Pagico Zapier integrationAutomate Pagico with Zapier.
The Pagico Zapier integration gives you 2 triggers, 3 actions and 0 searches. Enough to watch your Inbox and shared workspaces, and to drop tasks and notes into projects or contacts without opening Pagico. Here is what it costs and where it trips.

What the Pagico Zapier integration actually does
Pagico is a productivity suite that keeps projects, contacts, daily tasks and files in one place, on desktop and mobile. On Zapier, it listens to two places (your personal Inbox and your shared workspaces) and writes to them through three actions. Nothing more, and the boundaries are worth knowing before you build.
Three outcomes teams build with it. Captured ideas that reach the team: something saved to your Inbox fires New Inbox Item, and Create Task in a Shared Project or Contact puts it where your colleagues will see it. Client requests filed on the right contact: a message from another tool becomes a note on that contact with Create Note in a Shared Project or Contact. A to-do list fed from outside: Create Task in your Pagico Inbox turns a line of text into a dated task, because Pagico reads dates and times written in the title.
Now what Zapier does not do here. Both triggers work by polling, none is instant, so on the free plan a new item can wait up to 15 minutes before the Zap sees it. There is no search step: a Zap cannot look up an existing project or contact by name. And there is no update, move or delete action. Every operation creates something new.

Zapier vocabulary, in plain words
Eight words come back on every Zapier page. Learn them once, here.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. With the Zap switched on, Zapier waits for it. Pagico has two.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is counted in tasks.
- Polling trigger
- A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen.
- Instant trigger
- A trigger the app reports itself, calling Zapier the moment the event happens. Pagico has none of these.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
What a Pagico Zap really costs
Pagico is not reserved for paid plans: it runs on the free Zapier plan. The catch sits elsewhere, in the polling interval and the two-step limit.
- Trigger checkFree, however often
- Successful Pagico actionCounted as a task
- Failed actionNot counted
- Free plan allowance100 tasks per month
- Instant triggersNone, both poll
Zapier checking your Inbox or workspace costs nothing, however often it looks, and the trigger itself never costs a task. Each Pagico action that succeeds counts as one task; one that fails is not counted. The free plan gives you 100 tasks a month, checks every 15 minutes and only builds two-step Zaps. Add a filter step, say to keep only items whose title mentions the team, and the Zap turns multi-step: paid plan.
Connect Pagico to Zapier in three steps
- 01
Open your connections
Go to the Apps page of your Zapier account. A connection is your Pagico account linked to Zapier once, then reused by every step that uses Pagico, so you only go through this once.
- 02
Add Pagico
Click + Add connection, search for Pagico in the dialog and pick it, then click Add connection. A new browser tab then opens where Pagico asks you to sign in.
- 03
Sign in and grant access
Log in to your Pagico account in that tab and grant Zapier access. For shared workspaces, you also need read or write access on the ones you don't own and want the Zap to watch or fill.
Your first Pagico Zap: Inbox tasks go to the team project
GoalEvery new task saved to your Pagico Inbox is copied into a shared project, and other item types stay put.
- 01
Pick the trigger
Create a Zap, choose Pagico and the event New Inbox Item. Set the item type to task, so lists, notes and files never start this Zap.
- 02
Test it on a real item
Run the test. Zapier brings back the three most recent items of your Inbox, so you map fields on a real task rather than a placeholder.
- 03
Add a filter
From the plus icon, add a filter: field, rule, value. A text rule on the title keeps only what you tagged for the team. This step makes the Zap multi-step, so it needs a paid plan.
- 04
Add the shared task
Add Create Task in a Shared Project or Contact, paste the workspace Reference ID, pick the project and map the Inbox title into the task title.
- 05
Test, then publish
Test the action, check the task in the shared project, then click Publish. From then on, Zapier checks your Inbox at the interval of your plan.
Pagico triggers on Zapier
2 events start a Zap when something happens in Pagico. Zapier checks for them at the interval your plan allows.
New Inbox Item
Polling triggerIn Zapier“Triggers when a new item (list, task, note, or file) is saved to your Pagico Inbox.”
Starts the Zap when something new is saved to your personal Pagico Inbox. You choose which kind of item counts: a list, a task, a note or a file. That choice keeps the Zap focused on one type instead of reacting to everything you capture.
New Item Shared in a Workspace
Polling triggerIn Zapier“Triggers when a new item has been added to a workspace.”
Watches one shared workspace and starts the Zap each time a new item is added there, by you or by a teammate. Like the Inbox trigger, it asks which item type to follow, and it also needs to know which workspace to watch.
Pagico actions on Zapier
Pagico gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Task in your Pagico Inbox
ActionIn Zapier“Create a task from a piece of text and save into your Inbox. Pagico will automatically parse the Task Title for date & time. You can also define each field.”
Turns a piece of text into a task in your own Inbox. Write a date or a time in the title and Pagico reads it as the task's start and due date.
Create Note in a Shared Project or Contact
ActionIn Zapier“Save a note to a project or contact in a workspace”
Adds a note, not a task, to a project or contact in a shared workspace. Useful for keeping a trace of what arrived without creating something to tick off.
Create Task in a Shared Project or Contact
ActionIn Zapier“Saves the item into a shared project or contact in a specific workspace. Pagico will automatically parse the Task Title for date & time. You can also define each field.”
Files a task straight into a project or a contact inside a shared workspace, where the whole team sees it. Dates written in the title are picked up as start and due, as in the Inbox version.
When a Pagico Zap breaks
Zapier links no help article and no rate limit to Pagico. What breaks is general Zapier behavior, plus the way Pagico identifies its workspaces.
Four cases to know before you publish. When something stops and you need a method, see Zapier troubleshooting.
Old items are never picked up
A Zap only reacts to what happens after it is switched on. Tasks already in your Inbox or workspace stay where they are; moving that backlog is a separate job.The Zap feeds itself
Watch a workspace with New Item Shared in a Workspace and write back into the same workspace, and every new item restarts the Zap, burning tasks fast.A bulk import gets held back
If a workspace suddenly returns a huge batch, after a migration for instance, Zapier's flood protection can hold those items back instead of running them all.The same item twice? Not from polling
Zapier remembers what it has already seen on a polling trigger, so the same Pagico item does not start the Zap twice, even across several checks.
