Overview

What the Paperless Forms Zapier integration does for you

Paperless Forms lets you build forms and send them out to be filled on any device. Its Zapier integration does one thing: each new entry submitted can start an automation. It speaks only one way, with no actions, so whatever follows happens in another app. The good news: the trigger is instant, on every plan.

Three outcomes cover most setups. A log that fills itself: New Entry (Rest) starts the Zap and a spreadsheet gets one row per entry, ready to sort and share. A heads-up for the right person: the same trigger sends an email or a team message each time someone fills the form, so nobody has to watch the inbox of the form tool. Contacts that land in your CRM: each entry becomes a contact or a deal in the tool your sales team already uses.

The trigger is an instant trigger: Paperless Forms tells Zapier itself when an entry arrives, so the check interval of your plan does not apply, and the editor shows a lightning bolt on the Zap.

Now what Zapier does not do here. No step writes into Paperless Forms: you cannot create a form, send one out or edit an entry from a Zap. No search step either, so a Zap cannot look up an older entry. If you are still weighing tools, the n8n vs Zapier and Make vs Zapier comparisons sit next to this page.

Vocabulary

Zapier vocabulary, the short version

Eight words come back all through this page. Here they are in plain terms.

Zap
The automation you build on Zapier. One trigger at the top, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that sets the Zap off. Once the Zap is on, Zapier waits for it. Paperless Forms has one: a new entry.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you. With Paperless Forms, actions live in another app.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan counts only those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. The Paperless Forms trigger is not one of these.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for a scheduled check. New Entry (Rest) works this way.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it there otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search turns a Zap into one, and it then needs a paid plan.
Cost

What a Paperless Forms Zap really costs

Paperless Forms is not a premium app, so it works on the free plan. You pay for actions in other apps, never for the trigger.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Paperless Forms triggerInstant, costs no task
  • Filter or second actionMulti-step Zap, paid plan

A new entry arriving costs nothing: the trigger never uses a task. Each action that succeeds counts one task, so one row per entry means one task per entry; an action that fails is not counted. A Zap with three actions uses three times as much. The free plan builds two-step Zaps only, one trigger and one action. Add a filter to keep only some entries and the Zap becomes multi-step, which needs a paid plan. Since the trigger is instant, the interval grid below only matters for other apps.

Connect

Connect Paperless Forms to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Paperless Forms account linked to Zapier once, then reused by every Zap that starts from it.

  2. 02

    Pick Paperless Forms

Type Paperless Forms into the search box of the dialog, select it and click Add connection. You need an existing Paperless Forms account for the next step to lead anywhere.

  3. 03

    Sign in and grant access

Sign in to Paperless Forms in the tab that opens, then grant Zapier access. If a colleague owns some of the forms, the account you connect needs access to them as well.

First Zap

Your first Paperless Forms Zap: one row per entry

GoalEach new entry that matches your condition becomes a row in a shared spreadsheet.

  1. 01

    Build the trigger

Create a new Zap, pick Paperless Forms as the app that starts it and New Entry (Rest) as the event. Select the Paperless Forms connection you added.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent entries of the connected account, so you map the next steps on a real answer rather than on empty boxes.

  3. 03

    Add a filter

Click the plus icon and add Filter. Set the field to look at, the rule and the value. A text rule only works on text, so match the rule type to the answer.

  4. 04

    Add the row

Add the row action of your spreadsheet app and map each answer from the Paperless Forms step into a column. Test that step once and check the row it wrote.

  5. 05

    Publish

Publish the Zap to switch it on. The filter makes it a multi-step Zap that needs a paid plan; without the filter, the same Zap fits on the free plan.

Triggers

The Paperless Forms trigger

1 event starts a Zap when something happens in Paperless Forms, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Entry (Rest)

Instant trigger

In Zapier“Triggers when a new entry is submitted.”

Starts the Zap each time someone submits an entry on your Paperless Forms account, and hands the answers to the following steps. It is the only door into Zapier for this app, so every Paperless Forms Zap begins here.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log each signed intake form in the sheet your office manager reviews, or alert the person on duty.
Watch out
entries submitted before you published the Zap are never sent, so import older ones separately.
When it breaks

When a Paperless Forms Zap breaks

Zapier links no help article to Paperless Forms, so the traps below are Zapier's general ones, applied to a form feed.

None of them shows up as a red error on day one. You notice an entry missing from your sheet, an alert that never came, or a task count rising faster than planned. If one of them bites, the Zapier troubleshooting page is the next stop.

  • No catch-up on old entries

The Zap only reacts to entries submitted after you publish it. Older ones are never picked up, and importing them is a separate job.
  • Big batches can be held back

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may then hold those items back.
  • No loop possible here

Paperless Forms has no action on Zapier, so no Zap can write back into it. The classic trap of a Zap setting itself off again cannot happen from this side.
  • A failed action costs nothing, but stops

If the row or the alert fails in the other app, no task is counted. The entry simply goes nowhere, so watch the Zap after the first real entry.

FAQ

Paperless Forms Zapier integration: frequent questions

01Is the Paperless Forms Zapier integration free?
Yes. Paperless Forms is not a premium app, so it works on the free Zapier plan, with 100 tasks a month and unlimited Zaps. Each free Zap stops at two steps, one trigger and one action. A new entry followed by one spreadsheet row or one email fits. Add a filter or a second action and the Zap becomes multi-step, which requires a paid plan. Check that size before you build anything bigger.
02How many tasks does a Paperless Forms Zap use?
The trigger uses none: a new entry arriving is free. Each successful action in another app counts one task, so one row per entry costs one task per entry. A Zap with three actions uses three per entry. An action that fails is not counted against your plan. On the free plan, that comes to 100 logged entries a month at most with a one-action Zap. Keep that figure in mind if your forms get a lot of traffic.
03Is Paperless Forms on Zapier real time?
Yes. New Entry (Rest) is an instant trigger: Paperless Forms tells Zapier itself when an entry arrives, and the Zap starts right away whatever your plan. The 15-minute check of the free plan does not apply to it. In the editor, a Zap built on it shows a lightning bolt. The trigger type comes from the app and cannot be changed from the editor. Paid plans change nothing on that front.
04What does it take to connect Paperless Forms to Zapier?
An existing Paperless Forms account, plus access to any forms owned by a colleague that the Zap should see. In Zapier, open the Apps page, click + Add connection, pick Paperless Forms, then sign in and grant Zapier access. The connection is then reused by every Zap that starts from Paperless Forms, so you only go through these gestures once. Nothing else is needed on the Zapier side. Test it right after.
05Why are older Paperless Forms entries missing from the Zap?
Because a Zap only reacts to what happens after it is switched on. Entries submitted before you published it are never picked up, whatever their number. After a bulk import, a huge batch arriving at once can also be held back by Zapier's flood protection. Moving older entries into your sheet or CRM is a separate, one-off job, done outside the Zap. Plan for that import on day one, before the Zap goes live.
06What if the Paperless Forms operation you need is not on Zapier?
Then it is not available in a Zap today. The integration offers a single trigger, New Entry (Rest), with no action and no search. Creating a form, sending one out or editing an entry from a Zap is not possible. The only thing a Zap can do is react to a new entry and pass its answers on. Anything that must write into Paperless Forms happens in the app itself. Check the list again before each project.
07Zapier, Make or n8n for Paperless Forms?
Decide on criteria, not on a ranking. First, check that the platform offers the Paperless Forms operations you need; on Zapier, that is one new-entry trigger and nothing else. Second, compare billing: Zapier counts one task per successful action and nothing for the trigger, and a filter makes the Zap paid. Third, weigh the delay you can accept: on Zapier, the Paperless Forms trigger is instant. Those three checks settle most choices.
