps in the Zap.
03Is the Outfy trigger real time?
It is instant. Outfy reports a ready post to Zapier itself, so the Zap starts without waiting for a scheduled check, on every plan, the free one included. The interval grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) applies only to polling triggers, and Outfy has none on Zapier. In the editor, a Zap built on an instant trigger shows a lightning bolt next to it.
04What does it take to connect Outfy to Zapier?
An Outfy account, plus access to anything you don't own yourself but want the Zap to read. In Zapier, open Apps, click + Add connection, search for Outfy, click Add connection, sign in on the tab that opens and grant access. No field is required on the trigger, so once connected you can test straight away, provided at least one post is ready in the account. The same connection then serves every Zap you build from Outfy.
05Can Zapier publish or schedule Outfy posts?
Not through Outfy. On Zapier, Outfy offers one trigger, Instagram Post, and no action, so no Zap can create, schedule, edit or publish a post inside Outfy. The trigger only tells Zapier that a post is ready to share. What happens next depends on the step you add after it, in another app: a message, a row, an email, a card on a board. The sharing itself happens outside Zapier. Choose that next step with care.
06What if the Outfy operation you need isn't on Zapier?
Then Zapier can't do it for Outfy today. The catalog stops at a single trigger, Instagram Post. There is no action and no search, so nothing creates collages, GIFs or videos, nothing looks up an older post, and nothing works on other networks from Outfy's side. Keep that work inside Outfy, and use Zapier for what follows once a post is ready. That split keeps each tool on the job it handles.
07Zapier, Make or n8n for Outfy?
Choose on criteria, not on a ranking. First, check that the tool offers an Outfy connector at all, and which events it exposes; on Zapier it's one instant trigger and no action. Second, count your steps: on Zapier's free plan a Zap stops at one trigger and one action. Third, look at the apps you want after Outfy and make sure the tool covers them. Last, think about who will maintain the automations.
