Overview

What the PDF Blocks Zapier integration is for

The PDF Blocks Zapier integration adds five PDF actions to a Zap, the automation you build on Zapier. It works on files already produced elsewhere: it combines them, cuts them, marks them or protects them. It has no trigger of its own, so the Zap always opens with another app.

Three typical results. One file instead of five: Merge PDF Documents joins a cover letter, a quote and terms into a single attachment, in the order you list them. Only the pages that matter: Extract Pages From PDF keeps the signature page of a long contract, for example. A document that says who it belongs to: Add Text Watermark to PDF or Add Image Watermark to PDF mark every page, and Add Password to PDF encrypts the result.

What Zapier does not do here: it cannot spot anything inside PDF Blocks, since the app exposes no trigger, and it has no search either. Every action also expects a real file handed over by an earlier step, not a link typed by hand. If the step before yours only carries a web address, the action has nothing to work on.

The scope is narrow on purpose: no conversion, no OCR, no editing of text. For a wider toolbox, check the other PDF apps on Zapier before you commit. And if you are still choosing a platform, read our Zapier review or the Make vs Zapier comparison.

Vocabulary

Zapier terms in plain English

Eight words you will see in the editor while you set up PDF Blocks.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. PDF Blocks has none, so another app always provides it.
Action
What the Zap does once it has started. All five PDF Blocks operations are actions that return a new PDF.
Task
What Zapier bills: one action completed successfully. Your plan counts these, nothing else.
Polling vs instant
A polling trigger is checked on a timer set by your plan. An instant trigger is reported by its app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
Connection
Your PDF Blocks account linked to Zapier once, then reused by every PDF Blocks step in every Zap.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns it into one, and it then needs a paid plan.
Cost

What a PDF Blocks Zap costs in tasks

The trigger from the other app never costs a task, and neither does Zapier checking for new data. You pay for actions that work.

  • Trigger0 tasks
  • Each successful action1 task (a few actions take more)
  • Failed actionNot counted
  • Free plan100 tasks a month, two-step Zaps
  • PDF BlocksNot a premium app

PDF Blocks is not a premium app, so it runs on the free plan: 100 tasks a month, unlimited Zaps, a check every 15 minutes on polling triggers. The free plan only builds two-step Zaps, one trigger and one action. Watermark then password, or merge then watermark, makes it multi-step and needs a paid plan, and each action that succeeds counts as a separate task. A failed action is not counted, so a broken run does not eat into the month.

Connect

Connect PDF Blocks to Zapier in three steps

  1. 01

    Start from Apps

In Zapier, open Apps and click + Add connection. Have your PDF Blocks account ready, because Zapier links an account that exists, it does not open one for you.

  2. 02

    Select PDF Blocks

Search for PDF Blocks in the dialog, pick it and click Add connection. A new tab opens on the PDF Blocks side, where you sign in with the account you use there.

  3. 03

    Allow access

Sign in and grant Zapier access to the account. The connection is now saved, and every PDF Blocks step in every one of your Zaps reuses it without asking again.

First Zap

Build your first PDF Blocks Zap

GoalEvery new PDF in a Google Drive folder gets a CONFIDENTIAL watermark and then a password.

  1. 01

    Build: choose the trigger

Create a Zap and pick the app and event that start it: a new file in a Google Drive folder. PDF Blocks cannot open the Zap, it has no trigger.

  2. 02

    Test with a real file

Run the trigger test. Zapier returns the three most recent files of that folder, so you pick a real PDF to map in the next steps.

  3. 03

    Add the text watermark

Add PDF Blocks, choose Add Text Watermark to PDF, map the file into PDF Document and type CONFIDENTIAL in Line 1. Pick one of the templates.

  4. 04

    Lock it

Add a second PDF Blocks action, Add Password to PDF, and map the watermarked file from the step before. Two actions means a multi-step Zap, so a paid plan.

  5. 05

    Test, then publish

Test each step and open the PDF that came back. When it looks right, publish the Zap to switch it on. Each run then costs two tasks.

Actions

The 5 PDF Blocks actions in Zapier

PDF Blocks gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Password to PDF

Action

In Zapier“Protect a PDF document with a password. Encrypt the PDF document to prevent unauthorized access.”

Encrypts the PDF so nobody can open it without the password you set.

When to use it
payslips or HR letters that go out by email and must stay private if the message is forwarded.
Watch out
recipients need the password to open the file, so plan how they will get it before the first run.
2

Add Image Watermark to PDF

Action

In Zapier“Add an image watermark to each page of a PDF document.”

Stamps an image, such as your logo, on every page of the document.

When to use it
branding reports sent to clients so the origin stays visible even when they are forwarded.
Watch out
the image must be a PNG or a JPEG, passed as a file just like the PDF.
3

Add Text Watermark to PDF

Action

In Zapier“Add a text watermark to each page of a PDF document. Choose from several watermark templates.”

Prints a line of text across each page, using one of several watermark templates offered by the app.

When to use it
marking drafts as DRAFT or CONFIDENTIAL before they reach a shared folder.
Watch out
Line 1 is required, so an empty value mapped from the trigger stops the step.
4

Extract Pages From PDF

Action

In Zapier“Extract one or more pages from a PDF document.”

Pulls one or more pages out of a PDF and returns them as a new, shorter document.

When to use it
sending only the signed page of a long agreement to accounting, instead of the full file.
Watch out
the source PDF must arrive as a file from an earlier step, not as a typed link.
5

Merge PDF Documents

Action

In Zapier“Combine multiple PDF documents into a single PDF document.”

Combines several PDFs into one, following the order in which you insert them in the list field.

When to use it
a welcome pack where the contract, the onboarding guide and the price list should travel as a single attachment.
Watch out
the field expects a list of files, so a Zap that only carries one file at a time needs to gather them first.
When it breaks

When a PDF Blocks Zap breaks

Zapier ties no help article to PDF Blocks. The cases below come from the fields of its actions and from Zapier's general rules.

Most failures come from what reaches the action rather than from PDF Blocks itself. When a run goes wrong anyway, start with our Zapier troubleshooting page.

  • A link where a file was expected

Each PDF field is a file field. If the earlier step only provides a web address, PDF Blocks receives no document and the action fails.
  • No catch-up on existing PDFs

A Zap only reacts to what happens after you switch it on. Files already sitting in the folder are not processed; handling the backlog is a separate job.
  • A Zap that loops on itself

Save the protected PDF back into the folder your trigger watches and the new file starts the Zap again, over and over, eating your tasks.
  • Bulk uploads held back

When a trigger suddenly returns a huge batch, after a migration for instance, Zapier's flood protection can hold it back instead of running every file.

FAQ

PDF Blocks Zapier integration: frequently asked questions

01Is the PDF Blocks Zapier integration free?
On the Zapier side, yes. PDF Blocks is not a premium app, so it works on the free plan with its 100 tasks a month and unlimited Zaps. The real limit is the size of the Zap: a free Zap holds one trigger and one action. Watermarking and then adding a password is two actions, which makes a multi-step Zap and needs a paid plan. What PDF Blocks itself charges for its account is not listed on Zapier, so check that on its side too.
02How many tasks does a PDF Blocks action use?
One task for each action that succeeds, in most cases. The trigger from the other app costs nothing, and Zapier checking for new files costs nothing either. A Zap that merges, watermarks and then locks a document runs three actions, so three tasks per run. If an action fails, it is not counted. Zapier also notes that a few apps and actions take more than one task when they complete.
03Does PDF Blocks run in real time with Zapier?
PDF Blocks has no trigger, so timing depends on the app that starts the Zap. With an instant trigger, that app reports the event itself and the Zap runs straight away on any plan. With a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Since the type is set by the app and cannot be changed in the editor, choose the starting app with that in mind.
04What does it take to connect PDF Blocks to Zapier?
A PDF Blocks account and a few clicks. Open Apps in Zapier, click + Add connection, search for PDF Blocks, click Add connection and sign in on the tab that opens, then grant access. After that, the connection is reused by every Zap. The less visible prerequisite is on the file side: each action expects a real file from an earlier step, so the app that starts your Zap must hand over the PDF itself, not just a link to it.
05Why does Merge PDF Documents only merge one file?
Because the field wants a list of files, inserted in the order you want them merged, and most triggers bring a single file per run. Mapping that one file gives PDF Blocks nothing to combine. Make sure the step before the merge provides several files, or map each document into the list yourself from different earlier steps. Order matters too: the first file you insert becomes the first part of the merged PDF.
06What if the PDF Blocks action you need does not exist?
PDF Blocks covers five jobs only: merge, extract pages, text watermark, image watermark and password. Converting a Word file, reading text from a scan or editing the content of a page is outside its list. In that case, look for another PDF app on Zapier that offers the operation and chain it before or after a PDF Blocks step. Remember that each extra action costs a task and makes the Zap multi-step.
07Zapier, Make or n8n for PDF Blocks?
Choose on criteria rather than on a ranking. On Zapier, PDF Blocks is not premium, so a single action per run fits the free plan, while any chain of two PDF Blocks steps needs a paid plan and costs one task per action. Check whether the other tools offer the same five PDF Blocks operations, then compare how each one bills against the number of documents you process each month.
