Overview

What the PDF-API.io Zapier integration gives you

Connected to Zapier, PDF-API.io becomes a step that any other app can call: a form, a CRM or a sheet passes values, and a finished PDF built from your template comes back. Nobody has to open PDF-API.io for it. The app cannot start an automation itself, so another tool always goes first.

One action, Render PDF, but it covers more ground than it looks. Three typical results: a filled form as a document, where a registration or an application becomes a clean PDF the moment its data reaches the step; a sales document, where a quote or an order confirmation comes out of a deal record with the right customer details; a certificate or a pass, where each attendee or trainee gets a personal copy laid out by your template.

Where it stops: on Zapier, PDF-API.io has no trigger, no search and nothing else besides rendering. You cannot list templates, fetch an old PDF or start a Zap from PDF-API.io. You also design the template in PDF-API.io itself, not in Zapier. And the rendered file still has to be emailed or stored, which means one more action and a paid plan.

To weigh Zapier for this kind of document flow, the Zapier review covers the platform as a whole, and Zapier alternatives lists the other routes.

Vocabulary

The Zapier vocabulary this page uses

Seven words, each explained once here in everyday terms, then used without reminders.

Zap
Your automation on Zapier: a starting event in one app, followed by one or more steps that run each time that event happens again.
Trigger
The event that wakes the Zap up, such as a new submission. PDF-API.io has no trigger on Zapier, so it always comes from a different app.
Action
What the Zap does after the trigger: write, send or produce something. Render PDF, the only PDF-API.io operation, is an action.
Task
The billing unit of Zapier: one action completed successfully. Your plan allows a set number of them each month.
Polling vs instant
A polling trigger is checked by Zapier at a fixed interval. An instant trigger is pushed to Zapier by the app itself as the event happens.
Filter
A step that lets the Zap carry on only if the incoming data passes a condition you define, and stops the run otherwise.
Multi-step Zap
Anything longer than one trigger and one action. Adding a second action, a filter or a search makes one, and those need a paid plan.
Cost

What PDF-API.io costs on Zapier

The rule is short: one rendered PDF, one task. The trigger and the checks around it are free.

  • TriggerNo task
  • Render PDF that succeeds1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

Zapier does not bill the trigger, and it does not bill the time it spends looking for new items either. When Render PDF succeeds, that is one task; when it fails, nothing is counted. The free plan carries 100 tasks a month and unlimited Zaps, capped at two steps each. PDF-API.io is not a premium app, so a trigger plus Render PDF runs on that plan as is. Emailing or storing the PDF afterwards is a second action, which makes the Zap multi-step and moves it to a paid plan. Adding a filter does the same.

Connect

Connect PDF-API.io to Zapier

  1. 01

    Open Apps in Zapier

From your Zapier account, open Apps and click + Add connection. The connection you are about to make is your PDF-API.io account linked once, then reused by every Zap that renders with it.

  2. 02

    Select PDF-API.io

Look up PDF-API.io in the dialog, choose it, then click Add connection. You need a PDF-API.io account beforehand; Zapier only links accounts, it never opens one for you.

  3. 03

    Sign in and grant access

A new tab opens: sign in to PDF-API.io there and allow Zapier to use the account. Once that is done, the account appears in Zapier and can be picked in the Render PDF step.

First Zap

Build your first PDF-API.io Zap

GoalRender a PDF from each new form submission with your PDF-API.io template, then post it to the team channel.

  1. 01

    Set the starting event

Create a Zap and choose the form app with its new-submission event. PDF-API.io offers no trigger, so the form is what kicks things off.

  2. 02

    Test with real data

Test the trigger. Zapier loads the three most recent items from the connected account, so pick one real submission to map from.

  3. 03

    Add Render PDF

Add PDF-API.io, choose Render PDF, paste the Template ID of your saved template, then map the submission answers into it.

  4. 04

    Share the file

Add the message step and include the rendered PDF. That second action makes this a multi-step Zap, which runs on a paid plan only.

  5. 05

    Test, then go live

Run each step once and open the PDF to check every value landed where expected. Then click Publish. Submissions made before publishing are not picked up.

Actions

The PDF-API.io action

PDF-API.io gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Render PDF

Action

In Zapier“Render a PDF from a template”

Takes one of your saved PDF-API.io templates, drops in the values mapped from earlier steps, and hands back the finished PDF for the rest of the Zap to use.

When to use it
a training company wants each trainee who passes an exam in its LMS to get a named certificate without anyone touching a document editor.
Watch out
Template ID is required, and the template has to exist in PDF-API.io before the Zap can run.
When it breaks

When a PDF-API.io Zap breaks

Zapier links no help article to PDF-API.io. What follows are the general limits that apply to any Zap built around Render PDF.

Most of them start upstream, in the app that triggers the Zap. If a Zap is already failing, open the Zapier troubleshooting page first.

  • No PDFs for the backlog

A Zap reacts only to what happens once it is on. Submissions or records that were already there are skipped; rendering them is a separate project.
  • The Zap that feeds itself

Store the rendered PDF in the same place the trigger watches and the Zap starts again on its own output, in a loop, billing a task every round.
  • Bulk data gets throttled

If the trigger app suddenly returns a very large batch, after an import or a migration, Zapier's flood protection can hold those items back.
  • One item, one render

On a polling trigger, Zapier keeps track of what it already saw. A submission that was already processed does not start the Zap a second time.

FAQ

PDF-API.io Zapier integration: your questions

01Is the PDF-API.io Zapier integration free?
Yes, within the free plan's limits. PDF-API.io is not a premium app, so it runs on Zapier's free plan, which includes 100 tasks a month and unlimited Zaps. The constraint is length: one trigger and one action per Zap. A trigger plus Render PDF fits exactly. The moment the Zap also needs to send or save the PDF, or to filter which records get rendered, it becomes multi-step, and multi-step Zaps need a paid plan.
02How many Zapier tasks does each PDF use?
One. Each successful Render PDF counts as one task, and nothing else in a basic Zap is billed: the trigger is free, and so is Zapier checking the trigger app for new items. A render that fails is not counted. If you add steps after it, each successful action adds its own task, so a Zap that renders and then emails the file costs two tasks per run. Plan your monthly volume against that figure.
03Does PDF-API.io render in real time through Zapier?
That depends on the app that starts the Zap, since PDF-API.io has no trigger. If the starting app has an instant trigger, it pushes the event to Zapier itself and Render PDF follows without waiting for a check. If it is a polling trigger, Zapier checks on a timer that depends on the plan: 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. Check the starting app's trigger type first.
04What does connecting PDF-API.io to Zapier require?
An existing PDF-API.io account, plus a saved template if you want Render PDF to do anything useful. The connection is set up once from the Apps page in Zapier: add a connection, choose PDF-API.io, sign in in the tab that opens and grant access. Every later Zap that renders a PDF reuses it. If the Zap touches anything you do not own, read or write access on it is needed too.
05Why does Render PDF ask for a Template ID?
Because the action does not design anything: it fills a template that already exists in PDF-API.io, and the Template ID tells it which one. The field is required, so the step cannot run without it. Zapier offers no PDF-API.io search to look a template up, so the ID has to come from your PDF-API.io account, typed into the field or carried by an earlier step. Create the template first, then build the Zap.
06What if the PDF-API.io operation you need is not on Zapier?
On Zapier, PDF-API.io offers Render PDF and nothing else: no trigger, no search, no way to manage templates. If a job needs more, the usual workaround is to shape the data before it reaches the render, with steps from other apps, so a single template covers more cases. If that still falls short, the remaining options are a different automation platform or a different document tool that exposes more operations.
07Zapier, Make or n8n for PDF-API.io?
Choose by criteria, not by a ranking. On Zapier, the questions are simple: does Render PDF cover the documents you produce, and how many steps does your Zap need? One trigger plus one action fits the free plan; anything longer needs a paid one. Then set your monthly PDF count against your task allowance. Ask the same two questions, coverage and cost per run, of Make and n8n before deciding.
