What's the best invoicing software for freelancers in 2026?

The one that gets you paid faster without adding admin. For most freelancers, it costs between $0 and $276 a year.

Freelance invoicing isn't small business invoicing. You bill projects, hours or retainers. You ask for deposits. You send a proposal and a contract before the first invoice. And you do it alone, so every minute of admin is a minute you don't bill.

The short answer: pick FreshBooks if you bill hours for up to five clients, Wave if you want unlimited invoices for free, and Bonsai if every project starts with a proposal and a contract. Zoho Invoice is the best free plan with time tracking, HoneyBook suits creatives who book through an inquiry form, and Invoice Ninja suits developers.

We compared the official pricing pages, the free plan caps and the card fees that most roundups skip.

How we compared and scored

The top results for "best invoicing software for freelancers" list a dozen tools each, often with the same starting prices and few caveats. Most skip the client caps on cheap plans, the fixed card fees, and the difference between a plan that invoices and one that doesn't.

We read each vendor's official pricing page, the free plan limits and the payment processing terms, then went through recent user reviews, focusing on the negative ones. Scores are the same as in our other invoicing rankings: a tool has one score across the Labs.

Price and ease of use weigh more than depth, because a freelancer has no admin team.

Best overall for freelancers

FreshBooks

4.1/5

FreshBooks started as invoicing software for freelancers, and it still shows. You log time against a client, the hours drop into the invoice, and automated reminders chase the late payers for you. Deposits, recurring invoices and expense tracking sit in the same app.

The catch is the client cap. Lite costs $23 a month and stops at 5 billable clients. If you juggle more than five clients in a month, you jump to Plus at $43. Over a year, that's $276 versus $516, so count your active clients before you pick. Each extra team member adds $11 a month.

The 30-day trial needs no card, and FreshBooks regularly runs steep first-months discounts. Read the regular price before you subscribe, because the renewal is billed at full rate.

Standout features
  • Time tracking that flows into the invoice
  • Automated payment reminders
  • 30-day trial without a card
+Pros
  • ✓The most polished freelance invoicing flow
  • ✓Strong support for a solo plan
  • ✓Deposits and recurring invoices included
−Cons
  • ✗Lite stops at 5 billable clients
  • ✗$11 per extra team member
  • ✗Renewal at full price after the promo
Verdict

The safe pick if you bill by the hour and have five clients or fewer. Past that, compare Plus at $43 against Bonsai before you commit.

Best free invoicing

Wave

4.2/5

Wave gives you unlimited invoices, estimates and bookkeeping records for $0. For a freelancer who sends a few invoices a month, that covers most of the job. Online payments are optional: cards cost 2.9% + $0.60 per payment on the free plan.

Pro costs $19 a month or $190 a year. It removes the $0.60 fixed fee on your first 10 card payments each month, imports your bank transactions, and sends automated late payment reminders. If clients pay you by card ten times a month, the $6 saved covers about a third of the plan.

What Wave doesn't do is the freelance-specific stuff. Users regret the lack of time tracking and contracts. Support is light on the free plan, and online payments need an identity and credit check before they go live.

Standout features
  • Unlimited invoices for $0
  • Bookkeeping in the free plan
  • Pro at $190 a year
+Pros
  • ✓The most generous free plan in this ranking
  • ✓Clean, fast invoice builder
  • ✓Highest value for money score here
−Cons
  • ✗$0.60 fixed fee per card payment on Starter
  • ✗No time tracking or contracts
  • ✗Light support
Verdict

Start here if you bill a flat fee per project. Add a separate time tracker the day you start billing by the hour.

Best for proposals and contracts

Bonsai

3.9/5

Bonsai covers the whole path of a freelance project. You send a proposal, the client accepts it and signs the contract, then the invoice and the payment follow in the same flow. For designers, developers and consultants who sign a new client every few weeks, that's the main time saver.

Watch the plan names. Basic at $9 doesn't include invoicing at all. You need Essentials, at $19 a month on annual billing or $25 monthly, to get invoices, payments, proposals and contracts. Retainer and subscription invoices are part of the feature set.

The 7-day trial is short. Prepare a real proposal before you start it, so you can judge the client side in one week.

Standout features
  • Proposal, contract and invoice in one flow
  • Retainer invoices
  • Annual or monthly billing per user
+Pros
  • ✓The best path from pitch to payment
  • ✓Contracts included in Essentials
  • ✓Clear per-user pricing
−Cons
  • ✗No invoicing in Basic
  • ✗Short 7-day trial
  • ✗Weaker integrations than FreshBooks
Verdict

Pick Bonsai if you sign a contract for every project. At $228 a year on Essentials, it replaces a contract tool and an invoicing tool.

Best free plan with time tracking

Zoho Invoice

4.0/5

Zoho Invoice is free, with a cap that few freelancers hit: 500 invoices a year, 2 users and 2 organizations. You also get up to 3 projects to bill time against. If you run two small businesses, the two organizations come in handy.

The limits are clear. Free invoices carry a "Powered by Zoho Invoice" mention. Three projects is tight if you work on many missions at once. Support is light, and the app makes the most sense if you already use other Zoho apps.

Standout features
  • 500 invoices a year for $0
  • 2 users and 2 organizations
  • Project billing on 3 projects
+Pros
  • ✓Very high free cap
  • ✓Project time billing included
  • ✓Fits the Zoho suite
−Cons
  • ✗Zoho branding on free invoices
  • ✗3 projects only
  • ✗Light support
Verdict

The best free choice if you bill time on a few projects. If the Zoho mention bothers your clients, move to Wave or FreshBooks.

Best for creative freelancers

HoneyBook

4.0/5

HoneyBook is a client management tool with invoicing built in. A lead fills in your form, gets a proposal, signs the contract and pays the deposit, all on one branded page. For creative freelancers who book events or shoots, that flow matters more than accounting depth.

Starter costs $29 a month on annual billing and includes invoicing, proposals, contracts and a client portal. Essentials, at $49, adds the scheduler, automations and the QuickBooks integration. Bank transfers cost 1.5% per payment.

It's the most expensive entry point in this ranking. If you only need invoices, HoneyBook is too much tool.

Standout features
  • Inquiry to deposit in one flow
  • Client portal included
  • 30-day trial without a card
+Pros
  • ✓The smoothest booking experience for clients
  • ✓Contracts and proposals included
  • ✓Automations from Essentials
−Cons
  • ✗$348 a year at minimum
  • ✗QuickBooks link only from Essentials
  • ✗Overkill for invoicing alone
Verdict

Worth it if your work starts with an inquiry form and ends with a deposit. For straight invoicing, Wave or FreshBooks cost less.

Best for developers

Invoice Ninja

3.8/5

Invoice Ninja is open source. You can host it yourself for free, or use the hosted version. The hosted free plan is limited to 5 clients with unlimited invoicing. Pro removes the client cap for $14 a month or $140 a year, the cheapest unlimited plan in this ranking.

Developers like it because the code is open and the data can stay on your own server. The price of that freedom is more setup than with a hosted tool like Wave. Support is lighter than at FreshBooks.

Standout features
  • Open source, self-hosting possible
  • Unlimited clients for $140 a year
  • Enterprise from $18 a month for 1 to 2 users
+Pros
  • ✓Cheapest unlimited plan here
  • ✓Free forever for 5 clients
  • ✓Full control of your data if self-hosted
−Cons
  • ✗Free plan limited to 5 clients
  • ✗More setup than the others
  • ✗Lighter support
Verdict

A great deal if you like to configure your tools. If you want something that works in ten minutes, pick FreshBooks or Wave.

How to choose

The right tool for how you bill

Three questions settle it: how you price your work, how many clients you bill in a month, and how your clients pay.

You bill by the hour

You need time tracking that lands in the invoice. FreshBooks does it best, Zoho Invoice does it for free on 3 projects. With Wave, you'll track time elsewhere and copy it over.

You bill a flat fee per project

You don't need time tracking. Wave's free plan covers it. If you also sign a contract, Bonsai at $19 a month on annual billing saves you a separate e-signature tool.

You bill more than five clients a month

Count them first. FreshBooks Lite caps at 5 billable clients, Invoice Ninja's free plan too. Wave and Zoho Invoice have no client cap on their free plans.

Your clients pay by card

Card fees eat into small invoices. On Wave's free plan, a $200 invoice costs $6.40 in fees. Bank transfers cost 1.5% on HoneyBook. For large invoices, ask for a bank transfer.

You work on retainers

Look for recurring invoices that go out on their own. FreshBooks has them, and Bonsai handles retainer invoices. Wave lists automated reminders under its Pro plan.

You book clients through a form

HoneyBook is built for this: inquiry, proposal, contract and deposit on one page. It costs more, so it pays off only if you book several new clients a month.
  • The plan you pick actually includes invoicing (Bonsai Basic doesn't)
  • The client cap fits your busiest month
  • Deposits and recurring invoices are available
  • Card fees are clear before you turn on online payments
  • Late payment reminders run on their own
  • You can export all invoices if you switch
Tips

Six settings that get you paid faster

These come from vendor docs and freelancer reviews. Each takes a few minutes, once.

01

Ask for a deposit on every new project

Cash flow

A 30% to 50% deposit protects your month if a client goes quiet. HoneyBook builds the deposit into its booking flow. With any other tool, check during the trial that the deposit is deducted from the final invoice.

Deposit
30% to 50% upfront
02

Turn on automatic reminders before the due date

Set once

A polite reminder three days before the due date works better than a chase after it. Set it once in FreshBooks. On Wave, automated late payment reminders come with Pro at $19 a month.

Wave
reminders on Pro
03

Do the math on card fees

Hidden cost

Wave charges 2.9% + $0.60 per card payment on its free plan. On a $100 invoice, that's $3.50, or 3.5%. Pro waives the $0.60 on the first 10 card payments each month. For a $3,000 invoice, ask for a bank transfer instead.

Wave Starter
2.9% + $0.60
04

Shorten your payment terms

Cash flow

Net 30 is a habit, not a rule. Put "due in 14 days" in your default template, and state your late fee in the same place. Clients pay the terms they read.

Default
14 days
05

Run your trial on a real invoice

Before you pay

FreshBooks and HoneyBook give 30 days without a card, Bonsai only 7. Send a real invoice to a client you trust during the trial: you'll see what they see.

Longest trials
30 days
06

Write down your renewal date

Watch out

FreshBooks and Wave both run first-months discounts. The regular price applies after. Set a reminder a month before renewal to decide if the plan still fits.

FAQ · 7 questions

Invoicing software for freelancers · FAQ

  • Is there truly free invoicing software for freelancers?
Yes. Wave and Zoho Invoice are free without a client cap, and Invoice Ninja is free for 5 clients. Wave has no invoice limit; Zoho Invoice stops at 500 invoices a year and adds its logo. What you pay for elsewhere is card processing and, on Wave Pro, bank imports.
  • What should a freelance invoice include?
Your name or business name and contact details, the client's details, a unique invoice number, the issue date, a description of the work, the amount, the payment terms and how to pay. Add your late fee policy if you have one. Every tool in this ranking puts these fields in its default template.
  • Should I use invoicing software or just a template?
A template works for two or three invoices a month. Past that, software pays for itself: it numbers invoices, sends reminders, records payments and gives you a clean export at tax time. Wave does all that for $0.
  • Can I charge a late fee on a freelance invoice?
Yes, if it's in your contract or terms before the work starts. Put the rate and the due date on every invoice, and turn on automatic reminders so you rarely need to apply it.
  • How do I invoice an international client?
Bill in the client's currency if the tool allows it, state the currency on the invoice, and offer a payment method without heavy conversion fees. Before you pick a tool, send a test invoice in that currency during the free trial, and check the fees on foreign cards before turning on online payments.
  • Is FreshBooks worth it for a freelancer?
Yes if you bill by the hour and have five clients or fewer: $276 a year on Lite buys the best freelance invoicing flow. With six clients or more, Plus costs $516 a year, and Bonsai or Invoice Ninja may fit better for less.
  • Can I switch invoicing software mid-year?
Yes. Export your invoices and client list first, keep the old export for your records, and continue your invoice numbering in the new tool so there are no gaps or duplicates.
