Overview

What the Packlink PRO Zapier integration does for your shop

The Packlink PRO Zapier integration links Packlink PRO, the shipping platform for professional sellers, to the rest of your tools. A shipment changes status, Zapier hears about it and runs the steps you set. Or a sale lands elsewhere and Zapier prepares the shipment draft in Packlink PRO for you.

Three results people build first. Customers who know where their parcel is: Shipment Status Updated starts a Zap that sends the news through your email or chat tool. Drafts that appear without typing: an order in your store feeds Create Shipment Draft, ready in Packlink PRO. A carrier choice made on real numbers: Find Carrier Service takes the origin, the destination and the parcel size and weight, and returns the carrier services that match.

Now what Zapier does not do here. There is one action and it creates a draft; the operation says nothing about paying for it or printing a label. There is nothing to cancel or edit a shipment. And a Zap only sees what happens after it is switched on, so shipments already on the road stay out of reach.

The trigger is instant, which means the free plan reacts as fast as any paid one. To weigh Zapier against other tools, start with the n8n vs Zapier comparison.

Vocabulary

Zapier vocabulary in one minute

Eight words come back all over this page. Here they are, once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for exactly that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. Each action your Zap completes successfully is one task, and your plan counts those.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, so the following steps can reuse what it found.
Connection
Your Packlink PRO account linked to Zapier once, then reused by every step of every Zap that touches the app.
Cost

What a Packlink PRO Zap really costs

The trigger is free. Each action that succeeds costs one task, and one that fails is not counted.

  • Trigger0 task
  • Successful action1 task each
  • Free plan100 tasks a month, 2-step Zaps
  • Packlink PRO trigger1 instant, 0 polling

A three-action Zap therefore spends three times what a one-action Zap does. The free plan includes 100 tasks a month and unlimited Zaps, each capped at two steps: one trigger, one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. That matters here, because both Packlink PRO searches make the Zap multi-step. Packlink PRO itself is not a premium app. The polling grid below never applies, since its trigger is instant.

Connect

Connect Packlink PRO to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A dialog with a search box opens. The only prerequisite is a Packlink PRO account.

  2. 02

    Pick Packlink PRO

Type Packlink PRO, select it and click Add connection. A new tab opens: sign in with the Packlink PRO account whose shipments your Zaps should handle.

  3. 03

    Grant access

Allow Zapier into the account. If the shipments belong to a colleague's account, check that this login can still read and write them, or the searches will come back empty.

First Zap

Your first Packlink PRO Zap: a new draft when a shipment reaches a chosen status

GoalWhen a shipment moves to the status you pick, Packlink PRO gets a fresh shipment draft to send it again.

  1. 01

    Build: pick the trigger

Start a Zap, choose Packlink PRO and Shipment Status Updated as the event, then your connection. The filter makes this Zap multi-step, so it needs a paid plan.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent status changes of your account, so you set up the rest of the Zap on a real shipment.

  3. 03

    Add the filter

Click the plus icon, add Filter, then fill the three boxes: the field to check, the rule, the value. Pick the status you treat as a delivery to redo, with a text rule.

  4. 04

    Add Create Shipment Draft

Add the Packlink PRO action Create Shipment Draft. Map the shipment details from the trigger, and tick the default warehouse box only if one is set in your account.

  5. 05

    Test, then Publish

Test the action and check that the draft appears in Packlink PRO. Then click Publish to switch the Zap on. Each draft created costs one task.

Triggers

The Packlink PRO trigger

1 event starts a Zap when something happens in Packlink PRO, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Shipment Status Updated

Instant trigger

In Zapier“Triggers when shipment status changes in Packlink PRO.”

Starts your Zap every time a shipment changes status in Packlink PRO. It is the only trigger of the app, so every Zap that reacts to Packlink PRO starts here, whatever status you care about.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
letting a customer know their parcel has moved on, through the email tool you already use for orders.
Watch out
it fires on every status change, not one in particular; to react to a single status, add a filter, which needs a paid plan. Shipments that changed before you published the Zap are never sent.
Actions

The Packlink PRO action

Packlink PRO gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Shipment Draft

Action

In Zapier“This action will add a new shipment draft in Packlink.”

Adds a new shipment draft to your Packlink PRO account from data coming out of another tool, an online store order for instance.

When to use it
orders keep arriving in your shop and you want each one waiting in Packlink PRO as a draft, without retyping addresses.
Watch out
the box to use your account's default warehouse overrides every origin field below it. Without a default warehouse set in Packlink PRO, leave it unticked.
Searches

The 2 Packlink PRO searches and their settings

2 search steps look for data that already exists in Packlink PRO, so a later step can use it.

A search step looks up something that already exists in Packlink PRO and hands it to the next step. In the editor, the searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts the search for you. Any search makes the Zap multi-step.

1

Find Carrier Service

Search

In Zapier“This search will find carrier service based on source and destination country, ZIP code and package dimensions.”

Returns the carrier services that fit a parcel, from where it leaves, where it goes and how big and heavy it is.

When to use it
before a draft, to see which carriers can take that box on that route.
Watch out
every one of its fields is required. Countries take a two-letter code such as ES or FR, sizes go in centimeters, weight in kilograms, and Search Behavior decides how carriers are filtered.
2

Find Shipment

Search

In Zapier“This action searches for a shipment based on a unique shipment reference.”

Looks up one shipment in Packlink PRO from its unique reference, so later steps can use what it holds.

When to use it
a customer quotes a shipment reference in a support ticket and your Zap fetches that shipment to answer.
Watch out
Shipment Reference is required and must be the exact unique reference; an order number from your shop is not the same thing.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that relied on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Packlink PRO offers no such variant on these two searches; to make a new draft, use Create Shipment Draft.
  3. If multiple search results are found?
Three ways out when several results match: keep the first one (the default), stop the Zap, or pass all of them on together.
When it breaks

When a Packlink PRO Zap breaks

Zapier attaches no help article to Packlink PRO and the app documents no limit of its own. What goes wrong is what goes wrong on any Zap, plus the field traps of the searches and the draft.

Six cases to know before you publish. For anything else, the Zapier troubleshooting page goes through the usual causes.

  • Shipments already sent never show up

A Zap only reacts to what happens after it is switched on. Shipments that changed status before that are not picked up; working through that backlog is a separate job.
  • The Zap keeps feeding itself

A Zap on Shipment Status Updated that creates drafts can set itself off again if those drafts change status. Filter on one status and test before you publish, or tasks go fast.
  • A big batch stalls

After a bulk import or a busy dispatch day, the trigger can return a huge batch at once. Zapier's flood protection can hold it back.
  • The draft ignores your origin address

The default warehouse box of Create Shipment Draft overrides every origin field. Ticked without a default warehouse in your account, the draft has no origin to use.
  • Find Carrier Service returns nothing

Check the format: two-letter country codes, sizes in centimeters, weight in kilograms. A size in millimeters or a full country name breaks the match.
  • The Zap stops after Find Shipment

The reference did not match, and the default setting stops the Zap when nothing is found. Map the exact shipment reference, not your shop's order number.

FAQ

Packlink PRO Zapier integration: your questions

01Is the Packlink PRO Zapier integration free?
Yes. Packlink PRO is not a premium app, so it works on Zapier's free plan. That plan includes 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps, one trigger and one action. Here is the catch: both Packlink PRO searches count as a step, so a Zap that uses Find Carrier Service or Find Shipment is multi-step and needs a paid plan. Shipment Status Updated followed by one action stays free.
02How many tasks does a Packlink PRO Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that creates one shipment draft per status change costs one task each time it passes. A failed action is not counted against the plan. Since the trigger fires on every status change, a shipment that goes through several statuses starts the Zap several times; a filter on the status you care about keeps the count under control, on a paid plan.
03Does Packlink PRO trigger Zaps in real time?
Yes. Shipment Status Updated is an instant trigger: Packlink PRO tells Zapier itself when a status changes, and the Zap starts right away on every plan, the free one included. The polling intervals of the Zapier plan grid do not apply. In the editor, a Zap built on an instant trigger shows a lightning bolt. The trigger type is decided by the app and cannot be changed from Zapier, which here works in your favour.
04What does it take to connect Packlink PRO to Zapier?
A Packlink PRO account and a Zapier account. Open the Apps page in Zapier, click + Add connection, search for Packlink PRO, click Add connection, then sign in to Packlink PRO in the new tab and grant access. The connected account must be able to read and write the shipments your Zaps will touch. If you plan to use the default warehouse box, set that warehouse in Packlink PRO first, or the draft has no origin to use.
05Why does Find Carrier Service find no carrier?
Usually because a field is in the wrong format. The search expects two-letter country codes such as ES, DE or FR, origin and destination ZIP codes, width, height and length in centimeters, and weight in kilograms. All of those are required, along with Search Behavior, which sets how carriers are filtered. Mapping a full country name or a size in another unit is the classic reason nothing matches, so check one test run field by field.
06What if the Packlink PRO operation you want is not on Zapier?
Then this integration cannot do it. Zapier offers 1 trigger, 1 action and 2 searches for Packlink PRO: nothing to cancel or edit a shipment, nothing beyond creating a draft. The practical route is to build around what exists, for instance letting Shipment Status Updated create a task in your support tool where a person finishes the job in Packlink PRO. Check the operations listed on this page before you design the Zap.
07Zapier, Make or n8n for Packlink PRO?
Choose on criteria, not on a ranking. On Zapier, Packlink PRO offers 1 instant trigger, 1 action and 2 searches, and runs on the free plan as long as a Zap stays at two steps. The useful questions: do those four operations cover your flow, will you need a search or a filter, which makes the Zap paid, and how many tasks your shipment volume will produce each month. Compare those answers with what other tools offer for this app.
