Which CRM can actually send your invoices?

Nine tools compared on one move: does the accepted quote become an invoice without retyping anything?

The short answer: Zoho CRM with Zoho Books if you want the best value with real accounting behind it, HubSpot if you already sell from it and want a payment link on every invoice, Odoo if inventory or subscriptions are coming, HoneyBook or Dubsado if you're a freelancer who sells with proposals and contracts. Pipedrive is a great CRM (the tool that tracks your clients and deals), but the invoice lives in QuickBooks Online. We compared every tool on the same path: client record, deal, quote, signature, deposit invoice, final invoice, overdue reminder, payment.

Your profile in one line. Solo freelancer: HoneyBook or Dubsado. Small business on a budget: Zoho CRM plus Zoho Books. Sales team already on HubSpot: keep it and turn on invoices. Pipedrive fan: connect QuickBooks Online. Stock to manage: Odoo. Zero subscription: Dolibarr.

The table that settles it

Which CRM really creates the invoice?

On a feature page, "invoicing" can mean three different things. The invoice is created and numbered inside the CRM. Or it's created in another app from the same vendor. Or the CRM sends an order to a third-party accounting tool such as QuickBooks Online or Xero. All three work, but they don't cost the same, and they don't protect you the same way when a client disputes an invoice.

The rank follows invoicing quality. The score out of 5 is for the whole tool, the same as in our full reviews. That's why HubSpot and Pipedrive, both highly rated, sit where they do.

How the invoice is madePlan, entry price and overdue reminders

Best value for invoicing from your CRM

Zoho CRM

3.8/5

Zoho CRM keeps quotes, sales orders and invoices in its inventory module, starting with the Professional plan. The Free plan (up to 3 users) and Standard don't have them. Professional costs $23 per user per month billed yearly, or $35 month to month, and adds a quote builder that applies your price rules.

The invoice your accountant cares about lives in Zoho Books, the sister app. Books has a free plan (1 user plus your accountant, 1,000 invoices a year), then Standard at $15 per organization per month billed yearly ($20 monthly) with 3 users and 5,000 invoices a year, and Professional at $40 with multi-currency. Payment reminders run on every Books plan, the free one included. That's rare at this price.

The weak spot is the sync between the two apps. On Zoho's own community forum, users report invoices visible in Books that never show up in the CRM. Our fix: decide on day one that invoices are born in Books, turn off invoice creation on the CRM side, and let the CRM show the status only. For five sales reps, CRM Professional plus Books Standard comes to about $130 a month billed yearly.

Standout features
  • Quotes, orders and invoices in the CRM from Professional
  • Zoho Books handles accounting and reminders
  • Payment reminders even on the free Books plan
  • Multi-currency in Books Professional
+Pros
  • ✓Strong value, even with CRM and Books added together
  • ✓Huge suite if you want everything from one vendor
  • ✓Books free plan covers 1,000 invoices a year
−Cons
  • ✗No invoices on CRM Free and Standard
  • ✗CRM and Books sync can be fragile
Verdict

Our first pick if you take Professional and invoice from Zoho Books. Below Professional, invoicing simply isn't there. Torn with HubSpot? Read our HubSpot vs Zoho comparison.

Fastest way to get paid from the deal

HubSpot

4.2/5

HubSpot has an Invoices tool on every plan, free included. You create the invoice from the contact, the company or the deal, or you turn a published quote into an invoice with "Convert to invoice". The prefix and starting number are configurable, so switching from another tool doesn't leave a gap in your numbering. Clients pay online through HubSpot Payments, which needs a Starter plan (from $7 per seat per month billed yearly for new customers, $20 month to month), or through Stripe, available on every plan.

The 4.2 score is for the whole CRM, the same as in our full review. On invoicing itself, HubSpot has gaps. Invoices created in HubSpot aren't created in Stripe, and a partial payment isn't matched to line items. The QuickBooks sync can't add taxes to invoices. The setup we see most often: keep HubSpot to sell, and let QuickBooks Online or Xero hold the books, with the sync running one way so nobody creates the same invoice twice.

Standout features
  • Invoices on every plan, free included
  • Published quote converted to invoice
  • Configurable prefix and starting number
  • Payment by HubSpot Payments or Stripe
+Pros
  • ✓Nothing to pay to get started
  • ✓Payment link sent with the invoice
  • ✓Best CRM of the lot for the rest of the sales cycle
−Cons
  • ✗Partial payments not matched to line items
  • ✗Taxes can't be added through the QuickBooks sync
Verdict

Perfect for collecting payment from the deal. Not an accounting tool: plan QuickBooks Online or Xero next to it.

Your pick if you're heading toward a full ERP

Odoo

3.8/5

Odoo splits the CRM and invoicing into two apps that share one database. The won opportunity becomes a quote in the Sales app, then an order, then an invoice, with no export. When you invoice, Odoo offers a regular invoice, a down payment as a percentage or a down payment as a fixed amount, and the invoice lands as a draft so you can check it. It's the most complete chain in this ranking, because the same flow can later touch stock, subscriptions and accounting.

The pricing trap: the free plan gives you one app with unlimited users. The Invoicing app alone won't let you invoice from the CRM. To get both, you need the Standard plan, paid per user, with a discount that only covers the first 12 months for your initial users. Ask for the year-two price before you sign.

The other reality is setup. You can start alone, but set your invoicing policy (ordered quantities or delivered quantities) before the first invoice, or you'll fix it on live data. Bigger projects usually go to an Odoo partner.

Standout features
  • Quote from the opportunity, invoice from the order
  • Down payment as a percentage or fixed amount
  • Invoices created as drafts before posting
  • Stock, subscriptions and accounting can follow
+Pros
  • ✓The most complete chain, from lead to accounting
  • ✓One price for all apps on Standard
  • ✓Grows with the company without switching tools
−Cons
  • ✗Free plan covers one app only
  • ✗Setup often handed to a partner
Verdict

The right choice if the invoice is just the start and stock or subscriptions will follow. For ten invoices a month, it's too heavy.

Built for freelancers who sell with proposals

HoneyBook

4.0/5

HoneyBook isn't a sales CRM in the Pipedrive sense. It's a client file where the proposal, the contract and the invoice travel together, and that's exactly why freelancers love invoicing from it. You set a payment schedule (one-time, recurring or custom), the client signs and pays in the same flow, and autopay, payment reminders, late fees and payment plans take care of the chasing.

Pricing is simple on paper: Starter at $29 a month billed yearly, Essentials at $49 (about $59 month to month) with up to 2 team members, Premium at $109 with unlimited team members. The QuickBooks Online integration starts at Essentials. The real cost is the processing fee. Card payments cost around 3% per payment, and ACH bank transfers 1.5%, so a $5,000 project paid by card leaves roughly $150 on the table. Push ACH for big invoices.

Limits: the pipeline is light for a team that prospects every day, and integrations are few beyond QuickBooks. If you need deal stages and sequences, HubSpot fits better.

Standout features
  • Proposal, contract and invoice in one client file
  • Payment schedules, autopay and late fees
  • Automatic payment reminders
  • Client portal on every plan
+Pros
  • ✓The smoothest quote-to-payment flow for a solo business
  • ✓30-day trial without a card
  • ✓QuickBooks Online sync from Essentials
−Cons
  • ✗Card fees eat into large invoices
  • ✗Thin pipeline for an outbound sales team
Verdict

The best pick if you're a solo service business that sends proposals. For a sales team, look at HubSpot or Zoho. More options in the best CRMs for freelancers.

The one that automates the chase

Keap

3.6/5

Keap combines a CRM, marketing automation and invoicing. A prospect accepts a quote online, the quote turns into an invoice, and recurring invoices and subscriptions run on their own. Automated past-due reminders and card-expiry reminders cut the chasing. Payments go through Keap Pay (US only), PayPal, Stripe or Eway.

The price is the highest of this page. Keap sells one plan at $299 a month, or $2,988 a year (about $249 a month), with 2 users included and $39 per extra user. Contacts are priced in tiers on top. Onboarding services are required, and an annual contract carries a $299 early termination fee. For five people billed yearly, count about $366 a month before contact tiers.

Our advice: pick Keap only if you'll actually use the automation. If you only need quotes and invoices, Zoho or HoneyBook do the job for a fraction of the price.

Standout features
  • Quotes accepted online, converted to invoices
  • Recurring invoices and subscriptions
  • Automated past-due reminders
  • Keap Pay, PayPal, Stripe or Eway
+Pros
  • ✓Invoicing and follow-up automation in one place
  • ✓Good fit for recurring service clients
  • ✓Syncs with payment and accounting tools
−Cons
  • ✗Most expensive tool on this page
  • ✗Onboarding required, $299 early termination fee
Verdict

Worth it if automation pays for itself. For simple invoicing, it's overkill.

Flat price for the whole team

Bitrix24

3.5/5

Bitrix24 prices per company, not per user. That changes the math for a growing team. Estimates, invoices and e-signature come with the Standard plan, at $99 a month billed yearly ($144 month to month) for up to 50 users. The Basic plan ($49 a month billed yearly, 5 users) has online payments and sales pipelines, and the free plan (1 to 2 users) only has a basic CRM.

The trade-off is the interface. Bitrix24 packs tasks, chat, a drive, a website builder and HR tools into the same screen, and new users often get lost. Our tip: during the trial, hide every module you won't use before you invite the team, and build one invoice template with your tax rate and numbering before the first real invoice.

Standout features
  • Estimates, invoices and e-signature from Standard
  • One price for up to 50 users
  • Online payments from Basic
  • Free plan for 1 to 2 users
+Pros
  • ✓Cheapest per head for a team of 10 or more
  • ✓CRM, tasks and chat in one tool
  • ✓Trial without a card
−Cons
  • ✗No invoices on Free or Basic
  • ✗Crowded interface, long learning curve
Verdict

A smart pick for a large team on a budget. For three people, Zoho or HubSpot are easier.

Yearly price, workflows that run the paperwork

Dubsado

3.7/5

Dubsado works like HoneyBook, with more control and a steeper learning curve. Proposals, contracts, invoices and payment plans are in both plans, and workflows send the next document on their own: the contract once the proposal is accepted, the invoice once the contract is signed, the reminder when a payment is late.

The pricing is yearly: Starter at $335 a year, Premier at $525 a year (public proposals you can share and track are in Premier). The first three extra users are free, then $25 a month for 4 to 10 users. That's cheaper than HoneyBook for a solo business. The trial gives you Premier for 21 days without a card.

Our tip: build one workflow for your most common project before you import clients. Limit: forms and workflows take a few evenings to set up, and the pipeline is thin for active prospecting.

Standout features
  • Invoices and payment plans on both plans
  • Workflows that chain proposal, contract and invoice
  • Public proposals on Premier
  • First 3 extra users free
+Pros
  • ✓Cheaper than HoneyBook over a year
  • ✓Very flexible automation
  • ✓21-day trial of the top plan
−Cons
  • ✗Setup takes real time
  • ✗Pipeline too light for an outbound team
Verdict

A good fit if you like to set things up once and let them run. If you want it working tomorrow, HoneyBook is quicker.

The great CRM that doesn't invoice

Pipedrive

4.2/5

Pipedrive shows up in many "CRM with invoicing" lists, but it creates no invoice itself. The QuickBooks Online integration does the work: from the deal, you open the Invoice tab, details fill in from the organization, contact and deal, and the invoice is created in QuickBooks. The status comes back to the deal (open, paid, voided, overdue, partially paid), and you can copy a payment link if online payments are on in QuickBooks.

Know the limits before you rely on it. It works with QuickBooks Online only, not Desktop. Products aren't kept in sync, so a price change in one tool doesn't reach the other. Multi-currency must be switched on in QuickBooks first. A voided invoice can't be restored, and deleting an invoice removes it from both tools. The Xero integration isn't open to new users.

Do the math for three reps: about $42 of Pipedrive Lite a month, plus QuickBooks Online. Quotes go through Smart Docs, an add-on listed from $32.50: ask whether that's per company or per user. Details in our Pipedrive pricing guide.

Standout features
  • Invoice created in QuickBooks from the deal
  • Invoice status visible on the deal
  • Quotes and proposals through Smart Docs
  • The friendliest pipeline we compared
+Pros
  • ✓Easiest CRM for sales reps to adopt
  • ✓Overdue and partially paid statuses in the deal
  • ✓Clean setup if QuickBooks Online already runs your books
−Cons
  • ✗No native invoice: two subscriptions
  • ✗Products not synced with QuickBooks
Verdict

An excellent CRM, not an invoicing CRM. Keep it if your team loves it, and connect QuickBooks Online.

Free and complete, if you can install it

Dolibarr

3.2/5

Dolibarr is open source: install it on your own server for free, or take the hosted version from DoliCloud, from €14 per user per month, with a 30-day trial. It manages third parties (clients and suppliers), proposals, orders and invoices in one database, with modules you switch on for your trade.

Our take: it's the only truly free option with a CRM and invoices and no quota, but you pay in time. The interface feels dated, support comes from the community or a paid partner, and every module needs configuring. If nobody on your team can install and update it, the hosted version is safer.

Standout features
  • Open source, free when self-hosted
  • Third parties, proposals, orders and invoices in one database
  • Modules for almost every trade
  • Hosted DoliCloud version from €14/month
+Pros
  • ✓No invoice or user quota when self-hosted
  • ✓Your data stays on your server
  • ✓Huge module library
−Cons
  • ✗Dated interface, technical setup
  • ✗Community support unless you pay a partner
Verdict

The right choice for zero subscription if the tech doesn't scare you. Otherwise, the HubSpot free CRM starts without any install.

The traps you only see after your first invoice

What follows comes from our comparison and from user feedback on vendor forums and review sites. Eight checks to run during the free trial, not after. For a CRM ranking without the invoicing filter, see the best CRM for small business.

Who numbers the invoice?

It's the fastest check. An invoice needs a unique, sequential number. If your CRM issues it, the invoice is native. If the number comes from QuickBooks, Xero or Zoho Books, your CRM is just a remote control, and the other tool is the one that counts. Tip: if you switch tools mid-year, set the prefix and starting number (HubSpot allows it) so your sequence has no gap.

Which plan, exactly?

Zoho CRM has no invoices on Free and Standard. Bitrix24 needs Standard. Odoo's free plan gives one app. HoneyBook's QuickBooks sync starts at Essentials. Read the pricing grid plan by plan, never the features page, and run the numbers on last year's real invoice count.

Deposit and final invoice, without a calculator?

This is where tools split. During the trial, create a $2,000 quote, a 30% deposit, then the final invoice. A good tool produces a $1,400 balance that references the deposit invoice, without charging sales tax twice. Odoo offers the deposit as a percentage or a fixed amount, HoneyBook and Dubsado split it into a payment schedule. On HubSpot or Pipedrive, check it in the accounting tool you connect.

What will year two cost?

Entry prices often hide a commitment. Odoo's discount covers the first 12 months. Keap requires onboarding and charges $299 to leave an annual contract early. HubSpot's Starter price is a "from" price for new customers. Ask for the renewal price in writing, and if your CRM doesn't invoice, compare the total: Pipedrive plus QuickBooks Online is two bills every month.

Who chases late payers?

A sent invoice isn't a paid invoice. Zoho Books sends reminders even on its free plan. HoneyBook and Keap have automatic payment reminders, Dubsado puts them in a workflow. During the trial, create an invoice that was due yesterday and see if the reminder goes out by itself, with what wording, and whether it stops when the payment lands.

How much do payment fees take?

Invoicing tools with built-in payments charge per transaction. HoneyBook lists around 3% for cards and 1.5% for ACH bank transfers. On a $10,000 invoice, that's about $300 by card against $150 by ACH. Put the ACH option first on large invoices, and check whether you can pass a surcharge to the client where it's legal.

Does your accountant get everything?

Your CRM doesn't have to keep the books, but your accounting tool does. Ask how invoices get there: manual export, one-way sync or two-way sync. Two-way sync sounds better but creates duplicates when both sides can create invoices. Pick one place where invoices are born, usually the accounting tool, and let the CRM display the status.

Sales tax and currencies?

If you sell across states or countries, check that tax rates apply per line and per client, and that the invoice can be issued in the client's currency. Zoho Books handles multi-currency from Professional, QuickBooks needs it switched on before Pipedrive can use it, and HubSpot's QuickBooks sync can't add taxes to invoices at all.

  • The invoice is numbered by the tool you pay for, not a third party
  • Your plan includes quotes and invoices, with no blocking quota
  • Deposit invoice then final invoice checked on a real quote
  • Credit note possible without deleting the original invoice
  • Overdue reminder checked during the trial
  • Card and ACH fees known before the first big invoice
  • Invoices reach your accounting tool without retyping
  • Tax rates per line and client currency handled
  • Year-two price asked for in writing
FAQ

Your questions about invoicing from a CRM

  • What is the best CRM with invoicing?

For most small businesses, Zoho CRM Professional with Zoho Books: quotes and invoices in the CRM, real accounting and reminders in Books, for about $38 a month for one user billed yearly. For a solo freelancer who sells with proposals, HoneyBook. For a sales team already on HubSpot, its built-in invoices with a payment link.

  • Is there a free CRM with invoicing?

Yes. HubSpot includes invoices in its free CRM, with Stripe payments on every plan. Zoho Books has a free plan (1,000 invoices a year) that you can pair with the free Zoho CRM, but CRM Free can't create invoices itself, so invoices live in Books. Dolibarr is free with no quota if you host it yourself. Odoo's free plan gives only one app: CRM or invoicing, not both.

  • Can HubSpot do invoicing?

Yes, on every plan, free included. You create invoices from a contact, a company, a deal or a published quote, and clients pay through HubSpot Payments (Starter and up) or Stripe. It isn't accounting software, so most teams sync it with QuickBooks Online or Xero.

  • Does Pipedrive have invoicing?

Not natively. The QuickBooks Online integration creates invoices from a deal and shows their status in Pipedrive. It doesn't work with QuickBooks Desktop, and products aren't synced between the two tools.

  • Can Zoho CRM create invoices?

Yes, from the Professional plan, in its inventory module alongside quotes and sales orders. For accounting, reminders and multi-currency, Zoho pairs it with Zoho Books. The Free and Standard CRM plans don't create invoices.

  • What's the difference between a CRM and invoicing software?

A CRM tracks the sale before it happens: contacts, emails, deals, the pipeline (your deals by stage). Invoicing software takes over once the sale is done: it numbers the invoice, sends it and tracks payment. A CRM with invoicing does both in one database, so you never retype the client or the quote lines.

  • Which CRM with invoicing is best for freelancers?

HoneyBook if you want it working this week, from $29 a month billed yearly. Dubsado if you prefer to pay yearly ($335) and build your own workflows. Both handle proposals, contracts, payment plans and reminders. A full sales CRM like Keap is overkill when you work alone.

  • How much does a CRM with invoicing cost for 5 people?

About $130 a month for Zoho CRM Professional plus Zoho Books Standard, billed yearly. Bitrix24 Standard stays at $99 a month for up to 50 users. Keap comes to about $366 a month billed yearly, before contact tiers.

  • Should I invoice in my CRM or connect QuickBooks?

If one to three people send quotes, a tool that does both avoids two subscriptions and two product lists. If your sales team is attached to HubSpot or Pipedrive, keep it and connect QuickBooks Online. The worst setup is creating the invoice in both tools.
