Overview

What the Dash Zapier integration actually does

Connecting Dash to Zapier means your asset library reacts to other tools, and other tools react to it. A file lands somewhere else, it gets uploaded to Dash. An asset shows up in Dash, the rest of your team hears about it. Four operations, no code, and the free plan covers a basic two-step version.

Three outcomes cover most of what people build with it.

A library that fills itself. Upload Asset pushes a file from another app into Dash, so the photo a freelancer drops in a shared folder ends up where the brand team actually looks. One action, one task each time.

Tagged assets without the copy-paste. Update Asset Metadata writes values onto an asset that already exists. Pair it with New Asset and every fresh upload gets its fields set the moment Zapier spots it (on the next check, not the same second).

A team that knows something new is in. New Asset can start a Zap that posts a message or creates a card elsewhere, so nobody has to refresh the library to see what changed.

What Zapier does not do here: there is no trigger for an edited or deleted asset, only for a new one. There is no action to delete, move or share an asset either. Asset Keyword Search finds by keyword, and that is the only way to look something up. If your process depends on any of those missing pieces, Zapier alone will not get you there.

Still choosing a tool? The n8n vs Zapier and Make vs Zapier comparisons are a good place to weigh that before you build.

Vocabulary

Zapier vocabulary in one minute

Seven words come back all over this page. Here they are in plain English, once.

Zap
The automation you build: one starting event, then one or more steps that run every single time that event happens.
Trigger
The event that starts a Zap. With Dash, that is a new asset showing up in your library. Zapier waits for it once the Zap is on.
Action
What the Zap does after it starts: the step that uploads a file, writes metadata or posts a message for you.
Task
What Zapier bills: one action that completes successfully. The number on your plan counts those, nothing else.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant one is reported by the app itself, right away. Dash only polls.
Filter
An extra step that checks each new asset against a rule you set, such as a word in its name. No match, no further steps.
Search step
A step that finds something already in an app, so the following steps can reuse what it found, like an asset matched by keyword.
Cost

What a Dash Zap costs you

Dash is not a premium app, so it works on the free plan. The bill depends on actions, never on the trigger.

  • Trigger0 task
  • Each successful action1 task
  • Free plan100 tasks a month, 2 steps per Zap
  • Premium appNo

Watching your Dash library for new assets costs nothing, however often Zapier checks it, on any plan. Each action that goes through counts as one task, and a failed one is simply not counted. A Zap with Upload Asset then Update Asset Metadata spends two tasks per run. The free plan gives you 100 tasks a month and two-step Zaps only: add a filter, a search or a second action and you need a paid plan.

Connect

Connect Dash to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need an existing Dash account for what follows; Zapier does not create one for you.

  2. 02

    Pick Dash

Type Dash in the search box of the dialog, select it, then click Add connection. A new tab then opens on the Dash side, where the rest of the connection happens.

  3. 03

    Sign in and allow access

Log in to Dash in that tab and grant Zapier access to the account. The connection is saved once, and every Dash step of every Zap reuses it afterward.

First Zap

Your first Zap: new Dash asset to a Slack alert

GoalA content manager wants the social team pinged in Slack whenever a finished visual reaches Dash, and only those.

  1. 01

    Build the trigger

Create a Zap, pick Dash as the app and New Asset as the event, then choose your Dash connection. Nothing else to set on this side.

  2. 02

    Test it

Run the test. Zapier brings back the three most recent assets of your account, so you set everything up on a real one, not on dummy data.

  3. 03

    Add the filter

Click the plus, add Filter, then pick in the test result the value that tells finished visuals apart. Choose a text rule for text, or it never passes.

  4. 04

    Add the Slack action

Add Slack and Send Channel Message, pick the channel, and map what the trigger returned into the message. Test this step once and read what arrived in Slack.

  5. 05

    Publish

Click Publish. With the filter this is a three-step Zap, so it needs a paid plan; drop the filter and it fits the free one.

Triggers

Dash triggers on Zapier

1 event starts a Zap when something happens in Dash. Zapier checks for them at the interval your plan allows.

1

New Asset

Polling trigger

In Zapier“Triggers when a new asset is added to your Dash.”

This one starts your Zap each time an asset is added to your Dash library, and hands the next steps what Zapier read about that asset. It is the only Dash trigger, so every Zap that reacts to Dash starts here.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
when uploads by photographers or agencies should land in front of the people who use them, without anyone checking the library.
Watch out
assets already in Dash before you publish the Zap are ignored, and Zapier never starts the Zap twice for the same asset.
Actions

Dash actions on Zapier

Dash gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Update Asset Metadata

Action

In Zapier“Update asset metadata”

Writes values onto an asset that already sits in Dash, so your fields stay filled without opening each file.

When to use it
right after New Asset or after a search, to set a field on the asset that just came in.
Watch out
the asset ID is required, so an earlier step has to supply it; on its own this action has nothing to point at.
2

Upload Asset

Action

In Zapier“Upload an asset to your Dash”

Sends a file from another app into your Dash, where it becomes a new asset like any manual upload.

When to use it
files arrive through a form, an inbox or a shared drive, and you want them in the library automatically.
Watch out
it needs both the file itself and its original file name.
Searches

Finding Dash assets in a Zap

1 search step looks for data that already exists in Dash, so a later step can use it.

Dash has one search step. It sits at the bottom of the Action event list, under the SEARCH heading. Three settings decide what happens next.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, an empty search stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
This box turns a search into find-or-create on apps that offer it. Dash offers no such variant, so you will not see it here.
  3. If multiple search results are found?
When several assets match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Dash Zap breaks

Zapier links no help article to Dash, so the traps below are the general ones, applied to a library of files.

None of these show up as an error message on day one. They show up as a missing asset, a doubled count, or a task total that climbs faster than expected. If one already bit you, the Zapier troubleshooting page is the next stop.

  • Your back catalog stays put

A Zap only reacts to assets added after it is switched on. Everything already sitting in Dash is ignored; moving that backlog is a separate job.
  • Uploading into the Dash you watch

A Zap on New Asset that runs Upload Asset into the same library creates a new asset, which fires the Zap again, and again, eating tasks fast.
  • A bulk import gets held back

Drop a huge batch into Dash at once, after a migration for example, and Zapier's flood protection can hold those items back instead of running them all.
  • No double start, by design

Zapier remembers which assets it has already seen on New Asset, so the same asset never starts the Zap twice, even across several checks.

FAQ

Dash Zapier integration: your questions

01Is the Dash Zapier integration free?
Yes, as long as the Zap stays simple. Dash is not a premium app, so the free plan accepts it, with 100 tasks a month and Zaps of two steps: one trigger and one action. New Asset feeding Update Asset Metadata fits. As soon as you add a filter, a search or a second action, the Zap becomes multi-step and Zapier asks for a paid plan. No price is quoted here because plan prices move too often to publish.
02How many tasks does a Dash Zap use?
One per action that succeeds, and nothing for the trigger. Checking Dash for new assets is free no matter how often it happens. A Zap that uploads a file then writes its metadata spends two tasks per run, and if Upload Asset fails, that failed step is not billed. The trap is a loop: a Zap that uploads into the same Dash it watches restarts itself and burns through the monthly count.
03Does Dash trigger Zaps in real time?
No. New Asset is a polling trigger: Zapier asks Dash for new assets on a timer instead of Dash calling Zapier. The timer depends on your plan, every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On paid plans you can also run a check by hand from the editor when you are testing. The type comes from the app itself and cannot be switched in Zapier.
04What do you need to connect a Dash account?
An existing Dash account, plus write access on the library if you plan to upload files or change metadata. In Zapier, open Apps, click + Add connection, pick Dash, sign in on the tab that opens and grant access. The connection is created once and shared by every Dash step in your Zaps, so there is nothing to repeat when you build the second one. Assets you do not own need the right permissions on the Dash side.
05Why does Update Asset Metadata fail on its own?
Because it needs an asset ID and has no way to guess it. That ID has to come from an earlier step: New Asset when you are reacting to a fresh upload, or Asset Keyword Search when you start from a product name or a campaign word. Without one of those two in front, the field stays empty and the action cannot run. On the free plan only the New Asset route works, since a search makes the Zap multi-step.
06What if the Dash operation you want is not there?
Then it is not available through Zapier today. Dash exposes one trigger, two actions and one search, and nothing for edited or deleted assets, moving or sharing. The usual workaround is to cover part of the need with what exists, for example Asset Keyword Search followed by Update Asset Metadata to change an asset you already have. For anything beyond that, the gap sits in the Dash app on Zapier, not in your Zap settings.
07Zapier, Make or n8n for Dash?
It depends on criteria, not on a winner. On Zapier, Dash covers new assets, uploads, metadata updates and keyword search, works on the free plan, and needs no code, which suits a marketing team that wants it running quickly. Check the other tool for the operations you need before choosing: if a missing piece matters, such as reacting to an edited asset, that list decides. Also weigh how often your volume would hit the task count each month.
