What's the best help desk software in 2026?
The right tool depends on your agent count, your channels and what you'll pay for AI.
Customer requests land in a shared support@ inbox. Two people answer the same email, another slips through, and nobody knows how long a customer waited. Help desk software (a tool that turns each request into a tracked, assigned, timestamped ticket) fixes that. The trap is price: nearly every vendor charges per agent, and AI comes on top.
The short answer. Freshdesk is the best balance for most teams: tickets, SLAs and a customer portal from $19 per agent per month billed annually. HubSpot Service Hub makes sense if HubSpot is already your CRM. Crisp wins for chat-first teams, with ten seats for $95 a month. Zoho Desk is the cheapest real ticketing, from $7. Help Scout is the simplest for email support. Zendesk is the most complete, and the most expensive.
One rule for all of them: price it with AI. Between per-agent copilots ($29 at Freshdesk, $50 at Zendesk) and automated resolutions billed per unit, the real bill often runs well above the list price.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.

How we compared and scored
This page is for the team that answers customers: startup support, a small business service desk, an online store's after-sales. That's different from an IT service desk, which handles employee requests and hardware. The question here is simple: how many agents, on which channels, and what it really costs once AI is switched on.
We read each vendor's official pricing, the terms of each plan (user caps, channels, AI included or not) and hundreds of user reviews, starting with the negative ones. We also went through Reddit threads and forums where teams explain why they left a tool. That's where you learn Freshdesk's free tier ends after six months, or that Zoho Desk Standard stops at the sixth agent.
What drove the order. Ticketing features weigh most (30%), because that's why you leave the shared inbox. Value for money follows (25%), priced on a real team with AI included. Ease of use counts 20%, integrations 15%, vendor support 10%. This weighting sets the score of tools without a review page on our site (Freshdesk, Zoho Desk, Help Scout). The others keep the score from their review page: a tool has one score everywhere.
What isn't ranked, and why. Tidio, Pylon and Intercom have a card further down: strong tools for chat, B2B support or AI agents, but not general help desks for a small team. Jira Service Management targets internal IT. LiveAgent, Front and Gorgias were left out because we didn't re-read their official pricing this year.

Freshdesk
Freshdesk gives you a full help desk on its first paid tier. Growth, at $19 per agent per month on annual billing, covers email ticketing, assignment rules, canned responses, SLAs (the response times you promise customers) and a customer portal. Pro, at $55, adds load-based routing, custom reports and multiple knowledge bases. Enterprise is $89.
Why it ranks first: the price gap at equal features. Five agents on Growth cost $95 a month. The same five seats on Zendesk Suite Team cost $275 billed annually. User reviews keep coming back to the short ramp-up: a team leaving a shared Gmail inbox finds its way around in a few days.
Two catches. The free tier is no longer free forever: the free program caps you at 2 agents and ends after six months. And AI costs extra. Freddy AI Copilot (drafting and summaries for agents) is $29 per agent per month, Pro and Enterprise only. The customer-facing AI agent comes with 500 free sessions, once per account, then $49 per 100 sessions, and unused packs expire at the end of your billing cycle. Growth customers also describe slow vendor support.
Tip: start the 14-day trial on Enterprise, write down the features your team actually touches, then drop to Growth. Most teams under ten agents use nothing from Pro in year one.
- Tickets, SLAs and portal from $19 per agent
- Fast ramp-up for teams leaving Gmail
- 500 free AI agent sessions, once
- ✓About a third of Zendesk Suite Team at five agents
- ✓Clean interface, little training
- ✓Trial on the top plan
- ✗Free tier capped at 2 agents and 6 months
- ✗AI Copilot at $29 per agent, Pro and up
- ✗Slow vendor support on Growth
The default pick for a small or midsize team that wants serious ticketing on a sane budget. Stay on Growth until you need load-based routing.
HubSpot Service Hub
HubSpot isn't the sharpest help desk here. Its edge is elsewhere: the ticket lives in the same CRM as sales. Your account manager sees three open tickets before calling about a renewal, and support sees contract value before replying. If your contacts already live in HubSpot, you skip a sync between two tools.
The free plan works for two users. Starter is $20 per seat per month. Professional is $100 per seat, or $90 with an annual commitment, plus a one-time $1,500 onboarding fee. Enterprise starts at $150 per seat with $3,500 onboarding. See our HubSpot review for seats and credits.
The wall is Professional. The knowledge base, the full help desk workspace and routing workflows only arrive at that tier. One reviewer sums up Starter this way: tickets are pretty much the only service task the tool handles. Five agents on Professional cost $450 a month on annual commitment, plus onboarding.
Tip: before signing Professional, check whether what you really need is the knowledge base. If so, price Freshdesk Growth connected to HubSpot through the native integration: you keep the customer record and pay far less.
- Tickets on the CRM record
- Free plan for two users
- Well-rated vendor support
- ✓No sync to maintain if you sell on HubSpot
- ✓Useful free plan
- ✓One tool for sales and support
- ✗Knowledge base only on Professional
- ✗$1,500 onboarding on Professional
- ✗Big price jump from Starter
The right pick if HubSpot is already your CRM. Otherwise, Freshdesk or Zoho Desk handle tickets for much less.
Crisp
Crisp, a French vendor, flips the usual pricing: you pay per workspace, not per agent. Mini is $45 a month for 4 seats, Essentials $95 for 10, Plus $295 for 20, and each extra seat is $10. With ten people on Essentials you pay $9.50 per agent, the lowest per-seat cost on this list by a wide margin. Our full Crisp review scores it criterion by criterion.
The strength is the unified inbox. Website chat, WhatsApp, Messenger and email land in one place, with a knowledge base and a workflow builder from Essentials up. Reviewers describe the interface as the easiest to pick up in this category.
The limit matters on a help desk page: the ticketing system with a customer portal only comes with Plus, at $295 a month. Below that, Crisp handles conversations, not tickets with statuses, SLAs and a history the customer can check. Reviews also flag a light CRM, a widget that can load slowly and slower vendor support on small plans. On the Shopify App Store, 14% of its 36 reviews are one star.
Tip: if 80% of your requests come in by chat, Essentials is enough. If your team follows cases over several days and customers come back to check progress, you need Plus or another tool on this list.
- Flat price per workspace
- Chat, WhatsApp and email in one inbox
- European vendor
- ✓$9.50 per agent at ten seats on Essentials
- ✓Easiest interface on the list
- ✓Free for two seats
- ✗Real tickets and portal only at $295
- ✗Light CRM
- ✗Slower support on small plans
Hard to beat for a chat-first team. For pure ticketing, Freshdesk or Zoho Desk fit better.
Zoho Desk
Zoho Desk has the lowest price list among full help desks. Express starts at $7 per agent per month billed annually, Standard at $14, Professional at $23, Enterprise at $40. Monthly billing is $9, $20, $35 and $50. The free plan covers three users with email tickets, and your account drops to it if you don't pay after the 15-day trial.
Five agents on Standard cost $70 a month billed annually, the lowest price on this list for SLAs, assignment rules and a knowledge base. Professional adds telephony and more email channels. On Professional and Enterprise, light agents, at $6 a month, let a colleague comment on tickets without a full seat. The link with Zoho CRM is the most natural of the bunch.
The trade-offs are well known. The interface is dense: G2 reviewers call it a bit clunky, with reports that take a few tries. And Standard caps out at 5 users, a rule that's easy to miss on the pricing page. Agent number six moves you to Professional at $23 a seat.
Tip: run the trial on Professional to see telephony, then pick Standard if you stay under five agents. That saves $45 a month for a team of five.
- Full help desk from $7 per agent
- Free for three users
- Light agents at $6 a month (Professional and up)
- ✓Cheapest at five agents ($70 a month)
- ✓Native Zoho CRM link
- ✓No-card trial
- ✗Busy interface, fiddly reports
- ✗Standard capped at 5 users
- ✗Longer ramp-up than Freshdesk
The best price for real ticketing. Plan a week of setup before opening it to the whole team.
Help Scout
Help Scout looks like an email inbox, on purpose. Customers get a normal email, with no ticket number and no portal link. Your team sees who's handling what, leaves internal notes and never answers the same message twice. For a team of two to fifteen moving off a shared Gmail inbox, it's the gentlest switch on this list.
Its free plan is the most generous: five users, one inbox, one help site. Standard is $25 per user per month with two inboxes, Plus $45 with five inboxes and custom fields, Pro $75 with a ten-user minimum. AI drafting and summaries come with paid plans, and the AI agent costs $0.75 per resolution, with three free months.
The limit is depth. No native phone channel, reporting that users find thin as the team grows, and not much for complex routing. One team that moved from Zendesk to Help Scout says it was left without a help desk for over a week during the migration. Schedule the cutover for a quiet day.
Tip: an extra inbox costs $10 a month. Instead of one inbox per address (contact, billing, returns), route them all into one inbox and sort with tags and folders.
- Email-style experience, no ticket numbers
- Free up to five users
- AI drafting included
- ✓Fastest to learn
- ✓Most generous free plan
- ✓AI agent paid only when it resolves
- ✗No native phone
- ✗Thin reporting for growing teams
- ✗Limited routing
The right tool for a small email-first team. If phone support or strict SLAs are coming, look at Freshdesk.
Zendesk
Zendesk is still the reference for ticketing. Skills-based routing, triggers, macros, reporting and a huge app marketplace: nothing else here goes as deep. It ranks last here because of what that depth costs a small or midsize team. Our Zendesk review covers each criterion.
The issue is the bill. Support Team costs $19 per agent on annual billing ($25 monthly) and only covers email tickets. Chat, messaging and AI agents need Suite Team at $55 annual or $69 monthly. Suite Professional is $115 ($149 monthly). Ten agents on Suite Team come to $550 a month on annual billing.
Then AI gets added. Each plan includes a few automated resolutions (5 per agent per month on Team, 10 on Professional); beyond that each one costs $1.50 committed or $2.00 pay-as-you-go. Copilot, the agent assistant, is $50 per agent per month. On Reddit, "Zendesk is getting too expensive" threads come up again and again, and per-resolution billing is the sharpest complaint. Expect several days of onboarding too.
Tip: in the admin center, cap automated-resolution overage instead of letting it bill on its own. Zendesk lets you pause the AI agent once the allowance is used up.
- Skills-based routing and detailed triggers
- Deepest app marketplace
- AI agents and voice in the suite
- ✓Deepest feature set on the list
- ✓Scales to hundreds of agents
- ✓14-day trial on Professional
- ✗Priciest: $55 per agent to get chat
- ✗AI billed per resolution on top
- ✗Long onboarding
Worth it for teams that use its depth. Under 15 agents, Freshdesk does the same job for about a third of the price.
What you really pay at 3, 5 and 10 agents
Comparison sites quote the price of one agent. Nobody buys a help desk for one agent. Here's each tool's monthly cost, from official price lists on annual billing, before AI, for three team sizes.
Three agents
Five agents
Ten agents
- Price your team a year from now, not today's team.
- Add AI: per-agent copilots and per-unit automated resolutions.
- Check hidden caps: 5 users on Zoho Standard, 2 agents for 6 months on Freshdesk free.
- Count colleagues who read but don't reply: a light agent is $6 at Zoho, on Professional and Enterprise.
- Check onboarding fees: $1,500 on HubSpot Professional.
- Switch to annual once the trial is over: savings run from 16% to 34% depending on the vendor.
Three tools that aren't help desks, but might be enough
Depending on your business, a general help desk can be too much. These three cover one case better than the ranked tools: ecommerce chat, B2B support over Slack, an AI agent in front of your support.
Add-ons
Tidio: chat for an online store
EcommerceTidio targets Shopify and WooCommerce stores that want chat and automated replies before a full help desk. The free plan caps at 50 conversations a month; Starter is $24.17 a month billed annually. The catch: the Lyro AI agent (from $32.50) and Flows automation (from $24.17) are billed separately, around $80 a month for the full set. Our Tidio review walks through the math.

Pylon: B2B support over Slack and Teams
B2B SaaSWhen your customers are companies talking to you in a shared Slack Connect channel, a classic help desk misses half the requests. Pylon turns them into tickets with the full account history. Starter is $59 per seat per month, Professional $89, Enterprise $139, all billed annually with a three-seat minimum; AI adds $50 per seat. See our Pylon review.

Intercom: an AI agent in front of support
AI agentIntercom sells its messenger from $19 per seat per month billed annually ($29 monthly), then $85 on Advanced and $132 on Expert. The real product is Fin, an AI agent billed $0.99 per resolution, which can plug into Zendesk or Freshdesk without switching tools. Leaving Intercom? Our switch from Intercom page lists the options.

Tips
Route every address into one inbox
Setupsupport@, billing@, returns@: forward them into one inbox and sort with rules. At Help Scout, an extra inbox costs $10 a month. Everywhere else, one queue keeps tickets from sleeping in an inbox nobody checks.
- Saving
- $10 per inbox per month at Help Scout
Start with a single SLA
RulesOne SLA (promised response time) per request type is tempting. Start with one, for example a first reply within 8 business hours, and measure for a month. Freshdesk Growth and Zoho Desk Standard both include SLAs.
- Available on
- Freshdesk Growth, Zoho Desk Standard
Don't buy a full seat for someone who only reads
BudgetThe salesperson or developer who comments on a ticket without replying to the customer doesn't need a full license. Zoho Desk sells light agents at $6 a month on Professional and Enterprise (50 included on Enterprise). HubSpot includes free view-only seats.
- Price
- $6/month at Zoho Desk
Cap AI spend before switching it on
AIAutomated resolutions are billed per unit: $1.50 to $2.00 at Zendesk, $0.75 at Help Scout, $0.99 at Intercom. Set a monthly cap before launch. Help Scout and Zendesk both offer one, and the AI agent pauses once the allowance is reached.
- Range
- $0.75 to $2.00 per resolution
Write ten articles before turning on the AI agent
AIAn AI agent answers from your knowledge base. Without it, it answers badly or hands everything to a human, and you still pay for sessions. Take your ten most frequent questions from the last three months and write one clear answer for each.

Trial-run the migration on one month of tickets
SwitchingA native CSV import often brings only ticket fields, not the conversation threads. Before shutting the old tool, import a month of history and check the replies came across. One team that moved from Zendesk to Help Scout went over a week without a help desk: switch on a quiet day.

Help desk software · FAQ
Is there a free help desk software?
Yes, with limits. Help Scout is free up to five users with one inbox, Zoho Desk up to three with email tickets, HubSpot for two users, Crisp for two seats without AI. Freshdesk's free program covers two agents but ends after six months. For a team of three, Help Scout's free plan is the roomiest. What's the difference between a help desk, a service desk and a ticketing system?
Ticketing is the base layer: a request becomes a tracked ticket. A help desk adds a knowledge base, SLAs, channels and reporting around it, for customer support. A service desk targets internal IT (incidents, employee requests, hardware). To answer customers, a help desk is enough. How much does help desk software cost?
Between $0 and about $300 a month for five agents, before AI. Zoho Desk Standard is $70, Freshdesk Growth $95, Zendesk Suite Team $275 on annual billing. Add AI: copilots run $29 per agent at Freshdesk and $50 at Zendesk, and each automated resolution is billed on top.Zendesk or Freshdesk: which one?
Freshdesk under 20 agents, Zendesk above that if you need its routing. At five agents, Freshdesk Pro and Zendesk Suite Team both cost $275 a month, but Freshdesk Growth at $95 already covers tickets, SLAs and the portal. Our Zendesk alternatives page covers other options. Can an AI help desk replace a human agent?
Not for complex requests yet. AI agents handle repetitive questions well when the knowledge base is current, and the rest poorly. Pay per resolution rather than a flat fee at first: $0.75 at Help Scout, $1.50 to $2.00 at Zendesk. You'll quickly see what the AI really resolves.Where is help desk data stored?
It depends on the vendor and sometimes the plan. Zendesk and Freshdesk offer EU hosting; check the region when you open the account. Crisp is a French vendor. Also check where the AI runs: with some vendors, AI requests go to US servers even when tickets stay in the EU.Can you migrate tickets from one help desk to another?
Yes, but the full history doesn't always follow. A native CSV import often brings only ticket metadata, without conversation threads. To keep the conversations, use a dedicated migration tool or the vendor's API, and import a sample month first.Do you need a help desk if you're the only support person?
Not necessarily at first. A well-organized inbox works while you're alone. A help desk pays off once a second person joins, when two people risk answering the same customer. Help Scout's and Zoho Desk's free plans let you make that move without paying.
