What's the best accounting software for a freelancer or an under-10 business in 2026?

For a business of one to nine people, the right tool is the one that doesn't punish you for growing.

Most "best accounting software" lists are written for companies with a finance team. If you run a business on your own, or with a handful of people, your questions are simpler and more pointed. Is the free plan really free? What happens when you hire your first employee? Will your accountant log in, or will you email spreadsheets every quarter?

The short answer: Xero is the best overall pick for a small team, because it never charges per user (plans run from $27 to $97 a month). QuickBooks Online is the safe choice if your accountant already works in it; its new free plan is too limited for most businesses. Wave is the best free option for a solo owner, as long as you watch the card fees. Zoho Books is free up to $50,000 in revenue. FreshBooks fits service businesses that live on invoices and time tracking.

We kept this page focused on businesses under 10 people. If you're bigger, or if you need approvals and multiple entities, our ranking of accounting software for SMBs covers that ground.

Scores on five weighted criteria, explained in the method. Xero, QuickBooks Online and Zoho Books keep the scores of our SMB ranking. Prices read in 2026 on official pricing pages.

How we scored

How we compared and scored

A small business doesn't need the deepest accounting tool. It needs one that covers invoicing, bank feeds and clean books for tax season, without a price jump the day a second person needs a login. That's why we read the pricing pages line by line: users included, caps on clients or invoices, payment fees, accountant seats, and what changes when the intro discount ends.

We compared official pricing and feature pages for each tool and read user reviews, starting with the negative ones. Xero, QuickBooks Online and Zoho Books keep the scores from our SMB ranking, so a tool has one score across our pages. The rank, though, follows a business under 10 people, which is why the order doesn't always follow the score.

What we left out. QuickBooks Solopreneur has its own plan for one-person businesses, but we couldn't read its price on an Intuit page, so we don't rank it. Enterprise tools like Sage Intacct or NetSuite belong on our SMB page, not here.

1
Best overall for a small team

Xero

4.1/5

Xero wins this ranking on one design choice: it never charges per user. Early costs $27 a month, Growing $59, Established $97, and you can invite your bookkeeper, your office manager and your business partner on any plan. For a small team, that's the difference between one login shared by three people and three proper logins with their own access.

Compare it with QuickBooks Online. Simple Start covers one user at $38 a month. The moment a second person needs to log in, you move to Essentials at $85. A two-person team pays $1,020 a year on QuickBooks Essentials and $324 on Xero Early (if it sends 20 invoices a month or fewer), before any payroll.

Payroll is an add-on: $36 a month plus $6 per employee. Your first hire costs you $42 a month in payroll on top of your plan.

Where it falls short: many US accountants work in QuickBooks first. If yours only knows QuickBooks, you may pay for extra hours at year end. Users also rate support below the other criteria.

Check the Early cap: 20 invoices and 5 bills a month. Past that, Growing at $59 lifts the limit. Since users are free on every plan, you upgrade for volume, never just to add a login.

Standout features
  • No per-user fees on any plan
  • Three plans from $27 to $97, Early capped at 20 invoices a month
  • Payroll add-on for your first hires
+Pros
  • ✓Your whole team can log in
  • ✓Lowest cost for two or more users
  • ✓Clean, readable reports
−Cons
  • ✗Check your accountant knows it
  • ✗Payroll costs extra
  • ✗Support scored below the rest
Verdict

The best fit for a small team that wants everyone in the books. If you work alone and your accountant lives in QuickBooks, go with QuickBooks instead.

Best if your accountant uses it

QuickBooks Online

4.2/5

Many US accountants and bookkeepers work in QuickBooks Online. That matters more than any feature list. When your CPA logs in and finds a familiar setup, year-end cleanup takes fewer billable hours.

Intuit now lists a free plan for a single user, but read its limits: 2 invoices a month unless your clients pay through QuickBooks Payments, one bank account, no mobile app, no integrations and no accountant access. It's a way to look around, not to run a business. Paid plans are tied to users: Simple Start at $38 a month for one user, Essentials at $85 for three, Plus at $140 for five, and Advanced at $340. Simple Start, Essentials and Plus each include two accountant seats, so your accountant doesn't eat one of your user slots. On paid plans, you pick either a 30-day trial or half price for your first three months.

Its limit: the user ladder. A two-person business that outgrows the free plan jumps from one user to three at $85 a month. Read the price after the discount, not the discounted price: the 50% offer only lasts three months.

Tip: before you leave the free plan, list who really needs to log in. Your accountant doesn't count, since the accountant seats are separate. If it's still just you, Simple Start at $38 is enough.

Standout features
  • Two accountant seats on paid plans
  • Free plan to look around
  • The largest ecosystem of apps and accountants
+Pros
  • ✓Your accountant probably knows it
  • ✓Deep features as you grow
  • ✓Huge choice of integrations
−Cons
  • ✗Free plan: 2 invoices a month, no accountant access
  • ✗Big price step from one user to three
  • ✗Intro discount ends after 3 months
Verdict

The safe pick when your accountant already uses it. For a team where everyone needs a login, Xero costs less.

Best free option for a solo owner

Wave

4.2/5

Wave is the tool to beat if you don't want to pay anything. The Starter plan costs $0 and covers invoicing and bookkeeping, but without automatic bank imports: you add transactions yourself. Pro, at $19 a month, brings automatic bank imports and roles for a team (admin, editor, viewer).

The catch is in the payment fees. On Starter, a card payment costs 2.9% plus $0.60. On a $500 invoice, that's $15.10. Pro costs $19 a month, or $190 a year, and drops the fixed fee to $0 on your first ten card transactions each month (the 2.9% stays). If you get paid by card more than a few times a month, Pro can pay for itself.

Wave also sells help from its own bookkeepers, called Wave Advisors: $149 a month on Pro, $199 on Starter. That's useful if you fall behind and need someone to catch up your books.

Its limit: the free plan has no automatic bank imports, and Wave doesn't try to compete on depth with Xero or QuickBooks.

Tip: do the math on your card payments before you pick a plan. Ten card payments a month on Starter cost $6 in fixed fees alone, which is roughly a third of the Pro price.

Standout features
  • Free Starter plan
  • Pro at $190 a year
  • Optional paid bookkeepers
+Pros
  • ✓Truly usable at $0
  • ✓Simple for a non-accountant
  • ✓Cheap upgrade path
−Cons
  • ✗Card fees add up on Starter
  • ✗No automatic bank imports on Starter
  • ✗Less depth than Xero or QuickBooks
Verdict

The best place to start for a solo owner on a tight budget. Once you have a team or an accountant who needs access, look at Xero or QuickBooks.

Best free plan with room to grow

Zoho Books

4.0/5

Zoho Books has the most generous free plan for a small business that expects to grow. It works up to $50,000 in revenue, for one user, an accountant seat and up to 1,000 invoices yearly. That accountant seat is the detail that sets it apart from Wave: your CPA can log in without you paying for anything.

When you outgrow it, Standard costs $20 a month, or $15 billed yearly. Professional is $50 ($40 yearly) and Premium $70 ($60). Paid plans include several users, and each extra user costs $3 a month ($2.50 yearly). Adding a part-time assistant costs you less than a coffee a week.

Zoho Books also fits into the wider Zoho suite. If you already run your sales in Zoho CRM, you keep one vendor and one login. Our Zoho review covers the suite as a whole.

Its limit: fewer US accountants know it well, and support scores lag behind the rest of its scores.

Tip: watch the $50,000 line. Once your revenue passes it, the free plan no longer applies. Budget $180 a year for Standard billed yearly before you cross it.

Standout features
  • Free plan with an accountant seat
  • Extra users at $3 a month
  • Part of the Zoho suite
+Pros
  • ✓Free up to $50,000 in revenue
  • ✓Low cost per extra user
  • ✓Yearly billing saves 25% on Standard
−Cons
  • ✗Fewer accountants know it
  • ✗Free plan limited to 1 user
  • ✗Support scored lower
Verdict

The smartest free plan if you want your accountant in from day one. Past $50,000 in revenue, compare it with Xero Early.

Best for service businesses

FreshBooks

4.1/5

FreshBooks starts from the invoice, not from the ledger. If your business is selling your time or projects, that's the right way round. Clients, estimates, invoices and payments sit at the center, and the books follow.

The pricing is tied to how many clients you bill. Lite costs $23 a month for up to 5 billable clients. Plus is $43 for 50, and Premium $70 with no limit. Select is on quote. Each extra team member costs $11 a month. Payroll is $40 a month plus $6 per person, and Advanced Payments is a $20 add-on.

That client cap is the thing to check. A freelancer with six clients a year already needs Plus, which nearly doubles the price. FreshBooks often runs a deep intro discount for the first months: judge the tool on the full price you'll pay afterwards.

Its limit: it costs more than Xero for a team, since each extra person is billed. And if you sell products, the client-based pricing fits less well.

Tip: count the clients you actually invoice in a year, not the ones in your address book. If it's five or fewer, Lite is one of the cheapest paid tools on this page.

Standout features
  • Invoicing built around clients
  • 30-day free trial
  • Payroll and payments add-ons
+Pros
  • ✓Very easy for non-accountants
  • ✓30-day free trial
  • ✓Clear client-based tiers
−Cons
  • ✗Only 5 billable clients on Lite
  • ✗$11 per extra team member
  • ✗Less suited to product sellers
Verdict

The friendliest tool for service businesses with a handful of clients. With more than five clients or a growing team, compare the yearly cost with Xero.

Real yearly cost

What you'll really pay in a year

Monthly prices hide the steps that matter: a second user, card fees, a client cap. Here are three common setups, using full prices after any intro discount.

Solo owner, a few invoices a month

Wave Starter costs $0, without automatic bank imports. The QuickBooks free plan also costs $0, but caps you at 2 invoices a month (unless clients pay through QuickBooks Payments), one bank account and no accountant access. Zoho Books is free up to $50,000 in revenue and adds an accountant seat. If you take card payments, add Wave's 2.9% plus $0.60 per payment on Starter, or pay $190 a year for Pro. FreshBooks Lite costs $276 a year if you bill five clients or fewer.

Two people who both need a login

Xero Early costs $324 a year, with no fee for the second user, as long as you send 20 invoices a month or fewer ($708 a year on Growing above that). QuickBooks needs Essentials for more than one user: $1,020 a year. Zoho Books Standard billed yearly is $180. FreshBooks Lite with one extra team member comes to $408 a year ($23 plus $11 a month).

Your first employee

Payroll is where costs jump. Xero Payroll costs $36 a month plus $6 per employee, so $504 a year for one person. FreshBooks Payroll is $40 a month plus $6 per person, $552 a year. Add it to your plan price before you compare.
  • Read the price after the intro discount, not the discounted price.
  • Count who needs a login now and in twelve months.
  • Check caps on clients, invoices or revenue on the plan you pick.
  • Estimate your card payment fees for a typical month.
  • Ask your accountant which tool they work in before you sign up.
  • Check whether your accountant gets a free seat or uses one of yours.
Tips

Six ways to pay less for your books

These come from the pricing pages and from what small business owners complain about most in reviews: free plans that stop being free, surprise upgrades, and paying twice for the same setup.

01

Ask your accountant first

Priority

The cheapest tool is the one your accountant can work in without extra hours. QuickBooks includes two accountant seats on Simple Start, Essentials and Plus, and Zoho Books gives one even on its free plan. Ask which tool they use before you pick one.

To ask
Which tool do you work in?
02

Plan for your second user

Budget

For a solo owner, almost every tool here is cheap. The price gap shows up with the second login. Xero and Zoho Books stay cheap; QuickBooks jumps to Essentials at $85 a month; FreshBooks adds $11 a month per person.

Xero
No per-user fee
03

Ignore the intro discount when you compare

Trap

QuickBooks offers 50% off for three months, FreshBooks regularly runs deep discounts on the first months, and Wave has run seasonal offers too. They're fine to take, but compare tools on the full price, since that's what you'll pay for years.

QuickBooks deal
50% off for 3 months
04

Do the math on card fees

Hidden cost

A free plan with 2.9% plus $0.60 per card payment isn't free if most clients pay by card. On Wave, Pro at $19 a month removes the $0.60 on your first ten card payments each month. Look at last month's payments and run the numbers.

Wave Starter
2.9% + $0.60 per payment
05

Pay yearly once you're sure

Savings

Zoho Books Standard drops from $20 to $15 a month billed yearly, and Wave Pro costs $190 a year instead of $228 paid monthly. Start monthly while you settle in, then switch once the tool has proved itself.

Wave Pro yearly
$38 saved
06

Switch at the start of your fiscal year

Migration

Moving mid-year means splitting your books between two tools and asking your accountant to reconcile both. Set up the new tool in your last quarter, export everything from the old one, and start clean on day one of the new year.

FAQ · 8 questions

Small business accounting software · FAQ

  • What is the easiest accounting software for a small business?
Wave and FreshBooks are the easiest for someone with no accounting background. Wave is free on Starter, though bank transactions don't import automatically until Pro. FreshBooks starts from your invoices and clients, which feels natural if you sell services. Both scored highest on ease of use in our comparison.
  • Is there truly free accounting software for a small business?
Yes, with limits. Wave Starter costs $0 but charges 2.9% plus $0.60 per card payment. Zoho Books is free up to $50,000 in revenue, with one user and one accountant seat. QuickBooks lists a free plan, but it allows 2 invoices a month (unless paid through QuickBooks Payments) and no accountant access. None of them is free once you need several users.
  • QuickBooks or Xero for a one-person business?
QuickBooks if your accountant uses it, since that saves you billable hours at tax time. Xero if you expect to add people soon: it never charges per user, while QuickBooks moves you from Simple Start at $38 to Essentials at $85 as soon as a second person needs a login.
  • How much should a small business pay for accounting software?
Between $0 and about $1,000 a year for a business under 10 people. A solo owner can stay at $0 with Wave, Zoho Books or the QuickBooks free plan. A two-person team pays $324 a year on Xero Early or $1,020 on QuickBooks Essentials. Payroll for your first employee adds around $500 a year.
  • Do I need accounting software if I already use a spreadsheet?
Not on day one, but it pays off quickly. A spreadsheet doesn't pull in bank transactions or match payments to invoices. Free tools like Wave or Zoho Books do both, and your accountant can log in to Zoho Books on the free plan instead of waiting for your file.
  • Can my accountant access my books for free?
On most tools here, yes. QuickBooks Simple Start, Essentials and Plus each include two accountant seats; the free plan has none. Zoho Books includes one accountant even on its free plan. Xero lets you invite anyone, since it has no per-user fees. FreshBooks charges $11 a month per extra team member, so check how it counts your accountant.
  • What happens when I hire my first employee?
You'll need payroll, which most tools sell as an add-on. Xero Payroll costs $36 a month plus $6 per employee. FreshBooks Payroll costs $40 a month plus $6 per person. Budget roughly $500 a year for one employee on top of your accounting plan.
  • When is the best time to switch accounting software?
At the start of your fiscal year. Switching mid-year splits your records between two tools, and your accountant has to reconcile both. Set up the new tool in your last quarter, keep a full export of the old one, and start fresh on day one.
