What the Overbooked AI Zapier integration is for
The Overbooked AI Zapier integration sends two events from Overbooked AI to other apps through Zapier: a conversation that ends, such as a phone call, and a client that gets created. It runs one way. Overbooked AI starts the Zap; another tool does the work. No code needed, and the app works on the free plan.
Three results come first. A team that knows what happened: Conversation Ended posts a note in your chat app after each call Overbooked AI handled. A CRM that fills itself: New Client Created adds the person to your customer list the moment Overbooked AI creates them, with no typing on your side. And a follow-up that does not depend on memory: the same trigger can drop a reminder task into your to-do app.
Both triggers are instant. Overbooked AI warns Zapier itself, so the free plan's waiting time between checks never comes into play.
What Zapier does not do for Overbooked AI: it cannot write anything back. There is no action to create a booking, start a call or add a client, and no search to find one. Overbooked AI is always where the Zap starts, never where it ends. Calls and clients from before the Zap was switched on are not picked up either.

Zapier vocabulary in one minute
Seven words the editor uses. Read them once and the rest of the page is easy.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it; here, a call ending or a new client.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you, in a tool other than this one.
- Task
- The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan gives you a set number.
- Instant vs polling trigger
- An instant trigger is reported by the app as the event happens. A polling trigger is checked by Zapier on a fixed timer.
- Filter
- A step that lets the Zap continue only when what arrived meets a condition you set, and stops it every other time.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then requires a paid plan.
What it really costs
Zapier bills tasks, not Zaps. The Overbooked AI trigger costs nothing; each successful action in another tool does.
- Overbooked AI trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, 2 steps per Zap
- Overbooked AI on the free planYes, not a paid-only app
One task per successful action: a Zap that adds a new client to your CRM and posts a chat message uses two tasks per client. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but every Zap stops at two steps, one trigger and one action. A filter or a second action means a paid plan. Plans also set how often Zapier checks polling triggers; Overbooked AI has none, so the grid is here for reference.
Connect Overbooked AI to Zapier in three steps
- 01
Open your connections
In Zapier, open the Apps page of your account and click + Add connection. You need an Overbooked AI account, plus access to anything in it you do not own but want the Zap to read.
- 02
Find Overbooked AI
Search for Overbooked AI in the dialog, select it, then click Add connection. The connection is your account linked to Zapier once, then reused by every Zap built on it.
- 03
Sign in and grant access
Sign in to Overbooked AI in the tab that opens and allow Zapier to access the account. The connection then shows up in your Zapier list, ready for a first Zap.
Your first Zap: every new client in your CRM, with a heads-up
GoalEach client Overbooked AI creates lands in your CRM, and the team gets a short message about it.
- 01
Build: pick the trigger
Start a new Zap, choose Overbooked AI as the app and New Client Created as the event, then select the connection you set up a moment ago.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent clients of the account, so you map the next steps on a real client rather than an empty record.
- 03
Add the CRM
Add your CRM as the first action and map the client details sent by Overbooked AI into the matching contact fields of your customer list.
- 04
Add the message
Add your chat app as a second action with a short note naming the new client. Two actions make this a multi-step Zap, which runs on a paid plan.
- 05
Test, then publish
Test each action once, check the CRM and the channel, then click Publish to switch the Zap on for every client that follows.
Overbooked AI triggers on Zapier
2 events start a Zap when something happens in Overbooked AI, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.
Conversation Ended
Instant triggerIn Zapier“Triggers when a conversation ends (e.g. phone call).”
Starts the Zap when a conversation in Overbooked AI is over, a phone call being the typical case. It is the moment to pass on what just happened, while the caller is still fresh in mind.
New Client Created
Instant triggerIn Zapier“Triggers when a new client is created.”
Reacts when Overbooked AI adds a new client to its records. Where Conversation Ended is about each exchange, this one is about each person, once.
When an Overbooked AI Zap breaks
Zapier attaches no help article to Overbooked AI and the source lists no limit specific to the app. These are the general traps, applied to calls and clients.
Most surprises come from how the Zap is built, not from Overbooked AI. Four cases are worth a check before you rely on it. If a Zap still misbehaves, see Zapier troubleshooting.
Past calls and clients stay out
A Zap only reacts to what happens after it is switched on. Conversations and clients already in Overbooked AI are not picked up; moving them is a separate job.A busy day eats the task count
Conversation Ended runs on every call. With two actions behind it, each call costs two tasks, and the 100 tasks of the free plan can go faster than expected.A sudden batch gets held back
When a trigger suddenly sends a huge batch, after an import or a migration for example, Zapier's flood protection can hold it back instead of running all of it.A filter that never passes
Filter rules are typed. A text rule on a number, or a number rule on text, and the condition is never met: the Zap stops at the filter every single time.
