PDFMonkey Zapier integrationAutomate PDFMonkey with Zapier.
The PDFMonkey Zapier integration gives you 1 trigger, 2 actions and 1 search. Enough to fill a PDFMonkey template from any app, hear back the moment the PDF is ready, fetch it by ID and clean up afterwards, all without opening the dashboard.

What the PDFMonkey Zapier integration covers
It links PDFMonkey, a service that generates PDFs from templates you manage in its dashboard, to your other tools through Zapier. A Zap (an automation built on Zapier: one event that starts it, then the steps it runs) can order a document, react when it is ready, look one up or delete it.
Three outcomes come up most. A document built from your data: Generate Document takes a workspace and a template, fills it with values mapped from earlier steps, and can even add invoice-style line items. A ready PDF that moves on its own: the trigger Document Generated fires once generation has completed successfully, so the next step can email, file or share the result. A tidy account: Find Document fetches a document by its ID and Delete Document removes it once it has served its purpose.
What the integration leaves out is worth knowing before you plan. There is no trigger for a failed generation, only for a successful one. There is no step to create or edit templates: those stay in the PDFMonkey dashboard. And the only search works by Document ID, so you cannot look a document up by name or by customer.
Because the trigger is instant, your Zapier plan never slows it down. To weigh Zapier against other platforms, see n8n vs Zapier.
Zapier basics for a PDFMonkey workflow
Eight words keep coming back below. Here is what each one means once PDFMonkey is in the picture.
- Trigger
- The event that starts a Zap. With PDFMonkey, that is a document whose generation has just completed successfully.
- Action
- What the Zap does once started: ask PDFMonkey to generate a document, or delete one you no longer need.
- Task
- The unit Zapier bills: one action that succeeds. A Zap that generates then deletes a document spends two.
- Instant trigger
- A trigger the app reports itself, calling Zapier the moment the event happens. Document Generated works this way.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items. PDFMonkey has none, so plan intervals never apply.
- Filter
- A step that lets the Zap continue only when the data meets your condition, and quietly stops it otherwise.
- Search step
- A step that fetches something already in an app, here a PDFMonkey document, so later steps can reuse it.
- Connection
- Your PDFMonkey account linked to Zapier once, then reused by every PDFMonkey step in all your Zaps.
What a PDFMonkey Zap really costs
The Document Generated trigger never costs a task, however many documents come out of PDFMonkey.
- Free plan100 tasks per month, unlimited Zaps
- Steps on the free plan2 (one trigger, one action)
- Premium appNo, PDFMonkey works on every plan
- PDFMonkey trigger1, instant: the grid does not apply
Each successful action is one task: Generate Document, Delete Document, or the action of another app that follows. A failed action is not counted. PDFMonkey is not a premium app, so it runs on the free plan: 100 tasks a month, but only two-step Zaps, one trigger and one action. Adding Find Document, a filter or a second action turns the Zap multi-step, which needs a paid plan. The interval grid below only concerns polling triggers.
Connect your PDFMonkey account
- 01
Open Apps in Zapier
Go to the Apps page of your Zapier account and click + Add connection. You need an existing PDFMonkey account first, since Zapier will ask you to sign in to it.
- 02
Choose PDFMonkey
Search for PDFMonkey in the dialog, select it, then click Add connection. A new tab opens on the PDFMonkey side, which is where the link between both accounts is made.
- 03
Sign in and grant access
Log in to PDFMonkey in that tab and allow Zapier to use the account. If the workspace or templates belong to a colleague, check that your account can read and write there.
Your first PDFMonkey Zap
GoalEach time PDFMonkey finishes a document, email it to the right person, but only for the template that matters.
- 01
Build: set the trigger
Create a Zap, pick PDFMonkey and Document Generated, select your connection and choose the workspace whose documents should start the Zap.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items of your account, so you map the next steps on a real generated document.
- 03
Add the filter
Add a Filter step to keep only the documents you care about. The filter makes the Zap multi-step, so this exact Zap needs a paid plan.
- 04
Add the delivery step
Add the email action, type the recipient's address, map the document from the trigger, then test it and read what came back before going further.
- 05
Publish
Click Publish to switch the Zap on. Documents generated before this moment are not picked up, only the ones that follow.
PDFMonkey trigger
1 event starts a Zap when something happens in PDFMonkey, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Document Generated
Instant triggerIn Zapier“Triggers when a document's generation is complete and successful.”
Your Zap starts when PDFMonkey has finished producing a document and the generation went through without error. It is the signal that a PDF is ready to be sent, stored or attached to a record.
PDFMonkey actions
PDFMonkey gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Delete Document
ActionIn Zapier“Deletes a Document.”
Removes a PDFMonkey document permanently, using its Document ID. Handy to keep your account clean once a file has been delivered elsewhere.
Generate Document
ActionIn Zapier“Generates a Document.”
Asks PDFMonkey to produce a new document from one of your templates, filled with the values you map from earlier steps. Workspace and Template are required.
PDFMonkey search
1 search step looks for data that already exists in PDFMonkey, so a later step can use it.
A search step fetches a PDFMonkey document you already know by ID, so the steps after it can reuse it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Adding one makes the Zap multi-step. Three settings shape what happens next.
Find Document
SearchIn Zapier“Find a document in PDFMonkey.”
Retrieves one PDFMonkey document from its Document ID and passes it to the next steps. It cannot search by name or customer, only by ID.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there, and the steps depending on it are skipped. Switched on, the Zap continues empty-handed.
- Create X if it doesn't exist yet? This box turns a search into a find-or-create. PDFMonkey offers no such variant, so Find Document never shows it.
- If multiple search results are found?Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When a PDFMonkey Zap breaks
Zapier ties no help article to PDFMonkey and lists no limit of its own for it.
So the issues you meet come from Zapier's general behavior and from how the two PDFMonkey steps chain together. Four cases are worth knowing. For anything else, check Zapier troubleshooting.
Earlier documents are ignored
A Zap reacts only to what happens after it is published. Documents generated last week never start it; sending that backlog is a separate job.Generate inside the trigger's own Zap
A Zap on Document Generated that ends with Generate Document in the same workspace sets itself off again and again, burning tasks fast.A batch of generations held back
If a bulk run suddenly produces a huge batch of documents, Zapier's flood protection can hold the trigger back instead of running each one.Failed generations stay silent
Document Generated only fires on success. A generation that fails never starts the Zap, so nothing downstream warns you about it.
