What is the best invoicing software for a small business in 2026?

The one that gets you paid faster without charging you for every new hire. Solo, it can cost $0. For three people, plan on $0 to about $1,000 a year.

Invoicing software builds your quotes, turns them into invoices, takes card payments and chases the late ones for you. Most lists stop at the plan price. The real bill comes from three other places: each extra user, the cap on cheap plans, and the fee on every card payment.

The short answer: FreshBooks for a service business that bills clients weekly. Wave if you want unlimited invoices for free. QuickBooks Online when your accountant already uses it. Xero for a team that keeps growing, since it has no per-user fee. Zoho Invoice is free for two, and Invoice Ninja is the cheapest paid plan.

Every price below comes from the vendor's own pricing page, at the regular rate, not the launch promo.

How we scored

How we compared and scored

The top results for this search list ten tools each, but skip paid prices for half of them and quote a generic card fee for all. None shows the cost for a team.

We read every vendor's official pricing page, the plan limits and recent user reviews, especially the negative ones. Square Invoices is not ranked: its paid plan prices were not readable on its official page. Harvest and Hiveage are left out to keep the focus on invoicing for small teams.

1
Best for service businesses

FreshBooks

4.1/5

FreshBooks was built for invoicing first and accounting second, and it shows. Its plans are sized by the number of clients you bill, not by features, which suits an agency or a contractor. It also has the best ease-of-use score on this page, tied with Wave.

The catch is the client cap. Lite at $23 a month only covers 5 billable clients. Plus at $43 covers 50, Premium at $70 removes the cap. Every extra team member costs $11 a month. So a three-person team on Plus pays $43 + $22 = $65 a month, or $780 a year. Advanced Payments add $20 a month.

Where it falls short: inventory and deeper accounting. If your accountant wants a full general ledger, QuickBooks Online or Xero fit better.

Standout features
  • Plans sized by billable clients
  • Unlimited clients on Premium
  • 30-day trial without a card
+Pros
  • ✓Easiest invoicing for service work
  • ✓Strong support
  • ✓Polished client portal
−Cons
  • ✗Lite capped at 5 billable clients
  • ✗$11 per extra user
  • ✗Lighter on accounting
Verdict

The best pick for a service business that bills clients every week. Check the client cap before you pick Lite.

Best free invoicing

Wave

4.2/5

Wave gives you unlimited invoices and estimates on its free Starter plan, plus basic bookkeeping. For a one-person business or a side company, nothing else matches that price.

Wave makes its money on payments. On Starter, card payments cost 2.9% + $0.60 each. Pro, at $19 a month or $190 a year, drops the fixed fee to $0 on your first 10 transactions each month and adds more automation. The fixed-fee saving caps at $6 a month (10 × $0.60), so Pro pays for itself only if you use its other features too.

The limit: support is thin on the free plan, and it is a small-business tool, not a multi-user platform for a growing team.

Standout features
  • Unlimited invoices for free
  • Bookkeeping included
  • Lower card fees on Pro
+Pros
  • ✓Real free plan with no invoice cap
  • ✓Simple to start
  • ✓Annual Pro under $200
−Cons
  • ✗$0.60 fixed card fee on Starter
  • ✗Limited support on free
  • ✗Light for teams
Verdict

The best free option in the US. Do the card fee math before you stay on Starter.

Best if your accountant uses it

QuickBooks Online

4.2/5

QuickBooks Online is accounting software that invoices well, not the other way around. Invoices, estimates, recurring billing and online payments flow straight into your books, which is what your CPA wants at tax time. Its integrations score is the highest on this page.

Regular prices: Simple Start $38 a month for one user, Essentials $85 with three users, Plus $140 with five. Intuit often shows a half-price promo for the first months; budget on the regular price. For a three-person team, Essentials costs $1,020 a year. A free plan for one user exists too.

The downside is cost and weight. If you only need to send invoices, you pay for a full ledger you will not open.

Standout features
  • Invoices post straight to the books
  • Most integrations on this page
  • Users included by plan
+Pros
  • ✓Standard tool for US accountants
  • ✓Three users in Essentials
  • ✓Deep reporting
−Cons
  • ✗Pricey for invoicing alone
  • ✗Promo prices hide the real cost
  • ✗More to learn
Verdict

Pick it when your accountant asks for it. For invoicing only, FreshBooks or Wave cost less.

Best for a growing team

Xero

4.1/5

Xero does not charge per user, and that changes the math for a team. Early at $27 a month, Growing at $59 and Established at $97 cover everyone who needs access. At five users, that beats almost every per-seat tool here.

Its value-for-money score is the second highest here. Early is the entry plan; Growing at $708 a year is the realistic plan for a small team that sends invoices every week.

Its weak spot is support, which runs online only. Payroll is extra.

Standout features
  • No per-user fees
  • Three plans, one flat price
  • Strong integrations score
+Pros
  • ✓Flat price for the whole team
  • ✓Good value
  • ✓Large accountant network
−Cons
  • ✗Online support only
  • ✗Early is an entry plan
  • ✗Payroll costs extra
Verdict

The best price for a team of four or more. A solo owner gets more from Wave for free.

Best free for two users

Zoho Invoice

4.0/5

Zoho Invoice is fully free. You can add up to two users, send up to 500 invoices a year and run up to three projects. For most small businesses, 500 invoices covers more than 40 a month.

It covers the invoicing itself. When you need accounting, Zoho Books takes over within the same family of apps.

The limits are clear: two users and three projects. Past that, you move to Zoho Books, which is a paid product.

Standout features
  • Free with 2 users
  • 500 invoices a year
  • Easy step up to Zoho Books
+Pros
  • ✓No subscription at all
  • ✓Two users for free
  • ✓Two organizations on one account
−Cons
  • ✗500 invoices a year cap
  • ✗Only 3 projects
  • ✗No accounting on its own
Verdict

The best free option for a pair. Above 500 invoices a year or two users, you need a paid tool.

Best open-source option

Invoice Ninja

3.8/5

Invoice Ninja is open source. You can use the hosted service or install it yourself. The hosted Free plan works for 5 clients; Pro at $14 a month or $140 a year removes that cap and adds branding and automation. Enterprise starts at $18 a month for one or two users.

For a paid plan, $140 a year is the lowest price on this page.

The trade-off is polish. The interface asks for more setup than FreshBooks, and support is lighter.

Standout features
  • Open source
  • Hosted or self-hosted
  • Pro at $140 a year
+Pros
  • ✓Very low price
  • ✓Self-hosting possible
  • ✓Enterprise for 1 to 2 users from $18
−Cons
  • ✗Free plan limited to 5 clients
  • ✗More setup
  • ✗Lighter support
Verdict

Great value if you like to tinker. If you want it to just work, start with FreshBooks.

Real cost

What invoicing really costs a small team

Three numbers matter more than the feature grid: what you pay for each extra user, the cap on the free or cheap plan, and the fee on each card payment.

The cost per extra user

FreshBooks adds $11 per team member. QuickBooks bundles users by plan: 1 in Simple Start, 3 in Essentials, 5 in Plus. Xero has no per-user fees at all, which is why it wins at four or five people.

The hidden caps

FreshBooks Lite stops at 5 billable clients. Invoice Ninja Free stops at 5 clients. Zoho Invoice stops at 500 invoices a year and 2 users, and free invoices carry a “Powered by Zoho Invoice” mention. Check your client count before picking the cheapest plan.

Payment fees

On Wave Starter, a card payment costs 2.9% + $0.60. On 20 payments of $500 a month, that is about $302 a month in fees. Payment terms often matter more than the plan.
  • Count the people who will send invoices.
  • Count your active clients this year.
  • Estimate card payments per month.
  • Ask your accountant which tool they use.
  • Budget on regular prices, not promos.
  • Export your invoices during the trial.

FAQ · 7 questions

Invoicing software · FAQ

  • What is the easiest invoicing software for a small business?
FreshBooks and Wave share the best ease-of-use score in our ranking. FreshBooks suits service work billed to a set number of clients; Wave is the easiest free choice.
  • Is there truly free invoicing software?
Yes. Wave Starter gives unlimited invoices for $0 and earns on card fees. Zoho Invoice is free up to 500 invoices a year and two users. QuickBooks also has a free plan for one user, and Invoice Ninja is free for 5 clients.
  • Do I need accounting software or just invoicing?
If an outside bookkeeper does your books, invoicing plus their tool can be enough. If you file taxes yourself or your CPA asks for it, pick software with accounting built in, like QuickBooks Online, Xero or Wave.
  • How much do online payment fees cost on invoices?
Card fees add up faster than subscriptions. Wave charges 2.9% + $0.60 per card payment on Starter and drops the fixed fee on your first 10 transactions each month on Pro. Compare fees on your real monthly volume, not just the plan price.
  • How much does invoicing software cost for a team of three?
From $0 to about $1,000 a year. Zoho Invoice is free for two, Xero Growing costs $708 for any number of users, FreshBooks Plus with two extra users costs $780, and QuickBooks Essentials costs $1,020.
  • Can I invoice from QuickBooks for free?
Yes, on a free plan for one user. Paid plans start at $38 a month for Simple Start. Ignore the half-price banner when you budget: it only lasts a few months.
  • Is invoicing software safe for online payments?
Yes, when payments go through a known processor like Stripe, PayPal or the tool's own payments. Your software never stores the full card number, and your customers pay on a secure page.
