Overview

What the Outgrow Zapier integration actually does

Outgrow lets marketers build interactive content (quizzes, calculators, polls, surveys, assessments, chatbots, contests) that collects leads along the way. Zapier carries those leads to your other tools through a Zap: one trigger (the event that starts things) followed by one or more actions (the steps that write, send or move something for you). On Zapier, Outgrow is a source only: two triggers, both about leads.

Three results teams build with them. A mailing list that grows by itself: New Lead picks up each person who fills the lead form of a quiz or calculator, and the next step adds them to your email tool. Sales alerts for the right prospects: Lead Segment only passes on the leads of a segment you defined in Outgrow, say the highest scores of an assessment, so reps hear about those and nobody else. A clean lead log: either trigger can feed a sheet that marketing reviews without exporting from Outgrow.

What Zapier won't do here. Outgrow has no action and no search on Zapier, so a Zap can't create content, edit a lead or look one up in Outgrow. Both triggers are polling, which means a delay set by your plan. And a Zap only sees leads that arrive after you publish it, never the ones already collected.

If you are still weighing the platform, read the Zapier review and n8n vs Zapier before building.

Vocabulary

Zapier vocabulary in one minute

Seven words you'll meet in the editor, in plain English.

Task
What Zapier bills: one action your Zap completes successfully. Your plan's quota counts those and nothing else.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the unseen ones. Both Outgrow triggers work so.
Instant trigger
A trigger the app reports itself when the event happens, with no wait for Zapier's next check. Outgrow has none on Zapier.
Filter
A step that lets the Zap continue only when the incoming data meets the condition you set, and stops it otherwise.
Search step
A step that finds something already stored in an app so later steps can use it. Outgrow offers none on Zapier.
Connection
Your Outgrow account linked to Zapier once, then reused by every Zap that starts from Outgrow.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search turns it into one, and it then needs a paid plan.
Cost

What an Outgrow Zap really costs

Outgrow is not a premium app, so it runs on Zapier's free plan. You pay in tasks, and in waiting time.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • Trigger cost0 task, checks included
  • Both triggersPolling, interval set by your plan

Neither trigger costs a task, and Zapier's repeated checks for new leads are free too. Each action that succeeds after them counts one task: adding a lead to your mailing list spends one, posting to Slack as well makes two. A failed action isn't counted. The free plan gives 100 tasks a month and two-step Zaps only; a filter or a second action needs a paid plan. Since both triggers are polling, the grid below sets how long a new lead waits before the Zap picks it up.

Connect

Connect Outgrow to Zapier in 3 steps

  1. 01

    Open the Apps page

In Zapier, go to Apps and click + Add connection. You need an Outgrow account first, plus read access to any content you don't own yourself that the Zap should watch.

  2. 02

    Find Outgrow

Type Outgrow in the search field of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the Outgrow side so you can sign in.

  3. 03

    Sign in and grant access

Log into Outgrow in that tab and allow Zapier to reach the account. The connection then appears in your list, and every Zap starting from Outgrow can reuse it.

First Zap

Your first Zap: log every quiz lead and alert sales

GoalEach time a calculator or quiz in Outgrow collects a new lead, add it to a sheet and post it in the sales channel.

  1. 01

    Set the trigger

Create a Zap, pick Outgrow as the app and New Lead as the event, select your connection, then choose the calculator or quiz to watch.

  2. 02

    Test with real leads

Run the trigger test. Zapier brings back the three most recent leads of that content piece; pick one so the next steps map against real answers.

  3. 03

    Add the sheet row

Add the Google Sheets action and map the lead's details into your columns. Test the step and check the row it wrote before moving on.

  4. 04

    Add Slack, then publish

Add a Slack action as the second step. The Zap is now multi-step and needs a paid plan. Test the message, then publish to switch the Zap on.

Triggers

Outgrow triggers

2 events start a Zap when something happens in Outgrow. Zapier checks for them at the interval your plan allows.

1

New Lead

Polling trigger

In Zapier“Triggers when a new lead is created. Works on all Outgrow plans.”

Picks up every lead captured by one of your Outgrow calculators or quizzes and passes it to the next step. Outgrow states it works on all of its plans, which makes it the default starting point for any lead Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a mortgage broker runs a borrowing calculator and wants every visitor who leaves an email added to a nurture sequence.
Watch out
the Calculator / Quiz field is required, so one Zap watches one content piece; a piece with several lead forms needs extra setup on the Outgrow side.
2

Lead Segment

Polling trigger

In Zapier“Data will be filtered based on outgrow segment.”

Passes on only the leads that belong to a segment you defined in Outgrow, so the Zap works on a subset rather than everyone. It does the sorting before Zapier, which also spares you a filter step and a paid plan.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a software vendor's readiness assessment should route only high-scoring companies to the sales team.
Watch out
segments must already exist in Outgrow, and fields beyond the standard lead form require Outgrow's advanced integration.
When it breaks

When an Outgrow Zap breaks

Zapier links no help article to Outgrow and records no limit specific to it. Trouble comes from Zapier's general rules and from the triggers' own settings.

  • Leads collected before the Zap don't show up

A Zap reacts only to leads that arrive after you publish it. Earlier leads stay in Outgrow; moving that history is a separate job.
  • The same lead never fires twice

Zapier keeps track of the leads it has already seen, so a lead picked up once won't start the Zap again at a later check, and nobody gets the same alert twice.
  • A viral quiz held back

When a quiz takes off and a huge batch of leads shows up at one check, Zapier's flood protection can hold that batch instead of running every Zap.
  • Segment fields come back empty

Lead Segment hands over the standard lead form fields. Anything else requires Outgrow's advanced integration, so mapping a custom answer may return nothing.

FAQ

Outgrow Zapier integration: FAQ

01Is the Outgrow Zapier integration free?
Yes, on Zapier's side. Outgrow is not a premium app, so it works on the free plan, and Outgrow states that New Lead works on all of its own plans. Zapier's free plan includes 100 tasks a month and Zaps of two steps: one trigger and one action. A lead sent to your mailing list fits. Add a second action or a filter and the Zap becomes multi-step, which needs a paid plan. Your Outgrow subscription is billed separately.
02How many Zapier tasks does an Outgrow Zap use?
One per successful action, for each lead. The New Lead and Lead Segment triggers cost nothing, and neither do Zapier's repeated checks for new leads. A Zap that adds each lead to your email tool spends one task per lead; one that also posts in Slack spends two. Failed actions are not counted. A popular quiz can bring many leads in a day, so count your expected volume against the plan before publishing.
03Are the Outgrow triggers real time?
No. Both are polling triggers: Zapier asks Outgrow for new leads at a fixed interval and keeps only the ones it hasn't seen. How often depends on the plan: every 15 minutes on Free, every 2 on Professional, every minute on Team and Enterprise. On paid plans you can change that frequency and also run a check by hand from the editor, which helps a lot while testing a new Zap.
04What does it take to connect Outgrow to Zapier?
An Outgrow account, plus access to any content you don't own but want the Zap to watch. In Zapier, open Apps, click + Add connection, search for Outgrow, click Add connection, sign in on the tab that opens and grant access. Then pick the calculator or quiz each trigger should follow. For Lead Segment, create the segment in Outgrow first, under Builder then Analytics, or the menu will be empty. The connection then serves every Zap you build.
05Why does Lead Segment send fewer fields than expected?
Because, by default, it passes on the standard lead form fields only. Outgrow notes that reaching any other field requires its advanced integration. So if your Zap maps a custom quiz answer or a calculated result, that value may arrive empty. Check what the trigger test brings back before mapping, and if a field is missing, look at the integration settings on the Outgrow side rather than in Zapier. Better to find out at test time than in production.
06What if the Outgrow operation you need isn't on Zapier?
Then Zapier can't do it for Outgrow today. The catalog stops at two triggers, New Lead and Lead Segment. There is no action and no search, so nothing creates or edits content, nothing updates a lead, and nothing looks up an older one. Keep that work inside Outgrow, and use Zapier to carry leads out to the tools where your marketing and sales teams already work. Each tool then sticks to the job it does well.
07Zapier, Make or n8n for Outgrow?
Choose on criteria, not on a ranking. First, check that the tool offers an Outgrow connector at all, and which events it exposes; on Zapier it's two polling triggers and no action. Second, look at delay: on Zapier the plan decides how often new leads are picked up. Third, count steps, since Zapier's free plan stops at one trigger and one action. Last, think about who will maintain the Zaps day to day.
