Outpost CRM Zapier integrationAutomate Outpost CRM with Zapier.
The Outpost CRM Zapier integration gives you 3 triggers and 2 actions, no search step. All three triggers are instant, the app is not premium, and a two-step Zap runs on the free plan. Here is what each operation does and what it costs.

What the Outpost CRM Zapier integration actually does
It links your Outpost CRM account to Zapier so that something happening in the CRM (a contact added, a deal closed, an email from a contact) starts an automation, and so that other tools can push new contacts and deals into Outpost. Five operations in total, all visible in the Zapier editor.
Three results people usually build first. A deal pipeline that fills itself: Email From Contact starts the Zap and Add Deal records the opportunity, so a reply from a prospect never sits unread in an inbox. A won-deal handoff: Deal Closed tells your other tools that the sale is done, so onboarding or invoicing starts without someone remembering to ping the team. A contact base kept in one place: a form, a sheet or another app feeds Add Contact, and the name lands in Outpost instead of a stray spreadsheet.
Now the honest part. Zapier offers no search step for Outpost CRM, so a Zap cannot look up an existing contact or deal before acting. There is also no action to update or delete a record: the integration creates, it does not edit. If your process needs to change a deal after it exists, plan that work inside Outpost itself.

Zapier words, in plain English
Seven terms come back on every line of this page. One sentence each, then we use them without repeating.
- Zap
- The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for it to happen.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
- Task
- What Zapier bills. One action your Zap completes successfully equals one task; your plan counts those.
- Instant vs polling trigger
- An instant trigger is reported by the app itself, the moment the event happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
- Connection
- Your Outpost CRM account linked to Zapier once, then reused by every step of every Zap that touches Outpost.
What an Outpost CRM Zap really costs
Outpost CRM is not a premium app, so it works on the free plan. The trigger never costs a task: only a completed action does, and an action that fails is not counted.
- Free plan100 tasks a month, unlimited Zaps
- Zap shape on freeTwo steps: one trigger, one action
- Trigger costZero tasks
- Failed actionNot counted
The catch is the shape of the Zap. The free plan builds two-step Zaps only, one trigger and one action. Add a second action or a filter and you have a multi-step Zap, any Zap beyond that simple pair, which needs a paid plan. Since all three Outpost triggers are instant, the polling grid below never slows them down. It only matters if you later start a Zap from another app that is checked on a timer.
Connect Outpost CRM to Zapier in 3 steps
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. You need an Outpost CRM account first, plus access to any records you do not own but want the Zap to touch.
- 02
Pick Outpost CRM
Type Outpost CRM in the search box of the dialog, select it, then click Add connection. A new tab then opens on the Outpost side so you can sign in there.
- 03
Sign in and grant access
Log in to Outpost CRM in that tab and allow Zapier to reach the account. The connection is then saved, and every Zap that uses Outpost picks it from a list instead of asking again.
Your first Outpost CRM Zap
GoalTurn emails from your contacts into deals, but only the ones that pass your condition.
- 01
Pick the trigger
Create a Zap, choose Outpost CRM as the app and Email From Contact as the event, then select the Outpost connection you just saved.
- 02
Test it on real mail
Run the trigger test. Zapier brings back the three most recent items from your account, so you map the next steps on a genuine email rather than a guess.
- 03
Add the filter
Click the plus icon, choose Filter, then set the field to check, the rule and the value. Pick a text rule for text: the wrong rule type is why a filter never passes.
- 04
Add the deal
Add Outpost CRM again with Add Deal. Map a Title from the email and choose the Group the deal belongs to. Both are required.
- 05
Test, then publish
Test the action once and check the deal in Outpost. Then click Publish. The filter makes this a multi-step Zap, so it needs a paid plan.
Outpost CRM triggers
3 events start a Zap when something happens in Outpost CRM, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
Deal Closed
Instant triggerIn Zapier“Triggers when a deal is closed on Outpost.”
Starts your Zap the moment a deal reaches its closed state in Outpost, which makes it the natural hinge between selling and delivering. What follows can welcome the customer, open a project in your delivery tool or warn finance that an invoice is due.
Email From Contact
Instant triggerIn Zapier“Triggers when one of your Outpost contacts sends you an email.”
Fires when someone already in your Outpost contacts writes to you by email. It turns an inbox event into a CRM event, so a Zap can log a deal, alert a teammate or start a follow-up when a known contact reaches out.
Contact Added
Instant triggerIn Zapier“Triggers when a new contact is added to Outpost.”
Runs each time a new contact appears in Outpost, whether someone typed it in or another Zap created it. Use it to copy that person into your email tool, a shared sheet or a team chat, so the rest of the company knows a new name is in the pipeline.
Outpost CRM actions
Outpost CRM gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Contact
ActionIn Zapier“Add a new contact to your organization”
Creates a contact in your Outpost organization from whatever the earlier steps brought in. Only the Contact Name is required, so a form entry or a row from a sheet is enough.
Add Deal
ActionIn Zapier“Add a new deal to your organization”
Opens a new deal in your organization, labeled with the Title you map and filed under a Group you pick. Both fields are mandatory, and the Title is what you will read in Outpost.
When an Outpost CRM Zap breaks
Zapier attaches no help article to Outpost CRM, and no limit specific to the app has been documented. What breaks is the general behavior of Zapier, which hits this CRM like any other.
Four cases to keep in mind before you publish. If you hit something else, the Zapier troubleshooting page is the place to start.
Nothing from before the Zap
A Zap only reacts to what happens after it is switched on. Contacts and deals already in Outpost are not picked up; moving that backlog is a separate job.The contact loop
Contact Added watching the same account that Add Contact writes into sets the Zap off again and again, and burns through your task count fast.A bulk import held back
Importing a large batch of contacts at once can trip Zapier's flood protection, which holds the sudden wave back instead of running every item.A required field left empty
Add Deal needs a Title and a Group, Add Contact needs a name. If the earlier step brings nothing to map, the action fails, and it is not counted as a task.
