What folk and Zapier do together

The folk Zapier integration links your folk CRM to an automation you build once on Zapier. Something happens to a person or a company in a folk group, and Zapier reacts by creating, updating or looking up contacts for you. No copy and paste between groups, no checking the CRM by hand.

Three things a small sales team usually gets out of it. A clean handoff between groups: when a lead is added to your Qualified group, Person Added fires once for that arrival and Create Person drops the contact into the group your closers work from. Company records that stay in step: Find a Company locates the account by its exact name or one of its emails, then Update Company corrects it. A trace of who left: Person Removed and Company Removed tell you when a contact is deleted or pulled out of a group, so a teammate can follow up.

The point that makes folk unusual on Zapier: all eight triggers are instant. folk reports each event itself, so even on the free plan your Zap does not sit waiting for a timer.

What Zapier does not do here. There is no action to delete a contact, no way to manage groups themselves, and no trigger on notes or messages. Every operation works inside a folk group, and none of them will touch a contact outside the group you pick.

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. A connection is your folk account linked to Zapier once, then reused by every Zap that touches folk.

    Pick folk

    Type folk in the search box of the dialog, select it, then click Add connection. You need an existing folk account; Zapier does not create one for you.

    Sign in and allow access

    Log in to folk in the tab that opens and grant Zapier access to the account. To act on contacts you do not own, your folk user also needs read or write access on them.

First Zap

Your first Zap: hand qualified leads to the sales group

    Build: choose the trigger

    Create a Zap, pick folk as the trigger app and Person Added as the event. Set the Group to Qualified. The Zap fires once each time someone lands in that group, not on later edits.

    Test the trigger

    Click test. Zapier brings back the three most recent items from your folk account, so add a real lead to Qualified first and pick that one.

    Add the filter

    From the plus icon, add a Filter. In Configure & test, pick the email from the test item and a text rule that lets only filled emails through, so you never create an empty contact. This step makes the Zap multi-step.

    Add folk again with Create Person, set the Group to your sales group, and map the name and email from the trigger into the matching fields.

When to use it
after a search step found the person, write the new job title onto that record.
Watch out
you rarely know the Person ID by heart, so this action almost always follows Find a Person or Get a Person.

The 4 folk searches, and what happens when nothing matches

4 search steps look for data that already exists in folk, so a later step can use it.

A search step finds a record that already exists in folk and hands it to the next steps. In the editor, the searches sit at the bottom of the Action event list, under SEARCH. Some fields also show a + Add search step button that inserts one for you. Remember that a search makes your Zap multi-step. Three settings decide what happens next:

Looks for a company in a group using its exact name or one of its emails, and returns the record with its ID.

When to use it
before Update Company, to turn a company email you know into the ID folk needs.
Watch out
the match is exact, so Acme and Acme Inc are two different answers.

Finds a contact in a group by full name or by one of their emails, with an exact match only.

When to use it
checking whether a lead already sits in your sales group before you create it again.
Watch out
email is the safer query; a missing middle name is enough to miss a person.

Search

Fetches one company straight from its contact ID, with no guessing on names.

When to use it
an earlier step already carries the Company ID and you need the full record to map more fields.
Watch out
it only helps when the ID is already in hand; with a name, use Find a Company instead.

Pulls a single contact by its Person ID, inside the group you set.

When to use it
a trigger handed you the ID and you want every detail of that person for the next action.
Watch out
the Group still has to be right, even though the ID points at one person.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switch it on and the Zap carries on with empty values.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. folk does not offer that variant on Zapier, so you will not see it on these four searches.
  3. If multiple search results are found?
    When several records match, you can keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a folk Zap breaks

Zapier links no folk-specific help article and lists no folk rate limit. What breaks comes from how Zaps work in general.

  • Your existing contacts are ignored

    A Zap only reacts to what happens after you switch it on. The people and companies already in your folk groups will not run through it; moving the backlog is a separate job.
  • The Zap triggers itself in a loop

    Person Updated on a group plus Update Person on that same group: each update fires the trigger again, and your monthly task count drains fast.
  • A bulk import gets held back

    Importing hundreds of contacts into a watched group sends a huge batch at once. Zapier's flood protection can hold that sudden batch back.
  • A search finds nothing and stops

    With default settings, a Find a Person that misses ends the run quietly and skips the Update Person after it. Check the exact spelling or switch the setting on.

01Is the folk Zapier integration free?
Yes, as long as your Zap stays on two steps. folk is not a premium app, so the free plan can run it with 100 tasks a month and unlimited Zaps. The catch is the shape: a free Zap is one trigger and one action. The moment you add a filter, a search such as Find a Company, or a second action, it becomes a multi-step Zap and needs a paid plan.
02How many tasks does a folk Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap with Person Added and Create Person spends one task each time a contact arrives. Add a second action, such as Update Company, and the same event costs two tasks, because each successful action counts on its own. An action that fails costs nothing. So the quick estimate is simple: count the events you expect in a month, multiply by the number of actions after the trigger, and compare with your plan.
03Do folk triggers run in real time?
Yes. All eight folk triggers are instant: folk tells Zapier the moment a person or company is added, updated or removed, and the Zap starts right away. The plan intervals, 15 minutes on Free down to 1 minute on Team, apply only to polling triggers, and folk has none. You can spot it in the editor: a Zap built on an instant trigger shows a lightning bolt. This is the main reason folk works well even for teams that stay on the free plan.
04What does it take to connect folk to Zapier?
A folk account, and access to the groups you want to automate. On Zapier you open the Apps page, click + Add connection, pick folk, then sign in and grant access in the tab that opens. If the Zap has to touch contacts or companies you do not own, your folk user needs read or write rights on them. Then create the group, and any custom field you plan to watch, before building the Zap, because every operation asks for a Group.
05Why does every folk step ask for a Group?
Because every folk trigger, action and search on Zapier works inside one group, and the Group field is mandatory on all of them. A Zap set on your Leads group will not see what happens in your Clients group. If you want to watch two groups, build two Zaps. The same goes for updates: Update Person needs both the right Group and the Person ID, which is why a Find a Person step usually sits in front of it.
06What if the folk operation needed is not on Zapier?
Then the honest answer is that Zapier cannot do it with this app today. folk on Zapier covers people and companies only: eight triggers, four actions to create or update, and four searches. There is no step to delete a contact, manage groups or handle notes. You can sometimes get close by chaining what exists, for instance a Find a Person followed by Update Person. Otherwise, check whether another automation platform covers the missing piece for folk.
