Overview

What the Perfect Venue Zapier integration does for a venue team

Perfect Venue is software venues use to run their private events, from the first inquiry to the proposal and the payment. Linked to Zapier, it tells your other tools when an event appears or moves to another status, and it can open new events from inquiries that arrive elsewhere.

Three results come up again and again. A bookings log the whole team can read: New Event Created writes every new event into a shared sheet, without anyone exporting anything. Kitchen and floor staff who hear about changes in time: Event Status Changed, paired with Get Event Details, posts the full event to a team channel whenever its status moves. Inquiries that do not get lost: Create Event opens an event in Perfect Venue from a website form or a booking request that came in somewhere else.

Now what Zapier does not do. There is no search step, so a Zap cannot look up an existing event by name or date. Editing, cancelling or deleting an event from a Zap is not offered either: the two actions create an event and read one. And of the three triggers, only the contact one waits for Zapier's next check; the two event triggers are instant.

If you are weighing Zapier against other tools for this, the Make vs Zapier page and the Zapier review are good starting points.

Vocabulary

Zapier vocabulary in one minute

Eight words carry this page. Here they are in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event that starts the Zap. Perfect Venue has three: a new event, an event changing status, a new contact.
Action
What the Zap does after it starts: the step that writes, sends or moves something. Here, creating an event or reading one.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan counts those each month.
Instant trigger
The app reports the event to Zapier itself, so nothing waits for a check. Both Perfect Venue event triggers work this way.
Polling trigger
Zapier checks the app on a timer and keeps only what is new. The New Contact trigger of Perfect Venue works this way.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes a Zap multi-step, and that needs a paid plan.
Cost

What a Perfect Venue Zap really costs

Perfect Venue is not reserved for paid plans: it runs from the free plan up.

  • TriggersFree, never counted
  • Each successful action1 task, Get Event Details included
  • Free plan100 tasks a month, two-step Zaps
  • Event triggersInstant, no interval

Triggers never cost a task, and Zapier checking for new contacts costs nothing either. Each action that succeeds counts as one task, including Get Event Details, which only reads; a failed action is not counted. The free plan gives 100 tasks a month and two-step Zaps only. A status change followed by Get Event Details and then a message is three steps, so it needs a paid plan, same as any Zap with a filter. The interval grid below only concerns New Contact: the two event triggers are instant.

Connect

Connect your Perfect Venue account

  1. 01

    Open the Apps page

In Zapier, open Apps and click + Add connection. You need an existing Perfect Venue account first, because Zapier links accounts but never creates them.

  2. 02

    Choose Perfect Venue

Type Perfect Venue in the dialog, select it and click Add connection. Zapier opens a new tab so you can sign in on the Perfect Venue side. Nothing else is needed on the Zapier side.

  3. 03

    Sign in and grant access

Log in to Perfect Venue in that tab and give Zapier access. The connection acts with your rights: events or venues you cannot see or edit in Perfect Venue stay out of reach for your Zaps too.

First Zap

Your first Zap: tell the team when an event changes status

GoalEvery time an event moves to another status in Perfect Venue, fetch its full details and post them to the team channel.

  1. 01

    Set the trigger

Create a Zap, pick Perfect Venue as the app that starts it and Event Status Changed as the event, then choose your Perfect Venue connection.

  2. 02

    Test with a real event

Run the trigger test. Zapier brings back the three most recent items from your account, so you build the rest of the Zap on a real event rather than an empty sample.

  3. 03

    Fetch the details

Add Get Event Details as the first action and map the Event ID that the trigger carries into its only required field. Test it and read what comes back.

  4. 04

    Post the message

Add your chat app as the second action and drag the event details into the message. With three steps, this Zap needs a paid plan.

  5. 05

    Publish

Click Publish. Because the trigger is instant, every status change runs the Zap straight away, and the editor shows the lightning bolt of an instant trigger.

Triggers

The 3 Perfect Venue triggers

3 events start a Zap when something happens in Perfect Venue, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Event Created

Instant trigger

In Zapier“Triggers when a new event is created in Perfect Venue”

Starts the Zap whenever a new event appears in Perfect Venue, however it got there. It is the obvious entry point for logging bookings, briefing staff or opening a matching record in your CRM.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
every private event booked at your venue should also show up in the shared planning sheet the managers read.
Watch out
a Zap that creates events with Create Event also sets this trigger off, so never chain the two in a loop.
2

Event Status Changed

Instant trigger

In Zapier“Triggers when an event changes to a different status.”

Reacts each time an event moves from one status to another, which is where most of the operational news about an event lives. It hands over an Event ID that Get Event Details can use.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
the kitchen and the floor manager need a heads-up whenever an event's status moves, without refreshing Perfect Venue all day.
Watch out
it fires on every status change, so a filter is the way to keep only the moves that matter to you.
3

New Contact

Polling trigger

In Zapier“Triggers when a new contact is created in Perfect Venue.”

Picks up each contact created in Perfect Venue, the people behind your event inquiries. It is the trigger to use when your marketing or sales tools should know about every new guest organiser too.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
new organisers should join your mailing list or your CRM without anyone copying their details over.
Watch out
unlike the two event triggers, this one is polled, so a short wait after the contact appears is normal.
Actions

The 2 Perfect Venue actions

Perfect Venue gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Event

Action

In Zapier“Creates a new event in Perfect Venue”

Opens a new event in Perfect Venue from information that arrived in another tool, so an inquiry captured elsewhere lands straight in your events pipeline.

When to use it
a booking form on your website should become an event the team can work on.
Watch out
Event Name, Venue ID and Contact Email are all required, and the new event will set off New Event Created.
2

Get Event Details

Action

In Zapier“Gets an Event's details based on Event ID”

Reads the full record of an event from its Event ID, the identifier that New Event Created and Event Status Changed both carry, so the steps after it can use everything Perfect Venue knows about that event.

When to use it
a status change should produce a message or a document with the whole event in it.
Watch out
it reads, but it still counts as a task when it succeeds.
When it breaks

When it breaks

Zapier attaches no help article to Perfect Venue, so these cases come from how Zapier behaves with every app, applied here.

Perfect Venue Zaps usually fail for one of four predictable reasons: a loop between creating and catching events, a backlog the Zap cannot see, a burst of events at once, or a step that blocks the free plan. For anything else, the Zapier troubleshooting page is the next place to look.

  • A Zap that keeps creating events

Create Event fires New Event Created. A Zap that listens to new events and creates one in return sets itself off again and again, burning tasks fast.
  • Past events never come through

A Zap only reacts to what happens after it is switched on. Events and contacts that already existed stay out, and moving them is a separate job.
  • A bulk import gets held back

Bringing many events or contacts into Perfect Venue at once can make a trigger return a huge batch, which Zapier's flood protection can hold back.
  • The Zap will not publish on free

Get Event Details plus a message, or any filter, makes the Zap multi-step. The free plan stops at one trigger and one action, so trim it or upgrade.

FAQ

Perfect Venue Zapier integration: common questions

01Is the Perfect Venue Zapier integration free?
Yes. Perfect Venue is not one of the apps Zapier keeps for paid plans, so it works on the free plan, with 100 tasks a month and unlimited Zaps. The real limit is the shape of the Zap: one trigger and one action. Logging each new event in a sheet fits. Fetching the event details and then sending a message is three steps, which makes the Zap multi-step and requires a paid plan.
02How many tasks does a Perfect Venue Zap use?
One per action that succeeds. Triggers are never billed, and Zapier checking for new contacts costs nothing however often it looks. Get Event Details is an action, so it counts as one task each time it works, even though it only reads. A status-change Zap that fetches details and posts a message therefore spends two tasks per change. An action that fails is not counted against your plan. Logging events in a sheet costs one task each.
03Does Perfect Venue trigger Zaps in real time?
Two of the three triggers do. New Event Created and Event Status Changed are instant: Perfect Venue tells Zapier the moment something happens, so the Zap starts right away whatever your plan. New Contact is a polling trigger: Zapier checks at an interval set by your plan, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans that interval can be changed. In the editor, instant triggers carry a lightning bolt.
04What does it take to connect Perfect Venue to Zapier?
An existing Perfect Venue account, with rights on the events and venues your Zaps will touch. You connect once from the Apps page of Zapier: add a connection, choose Perfect Venue, sign in on the tab that opens, then grant access. Every later Zap reuses that connection. For Create Event, also keep the Venue ID of your venue at hand, because the action will not run without it. One connection serves all your Perfect Venue Zaps.
05Why would a Perfect Venue Zap create events in a loop?
Because Create Event produces a new event, and a new event is exactly what New Event Created listens for. If one Zap starts on New Event Created and ends with Create Event, every run feeds the next one, and the task count drains quickly. Keep event creation in Zaps that start from another app, such as a form, and keep New Event Created for Zaps that only send information out.
06What if the Perfect Venue operation you need is not on Zapier?
Then Zapier cannot do it for now. The integration offers 3 triggers and 2 actions, with no search: updating, cancelling or deleting an event, or looking one up by name or date, is not available from a Zap. What does work is reacting to new events, status changes and new contacts, creating events, and reading an event's details when you have its Event ID. The rest stays in Perfect Venue.
07Zapier, Make or n8n for Perfect Venue?
Choose on criteria rather than a ranking. On Zapier, Perfect Venue comes ready with two instant event triggers, a polled contact trigger and two actions, and simple two-step Zaps fit the free plan. For another tool, check whether it connects to Perfect Venue at all, whether it catches status changes instantly, whether it can update events and not only create them, and how it bills a three-step flow. Those answers decide it for this app.
