What is the best photography studio management software in 2026?
Five tools ranked for working photographers: what each one really costs per year, what the cheap plans leave out, and who each one is built for.
A photographer's business runs on a chain: inquiry, quote, signed contract, deposit, the shoot, the gallery, the final invoice, the reminder. Studio management software (most people search for it as a CRM for photographers) keeps that chain in one place instead of six tabs. We compared the tools on their official pricing pages, ran every plan through the same yearly cost check, and read what photographers say once the trial is over.
Pixieset Studio Manager scores highest: a real free plan, $144 a year for Plus, and galleries from the same company. HoneyBook has the smoothest client flow if you work in the US, Canada, the UK or Australia, from $29 a month billed yearly. Studio Ninja is the cheapest full paid plan at $16 a month and the pick for weddings, VSCO One suits a studio with several shooters, and Dubsado goes deepest on automation. One thing first: this page is about running your business, not about sorting photo files.

How we compared and ranked
Most pages ranking for this search are written by a vendor that lists itself first, or by sites paid per signup. Their prices often contradict each other, and few of them say that HoneyBook only accepts businesses in four countries. We started from the questions a photographer actually asks before paying: does it cover the whole job, what does a year cost, and what does the cheap plan leave out?
Every ranked tool had to pass one test on its official pages: quotes or contracts, invoices, online payment and scheduling or a client pipeline, all in the same product. We then read each pricing page plan by plan, worked out the yearly bill, and checked those facts against what photographers report on forums, in community threads and on review sites. A survey of 173 photographers run by a photography education site helped us see which tools people actually use: 17hats and Pixieset lead at 17% each, then Sprout Studio at 13%, Studio Ninja at 11%, HoneyBook and VSCO Workspace at 10%, and Dubsado at 7%.
The overall score is the weighted average of the five criteria below. Covering the full job weighs most, because that's what gets you paid; the yearly cost comes next. Country isn't a scored criterion: we use the same grid on the French and Spanish versions of this ranking, so each tool keeps the same scores everywhere. Where a tool can be used is written on each card instead.
Six well-known names are reviewed but not ranked. Fotostudio is a European tool, priced in euros with taxes included and built for photographers in Europe, so it stays out of a ranking written for photographers paying in dollars or pounds; if you work in Europe, it's worth a look, and we mention it in the tips and cost sections. Sprout Studio starts from $19 a month, but its pricing page didn't let us pin the plan details down well enough for a fair cost comparison. 17hats ($60 a month, or $600 a year) counts documents per month and sells booking as an add-on, and we couldn't confirm the full chain in one plan. Light Blue (£30 a month) doesn't show a US price for its main plan. Bloom ($14 to $66 a month) and ShootProof (from $10.99 a month) are built around galleries first, so they sit outside a ranking of business tools.

Pixieset Studio Manager
Pixieset made its name with client galleries, and Studio Manager is its business side: online booking, invoices, contracts, questionnaires, quotes, mini-sessions and a project board, with apps for iPhone and Android. Clients can pay by card, with Affirm or Klarna, or in person from the Studio Manager phone app.
The free plan is real. You get unlimited invoices, 3 contracts, 3 quotes or questionnaires, one active session type, basic booking and online payments. That's enough to run your first few clients. Plus at $12 a month billed yearly ($15 monthly) unlocks unlimited contracts, 3 active session types and reminders, and swaps the Pixieset branding for your own logo and colors. Pro at $18 ($24 monthly) adds unlimited session types and a deposit taken at booking. If you also want galleries and a website, the Suite starts at $28 a month.
The limit shows up as you grow. Photographers in the usage survey describe Pixieset products as working "in silos", and the workflow tools are lighter than Dubsado's. Watch the gallery store too: on the free gallery plan (3 GB), Pixieset takes a 15% commission on print sales, and 0% on paid plans.
Tip: stay on Free while 3 contracts are enough, then go straight to Pro billed yearly if you want the deposit at booking: Plus doesn't include it.
- Free plan with unlimited invoices and online payments
- Affirm, Klarna and in-person payments on your phone
- Mini-sessions and online booking built in
- ✓$0 to start, $144 a year for Plus
- ✓Free plan lets you learn it with real clients
- ✓Natural fit if your galleries are already on Pixieset
- ✗Free plan caps you at 3 contracts
- ✗Deposit at booking needs Pro
- ✗Lighter automations than Dubsado or HoneyBook
The best place to start if money is tight or you already deliver galleries on Pixieset. Move to Plus the day you sign your fourth contract.
HoneyBook
With HoneyBook, a lead fills in your inquiry form, gets a proposal that bundles the quote, the contract and the first invoice, signs it on a phone and pays the deposit in one go. That single "proposal" step is what keeps clients from dropping off between three separate documents.
The plans are simple. Starter is $29 a month billed yearly. Essentials at $49 adds automations, the scheduler, the QuickBooks sync and two team members, and it's the plan that unlocks the automation. Premium runs $109. On top of that, card fees start at 2.7% + 10¢ according to its FAQ, while its plan table shows 2.9% + 25¢, and ACH bank transfers cost 1.5%. On a $3,000 wedding paid by card, that's $81.10 to $87.25 in fees; the same amount by ACH costs $45.
The catch is geography. HoneyBook only accepts businesses in the United States, Canada, the United Kingdom and Australia, and bills in USD, CAD, GBP or AUD. Everywhere else, you join a waitlist. Photographers on HoneyBook's own community forum also pushed back hard on the 2025 price increase, and recent reviews mention clients who couldn't sign and workflows that misfire.
It isn't for you if you work outside those four countries, or if you want galleries in the same tool: HoneyBook has none, so you'll pay for a gallery host on top. Tip: the 30-day trial needs no card. Build your proposal template first, send it to yourself and sign and pay on your phone before any real client sees it.
- One proposal for quote, contract and deposit
- Scheduler and automations on Essentials
- QuickBooks sync on Essentials and up
- ✓Quote, contract and deposit in one proposal
- ✓Fast to set up compared to Dubsado
- ✓ACH at 1.5% cuts fees on big wedding invoices
- ✗Only for businesses in 4 countries
- ✗Payment fees on top of the plan
- ✗Recent complaints about price increases and bugs
The smoothest client flow if you work in one of its four countries and want clients to sign and pay without friction. It ranks second because galleries and payment fees cost extra. Push clients toward ACH on large invoices to keep fees down.
Studio Ninja
Studio Ninja comes from Australia and was built around wedding work. Every plan, even the cheapest, includes quotes, invoices, contracts, questionnaires, a client portal, online payments, payment schedules, custom taxes and multilingual options. Photographers who use it say it keeps them organized and like the number of templates.
Starter costs $16 a month, or $160 a year. It's limited to one user and 5 active jobs, with no booking forms and no workflows, so a busy season will push you up. Pro at $27 ($270 a year) gives you 3 users, unlimited jobs and workflows. Master is $40 a month, $400 a year. Prices show in USD, GBP and AUD.
The trial is short at 7 days, so set up one real job during it rather than clicking around. Studio Ninja offers free migration from your old tool, which is worth asking for on day one.
The main limit: there's no gallery. You'll deliver photos through Pixieset, ShootProof or another host, and pay for it on top. It's not for you if you want one bill for business and galleries, or if you need deep automation like Dubsado's.
Tip: before you open the trial, write your quote template, your contract and your wedding questionnaire, so the 7 days go into a real job rather than an empty demo.
- Contracts, quotes and portal on every plan
- Payment schedules for wedding deposits
- Free migration from your current tool
- ✓Cheapest full paid plan in the ranking
- ✓Wedding-friendly templates
- ✓Custom taxes and multilingual options
- ✗No client galleries
- ✗Starter stops at 5 active jobs
- ✗Only 7 days to try it
The best value if you shoot weddings and want everything a client signs and pays in one place. Plan on Pro ($270 a year) once you book more than five jobs at a time.
VSCO One (Workspace)
VSCO Workspace is the business tool once known as Táve. It's no longer sold on its own: you get it inside VSCO One at $41.67 a month, billed yearly only, which bundles the CRM, invoices, contracts, bookings, unlimited galleries and VSCO's presets. The plan covers 6 users and 4 brands, and you have 30 days to ask for a refund. Note that VSCO Pro ($4.99 a month) doesn't include Workspace.
For a studio with an associate shooter or two, 6 users and 4 brands are generous at that price, since several tools charge per user or per brand. Unlimited galleries also mean you can drop a separate gallery subscription.
The downside is the learning curve. Photographers in the usage survey call Workspace more complicated to use than the others. And since it's yearly only, you commit about $500 up front.
It's not for the solo shooter: you'd pay for 6 seats and 4 brands you don't use, and Pixieset or Studio Ninja cost less for one person.
Tip: the 30 days are a refund window, not a free trial. Note the day you subscribe, push at least one real gallery and one real invoice through it, and decide before the month ends.
- CRM, unlimited galleries and presets in one plan
- 6 users and 4 brands included
- 30-day refund window
- ✓Replaces a CRM and a gallery subscription
- ✓Good fit for multi-shooter studios
- ✓Multiple brands without paying extra
- ✗Yearly billing only, about $500 up front
- ✗More complex than HoneyBook or Studio Ninja
- ✗Not sold separately from VSCO One
A strong deal for a studio that would otherwise pay for a CRM, a gallery host and presets separately. For a solo shooter starting out, Pixieset or Studio Ninja is simpler.
Dubsado
Dubsado is the power tool of the group. Clients and projects are unlimited on every plan, you can add 3 extra users for free, and its workflows can send forms, contracts, invoices and reminders on a schedule you design. That automation is the main reason photographers pick it over HoneyBook.
The pricing page only shows yearly prices: Starter at $335 a year (about $27.92 a month) and Premier at $525 a year (about $43.75 a month). Read the Starter limits before buying: one active lead form, no automated workflows and no Zapier. In practice, the automation you came for is on Premier. An extra brand costs $10 a month.
The price you pay is setup time. Reviews describe a steep learning curve, slow workflow configuration and many users hiring someone to set it up. The built-in calendar is basic.
It's not for you if you want to be up and running in an evening, or if you need galleries: Dubsado has none. Tip: during the 21-day trial, build only one workflow, for your best-selling package. If it isn't running after two weeks, Dubsado isn't for you, or you'll need a setup budget.
- Unlimited clients and projects on every plan
- 3 extra users at no cost
- Workflows that chain forms, contracts and invoices
- ✓Deepest automation in the ranking
- ✓No per-client limit even on Starter
- ✓21 days to build a real workflow before paying
- ✗Steep learning curve, often outsourced
- ✗Workflows and Zapier only on Premier
- ✗Built-in calendar is basic
Worth it if you already know your client process by heart and want it on autopilot. Budget for Premier ($525 a year) and a weekend of setup.
Six habits that make any studio tool pay for itself
Most photographers who leave a CRM blame the tool, but the real cause is often setup. These six habits apply whatever you pick.
The six habits
Send quote, contract and deposit as one document
ConversionEvery extra click between "yes" and "paid" loses clients. HoneyBook's proposals, Studio Ninja's quotes with a contract attached and Pixieset's booking with deposit (on Pro) all let a client accept, sign and pay in one sitting.
Tip: open the client view on your own phone before you send the first one. If it takes more than a minute, simplify it.
- Goal
- Sign and pay in one visit
Set the deposit and the payment schedule once
Cash flowWedding photographers commonly take a deposit at signing and the balance before the date. Build that schedule into a template so it applies to every booking without retyping it. Studio Ninja has payment schedules on every plan; Pixieset Pro takes the deposit at booking, and in Europe Fotostudio handles a fixed amount, a percentage or a plan.
- Studio Ninja
- Schedules on all plans
- Pixieset
- Deposit at booking on Pro
Push large invoices to bank transfer
Save moneyCard fees add up on big invoices. On HoneyBook, a $3,000 balance costs $81.10 to $87.25 by card (the FAQ says 2.7% + 10¢, the plan table 2.9% + 25¢) and $45 by ACH. Offer both, but default to bank transfer for anything over a few hundred dollars and keep cards for small deposits.
- HoneyBook card
- 2.7% + 10¢ to 2.9% + 25¢
- HoneyBook ACH
- 1.5%
Run one real job during the trial
Before you payTrials range from 7 days (Studio Ninja) to 30 days (HoneyBook), and 2 months for Fotostudio if you work in Europe. Don't spend them clicking through menus. Pick one upcoming shoot and push it through inquiry, contract, deposit and invoice. You'll find the gaps in a week.
- Shortest
- 7 days
- Longest
- 2 months
Check your country and currency before taking payments
Avoid a rebuildUS tools often default to dollars. If you shoot abroad or invoice in another currency, check your country and currency settings before the first payment, not after.
Decide where galleries live before you migrate
Avoid two billsA common setup pairs Pixieset Studio Manager for contracts with a separate gallery tool. That works, but you pay twice and juggle two client logins. If you want one bill, the all-in-one options are Pixieset Suite (from $28 a month), VSCO One and Fotostudio. If you link two tools, check that both offer an API or webhooks before you commit.
- All-in-one
- Pixieset Suite, VSCO One, Fotostudio
What a year really costs with each tool
Monthly prices hide the real decision. Here is the bill over 12 months on the plan most photographers end up needing, using the prices on each vendor's page and leaving out first-year promotions.
Pixieset Studio Manager: $0 to $216
Free covers your first clients. Plus is $144 a year, Pro $216 a year. Add Suite (from $28 a month) only if you want galleries and a website on the same bill.
Studio Ninja Pro: $270
Starter is $160 a year but stops at 5 active jobs. Pro, with workflows and unlimited jobs, costs $270 a year, or $27 a month without commitment.
Fotostudio Pro: €336
€28 a month billed yearly, taxes included, with galleries. Launch at €216 a year works only below 5 active sessions.
VSCO One: about $500
$41.67 a month, yearly only. It includes unlimited galleries, presets and 6 users, so compare it with a CRM plus a gallery subscription, not a CRM alone.
Dubsado Premier: $525
Starter is $335 a year, but workflows need Premier at $525. Count the setup time or the cost of hiring someone to build it.
HoneyBook Essentials: $588 plus fees
$49 a month billed yearly, before payment fees. Card payments add 2.7% + 10¢ (FAQ) to 2.9% + 25¢ (plan table) each; ACH costs 1.5%.
- Quote, contract, invoice and payment on the plan you'd buy
- Active job or session limits on the entry plan
- Payment fees on top of the subscription
- Gallery storage and print store commission
- Number of users and brands included
- Countries and currencies accepted
- Trial length, and whether it needs a card
- Free migration from your current tool

Photography business software: frequently asked questions
What is the best CRM for photographers?
In our ranking, Pixieset Studio Manager scores highest (4.3 out of 5): a real free plan with unlimited invoices, Plus at $144 a year, and galleries from the same company. HoneyBook (4.1) has the smoothest client flow if you work in the US, Canada, the UK or Australia, from $29 a month billed yearly. Wedding photographers on a budget should look at Studio Ninja from $16 a month. Pick the one whose entry plan covers contracts, invoices and payments without a limit you'll hit in your first busy month.
Is there free photography studio management software?
Yes. Pixieset Studio Manager is free with unlimited invoices, 3 contracts, 3 quotes or questionnaires, one session type, basic booking and online payments. HoneyBook, Studio Ninja, Dubsado and Fotostudio have trials but no free plan. Tip: pair the free plan with Pixieset's free gallery (3 GB), but keep print sales in mind, since the free gallery takes a 15% commission.
Can I use HoneyBook outside the US?
Only in Canada, the UK and Australia. HoneyBook accepts businesses in four countries and bills in USD, CAD, GBP or AUD; everyone else joins a waitlist. If you're based elsewhere, look at Pixieset, Studio Ninja or Dubsado, or Fotostudio if you work in Europe and bill in euros.
HoneyBook or Dubsado for photographers?
HoneyBook if you want a quick setup and a clean client experience; Dubsado if you want deep automation and have time to build it. Dubsado costs $525 a year on Premier, close to HoneyBook Essentials at $588, but its learning curve is much steeper. Dubsado also gives you 3 extra users free, where HoneyBook Essentials includes 2 team members.
How much does a CRM for photographers cost?
From $0 to about $600 a year for a solo photographer. Pixieset Plus is $144 a year, Studio Ninja Pro $270, VSCO One about $500, Dubsado Premier $525 and HoneyBook Essentials $588 before payment fees. The entry plans look cheaper, but job and session limits usually push you one plan up in your first season.
Do I need a separate gallery tool?
Not if you pick an all-in-one. VSCO One includes unlimited galleries, Fotostudio includes galleries from its Launch plan, and Pixieset Suite bundles galleries, Studio Manager and a website from $28 a month. HoneyBook, Studio Ninja and Dubsado focus on the business side, so you'll pay for galleries separately.
What's the difference between photo management and studio management software?
Photo management software sorts, tags and edits your image files. Studio management software runs your business: inquiries, contracts, deposits, scheduling and invoices. If you were looking for help with editing, see our ranking of photo editing software for photographers.
Can I switch tools without losing my clients?
Yes, if you plan it. Export your client list and open contracts, finish active jobs in the old tool, and start new inquiries in the new one. Studio Ninja offers free migration, so ask for it before your trial ends. Plan the move for your quiet months, not the middle of wedding season.
