Which online notary should your business use?

The per-seal price is the easy part. Volume is where the platforms split.

Most "best online notary" lists are written by the platforms themselves, and they compare the price of a single seal. That's the right question for one affidavit. It's the wrong one for an HR team running remote I-9s, a legal team sending powers of attorney every week, or a finance team closing loans.

For a company, three things decide the bill: whether there's a business plan with a published price, whether your own commissioned notaries can work on the platform, and whether your software can push documents through an API. Remote online notarization (RON) is usable in 49 states plus DC in 2026, so the legal side is mostly settled. The commercial side isn't.

We compared Proof, OneNotary, NotaryCam, PandaDoc Notary and Docusign Notary on exactly that. Only one of them publishes a business plan that includes an API and remote I-9.

How we scored

How we compared and scored

We started with the official pricing page of each platform and every plan on it: pay per session, monthly plans, bring-your-own-notary options and enterprise offers. Then we read what the business tiers actually unlock (team seats, branding, API access, remote I-9, notary state selection) and the recent negative reviews, because that's where the friction shows up: ID checks that fail, dropped video calls, documents rejected by the receiving party.

Category scores are the same as on our other pages for these tools: one tool, one score everywhere. The order follows the overall score with one deliberate exception. OneNotary ranks above NotaryCam despite a slightly lower score, because it's the only published business plan here that includes an API and remote I-9. Notarity, a European platform that books video sessions with partner notaries, isn't ranked: its official site shows no price.

1
Best for occasional business notarizations

Proof

4.2/5

Proof (formerly Notarize) has the clearest price list for a one-off job. Your signer creates an account, passes identity verification and signs in front of a commissioned notary over video. You pay $25 for the first seal and $15 for each extra seal. A witness costs $15 and an extra signer $10. Plain eSignature runs $4 per transaction.

The catch for a business: once you want team accounts or regular volume, Proof switches to "Varied Pricing" and a sales call. No figure is published. If your own notary works on Proof and sets their own fee, Proof keeps $10 per notarization plus $3 per additional seal.

On Trustpilot, Proof sits at 4.6 out of 5 across 3,836 reviews. People praise the speed. Complaints cover video drops, a final price that's hard to predict and something that matters to legal teams: you can't pick the notary's state. One reviewer describes a power of attorney sold as valid in Vermont, then refused in practice.

Tip: before booking, email the receiving party (bank, county recorder, title company) and get written confirmation that they accept a RON from another state. It's the top reason documents bounce.

Standout features
  • Public price from $25 per seal
  • On-demand notaries, no appointment
  • Usable in 49 states plus DC
+Pros
  • ✓Fast, well-reviewed signing flow
  • ✓Easy price list for one-off jobs
  • ✓eSignature at $4 per transaction
−Cons
  • ✗Business pricing not published
  • ✗No choice of notary state
  • ✗Add-on fees per seal and signer
Verdict

The simplest choice for a few documents a quarter. Past that, OneNotary publishes a business plan with a real price; Proof doesn't.

2
Best business plan with public pricing

OneNotary

4.0/5

OneNotary is the only platform in this ranking with a published business plan that includes an API and remote I-9. Without a subscription, a session costs $25 for one seal and one signer, then $10 per extra seal or signer. Business Professional costs $49 a month billed yearly, or $65 month to month.

That plan is where it pulls ahead. You get unlimited team members, your own branding, and your commissioned notaries can work on the platform from $10 a session. It also includes a REST API and remote I-9 with E-Verify, which is rare at this price. Enterprise, by quote, adds SSO, a Clio integration, embedded signing, notary state and language preferences, an account manager and volume discounts.

On Trustpilot, OneNotary holds 4.8 out of 5 across 3,653 reviews. Expats mention getting a certified passport copy done from abroad ahead of an apostille, quickly. Complaints focus on file uploads and waits during ID verification.

Tip: if a recipient insists on a notary from a specific state, only Enterprise lets you choose. Check with the recipient before you commit to the annual plan.

Standout features
  • REST API in the $49/mo plan
  • Remote I-9 with E-Verify
  • In-house notary from $10 a session
+Pros
  • ✓Published business price, no sales call
  • ✓Unlimited team and custom branding
  • ✓Support described as patient
−Cons
  • ✗Notary state choice only on Enterprise
  • ✗File uploads can be fiddly
  • ✗Few integrations beyond the API and Clio
Verdict

The pick for a team that notarizes every month: known price, API and I-9. For a single document a year, Proof is enough.

3
Best for signers spread across countries

NotaryCam

4.1/5

NotaryCam accepts signers in 145 countries, which makes it the most international platform here. Think of a founder in London and a CFO in Singapore who both need to sign for a US bank. With NotaryCam's Notarize Now option, a session costs $25 per seal and $10 per extra signer. A single seal on a power of attorney or a deed costs $35.

Two surcharges hit international teams: a signer without a US Social Security number pays $79 on that option, and a session within 24 hours adds $50. For volume, NotaryCam sells a software license for your own notaries, contract notary services, custom solutions and a developer API. None of them has a published price.

NotaryCam shows 4.8 out of 5 across 17,757 Trustpilot reviews, the biggest sample in this ranking. Complaints are about wait times and the ID tool struggling with some driver's licenses.

Tip: have foreign signers use their passport and book a day ahead. You dodge both the rejected-ID loop and the rush fee.

Standout features
  • Signers in 145 countries
  • $35 single seal
  • Developer API and notary software license
+Pros
  • ✓Built for signers outside the US
  • ✓Huge volume of positive reviews
  • ✓Options for in-house notaries
−Cons
  • ✗$79 per signer without a US SSN
  • ✗$50 rush fee
  • ✗Enterprise plans not priced publicly
Verdict

The best fit when your signers live abroad. For US-based staff, OneNotary costs less and publishes its plan.

Best for drafting, signing and notarizing in one place

PandaDoc Notary

3.9/5

PandaDoc is a document and eSignature platform first. Its Notary add-on puts remote online notarization inside the same flow: you draft the contract, send it, and the page that needs a seal goes to a notary without exporting anything.

Two options. With PandaDoc's notaries, each act costs $25 with no extra charge per signer or per seal, which is the simplest math when a document has three signers. With your own notary, it's $69 per user per month plus $10 per act. PandaDoc advertises volume discounts and a 14-day trial. The core product has a free plan, Starter at $19 a month and Business at $49 per seat per month.

The downside: PandaDoc scores 2.2 out of 5 across 695 Trustpilot reviews for the product as a whole. The recurring complaint is annual renewals charged with no refund. Put the renewal date in your calendar the day you sign.

Standout features
  • No extra charge per signer or seal
  • Bring your own notary
  • Templates and eSignature in the same tool
+Pros
  • ✓$25 per act even with several signers
  • ✓Wide integration library
  • ✓Volume discounts advertised
−Cons
  • ✗Own-notary plan at $69 per user per month
  • ✗Annual renewals draw complaints
  • ✗Overkill if you only need the seal
Verdict

The right call if your contracts already live in PandaDoc. If you only need to notarize, OneNotary or Proof are more direct.

Best for high-volume teams already on Docusign

Docusign Notary

3.8/5

Docusign Notary is built for organizations doing 200 or more notarizations a year. You can use your company's own notaries or tap an on-demand pool available 24/7. A Notary API lets you trigger sessions from your own systems. The product follows the MISMO standard used for US mortgage documents and highlights interstate recognition across all 50 states.

Pricing is by quote. For one-off needs, Docusign points to its partner OneNotary (Notarize Now service), from $25. So for a handful of acts a year, you pay OneNotary's rate without the Business plan features.

The real draw is integration. If your legal team already runs contracts through Docusign eSignature, notarization joins the same workflow and the same audit trail.

Tip: ask your Docusign account rep whether Notary can be added to your existing contract. That's the one scenario where it beats a specialist.

Standout features
  • Notary API
  • In-house notaries or 24/7 on-demand pool
  • Built on Docusign eSignature
+Pros
  • ✓One vendor to sign and notarize
  • ✓Richest integration options
  • ✓Designed for high volume
−Cons
  • ✗Business pricing by quote only
  • ✗No point below 200 acts a year
  • ✗Notarization stays US-only
Verdict

Makes sense for a Docusign shop with real volume. A smaller company gets the essentials at OneNotary, price on the page.

Where a remote seal works for a business, and where it doesn't

RON settles most domestic needs. The surprises come from the receiving party and from documents headed abroad.

The recipient decides

A bank, a county recorder or a foreign registry can still refuse a RON from another state, a digital signature or a missing apostille. Several negative reviews across these platforms come down to that, not to the platform. Get the accepted format in writing before you pay for a session.

Documents going abroad

A US remote notarization travels abroad with an apostille issued by the notary's state. It never turns a document into a foreign notarial deed. In France, for instance, a company deed still needs a French notary; only a power of attorney can be signed remotely, on the notaries' own video system. In Spain, notaries can authorize some corporate acts by video through their own platform, but never general powers of attorney.

Volume changes the math

At a few seals a year, pay per session. Once you notarize every month, compare a business plan with in-house notaries: OneNotary at $49 a month with your notary from $10 a session, PandaDoc at $69 per user per month plus $10 per act. Above 200 acts a year, get quotes from Docusign and NotaryCam.

  • Get the receiving party's accepted format in writing before booking.
  • Count your notarizations per year before choosing per-session or a plan.
  • Check whether your own commissioned notaries can work on the platform.
  • Ask whether you can choose the notary's state, and on which plan.
  • Log every annual renewal date the day you subscribe.

Common company needs, one by one

The situations that keep coming up in HR, legal and finance teams, with the right setup for each and the trap that costs a week.

01

Onboarding remote hires with Form I-9

HR

Every US employer has to verify work eligibility with Form I-9. When the new hire is far away, OneNotary's Business Professional plan includes remote I-9 and E-Verify for $49 a month billed yearly. It's the only plan in this ranking that lists it with a public price.

02

Powers of attorney for executives on the road

Legal

A one-off power of attorney goes through Proof or OneNotary for $25. When the executive is abroad without a US Social Security number, NotaryCam handles the case, at $79 per signer on its Notarize Now option or $35 for a single seal on its standard service. Confirm the state the recipient expects before you book.

03

Plugging notarization into your own software

Ops

If your platform generates documents that need a seal, you want an API. OneNotary includes a REST API in its $49 plan. Docusign Notary and NotaryCam both offer one, priced by quote. PandaDoc keeps everything inside its own document flow.

04

Using your own commissioned notaries

Volume

Companies with notaries on staff pay less per act by bringing them onto a platform: from $10 a session on OneNotary Business, $69 per user per month plus $10 per act on PandaDoc, a $10 platform cut plus $3 per extra seal on Proof. Docusign and NotaryCam license their tools to in-house notaries by quote.

05

Documents that need an apostille

International

A notarized document headed to a Hague Convention country needs an apostille from the notary's state, not from the platform. Users report getting certified passport copies done online before an apostille for EU citizenship files. Build the state's turnaround into your timeline.

06

Notarizing before checking the format

Trap

The most common rejection isn't technical. The recipient wanted a notary from a given state, a wet signature or an extra apostille. Users of Notarity, a European platform left out of the ranking for lack of public pricing, describe a document refused for use in the UK for that very reason. Ask first, keep the answer.

FAQ · 7 questions

Online notary for business · FAQ

  • Can a business notarize documents online legally?
Yes. Remote online notarization is usable in 49 states plus DC in 2026, sometimes through a notary commissioned in another state. What still varies is the recipient: some banks and recorders want a notary from their own state, so check first.
  • How much does online notarization cost for a business?
About $25 for a first seal at Proof or OneNotary, and $25 per act at PandaDoc Notary. At volume, OneNotary's Business Professional plan costs $49 a month billed yearly; Proof, NotaryCam and Docusign price their business plans by quote.
  • Which online notary has an API?
OneNotary includes a REST API in its $49-a-month Business Professional plan. Docusign Notary and NotaryCam offer APIs on custom quotes. PandaDoc Notary works inside PandaDoc's own document platform.
  • Can our own notaries use these platforms?
Yes on most of them. OneNotary Business charges from $10 a session for your notary, PandaDoc $69 per user per month plus $10 per act, and Proof takes $10 per notarization plus $3 per extra seal when your notary sets the fee.
  • Can you do Form I-9 remotely through an online notary?
OneNotary's Business Professional plan includes remote I-9 with E-Verify. None of the other platforms in this ranking lists it with a public price.
  • Is a US online notarization valid abroad?
It can be, with an apostille from the notary's state, if the destination country accepts it. It never replaces a local notarial deed: a French company deed still needs a French notary, and Spain excludes general powers of attorney from its own video notarization.
  • Can I choose which state my notary is commissioned in?
Rarely on entry plans. Proof doesn't let you pick, a frequent complaint. OneNotary offers notary state and language preferences on its Enterprise plan, by quote.
