Expensify alternatives: where to go, and how to leave without an extra year of billing

Six destinations, one per reason for leaving, and a six-step exit.

The short answer: Ramp if you're a US company and want corporate cards and expense reports on a $0 plan. Brex if you're a US company with staff or entities abroad. Navan if you're a small team that wants to start free. Rydoo if your team travels and lives on per diems. Zoho Expense if you want to stay free for up to three users. Pleo for European teams that pay by card. Two things to know first. Expensify's $9 Control price is real, but only on an annual plan with at least half your US spend on the Expensify Card; without it, Control is $18 per member a month annually, or $36 month to month. And an annual plan doesn't cancel with one click. We compared these six destinations and checked their prices in 2026.

The real reasons

Why teams leave Expensify, and why the exit needs a plan

Expensify made the snap-a-receipt expense report mainstream, and that part still works well: we keep it at 4.1 out of 5. People don't leave because of the receipt scanning. They leave because of everything around it. Here are the six reasons that come up again and again in user reviews, and what each one means for your exit.

The headline price needs the card

Expensify advertises Control from $9 per member a month. That price needs three things: an annual plan, the Expensify Card, and at least half of your approved US spend paid with it, plus a US bank account. The card discount goes up to 50% and only counts spend in US dollars. Without it, Control is $18 per included member a month on an annual plan and $36 per active member month to month. Collect, the simpler plan, is $5 per member a month with no commitment and no card discount.

Annual plans are hard to get out of

An annual subscription is a 12-month commitment. Expensify reviews each cancellation request and states that approval is not guaranteed. It's only automatic if you've paid a single billing cycle and owe nothing; otherwise you pay to the end of the term. Reviews from 2026 describe charges continuing after a written cancellation request. Write down your renewal date first.

Cancelling doesn't stop the bill

This catches a lot of people. When your annual plan ends, the workspace rolls to monthly billing at full price. To stop paying, you have to delete the workspace itself. That's why the exit plan below exports everything first and deletes last.

Members over your plan size cost double

On the annual Control plan, you commit to a number of members. Every active member beyond that size is billed at $36, twice the included rate. A team that grows mid-year, or a busy month with contractors submitting, shows up straight on the invoice.

Accounting syncs and card feeds that break

Accountants in 2026 describe duplicate transactions on sync, unreliable card feeds, a broken QuickBooks connection and receipt scanning that got worse after updates. Some call the Reports logic unintuitive. One finance team's path says a lot: Expensify, then Divvy and Bill.com, then Ramp.

A new interface to learn anyway

Expensify is moving customers to New Expensify, a chat-style interface. Expensify Classic is still available, but your team is relearning the tool either way. If you're retraining people, it's a good moment to compare.

The 6 alternatives

Expensify alternatives, tool by tool

For each tool: why move there, who it's for, who it isn't for, the catch, how to get in from Expensify, and its entry price. The order follows the most common case for a US reader: a small or mid-size company that wants cards and expense reports without the card-spend conditions. Scores come from our expense management software ranking.

01

Ramp: cards and expenses on a $0 plan

Best for US companies

Why move to Ramp. Ramp does what the Expensify Card pitch promises, without tying your subscription price to how much you spend on the card. The Free plan is $0 and includes corporate cards and expense management. Plus is $15 per user a month plus a platform fee, 20% less on an annual plan, with a 30-day trial.

Who it's for. US companies, from startups to mid-size, that want every employee on a card and receipts matched automatically.

Who it's not for. A company without a US entity: Ramp's card is built for US businesses. European teams should look at Pleo.

The catch. The Plus plan stacks a platform fee on top of the per-user price, and that fee isn't a fixed public figure, so get the full quote before you compare it with Expensify Control.

How to migrate. Export your Expensify expenses to CSV, rebuild your categories with the same names, and issue Ramp cards before you stop using the old ones. If you later outgrow Ramp, our guide to switching from Ramp covers the next move.

Brex: when your US company works across borders

Best for global teams

Why move to Brex. Brex combines corporate cards, expense management and bill pay. Essentials is $0 per user and Premium is $12 per user a month, so the pricing is easy to forecast compared with Expensify's included-versus-active member split.

Who it's for. US startups and mid-size companies, especially those with staff or entities abroad.

Who it's not for. A company without a US base: like Ramp, Brex is built around US businesses. European teams should look at Pleo.

The catch. Enterprise is quote-only, so a company that outgrows Premium has to budget through a sales call.

How to migrate. Export your Expensify data to CSV, recreate spend policies with the same names, and ship physical cards before you switch off Expensify card feeds.

Rydoo: when your team lives on the road

Best for travel

Why move to Rydoo. Rydoo is built for teams that travel: receipt capture, per diems, mileage and manager approval. If most of your Expensify reports are trip expenses, Rydoo fits the job closely.

Who it's for. Mid-size companies with sales reps, consultants or field technicians on the move.

Who it's not for. A solo user: Rydoo has a five-user minimum, $540 a year at the lowest.

The catch. Larger plans are quote-only, so budgeting above the entry tier means a sales call.

How to migrate. Set up categories and approval rules before inviting anyone, close every open Expensify report, export to CSV, and move the whole team on the same day.

Zoho Expense: free, or close to it

Best free option

Why move to Zoho Expense. It's the cheapest way out. The free plan covers three users. Standard is $3 per user a month billed annually and Premium is $5. A ten-person team on Standard pays about $360 a year, roughly what the same team pays Expensify Control in two months.

Who it's for. Small teams on a tight budget, and anyone already using Zoho Books or Zoho CRM.

Who it's not for. A company that wants corporate cards built in: Zoho Expense handles reimbursements, not card issuing.

The catch. Free stops hard at three users. The fourth person moves the whole team to paid.

How to migrate. Rebuild your categories and policies, invite your first three users on the free plan, and keep your Expensify CSV as an archive. On Zoho Books, connect accounting from day one.

Pleo: for European teams that pay by card

Best for Europe

Why move to Pleo. If your team is in Europe, Pleo gives you the card-first experience Expensify sells in the US: one card per employee, receipt photo in the app, spend reconciled as it happens. Prices are public and in euros.

Who it's for. European teams where most spend goes on cards: software, travel, everyday purchases.

Who it's not for. A US entity: Pleo sells in Europe and prices in euros.

The catch. Plans run €8 (Start, monthly), €14 (Build, annual, three users minimum) and €18 (Optimise) per user a month. Card FX fees go from 2% on Start to 1.49% on Optimise.

How to migrate. Order Pleo cards before you cut Expensify. Close old expenses in Expensify, run new ones through Pleo, and keep the Expensify CSV for history.

Expensify and 6 alternatives side by side

Our default pick: Ramp for a US company, Pleo for a European one, Zoho Expense if the budget is zero. The left column is the entry price, the right one says who it's for and what limits it.

Exit plan

Leave Expensify in six steps

Order matters. Two rules: check your renewal date before anything else, and only delete the workspace once everything is exported. Deleting is the only way to stop billing, and it also ends your access to the data.

01

Check your plan and renewal date

Day 1

Open your workspace's subscription page and note your plan (Collect or Control), billing (annual or monthly) and renewal date. Monthly, you can leave anytime. Annual, you're committed for 12 months.

On an annual plan, send your cancellation request early and in writing. Expensify reviews it case by case; it's automatic only after a single billing cycle with no balance due. Keep the reply.

Time
15 minutes
Risk if skipped
another year billed
02

Close and reimburse open reports

Week 1

Ask everyone to submit their last reports by a set date, then approve and reimburse everything in flight. A half-approved report doesn't move between tools; finish it where it started.

Tip: switch at month-end so your accountant gets one full month in each tool.

Who
every submitter, then approvers
Risk if rushed
double reimbursements
03

Export expenses to CSV

Before deletion

From the Expenses page, select your expenses and export to CSV. The default template has merchant, date, amount, category and tag. Custom templates can only be built in Expensify Classic (Settings, Account, Preferences, CSV Export Formats), and Concierge can send you an advanced one.

Export one file per year and name it with the year.

04

Download your receipts

Before deletion

The CSV holds the numbers, not the receipt images. Download the receipts you're required to keep, especially for anything an auditor or your tax filing may ask about. Once the workspace is gone, so are they.

Keep
receipts you must retain
Risk if skipped

05

Set up the new tool and move the team

Week 2

Rebuild categories, limits and approval flows before inviting anyone. Reuse the category names from your Expensify export so your books map cleanly. Then move everyone on the same day with one rule: from tomorrow, everything goes here.

If you're moving to cards (Ramp, Brex, Pleo), get them issued before that day.

Time
half a day of setup
Risk if rushed
two tools running
06

Delete the Expensify workspace to stop billing

At term end

The step everyone forgets. Cancelling isn't enough: after an annual plan ends, the workspace rolls to monthly billing. Once your exports check out, delete the workspace and watch next month's statement.

Disconnect Expensify from your accounting software and card feeds too, so nothing keeps syncing.

Migration pitfalls

What makes an Expensify exit go wrong

The same mistakes show up in user reviews and on Expensify's own community forum. None is serious if you know about it in advance.

Cancelling without deleting

Ending the annual plan moves the workspace to monthly billing at full price. As long as the workspace exists, so does the invoice.

Finding the renewal date too late

Annual is 12 months and early cancellation isn't guaranteed. If renewal is three weeks away, act now; if it just passed, plan calmly for the next one.

Comparing against the $9 price

The $9 Control rate only applies with the card and 50%+ of US spend on it. Compare alternatives against what you actually pay, $18 or $36.

Leaving without the receipts

The CSV export has figures, not images. Download receipts before deleting the workspace.

Running two tools at once

Half the team in Expensify, half in the new tool means duplicate or missing reports. One switch date for everyone.

Forgetting the syncs

Users report duplicate transactions on sync. Disconnect Expensify from accounting and card feeds before the new tool starts posting entries.

  • Plan, billing type and renewal date written down
  • Cancellation request sent in writing, reply saved
  • Open reports submitted, approved and reimbursed
  • CSV exports by year, named and stored
  • Receipts downloaded
  • Categories and approval flow rebuilt in the new tool
  • Whole team moved on the same day
  • Expensify disconnected from accounting and card feeds
  • Workspace deleted, next statement checked
FAQ · 7 questions

Expensify alternatives: frequently asked questions

  • How much does Expensify cost?

Collect is $5 per member a month, monthly, no commitment. Control is $18 per included member a month on an annual plan, with $36 for each active member beyond your plan size, and $36 per active member on monthly billing. With the Expensify Card, Control can drop as low as $9 on an annual plan if at least half your approved US spend runs on the card.

  • Is Expensify free?

Not for a company. The free Submit plan is for an employee whose employer isn't a customer: they scan receipts, track mileage and send reports. There's also a solo Track plan for your own spending. Once you approve and reimburse a team's expenses, you're on Collect or Control.

  • How do I cancel an annual Expensify subscription?

Submit a request from your workspace. Expensify reviews it and approval isn't guaranteed. It's automatic only if you've paid one billing cycle and owe nothing; otherwise you pay to the end of the 12 months. After that, the workspace switches to monthly billing, so delete it to stop the charges.

  • How do I export my Expensify data?

Go to the Expenses page, select your expenses and export to CSV. The default template covers merchant, date, amount, category and tag. For other columns, build a custom template in Expensify Classic under your account preferences. The CSV doesn't include receipt images, so download those separately.

  • What is the best free Expensify alternative?

Zoho Expense for reimbursements, free for up to three users. If you also want corporate cards and you're a US company, Ramp's Free plan costs $0 and includes cards and expense management.

  • Is Ramp better than Expensify?

For a US company that wants cards, usually yes: Ramp's $0 plan doesn't depend on how much you put on the card, while Expensify's $9 rate does. Expensify keeps the edge for a team that just wants receipt scanning and reimbursement on Collect at $5, without changing cards.

  • What about SAP Concur, Emburse or BILL?

They show up in most English-language lists. Navan now has its own card above. We kept this shortlist to tools whose entry price we could confirm on the vendor's own pricing page. See our picks for small businesses for a wider comparison.
