Avaza Zapier integrationAutomate Avaza with Zapier.
The Avaza Zapier integration gives you 30 triggers, 46 actions and 1 search. Every trigger is instant, so Avaza tells Zapier the second a project, invoice or timesheet entry changes. It also works on the free plan, with one catch on Zap length.

What the Avaza Zapier integration does for a service business
Zapier is a tool that links apps together without code. The Avaza Zapier integration lets it watch your Avaza account (projects, tasks, timesheets, expenses, estimates, invoices, bills, schedules) and write back into it: create, update, delete or look things up, using data that arrived from Avaza itself or from another tool.
Three outcomes show what it can do for a consultancy or a studio.
A new project shows up already structured. New Project starts the Zap, Create Section and Create Task lay out the work, and Create Project Member puts the right people on it. Nobody rebuilds the same skeleton by hand.
Billing follows the work instead of chasing it. Invoice Sent, New Invoice Created or New Bill Created tell the rest of your tools the moment money moves, and Create Invoice Payment or Create Bill Payment record what came back.
Time and leave stay in step with the planning. New Timesheet Entry reacts to logged hours, while Create Schedule Booking and Create Schedule Leave fill the resource calendar from another source.
What Zapier does not do here: there is a single search step, Lookup Company. Finding a project, a task or an invoice goes through actions such as Search Project or Lookup Task, which sit among the actions and not under the search heading of the editor. Nothing is pulled from before a Zap is switched on either.
The same app is also covered on the Avaza Make integration page, and the n8n vs Zapier comparison sets the platforms side by side.
The Zapier words in one minute
Eight words come back all over this page. Here they are in plain English, once.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a change inside Avaza.
- Action
- What the Zap does after it starts: the step that creates, updates or deletes something in Avaza or in another app.
- Task
- The unit Zapier bills. One task is one action that completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app the moment it happens. All 30 Avaza triggers are instant.
- Filter
- A step that lets the Zap continue only when what arrived meets your condition, and stops it there otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can reuse what it found.
- Connection
- Your Avaza account linked to Zapier once, then reused by every step in every Zap that talks to Avaza.
What an Avaza Zap really costs you
Avaza is not a premium app, so it runs from the free plan. The bill is counted in tasks, and only finished actions count.
- Avaza on the free planYes, not a premium app
- Free plan100 tasks a month, two-step Zaps only
- What costs a taskEach action that succeeds
- What costs nothingThe trigger, and failed actions
The trigger never costs a task, and neither does Zapier waiting for Avaza. Each action that succeeds counts once, so a three-action Zap uses three times more than a one-action Zap. An action that fails is not charged. The free plan gives 100 tasks a month, but it only builds two-step Zaps: one trigger, one action. Add a second action, a filter or a search and the Zap becomes a multi-step Zap (anything beyond one trigger and one action), which needs a paid plan. The polling grid below does not touch Avaza, since its triggers are all instant.
Connect Avaza to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an Avaza account first, plus access to any project or client you don't own but want the Zap to touch.
- 02
Pick Avaza
In the dialog that opens, type Avaza in the search box and select it from the results. Then click Add connection. A new browser tab opens on the Avaza side for the sign-in.
- 03
Sign in and allow access
Log in to Avaza in that tab and grant Zapier access to the account. From then on, every Avaza step in every Zap reuses this connection, so you only do this once.
Build your first Avaza Zap: from new project to first task
GoalEach new Avaza project gets a section and a starter task, without anyone touching it.
- 01
Build: pick the trigger
Start a new Zap and choose Avaza as the app, then
New Projectas the event that starts it. Select the connection you made earlier. - 02
Test the trigger
Run the test. Zapier brings back the three most recent projects of your account, so you map the next steps on a real one rather than a blank.
- 03
Add the section
Add
Create Sectionas the first action and point it at the project that just arrived, using the project data from step one. - 04
Add the task
Add
Create Taskas the second action. Fill Project, Section and Title, the three required fields, with values from the two steps above. - 05
Test, then Publish
Test each action once and read what Avaza sent back. Then Publish. Three steps means a multi-step Zap, so this one needs a paid plan.
The 30 Avaza triggers, one by one
30 events start a Zap when something happens in Avaza, and 30 of them are instant: the app calls Zapier straight away, whatever your plan.
New Bill Created
Instant triggerIn Zapier“Triggers when a new bill is created.”
Starts the Zap as soon as a supplier bill lands in Avaza, carrying what was entered on it to the next steps. The bill then becomes something your other tools can see without anyone forwarding it.
Bill Updated
Instant triggerIn Zapier“Triggers when a bill is updated.”
Reacts to any edit of an existing bill, not to its creation. Use it to keep a copy elsewhere aligned after someone corrects an amount or a date. Creation is a separate event, New Bill Created.
Company Deleted
Instant triggerIn Zapier“Triggers when a company is deleted.”
Fires when a client company is removed from Avaza. It is the signal to tidy up wherever that company also lives. It only reports the removal; deciding what to do elsewhere is up to the actions you add.
Company Updated
Instant triggerIn Zapier“Triggers when a company is updated.”
Catches changes to a company record already in Avaza, such as a renamed client or new details typed in. Creation is handled by a separate trigger, New Company, so this one stays quiet for brand-new clients.
Update Company on the same record and the Zap sets itself off again and again.Contact Deleted
Instant triggerIn Zapier“Triggers when a contact is deleted.”
Runs when someone removes a person from a client company in Avaza, so other tools can forget them too. It is the mirror of New Contact, and the two often live side by side in the same setup.
Contact Updated
Instant triggerIn Zapier“Triggers when a contact is updated.”
Picks up edits to an existing contact: a new email, a corrected surname, a changed company link. Brand-new contacts go through New Contact instead, so this trigger only sees people already on file.
New Estimate Created
Instant triggerIn Zapier“Triggers when a new estimate is created.”
Kicks off the moment a new estimate, the quote Avaza sends a client, is saved. Edits made later go through Estimate Updated, so a revised quote won't fire this one twice.
Estimate Deleted
Instant triggerIn Zapier“Triggers when an estimate is deleted.”
Signals that a quote has been removed from Avaza, whether it was a draft or a dead deal. It reports the removal only; whatever needs cleaning in other tools is the job of the actions that follow.
Estimate Updated
Instant triggerIn Zapier“Triggers when an estimate is updated.”
Follows a quote after its first save: a revised line, a new price, a changed date all start the Zap. Creation is a separate event, so pair it with New Estimate Created if both moments matter to you.
New Expense Created
Instant triggerIn Zapier“Triggers when a new expense is created.”
Goes off each time someone logs a new expense in Avaza, from a train ticket to a software licence. Later corrections to the same claim belong to Expense Updated, not to this trigger.
Expense Deleted
Instant triggerIn Zapier“Triggers when an expense is deleted.”
Tells your other tools that an expense entry no longer exists in Avaza. It keeps a mirrored list honest without anyone checking by hand, and it is the counterpart of New Expense Created.
Expense Updated
Instant triggerIn Zapier“Triggers when an expense is updated.”
Watches existing expenses for edits, such as a corrected amount, a new category or a change in what is billable. Fresh claims are covered by New Expense Created, so this one only sees entries that already existed.
Update Expense on the same entry loops on itself.New Invoice Created
Instant triggerIn Zapier“Triggers when a new invoice is created.”
Triggers when an invoice is created in Avaza, before anyone has necessarily sent it. Avaza reports the creation itself, whatever happens to the invoice afterwards.
Invoice Sent is the one.Invoice Deleted
Instant triggerIn Zapier“Triggers when a invoice is deleted.”
Lets the Zap know an invoice was removed from Avaza. Among the 30 triggers, it is the one that reports a removed invoice to your other tools. Created, sent and edited invoices each have their own trigger.
Invoice Sent
Instant triggerIn Zapier“Triggers when a new Invoice is sent.”
Waits for the step that matters to cash: an invoice actually sent to the client from Avaza. For finance teams, this is usually the event that counts, since it marks billing that has actually left the building.
Invoice Update
Instant triggerIn Zapier“Triggers when a invoice is updated.”
Responds to edits made to an invoice that already exists, whatever was changed. Creation and sending each have their own trigger, so this one covers what happens in between and after.
Invoice Update, without the d.New Company
Instant triggerIn Zapier“Triggers when a new contact Company is created.”
Every new client company saved in Avaza, the record its contacts belong to, sets this one off. That makes it a natural starting point for onboarding a client.
Create Project.New Contact
Instant triggerIn Zapier“Triggered when a new company contact is created.”
Reacts to a person added under a client company in Avaza. Each new stakeholder fires the Zap once, and edits to that person later go through Contact Updated.
New Project
Instant triggerIn Zapier“Triggers when a new Project is created.”
The moment a project is created in Avaza, this trigger goes off. It's the trigger behind the first Zap on this page.
Create Project would feed itself.New Task Created
Instant triggerIn Zapier“Trigger when a new task is created.”
Fires for each task added inside a project. Edits to that task later go through Task Updated, so each new task starts the Zap once.
New Timesheet Entry
Instant triggerIn Zapier“Trigger when a new timesheet entry is created”
Hears about every block of time logged against a project, the raw material of your billable hours. Corrections to an entry come through Timesheet Entry Updated, so this trigger counts each block of time once.
Project Deleted
Instant triggerIn Zapier“Triggers when a project is deleted.”
Goes off when a whole project disappears from Avaza. It reports the removal and nothing else, so the follow-up depends entirely on the actions you place after it.
Project Updated
Instant triggerIn Zapier“Triggers when a new Project is updated.”
Keeps an eye on edits to existing projects: title, dates, settings. Brand-new projects go through New Project, so this one only sees projects that already existed.
Update Project on the same project creates a loop.New Schedule Series Created
Instant triggerIn Zapier“Triggers when a new schedule series record is created.”
Triggers when a schedule series is created in Avaza's resource planning, the bookings or leave that block someone's time. Changes and removals each have their own trigger, so this one only catches the first booking or leave.
Schedule Series Deleted
Instant triggerIn Zapier“Triggers when a schedule series record is deleted.”
Signals a booking or leave series removed from the schedule, freeing up that person's time. It's the counterpart of New Schedule Series Created, and the two are often wired into the same calendar.
Schedule Series Updated
Instant triggerIn Zapier“Triggers when a schedule series record is updated.”
Edits to an existing schedule series, like dates pushed or hours reshuffled, wake this trigger. Bookings and leave go through the same trigger, since Avaza stores both as schedule series.
Task Deleted
Instant triggerIn Zapier“Triggers when a task is deleted.”
Runs when a task is removed from a project in Avaza. It is the counterpart of New Task Created, for tools that keep a copy of your tasks.
Task Updated
Instant triggerIn Zapier“Trigger when a task is updated.”
Any change on an existing task (status, assignee, title, dates) wakes this one up. New tasks have their own trigger, so this one deals only with tasks that were already there.
Update Task on the same task and the Zap restarts itself endlessly.Timesheet Entry Deleted
Instant triggerIn Zapier“Triggers when an timesheet entry is deleted.”
Lets other tools know a logged block of time was taken out of Avaza. It's the clean-up counterpart of New Timesheet Entry, and the two can feed the same budget sheet.
Timesheet Entry Updated
Instant triggerIn Zapier“Trigger when a timesheet entry is updated.”
Follows edits to time already logged: more hours, another project, a new note. Entries created from scratch go through New Timesheet Entry instead, so nothing is counted twice.
Update Timesheet Entry on the same entry loops. The 46 Avaza actions, grouped by what they do
Avaza gives you 46 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

Create Estimate / Quote
ActionIn Zapier“Creates a new Estimate / Quote.”
Drafts a quote in Avaza from data that arrived elsewhere, such as a scoping form. The quote then lives in Avaza like any other, ready for someone to review before it goes out.
Create Project
ActionIn Zapier“Creates a new Project.”
Sets up a project in Avaza, with options such as timesheet approval or default members. It's the usual first action when a deal closes somewhere else and work needs a home in Avaza.
Create Task
ActionIn Zapier“Creates a new Task.”
Puts a task in a given project and section, with its title. The task then shows up for the team like any other, ready for time to be logged against it.
Create Bill
ActionIn Zapier“Creates a bill in the system.”
Adds a supplier bill to Avaza from another source. It keeps supplier costs inside Avaza next to the project they belong to, instead of in a separate inbox.
Create Bill Payment
ActionIn Zapier“Creates a new bill payment in the system.”
Marks a payment made against a bill, closing the loop on what you owe. It's the payables twin of Create Invoice Payment, and it keeps what you owe and what you've paid in one place.
Create Company
ActionIn Zapier“Create a new company.”
Opens a new client company in Avaza. Only the company name is required. It's the base record that projects, contacts and invoices attach to later on.
Lookup Company with its find-or-create option avoids duplicates.Create Expense
ActionIn Zapier“Creates a new expense in the system.”
Logs a new expense in Avaza with its date and whether it's chargeable or reimbursable. It saves consultants from typing the same receipt twice, once in the capture app and once in Avaza.
Create Invoice Payment
ActionIn Zapier“Create a payment in the system.”
Records money received against an invoice, so Avaza knows it's paid. It saves a manual reconciliation step that is easy to forget at the end of a busy month.
Create Project Member
ActionIn Zapier“Create a new project member in the system.”
Staffs a project with a colleague and sets what they can do: log time, approve, handle tasks. Permissions such as approving timesheets or expenses, or creating and deleting tasks, are set in the same step.
Create Project Timesheet Category
ActionIn Zapier“Creates a new project timesheet category.”
Creates a category people pick when logging time on a project, flagged billable or payable. Setting it by Zap means every new project starts with the same categories instead of a hand-made list.
Create Schedule Booking
ActionIn Zapier“Creates a schedule booking in the system.”
Books a person's time in the resource schedule, with an option for days off. It fills the resource calendar from outside Avaza, so planning reflects what was promised to clients.
Create Schedule Leave
ActionIn Zapier“Creates a Schedule Leave in the system.”
Puts leave on the schedule so nobody books that person by mistake. It keeps absences visible in the same calendar where bookings are made.
Create Section
ActionIn Zapier“Creates a new section in the system.”
Adds a section, the grouping that holds tasks, inside a project. Sections are what Create Task needs, so this action often runs just before it in the same Zap.
Create Timesheet Entry
ActionIn Zapier“Create new timesheet entry.”
Logs time in Avaza on someone's behalf, with or without start and end times. It's handy when time is already measured in another tool and nobody wants to log it twice.
Delete Expense
ActionIn Zapier“Delete Expense by id.”
Removes an expense, chosen by its Expense ID. A filter before this step is worth it if the source is noisy, so only the right claims get deleted.
Delete Schedule or Leave Series
ActionIn Zapier“Delete schedule or leave series by id.”
Removes a whole booking or leave series from the schedule, by its Schedule Series ID. The same action handles bookings and leave, since Avaza stores both as series.
Delete Section
ActionIn Zapier“Deletes a section by id.”
Takes a section out of a project, by its Section ID. The Section ID usually comes from an earlier step, since nobody types IDs into a Zap by hand.
Delete Task
ActionIn Zapier“Deletes a task by id.”
Deletes one task, identified by its Task ID. Without a Task ID from a trigger or from Lookup Task, the step has nothing to act on.
Stop Timer
ActionIn Zapier“Delete a timesheet timer by id.”
Halts a running timer, chosen by its Timesheet Timer ID. Despite the name, it targets a running timer; saved entries go through Delete Timesheet.
Delete Timesheet
ActionIn Zapier“Deletes a timesheet by id.”
Removes a timesheet entry by its Timesheet Id. Mind the near-twin Stop Timer, which works on a running timer rather than on a saved entry.
Lookup Expense Category
ActionIn Zapier“Lookup Expense Category by name.”
Fetches an expense category by its name. It saves you from hard-coding a category ID that might change later.
Lookup Project
ActionIn Zapier“Lookup project by name.”
Finds a project by its name and hands its details to the next steps. It sits among the actions in the editor, not under the search heading, but it plays the same role.
Create Task needs the actual project.Lookup User
ActionIn Zapier“Lookup user by name.”
Finds an Avaza user by name. It's what lets a Zap assign people by name instead of by internal ID.
Create Project Member when the source only has a name.Create Contact
ActionIn Zapier“Creates a new Contact.”
Adds a person to Avaza with first name, last name, email and company, all four required. It's the quickest way to keep client stakeholders in Avaza in step with a form or a CRM.
Create Invoice
ActionIn Zapier“Creates a new Invoice.”
Produces an invoice in Avaza, line amounts included, without anyone opening the billing screen.
Lookup Project Timesheet Category
ActionIn Zapier“Lookup project timesheet category by project id.”
Finds a timesheet category within a project. Project ID and category are both required. It returns the category so the next step can reuse it without anyone looking it up in Avaza.
Create Timesheet Entry into the right category.Reterive Task Comments
ActionIn Zapier“List all comments of a task.”
Lists the comments of a task, given its Task ID. The typo in the name is Zapier's. It returns the whole comment thread, which a later step can send or store.
Search Expenses
ActionIn Zapier“Search expenses in the system with date parameters.”
Gets expenses between a start and an end date, both required. Optional filters narrow it to chargeable or invoiced expenses, which keeps re-billing lists short. It spares someone a manual export.
Search Fixed Amounts
ActionIn Zapier“Searches fixed amount in the system with date parameters.”
Looks up fixed amounts by date, optionally only the invoiced ones, and returns them to the Zap. It completes Search Timesheets when a project mixes hourly work and flat fees.
Search Invoice
ActionIn Zapier“Search invoice by search parameters.”
Finds invoices by search criteria and returns them to the Zap. It sits among the actions rather than under the search heading, which surprises people the first time.
Create Invoice Payment.Search Project
ActionIn Zapier“Search a project by search parameters.”
Searches projects by criteria, with an option to include archived ones. Archived projects stay out unless you switch that option on, which matters for old engagements.
Search Resource Schedule
ActionIn Zapier“Search resource schedule in the system.”
Reads the resource schedule between two required dates. Both dates are required, and the result covers bookings across the team for that window. It answers the question who is free, and when, without opening the planning screen.
Search Task
ActionIn Zapier“Search task by search parameters.”
Looks across tasks by criteria. An optional filter keeps only open ones, or only completed ones. It returns matching tasks to the Zap, so a later step can send them on or act on each one.
Search Timesheets
ActionIn Zapier“Search timesheets in the system.”
Pulls timesheet entries between two required dates, with filters such as billable or invoiced. Other filters include whether a timer is running and whether to bring invoice details along.
Lookup Task
ActionIn Zapier“Lookup task by project id and task name.”
Finds a task by name inside a given project. Project ID is required. It's the bridge between what a human calls a task and what Avaza needs to update it.
Update Task, to turn a task name into the ID it needs.Update Task
ActionIn Zapier“Updates an existing Task.”
Changes a task found by its Task ID. It's the action most Zaps reach for when an outside event should move work forward in Avaza.
Update Company
ActionIn Zapier“Update a company by id in the system.”
Rewrites the details of a company already in Avaza, located by its ID. It changes what's already there rather than creating a new record, so the client history stays in one place.
Update Expense
ActionIn Zapier“Updates an expense in the system.”
Edits an expense identified by its ID. The Expense ID is required, so the Zap needs it from a trigger or a search before this step.
Update Invoice
ActionIn Zapier“Update invoice in the system.”
Changes an existing invoice, picked by its ID through the Transaction ID field. The ID usually comes from Search Invoice or from an invoice trigger earlier in the Zap.
Update Project
ActionIn Zapier“Updates a project in the system.”
Modifies an existing project by its ID, including whether time entries need a task. Project ID is required, and timesheet approval for new members can be switched in the same step.
Update Project Member
ActionIn Zapier“Update project member in the system.”
Adjusts what someone is allowed to do on a project. Project ID and User ID are required. It takes the same permission options as Create Project Member, applied to someone already on the project.
Update Project Timesheet Category
ActionIn Zapier“Updates project timesheet category.”
Edits a timesheet category on a project: billable or not, payable or not. It works on a category that already exists, unlike Create Project Timesheet Category.
Update Schedule Booking
ActionIn Zapier“Update a schedule booking in the system.”
Moves or reshapes a booking already on the schedule. Like the create action, it offers an option to schedule on days off.
Updates Schedule Leave
ActionIn Zapier“Updates a schedule leave in the system.”
Changes leave already on the schedule. The editor really writes it with an s. It keeps the leave calendar in Avaza aligned with wherever absences are approved.
Update Timesheet Entry
ActionIn Zapier“Update timesheet entry by id in the system.”
Corrects logged time, located by its entry ID together with its project ID. Both IDs are required, which usually means a trigger or Search Timesheets runs earlier in the Zap.
Upload Expense Attachment
ActionIn Zapier“Upload attachment in the system.”
Attaches a file, usually a receipt, to an expense in Avaza. It keeps the proof attached to the expense where an approver will look for it.
Create Expense, so the scan travels with the claim. The Avaza search step and its settings
1 search step looks for data that already exists in Avaza, so a later step can use it.
Avaza has one true search step, listed at the bottom of the Action event list under SEARCH. Three settings decide what happens when it comes back empty or with several matches.
Lookup Company
SearchFind or createIn Zapier“Find a company in the system.”
Finds a client company in Avaza from a piece of its name and passes it to the next steps.
Find or Create Company; it's this same search with the create box ticked, not a separate operation. The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and the steps that relied on it are skipped. Turned on, the Zap carries on without a result.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what it needs to create the missing company.
- If multiple search results are found?Three choices when several companies match: keep the first one (the default), stop the Zap, or pass all of them on.
When an Avaza Zap goes wrong
Zapier attaches no help article to Avaza and lists no rate limit for it. What breaks is the general behaviour of Zaps.
Four cases come back with this app. If one of them bites, the Zapier troubleshooting page is the next stop.
The Zap ignores existing projects
A Zap only reacts to what happens after you switch it on. Projects, invoices or timesheets already in Avaza are never picked up; moving that backlog is a separate job.The Zap keeps restarting itself
An updated trigger plus an update action on the same kind of record, like Task Updated and Update Task, sets the Zap off again and again and burns through tasks.A bulk import gets held back
A bulk import or a migration that creates a huge batch of tasks or entries at once can be held back by Zapier's flood protection.A required field is missing
Create Task without a section, or Delete Task without a Task ID, cannot go through. A failed action is not counted against your tasks, but nothing is written.
