Pipes.ai Zapier integrationAutomate Pipes.ai with Zapier.
The Pipes.ai Zapier integration has 0 triggers, 1 action and 0 searches. It does one thing: drop a new lead into a Pipes.ai campaign every time another app hands one over, so your outbound calls start from fresh contacts.

What the Pipes.ai Zapier integration is for
Pipes.ai helps sales teams reach more prospects by phone without hiring more callers. On Zapier it works in one direction only: another app spots a new prospect, and Zapier creates that person as a lead inside a Pipes.ai campaign, ready to be called.
Three results teams typically build, all on the same action. A quote request on your website becomes a Pipes.ai lead through Create Pipes Lead, so nobody retypes it. A row added by a partner to a shared sheet goes straight into the right campaign. A contact tagged as "call back" in your CRM is pushed to the calling queue instead of waiting for someone to export a list.
Now what Zapier does not do here. Pipes.ai has no trigger, so nothing that happens in Pipes.ai (a call answered, a lead converted) can start a Zap. There is no search either: a Zap can't check whether a lead already exists before creating it. And nothing updates or removes a lead once it is in. The traffic only goes into Pipes.ai, never back out. If your process needs a call outcome to update your CRM, this integration can't carry that part, and it is better to plan for it now than after the first campaign.

Zapier vocabulary, in plain words
Eight words from the editor. Each one is explained here once, then used as is.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. Pipes.ai has none, so the trigger always comes from another tool you use.
- Action
- What the Zap does once it has started: the step that writes or sends something for you, here creating a lead.
- Task
- The unit Zapier bills: one action your Zap completed successfully. Your plan counts these and nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by its app the moment the event occurs.
- Filter
- A step that lets the Zap go on only when the incoming data meets a condition you set, and stops it otherwise.
- Connection
- Your Pipes.ai account linked to Zapier once, then reused by every Pipes.ai step in every Zap you build.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action turns it into one, and it then needs a paid plan.
What a Pipes.ai Zap really costs
Zapier counts tasks, and only actions produce them. With a single action on offer, the maths is short.
- Trigger (other app)0 tasks
- Each lead created1 task
- Free plan100 tasks / month, 2-step Zaps
- Premium appNo
Each lead created successfully is one task. The trigger from your other app costs nothing, and neither does Zapier checking that app for new items. An action that fails is not counted. Pipes.ai is not a premium app, so it runs on the free plan: 100 tasks a month, unlimited Zaps, each with two steps. A form trigger plus Create Pipes Lead fits exactly. Add a filter and it becomes multi-step, which needs a paid plan. How fast it reacts depends on the other app's trigger and, if that trigger polls, on the grid below.
Connect your Pipes.ai account in three steps
- 01
Open Apps and add a connection
In Zapier, open the Apps page and click + Add connection. You need a Pipes.ai account first, plus access to anything you don't own that the Zap should write into.
- 02
Find Pipes.ai
Search for Pipes.ai in the dialog, select it, and click Add connection. Zapier then opens a separate browser tab where you sign in to your Pipes.ai account.
- 03
Sign in and grant access
Log in to Pipes.ai in that tab and let Zapier use the account. The connection is then saved under your Zapier account, and every Pipes.ai step of every Zap reuses it.
Your first Zap: send web leads to a calling campaign
GoalEach time someone fills in your quote form, create them as a lead in a Pipes.ai campaign, but only when they asked to be called.
- 01
Pick the trigger in your form tool
Pipes.ai has no trigger, so the Zap starts in the app that collects your leads. Choose that app and its new-submission event, connect it, then test it to bring back three recent entries.
- 02
Add a filter
Add a Filter step from the plus icon. Pick the form answer to look at, the rule, and the value to compare with. This makes the Zap multi-step, so it needs a paid plan.
- 03
Add the Pipes.ai action
Add Pipes.ai and choose Create Pipes Lead, then select your connection. Pick the Campaign and map the form answers into the lead.
- 04
Test the action
Run the test and read what comes back. Then open Pipes.ai and check the test lead sits in the right campaign before going further.
- 05
Publish
Click Publish to switch the Zap on. Only forms submitted from now on are sent to Pipes.ai; earlier entries stay where they are.
The Pipes.ai action
Pipes.ai gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Pipes Lead
ActionIn Zapier“Creates a Pipes Lead”
Adds a new lead to the campaign you pick, using whatever your trigger app passed along, so the person shows up in Pipes.ai ready to be called.
When a Pipes.ai Zap breaks
Zapier links no help article to Pipes.ai, so these are the general limits, seen through this app.
With only one action, trouble rarely comes from Pipes.ai itself. It comes from the trigger side, or from what a Zap does not do by itself. If a run fails, Zapier troubleshooting is the place to start.
Old leads are not sent
A Zap only reacts to what happens after it is published. Leads collected before stay in the source app; moving that backlog is a separate job.A bulk import is held back
If your source app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those runs back.Duplicates on the Pipes.ai side
Zapier remembers what a polling trigger already saw, so one item doesn't start the Zap twice. But two entries for one person still give two leads. No campaign to pick
Campaign is required on Create Pipes Lead. Without a campaign in the Pipes.ai account, the only action of the Zap has nothing to fill it with.
