Overview

What the onboard Zapier integration is for

onboard is recruiting software that helps a company find employees and then manage them. Connecting it to Zapier lets applications collected outside onboard enter it on their own, from a careers page form, a job board or a spreadsheet. The flow goes one way only: into onboard.

With one action, the results differ by where the candidate comes from. A careers form that feeds the pipeline: each answer becomes an application through Create Application, with first name, last name and e-mail address filled in. A recruiting event that leaves no paper behind: a sign-up sheet filled at a fair becomes a batch of applications the recruiters can sort. A referral program that reaches HR directly: a colleague's referral form files the candidate without anyone forwarding an e-mail.

The action also carries the candidate's choices. Send confirmation e-mail decides whether onboard sends the applicant a receipt. Accept archivation and Accept Forwarding to Business Group record whether the candidate agrees to be kept on file, or passed on to other companies of the group, if the application fails.

What Zapier does not do for onboard: there is no trigger, so a new application or a hire inside onboard cannot start a Zap. There is no search and no update. The same app also has an onboard Make integration page, and n8n vs Zapier helps before settling on a tool.

Vocabulary

Zapier vocabulary in one minute

Eight words carry this page. Each keeps the meaning given here.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. onboard has none, so a form or another app always plays this part.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you. Create Application is one.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the unseen ones.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens, so nothing waits for the next check.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your account of an app linked to Zapier once, then reused by every step that uses that app.
Cost

What onboard costs in Zapier tasks

onboard is not a premium app on Zapier, so it runs on the free plan. You pay in tasks, and only completed actions count.

  • Free plan100 tasks per month, unlimited Zaps
  • One application filedOne task
  • Failed applicationNot counted
  • Filter or second actionMulti-step Zap, paid plan

Each application Create Application files successfully is one task. One that fails, because the e-mail address is missing for example, is not billed. The trigger of the form or job board costs nothing, and neither do Zapier's checks on it. On the free plan, a Zap holds two steps: that trigger and Create Application. Put a filter in front to keep only one job opening, or add a second action such as a message to the hiring manager, and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your onboard account in three steps

  1. 01

    Open the Apps page

In Zapier, go to Apps and click + Add connection. You need an onboard account, plus write access on any job opening you do not manage and want the Zap to fill.

  2. 02

    Choose onboard

Search onboard by name in the dialog, select it and click Add connection. A tab opens where you sign in to the onboard account your recruiting team uses.

  3. 03

    Sign in and grant access

Sign in to onboard in that tab and allow Zapier to reach the account. The connection then appears on the Apps page, ready for every Zap that files applications.

First Zap

Your first onboard Zap: every careers form answer becomes an application

GoalA candidate submits the careers form; the application is filed in onboard, with a receipt sent if you choose to.

  1. 01

    Pick the trigger app

Create a Zap and choose your form tool as the app that starts it, with its new-entry event. onboard cannot start a Zap, so this first card is always another app.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent entries of the connected account, so you map the fields on a real candidate.

  3. 03

    Add Create Application

Add onboard as the action with Create Application. Map First name, Last name and E-mail address from the matching form answers.

  4. 04

    Set the candidate options

Decide on Send confirmation e-mail, then map Accept archivation and Accept Forwarding to Business Group to the matching consent questions of the form.

  5. 05

    Test, then publish

Test the action and check the application in onboard. Then click Publish. Entries sent before that moment are not filed.

Actions

The onboard action

onboard gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Application

Action

In Zapier“Creates an application in onboard.”

Files a new candidate in onboard from data another app collected. First name, last name and e-mail address are required; the receipt and the two consent options are up to you.

When to use it
candidates apply through a form or a job board that onboard does not read on its own.
Watch out
the consent options record the candidate's choice, so map them to real answers rather than ticking them for everyone.
When it breaks

When an onboard Zap breaks

Zapier links no help article to onboard, so the cases below are the general traps, applied to this app.

Four mechanisms explain what goes wrong in a Zap that files applications in onboard. They are not bugs: Zapier works this way, and each has a simple answer. For a Zap that still fails, the Zapier troubleshooting page goes further.

  • Earlier candidates stay outside

A Zap only reacts to what happens after it is switched on. Applications received before that moment are not filed in onboard; moving them is a separate job.
  • A loop through the form tool

If the trigger app watches a place your Zap also writes to, each new application can start the Zap again and use up tasks fast.
  • A big batch held back

When the trigger app suddenly returns a huge batch, after importing a list of candidates for example, Zapier's flood protection can hold the runs back.
  • No double applications

On a polling trigger, Zapier remembers what it has already seen, so the same form entry does not file the same candidate twice.

FAQ

onboard and Zapier: frequent questions

01Is the onboard Zapier integration free?
Yes. onboard is not a premium app, so it works on Zapier's free plan, which includes 100 tasks per month and unlimited Zaps. On that plan, a Zap holds two steps: the trigger of a form or job board, and Create Application. That covers the main case, every candidate filed automatically. Adding a filter to keep one job opening, or a second action to alert a recruiter, makes the Zap multi-step, and that requires a paid plan.
02How many tasks does an onboard Zap use?
One task per application that Create Application files successfully. The trigger of the form or job board costs nothing, and neither do Zapier's checks on it. An application that fails, because a required value is missing, is not counted. So the bill follows the number of candidates: a busy opening with many applicants uses the monthly quota faster than a quiet one, whatever the interval your plan applies to the trigger app.
03Can an onboard Zap run in real time?
onboard has no trigger, so the timing depends entirely on the app that starts the Zap. If that form tool or job board offers an instant trigger, the application is filed right after the candidate submits. If it uses a polling trigger, Zapier checks at your plan's interval: 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. Nothing on the onboard side changes that delay.
04What does connecting onboard to Zapier require?
An onboard account, plus write access on any job opening you do not manage and want the Zap to fill. You add the connection from the Apps page of Zapier, choose onboard, sign in in the tab that opens and grant access. Then make sure the form or tool that starts the Zap always collects a first name, a last name and an e-mail address, since Create Application refuses a candidate without them.
05What do the consent options of Create Application mean?
They record two choices the candidate makes. Accept archivation means the candidate agrees to stay on file if the application does not succeed. Accept Forwarding to Business Group means they agree to be passed on to other companies of the group in that case. Send confirmation e-mail is your own choice: it decides whether onboard sends the candidate a receipt once the application is received. Leave it off if your form already sends one.
06What if the onboard operation needed is not in Zapier?
Then it is not available, whatever the plan. Zapier lists a single operation for onboard, Create Application, with no trigger, no search and no update. Reacting to a hire, moving a candidate to the next stage or finding an existing applicant cannot be built with Zapier alone. Those steps stay a manual job inside onboard, since Zapier offers nothing else for this app today, on any plan. Check that single action against your hiring process first.
07Zapier, Make or n8n for onboard?
Compare on criteria rather than looking for a winner. Coverage: on Zapier, onboard offers one action and nothing else, so it fits flows that end with a filed application. Speed: the delay comes from the form or job board that starts the Zap and, if its trigger is polled, from your plan. Cost: each application is a task, and a filter or a second action needs a paid plan. Set those three points against what the other tools offer for onboard.
