Overloop.ai Zapier integrationAutomate Overloop.ai with Zapier.
The Overloop.ai Zapier integration gives you 6 triggers, 8 actions and 3 searches. All six triggers are polling ones, the app runs on the free plan, and campaigns, workflows and the exclusion list can all be driven from a Zap.

What the Overloop.ai Zapier integration actually does for your outreach
The Overloop.ai Zapier integration links your Overloop.ai outbound account to the rest of your tools, without code. A Zap (the automation you build on Zapier) waits for something to happen in one app, such as a new prospect or a first reply, then does a job for you somewhere else, like dropping that prospect into a campaign.
Three results come up again and again. A prospect base that fills itself: leads captured in another tool land in Overloop.ai through Create Prospect, then join a sequence through Add Prospect to Campaign. A team that hears about answers: Prospect Replied fires on the first reply of a prospect, which is the moment a salesperson wants to pick up the thread. A do-not-contact list that stays in sync: Exclude Prospect pushes an email into the exclusion list from any tool, and New Exclusion List Item copies new exclusions back out.
Now the limits. None of the six triggers is instant: every one of them waits for Zapier's next check, so a reply never reaches your Zap the second it arrives. There is no action to delete a prospect or an organization, and nothing to create a campaign, a workflow or a list from a Zap; those stay in Overloop.ai. Search Prospect will not hand you a prospect ID either, which matters for Update Prospect (more on that below).

Zapier words you will meet on this page
Eight terms, in plain words. Each one shows up again further down.
- Zap
- The automation itself: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer, Zapier asking for new items. An instant trigger is reported by the app itself, right away.
- Filter
- A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps that follow can use what it found.
- Connection
- Your Overloop.ai account linked to Zapier once, then reused by every step that touches Overloop.ai.
What an Overloop.ai Zap really costs
Zapier bills tasks, and only successful actions count. The trigger is free, and so is every check Zapier runs on Overloop.ai, however often it looks.
- Tasks on the free plan100 per month
- Steps per Zap on the free plan2 (one trigger, one action)
- Cost of a trigger check0 tasks
- Overloop.ai on the free planYes, not a paid-only app
An action that fails is not counted. A Zap with three actions eats three times what a one-action Zap eats. The free plan gives you 100 tasks a month, but only two-step Zaps: one trigger, one action. Add a filter or a search step, and the Zap becomes a multi-step Zap that needs a paid plan. Overloop.ai itself is not reserved to paid plans, so a simple two-step Zap built on it runs at no cost until you outgrow the monthly task count.
Connect Overloop.ai to Zapier in three steps
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box: type Overloop.ai and pick it from the results.
- 02
Sign in to Overloop.ai
Click Add connection. A new tab opens on Overloop.ai: sign in with the account whose prospects, organizations and campaigns the Zap should work on. You need your own account on the app for this.
- 03
Grant access
Allow Zapier to reach the account. If the Zap will touch campaigns or workflows a colleague owns, check first that your account can read and write them, or the steps that use them will stop.
Your first Zap: route new prospects into the right campaign
GoalEach new Overloop.ai prospect that meets your condition is added to a campaign, with no copy and paste.
- 01
Pick the trigger
Start building: choose Overloop.ai as the app that starts the Zap, then Prospect Created as the event. Select your Overloop.ai connection.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent prospects of the connected account; pick a real one so the next steps are mapped on actual values.
- 03
Add a filter
From the plus icon, add a Filter step and set the field to look at, the rule and the value. Remember: a text rule only works on text, a number rule on numbers.
- 04
Add the action
Add Overloop.ai again, choose Add Prospect to Campaign, then map the prospect from the trigger and pick the campaign it should join. Both fields are required.
- 05
Test, then publish
Test the action and read what came back. When it looks right, click Publish to switch the Zap on. With the filter this is a multi-step Zap, so it needs a paid plan.
Overloop.ai triggers in Zapier
6 events start a Zap when something happens in Overloop.ai. Zapier checks for them at the interval your plan allows.
New Exclusion List Item
Polling triggerIn Zapier“Triggers when a new exclusion list item is created.”
Whenever something lands on your Overloop.ai exclusion list, this trigger starts the Zap with that new item, so the rest of your stack can learn who must not be contacted.
List Created
Polling triggerIn Zapier“Triggers when a new list is created.”
A new list appears in Overloop.ai and the Zap starts with it. Handy when lists are how your team slices a market and other tools need to follow the same structure.
User Created
Polling triggerIn Zapier“Triggers when a new user is created.”
This one watches the people side of your account: each new Overloop.ai user starts the Zap, which makes it a quiet way to hook onboarding to the moment a seat is added.
Organization Created
Polling triggerIn Zapier“Triggers when a new organization is created.”
Companies matter as much as people in outbound. Each organization added to Overloop.ai starts the Zap, so the account can exist in your CRM or reporting sheet too.
Prospect Created
Polling triggerIn Zapier“Triggers when a new prospect is created.”
The workhorse of the integration, and the trigger Zapier itself puts forward: every new prospect in Overloop.ai becomes the start of a Zap.
Prospect Replied
Polling triggerIn Zapier“Triggers when a prospect has replied for the first time.”
The signal every salesperson waits for. The Zap starts when a prospect replies for the first time, which is usually the moment a human should take over from the sequence.
Overloop.ai actions in Zapier
Overloop.ai gives you 8 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Prospect to Campaign
ActionIn Zapier“Add a prospect to a campaign.”
Puts a prospect into one of your Overloop.ai campaigns. Two fields are required: the prospect and the campaign.
Create Organization
ActionIn Zapier“Create an organization.”
Creates a company record in Overloop.ai, the other highlighted action, useful when your source talks about accounts rather than individuals.
Create Prospect
ActionIn Zapier“Create a prospect.”
Adds a new prospect to your Overloop.ai account from whatever the trigger carried, one of the two actions Zapier highlights for this app.
Enroll Organization
ActionIn Zapier“Enroll an organization in a workflow.”
The account-level twin of the previous action: an organization joins a workflow. Organization and workflow are required.
Enroll Prospect
ActionIn Zapier“Enroll a prospect in a workflow.”
Enrolls one prospect in an Overloop.ai workflow. Prospect and workflow are both required.
Exclude Prospect
ActionIn Zapier“Add a prospect to the exclusion list.”
Adds a prospect to the Overloop.ai exclusion list using one required field, the prospect email.
Update Organization
ActionIn Zapier“Update an organization.”
Rewrites an organization that already sits in Overloop.ai, so company details follow what changes elsewhere.
Update Prospect
ActionIn Zapier“Update a prospect.”
Changes an existing prospect. You point at the right person with an ID or an email, the only required field.
Overloop.ai searches in Zapier
3 search steps look for data that already exists in Overloop.ai, so a later step can use it.
A search step finds something that already exists so later steps can use it. In the editor, the three Overloop.ai searches sit at the bottom of the Action event list, under SEARCH. Some fields also offer + Add search step, which inserts the search just before and wires its result in. Adding one makes the Zap multi-step. Overloop.ai has no find-or-create variant: none of its searches can create the missing item.
Search List
SearchIn Zapier“Search for a specific list”
Looks up an Overloop.ai list by its name, the one required field, so a later step can work with that list.
Search Organization
SearchIn Zapier“Search for a specific organization”
Finds a company already in Overloop.ai. The required field is an expression to search, and an organization is matched by name.
Search Prospect
SearchIn Zapier“Search for a specific prospect”
Finds a person in your base by name, email or LinkedIn public identifier, typed into the required search expression.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?On apps that offer it, this box turns a search into a find-or-create. Overloop.ai offers no such variant, so plan a separate create step when a record may be missing.
- If multiple search results are found?Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When an Overloop.ai Zap breaks
Zapier attaches no help article to Overloop.ai and lists no limit specific to the app. What breaks is the general behavior of Zaps.
Four cases cover almost every surprise on an outbound account. If one of them still looks unclear, Zapier troubleshooting walks through a Zap that misbehaves.
Old prospects never come through
A Zap only reacts to what happens after you switch it on. Prospects, replies and lists that already existed are not picked up; moving that backlog is a separate job.The Zap keeps firing on itself
Writing into what the trigger watches restarts the Zap: Exclude Prospect after New Exclusion List Item, or Create Organization after Organization Created, loops and eats tasks.A big import stalls
When a trigger suddenly returns a huge batch, after a bulk import of prospects for instance, Zapier's flood protection can hold it back before anything runs.No duplicates from the trigger
Zapier remembers what it already saw on a polling trigger, so the same prospect does not start the Zap twice. Duplicates come from your actions, not from the check.
