On a paid plan, the trigger never costs a task, and Zapier checking for new records costs nothing either. Each action that succeeds counts once; a failed one is not billed. The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one (the default), stop the Zap, or pass all of them on together.

    Without Administrator privilege on the connection, the two searches only return records owned by the connected user. A colleague's lead stays invisible to the Zap.
  • A polled trigger feels slow

    New Contact, New Lead and the other polled triggers wait for Zapier's next check. Switch to a module trigger when the Zap must react the moment a record is saved.
  • A Zap that feeds itself

    A Zap on New or Updated Contact that writes back into the same contact restarts itself on every run. The loop burns through your task count fast.
  • Old records are not replayed

    A Zap only reacts to what happens after you switch it on. Leads and contacts that already existed are never picked up; migrating them is a separate job.
  • A bulk import gets held back

01Is the Zoho CRM Zapier integration free?
No. Zoho CRM is a premium app on Zapier, and premium apps are reserved for paid plans and the free trial. The free plan, with its 100 tasks a month and two-step Zaps, cannot use Zoho CRM at all. Once on a paid plan, multi-step Zaps open up, so a search, a filter or several Zoho CRM actions can sit in the same Zap. Prices change too often to quote here, so check the plans page before deciding.
02How many tasks does a Zoho CRM Zap use?
One task per action that succeeds. A Zoho CRM trigger costs nothing, and neither does Zapier checking for new records on a polled trigger. A failed action is not billed. In a Zap that creates a lead, then tags it, then converts it, each successful action counts on its own, so that Zap costs three tasks per run. The trap is a busy update trigger: every edit on a record can start a run, so filter on the field that matters.

Without it, Find Module Entry and Find Module Entries only return records owned by the connected user, so a lead assigned to a colleague looks missing. Reconnect with an admin user, or move the Zap to an admin's account. Also check the field name and value you search on, since both are required: an empty value or the wrong field name returns nothing useful.
06What if the Zoho CRM operation you need is not in the list?
The integration offers 8 triggers, 8 actions and 2 searches, and the editor only shows those. Most gaps close with the module operations, which work on any module rather than only leads and contacts. When that is still not enough, API Request (Beta) sends a raw request to Zoho CRM with the existing connection, provided someone on the team knows the Zoho CRM API. Otherwise, check another automation platform. No search will reveal an event the app does not expose.
