Overview

What the Paperless Zapier integration does for you

Paperless is a platform where you create documents, have them signed and keep track of them. Its Zapier integration is small but two-way: one trigger fires when a submission is completed by everyone involved, and one action creates a new document from an existing template. The trigger is instant, on every plan.

Three outcomes cover what people build. The next document, ready without a click: Submission Completed starts the Zap and Create Document (From Template) prepares the follow-up, such as the onboarding pack after a signed contract. A signed deal that reaches the rest of your tools: the same trigger sends the completed submission to your CRM or a spreadsheet, so sales and finance see it without asking. Documents started from elsewhere: a new row, a won deal or a form in another app runs Create Document (From Template), and Paperless can send it out right after creating it.

The trigger is an instant trigger: Paperless tells Zapier itself when the last participant finishes, so the check interval of your plan plays no role, and the editor shows a lightning bolt on the Zap.

The limits are clear. There is no trigger for a partly completed submission, no search step to look up an existing document, and no action to edit or delete one. You create from a template, nothing more. If you are comparing tools, the n8n vs Zapier and Make vs Zapier comparisons are a click away.

Vocabulary

Zapier vocabulary, the short version

Eight words come back all through this page. Here they are in plain terms.

Zap
The automation you build on Zapier. One trigger at the top, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that sets the Zap off. Once the Zap is on, Zapier waits for it. Paperless has one: a completed submission.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, such as creating a Paperless document.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts only those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. The Paperless trigger is not one of these.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for a scheduled check. The Paperless trigger works this way.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search turns a Zap into one, and it then needs a paid plan.
Cost

What a Paperless Zap really costs

Paperless is not a premium app, so it works on the free plan. You pay for actions, never for the trigger.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Paperless triggerInstant, costs no task
  • Filter or second actionMulti-step Zap, paid plan

A completed submission arriving costs nothing: the trigger never uses a task. Each action that succeeds counts one task, so each document created from a template is one task; a creation that fails is not counted. Three actions in a Zap means three times the usage. The free plan builds two-step Zaps only, which is exactly the trigger plus the document action. Add a filter to create documents only for some submissions and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect Paperless to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Paperless account linked to Zapier once, then reused by every step that uses Paperless.

  2. 02

    Pick Paperless

Type Paperless into the search box of the dialog, select it and click Add connection. You need an existing Paperless account for the next step to lead anywhere.

  3. 03

    Sign in and grant access

Sign in to Paperless in the tab that opens and grant Zapier access. If the templates or workspaces belong to a colleague, the connected account needs access to them as well.

First Zap

Your first Paperless Zap: the onboarding pack after the signature

GoalEach submission completed by all participants that matches your condition creates the next document from a template.

  1. 01

    Build the trigger

Create a new Zap, pick Paperless as the app that starts it and Submission Completed as the event. Select the Paperless connection you added.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent completed submissions of the account, so you map the next steps on a real one, not on empty boxes.

  3. 03

    Add a filter

Click the plus icon and add Filter. Set the field to look at, the rule and the value, so only the submissions that need a follow-up document go through.

  4. 04

    Create the document

Add Create Document (From Template). Give the new document a name, pick the workspace and the template, and decide whether it is dispatched right after creation. Test the step.

  5. 05

    Publish

Publish the Zap to switch it on. The filter makes it a multi-step Zap that needs a paid plan; without the filter, the same Zap fits on the free plan.

Triggers

The Paperless trigger

1 event starts a Zap when something happens in Paperless, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Submission Completed

Instant trigger

In Zapier“Triggers when a Submission is completed by all participants.”

Starts the Zap when a submission has been completed by every participant, not before. A contract waiting for one last signature will not set it off, which is exactly what you want when the next step depends on a finished file.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
tell your accounting team a contract is fully signed, or log it as a closed deal in your CRM.
Watch out
submissions completed before you published the Zap are never picked up, so handle older files separately.
Actions

The Paperless action

Paperless gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Document (From Template)

Action

In Zapier“Creates a new document from an existing template.”

Builds a new document from a template you already have in Paperless, names it and drops it into the workspace you choose. You also decide whether Paperless dispatches it right after creating it.

When to use it
prepare a quote from your standard template each time a deal reaches the proposal stage in your CRM.
Watch out
the dispatch choice is required, so decide on purpose whether the document leaves straight away.
When it breaks

When a Paperless Zap breaks

Zapier links no help article to Paperless, so the traps below are Zapier's general ones, applied to documents and signatures.

None of them shows up as a red error on day one. You notice a follow-up document that never appeared, the same file created twice, or a task count rising faster than planned. If one of them bites, the Zapier troubleshooting page is the next stop.

  • No catch-up on old submissions

The Zap only reacts to submissions completed after you publish it. Files finished earlier are never picked up, and handling them is a separate job.
  • A Zap that feeds itself

A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through your task count fast. Check where dispatched documents end up.
  • Big batches can be held back

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may then hold those items back.
  • A failed creation costs nothing, but stops

If the document creation fails, no task is counted, but the document does not exist either. Watch the Zap after the first real submission.

FAQ

Paperless Zapier integration: frequent questions

01Is the Paperless Zapier integration free?
Yes. Paperless is not a premium app, so it works on the free Zapier plan, with 100 tasks a month and unlimited Zaps. Each free Zap stops at two steps, one trigger and one action, and that is exactly what the trigger plus Create Document (From Template) needs. Add a filter or a second action and the Zap becomes multi-step, which requires a paid plan. Check that size before you build.
02How many tasks does a Paperless Zap use?
The trigger uses none: a completed submission arriving is free. Each successful action counts one task, so creating one document per completed submission uses one task per submission. A Zap with three actions uses three. A creation that fails is not counted. On the free plan, that comes to 100 documents a month at most with a one-action Zap. Plan around that figure if your volume is high, since every document created eats one of those 100.
03Is Paperless on Zapier real time?
Yes. Submission Completed is an instant trigger: Paperless tells Zapier itself when the last participant finishes, and the Zap starts right away whatever your plan. The 15-minute check of the free plan does not apply to it. In the editor, a Zap built on it shows a lightning bolt. The type comes from the app itself and cannot be changed from the editor. Paid plans change nothing here. Speed is the same for everyone.
04What does it take to connect Paperless to Zapier?
A Paperless account, plus access to the templates and workspaces the Zap will use. In Zapier, open the Apps page, click + Add connection, pick Paperless, sign in and grant access. Create Document (From Template) requires a source template and a destination workspace, so both must exist in the connected account before you set up the step. The connection is then reused by every Paperless step. You go through these gestures only once.
05Why did a Paperless Zap not fire for a contract still waiting on one signature?
Because Submission Completed only fires once every participant has completed the submission. A file with one signature missing is not complete, so it does not start the Zap. That is usually what you want, since the follow-up depends on a finished document. Zapier offers no Paperless trigger for a partly completed submission, so tracking those has to happen inside Paperless itself. Test the Zap with a submission that everyone has finished.
06What if the Paperless operation you need is not on Zapier?
Then it is not available in a Zap today. The integration offers one trigger, Submission Completed, and one action, Create Document (From Template), with no search. Editing, deleting or looking up an existing document from a Zap is not possible. Creating a document is the only write it allows, and only from a template you already built in Paperless. Anything else, such as editing a draft or chasing a missing signature, has to happen in Paperless itself, so check the list again before each new project.
07Zapier, Make or n8n for Paperless?
Decide on criteria rather than on a ranking. First, check that the platform offers the Paperless operations you need, here a completed-submission trigger and creation from a template. Second, compare billing: Zapier counts one task per successful action and nothing for the trigger, and a filter makes the Zap paid. Third, weigh the delay you can accept: on Zapier, the Paperless trigger is instant. Those three checks settle most choices.
