Overview

What the Atarim Zapier integration actually does for an agency

The Atarim Zapier integration links your Atarim Agency Dashboard to Zapier, the tool that runs automations between apps without code. Something happens on a client website in Atarim (a task, a comment, a status change), and Zapier answers it with a step you chose in advance: a note, a tag, a new urgency, a time entry.

Three results come up again and again when an agency wires Atarim into Zapier.

A task that never sits unread. New Task spots each task created in the dashboard, and Create Note drops your internal checklist on it, so whoever opens it sees the house rules first.

A board that reflects reality. Status Change and Urgency Change watch how tasks move, and Add a Comment or Add a Tag leave a trace on the task without anyone typing it.

Time that ends up in the right place. New Logged Time Entry follows the hours your team records, while Create Time Entry, Edit Time Entry and Delete Time Entry let a Zap write, correct or remove an entry for you.

Now the limits, because they shape what you can build. Every trigger here is checked on a timer: none of them is instant. The app offers no search step, so a Zap cannot look up an existing task by name before acting on it. And nothing in the list creates a website or deletes a task. If one of those is your goal, Zapier alone will not get you there.

Atarim also has a page for the other big platform: see the Atarim Make integration before you choose. This page was checked on October 1, 2026 against version AtarimCLIAPI@1.0.5.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the whole page. Read them once and the rest is plain sailing.

Zap
The automation you build: one trigger, then one or more actions that run every single time that trigger event happens.
Trigger
The event in Atarim that starts the Zap, such as a new task or a status change. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes something into Atarim for you, like a note, a tag or a time entry.
Task
The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks Atarim for new items at a set interval and keeps only what it has not seen yet.
Instant trigger
A trigger the app reports itself, the moment the event happens. Atarim has none, so every trigger on this page polls.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set. Otherwise the Zap stops right there.
Connection
Your Atarim account linked to Zapier once, then reused by every step of every Zap that touches Atarim.
Cost

What an Atarim Zap costs you in tasks

Short version: watching Atarim is free, and only actions that succeed are billed.

  • Trigger checks0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month
  • Premium appNo

The trigger never costs a task, however often Zapier goes and checks. Each action that goes through counts one task, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. Atarim is not a premium app, so it works on the free plan: 100 tasks a month, as many Zaps as you like, a check every 15 minutes. The catch is the two-step ceiling. A free Zap is one trigger and one action, full stop. Add a second action or a filter and it becomes a multi-step Zap, which needs a paid plan.

Connect

Connect Atarim to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an existing Atarim account before you start: Zapier links an account, it never creates one.

  2. 02

    Find Atarim and add it

Type Atarim in the search box of the dialog, pick it, then click Add connection. A new tab then opens on the Atarim side, where the rest of the connection happens.

  3. 03

    Sign in and grant access

Log in to Atarim in that tab and allow Zapier to use the account. From now on, every Zap step that touches Atarim reuses this connection, so you only do this once per account.

First Zap

Your first Atarim Zap: comment when a status moves

GoalEach time a task changes status in Atarim, leave a comment on it, then raise its urgency so the next person on the job sees it at the top.

  1. 01

    Build: pick the trigger

Start a new Zap, choose Atarim as the app and Status Change as the event. Then select the Atarim connection you created earlier.

  2. 02

    Test the trigger

Click Test. Zapier brings back the three most recent items of the account, so pick a real task to map the next steps on, not a blank example.

  3. 03

    Add the comment

Add an action, choose Add a Comment, then map the website and the task coming from the trigger. Write the comment text in the Content field.

  4. 04

    Raise the urgency

Add a second action, Change Urgency, with the same website and task. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then Publish

Run each step once and read what came back. When the comment and the urgency look right in Atarim, click Publish to switch the Zap on.

Triggers

Atarim triggers: what starts a Zap

8 events start a Zap when something happens in Atarim. Zapier checks for them at the interval your plan allows.

1

Add Tag

Polling trigger

In Zapier“Triggers when a tag is added to a task inside your Agency Dashboard.”

Starts your Zap when someone puts a tag on a task in the Agency Dashboard. Tags become a switch: add the right label and the follow-up runs on its own.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a project manager tags a task as needing a developer, and the Zap bumps its urgency so it jumps the queue.
Watch out
never pair it with the Add a Tag action on the same tasks, or each tag the Zap adds will start the Zap again.
2

Urgency Change

Polling trigger

In Zapier“Triggers when a task urgency is change.”

Reacts when the urgency of a task is changed. It catches the moment a request goes from routine to pressing, whoever made that call.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when an account manager marks a client fix as urgent, the Zap leaves a note on the task so the developer knows the client is waiting.
Watch out
on the free plan the change can sit up to 15 minutes before Zapier notices it, which matters if urgent really means urgent.
3

New Comment

Polling trigger

In Zapier“Triggers when a new comment is created on a task in your Agency Dashboard.”

Fires on each fresh comment written on a task. It is the trigger that follows the back-and-forth on a task rather than its status.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a client replies on a design task after hours, and the Zap changes the task's status so it lands back with your team.
Watch out
do not answer it with Add a Comment on the same task, or the Zap's own comment will set it off once more.
4

New Logged Time Entry

Polling trigger

In Zapier“Triggers when a time entry is logged.”

Picks up each time entry logged in Atarim. This is the trigger that follows the hours rather than the work itself.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a freelancer logs time on a maintenance task, and the Zap writes a note on that task so the account manager sees the hours have started.
Watch out
the Zap only sees entries logged after it is published, so last month's hours never come through it.
5

New Note

Polling trigger

In Zapier“Triggers when a new note is created on a task in your Agency Dashboard.”

Triggers when a note is created on a task. Where New Comment follows the discussion, this one follows the notes people pin to the work.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a QA tester leaves a note flagging a bug, and the Zap tags the task so the developer spots it among the others.
Watch out
a Zap that answers a note with Create Note on the same task will loop and burn your tasks fast.
6

New Task

Polling trigger

In Zapier“Triggers when a new task is created on your Agency Dashboard.”

Fires on every task created in your Agency Dashboard. It is the natural entry point for an intake routine.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
every new client request should carry the same internal checklist, added as a note before anyone starts work.
Watch out
after a bulk import of tasks, Zapier's flood protection may hold back the sudden batch instead of running them all.
7

New Website

Polling trigger

In Zapier“Triggers when a new website was added to your Agency Dashbard.”

Reacts when a website is added to your Agency Dashboard. It marks the start of a client relationship rather than a single request.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a new client site arrives and you want an onboarding task opened on it with Create General Task, without anyone thinking of it.
Watch out
sites added before the Zap was switched on are not picked up; only new websites start it.
8

Status Change

Polling trigger

In Zapier“Triggers when the status of a task is changed inside your Agency Dashboard.”

Fires when a task moves from one status to another. It tells you that work progressed, without telling anyone to go and check the board.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a developer marks a fix as done, and the Zap posts a comment on the task so the client sees the update next time they open it.
Watch out
do not answer it with Change Status on the same tasks, or the Zap keeps setting itself off.
Actions

Atarim actions: what a Zap can do in your dashboard

Atarim gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add a Comment

Action

In Zapier“Add comment to a task.”

Posts a comment on a task, the place where the conversation with the client happens. Website, task and content are all required.

When to use it
when a task moves to done, a short comment tells the client the change is live and ready for a look.
2

Add a Tag

Action

In Zapier“Add a tag to a task.”

Puts a tag on a task, so nobody has to label it by hand. Website, task and tag text are required.

When to use it
any task that receives an internal note from QA gets a bug tag.
Watch out
avoid it in a Zap started by Add Tag.
3

Change Status

Action

In Zapier“Change the status of a task.”

Moves a task to another status. You choose the website, the task and the target status from the list Atarim offers.

When to use it
a client comments again on a closed task, and the Zap reopens it for the team.
Watch out
combined with the Status Change trigger, it can start itself over and over.
4

Change Urgency

Action

In Zapier“Change the urgency of a task inside your Agency Dashboard.”

Sets the urgency of a task inside your Agency Dashboard. Website, task and the new urgency level are all mandatory.

When to use it
anything tagged for a developer goes up a notch so it rises in their list instead of waiting its turn.
5

Create General Task

Action

In Zapier“Create a general task.”

Opens a new general task on a page of a client website and assigns it to a user. Four fields are mandatory: the website, the page, the message and the user.

When to use it
a form on your own site collects a change request, and the Zap turns it into an Atarim task on the right page.
6

Create Note

Action

In Zapier“Create a new note inside your Agency Dashboard.”

Writes a note on an existing task. You pick the website and the task, then type the content.

When to use it
every new task gets the same reminder for your team, such as checking mobile before closing.
Watch out
paired with the New Note trigger on the same tasks, it loops.
7

Create Time Entry

Action

In Zapier“Create a Time Entry”

Logs a time entry on a task for a given user, with start and end times, a billable choice and a description of the work.

When to use it
time tracked in another tool should land in Atarim against the right task.
Watch out
start and end times expect the hh:mm format on a 24-hour clock, such as 22:07 and 23:07.
8

Delete Time Entry

Action

In Zapier“Create a time entry in app dashboard”

Removes a time entry from Atarim. The only field asked is which entry to delete.

When to use it
clearing a test entry or a duplicate that slipped in from another tool.
Watch out
the entry has to be picked or mapped from an earlier step, since the app has no search to find it.
9

Edit Time Entry

Action

In Zapier“Edit time entry”

Corrects an existing time entry. You select the entry, then fill in end time, website, task, user, billable, description and the Complete field, all required.

When to use it
fixing hours that were logged against the wrong task.
Watch out
every field is mandatory, so a partial update is not possible.
When it breaks

When an Atarim Zap breaks

Zapier lists no help article and no rate limit specific to Atarim. What breaks is what breaks on any Zapier app.

Four cases cover almost every surprise. The first two are design mistakes you can avoid today; the last two are Zapier behaviours worth knowing before you trust a Zap with client work. For anything that still looks wrong, the Zapier troubleshooting page goes step by step.

  • The Zap ignores older tasks

A Zap only reacts to what happens after you publish it. Tasks, notes and time entries that already existed are never picked up; moving that backlog is a separate job.
  • The Zap keeps setting itself off

A Zap that writes where its own trigger watches starts again on its own output: Add a Tag after Add Tag, Change Status after Status Change. It eats your tasks fast.
  • A big batch arrives late or not at all

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection can hold it back instead of running every item.
  • The same task does not run twice

Zapier remembers what it has already seen on a polling trigger, so a task never starts the Zap twice.

FAQ

Atarim Zapier integration: frequent questions

01Is the Atarim Zapier integration free?
Yes, as long as your Zap stays at two steps. Atarim is not a premium app, so it works on the free plan, which gives you 100 tasks a month, unlimited Zaps and a check every 15 minutes. The limit sits elsewhere: a free Zap is one trigger plus one action. The moment you add a second action or a filter, the Zap becomes multi-step and Zapier asks for a paid plan. So a Zap that writes a note on each new task stays free, while one that comments and then changes urgency does not.
02How many Zapier tasks does an Atarim Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier can check Atarim for new tasks as often as your plan allows without spending anything. Only completed actions are billed. A Zap that adds a comment uses one task per run; a Zap that adds a comment and changes urgency uses two. An action that fails is not counted. With 100 tasks a month on the free plan, a two-action Zap gives you roughly half as many runs as a single-action one.
03Is the Atarim integration real time?
No. All eight Atarim triggers are polling triggers: Zapier goes and asks Atarim for new items at a fixed interval, then keeps only what it has not seen. On the free plan that interval is 15 minutes, on Professional 2 minutes, on Team and Enterprise 1 minute. None of the triggers is instant, so there is no way to make Atarim push events to Zapier the second they happen. On paid plans you can also run a check by hand from the editor.
04What does it take to connect Atarim to Zapier?
An existing Atarim account and access to what you want the Zap to touch. You add the connection from the Apps page of Zapier, pick Atarim, sign in on the Atarim tab that opens and grant access. Most Atarim actions require a website and a task, so the account you connect must see those sites. If a colleague owns a client website, your login needs read or write rights on it, or the Zap will not be able to act there.
05Why does an Atarim Zap run over and over?
Because it writes into the very place its trigger watches. A Zap started by Add Tag that also uses the Add a Tag action, or one started by Status Change that uses Change Status, reacts to its own output. Each run creates a new event, which starts a new run. The task count drains quickly. Break the circle by using a different trigger, or by acting on a different kind of item than the one being watched.
06What if the Atarim action you need is not in Zapier?
Then Zapier cannot do it directly, and it is worth knowing before you build. The integration offers nine actions: comment, tag, status, urgency, general task, note, and three for time entries. There is no search step, no way to create a website and no way to delete a task. In that case, compare what other automation platforms list for Atarim before building, rather than forcing a workaround with the nine actions available.
07Zapier, Make or n8n for Atarim?
It depends on your criteria rather than on a winner. Start with the operations: on Zapier, Atarim brings 8 triggers and 9 actions, and you should check that the same events exist elsewhere. Then look at the shape of your scenarios: Zapier's free plan runs Atarim, but only in two-step Zaps, and each successful action counts as one task. Finally, look at timing, since every Atarim trigger on Zapier polls. Weigh those three points against your own volume of work before deciding.
